Add a user from the WordPress dashboard
Creating an account requires a unique username and email address. WordPress can generate a password, and the role selector determines what the new user can do. If you leave the role unchanged, WordPress uses the value configured at Settings > General > New User Default Role.

Step-by-step
- Sign in with an account allowed to create users.
- Open Users > Add New.
- Enter a unique Username. Treat it as a permanent login identifier; choose it carefully because changing the login name later is not part of the normal profile-editing workflow.
- Enter the user’s email address. WordPress requires the address to be unique on the installation.
- Optionally enter the first name, last name, website, and other profile details shown on the form.
- Set a password yourself or use WordPress’s generated password. Give the password to the user through a secure channel rather than putting it in a public message.
- Choose a role. Select the least powerful role that still covers the person’s responsibilities.
- Select Add New User. WordPress creates the account and lists it on the Users screen.
Do not use Administrator as a convenient default for writers, contractors, or community members. Administrator access can include site configuration and user management, so a mistaken assignment can expose settings and content that the person does not need.
Find, filter, and edit existing users
Open Users to see the account list. The screen supports searches by username, name, email address, or website, and it can be filtered by role. These filters are useful before a bulk change because they reduce the chance of selecting the wrong people.

Edit one account
- Search for the account or filter the list by its role.
- Open the username or select the row’s Edit link.
- Update the profile fields, password, or role that needs to change.
- Save the changes using the button at the bottom of the profile screen.
Editing a profile does not automatically change the author attached to existing posts. If the person is leaving and their work needs a different owner, use the deletion workflow’s attribution option instead of merely changing profile details.
WordPress roles and what each one can do
WordPress describes roles as bundles of capabilities: a user’s role determines which actions WordPress permits. The six predefined roles are Super Admin, Administrator, Editor, Author, Contributor, and Subscriber. Plugins can add capabilities or create additional roles, so a customized site may not match the defaults exactly.

The table describes the standard WordPress roles. A plugin may grant, remove, or rename capabilities, and a custom role may deliberately differ. Check the actual capabilities when a site uses membership, editorial, commerce, or workflow plugins.
How to choose a role
- Super Admin: reserve for trusted network operators who must manage sites, network settings, and network users in Multisite.
- Administrator: use for a trusted operator who needs broad control of a single site, including settings and user administration. In Multisite, do not assume this role has network-level powers.
- Editor: use for an editorial lead who publishes and manages other users’ content but does not need to change core site settings.
- Author: use for a writer who publishes and manages their own posts and needs to upload media.
- Contributor: use for a writer whose work must be reviewed before publication. Contributors can create and manage their own posts but cannot publish them and cannot upload files by default.
- Subscriber: use when someone only needs to maintain a profile or access member-only features supplied by a plugin.
Change one role or several roles at once
Change an individual role
- Go to Users and open the person’s username or Edit link.
- Choose the new role in the role selector.
- Save the profile.
Review the resulting capabilities before making the account more powerful. Removing a role can also remove the ability to publish, upload files, or manage existing editorial work, depending on the replacement role.

Bulk-change roles in the Users table
- Open Users and search or filter until only the intended accounts are visible.
- Tick the checkbox beside each user whose role should change.
- Choose Change role to from the bulk-actions controls.
- Select the destination role.
- Apply the change and verify the updated role column.
Bulk actions are efficient for onboarding or reorganizing a team, but they are not reversible with a single undo command. Export or record the current role assignments first when the selection is large, and make the change during a period when you can check the affected accounts.
Delete a user without losing their posts
Deleting an account is also a content-ownership decision. WordPress presents two outcomes for the account’s posts and links: delete them, or attribute them to another user. If the author’s work must remain published, choose attribution to a successor account.

- Open Users and locate the account by searching or filtering.
- Select the user and choose Delete.
- Read the confirmation screen. WordPress asks whether to delete the user’s posts and links or attribute them to another user.
- Choose Attribute all content to and select the replacement account when the content should remain available under a new owner.
- Choose the delete-content option only when you have confirmed that the posts and links are no longer needed.
- Confirm the deletion.
The currently logged-in user cannot delete their own account from this screen. Sign in as a different authorized administrator, or have another authorized operator perform the deletion.
Before confirming
- Record which posts, pages, media references, and links belong to the account.
- Confirm the replacement user’s account exists before choosing attribution.
- Check scheduled, pending, and draft content, not only published posts.
- Tell editors that author names may change when content is reassigned.
- Check plugin-owned content types separately; a plugin may handle ownership differently from standard posts.
Single-site WordPress versus Multisite
The Administrator role is not identical in every installation. On a single site, an Administrator may install or update plugins and themes, edit users, and create or delete users. Multisite separates site administration from network administration: several network and user-management capabilities are reserved for Super Admin.

What to verify on Multisite
- Decide whether the task affects one site or the entire network.
- Use a site Administrator for ordinary content and settings work limited to that site.
- Use a Super Admin for network-wide user administration, site creation, and network settings.
- Do not promote someone to Administrator merely because they need to edit posts; Editor or Author may be sufficient.
- Test the account in the correct site context. A person can belong to the network while having different roles on individual sites.
When a menu item is missing, the account may be operating at the wrong scope rather than suffering a WordPress error. Confirm the selected site and whether the required capability belongs to Super Admin.
Set the default role for new registrations
Self-registration uses the role shown at Settings > General > New User Default Role. Review this setting whenever the site’s membership policy changes. A permissive default can give every newly registered account more access than intended.

- Open Settings > General.
- Find New User Default Role.
- Select the lowest role appropriate for untrusted or newly registered members, commonly Subscriber.
- Save the settings.
This setting controls the initial role for new registrations; it does not rewrite roles for existing users. Change existing accounts separately from the Users screen.
Manage users with WP-CLI
WP-CLI provides a repeatable command family for creating users, adding or removing roles, and importing users from CSV. It is useful for migrations, scripted onboarding, and controlled bulk changes, but command options can evolve. The official command reference is regenerated at every release, so check the current syntax before running a script.

Create a user
wp user create username [email protected] --role=authorReplace the username, email address, and role with the values for the account. Add the password option only when your process can protect it; otherwise let WordPress generate credentials or handle password setup through a secure workflow.
Add or remove a role
wp user add-role 123 editor
wp user remove-role 123 authorThe first argument identifies the user by ID, login, or another identifier accepted by the installed WP-CLI version. Removing the last role can leave an account without useful site capabilities, so confirm the resulting role assignment before proceeding.

Import users from CSV
wp user import-csv users.csvPrepare the CSV according to the current command reference, including the required identity fields and any role values your site accepts. Validate the file in a staging or test environment first, especially when it contains many accounts or role assignments.
Operational safeguards
- Back up the database before a destructive or large-scale change.
- Run scripts against staging first and inspect the resulting Users table.
- Use a service account or shell account with only the access needed to perform the operation.
- Log the input file, command, date, and resulting user IDs so a later audit can identify what changed.
- Stop and investigate any duplicate-email, invalid-role, or permission error instead of rerunning blindly.
Troubleshoot common user-management problems
The Add New screen is missing
Check the account’s role and the installation type. A site Administrator normally has user-creation capabilities on a single site, while Multisite may require Super Admin for the operation. Plugins can also remove capabilities or replace the standard Users screen.

The email address is rejected as already used
Search the Users screen by email address. WordPress requires each account’s email to be unique, so edit the existing account or use a different address rather than creating a duplicate.
The user can write but cannot publish
That is the expected Contributor workflow. Change the account to Author when the person should publish their own posts, or to Editor when they must publish and manage other users’ content.

The user cannot upload an image
Contributors and Subscribers do not have the standard upload capability. Author, Editor, Administrator, and Super Admin do. A plugin or custom role may change this behavior, so inspect the site’s capability configuration if the expected role still lacks media access.
A deleted author’s posts disappeared
The deletion confirmation was likely completed with the delete-content option. Restore from a backup if necessary, then repeat the deletion using the attribution option. For future removals, identify the replacement owner before confirming.
A user can manage one site but not the network
This is normal in Multisite. Site-level Administrator access does not automatically grant Super Admin capabilities. Ask a Super Admin to perform network operations or to add the person at the appropriate scope.
