In supported PowerPoint editions, open the slide where you want the clip, choose Insert > Video > Online Video, paste the YouTube page URL, and select Insert. PowerPoint adds a resizable video frame; right-click it, choose Preview, and select Play to test it.
The online-video method streams the clip from YouTube rather than storing it in the presentation. Your presentation therefore needs a working internet connection at playback time. If you need offline playback or PowerPoint editing tools such as Trim, download or otherwise obtain a permitted local video file and insert that file in desktop PowerPoint instead.

Before you start
Check three things before editing your deck:
- You are using an edition that supports online video insertion. Microsoft lists PowerPoint for Microsoft 365, PowerPoint 2024, PowerPoint 2021, PowerPoint 2019, and PowerPoint 2016 for this workflow.
- You have the YouTube watch-page URL, or permission to use the video’s embed code.
- The computer used for rehearsal and delivery can reach YouTube. An online video remains on the provider’s website; it is not copied into the PowerPoint file.
Save the presentation before inserting the clip. This gives you a clean version to return to if a video frame or add-in behaves unexpectedly.

The URL method is the simplest option and is the workflow Microsoft documents for current desktop, web, and supported Mac editions.

- Open the presentation and select the destination slide in Normal view.
- Open the Insert tab.
- Choose Video, then Online Video. In some layouts the command appears as an Online Video button in the Media group.
- Copy the normal YouTube page address for the video you want to show. Paste that address into the online-video box.
- Select Insert. PowerPoint places a video rectangle on the slide.
- Drag the rectangle to position it. Use a corner handle to resize it without changing its proportions; use the alignment guides to line it up with other objects.
- Right-click the rectangle, choose Preview, and select Play. Confirm that the first frame loads and that audio is audible on the device you will use for the presentation.
Keep the original watch-page address with your presentation notes. If the publisher changes the video, removes it, or restricts access, the frame in PowerPoint cannot repair that change because the content is still hosted by YouTube.
What URL to paste
Use the video’s YouTube page URL, not a search-results page or a link to a channel. If a copied address contains extra sharing parameters, try the clean watch-page address first. Do not paste a downloaded filename into the Online Video field; that is a local-video job.
Position and sizing
PowerPoint treats an online clip as an object on the slide. You can move it, resize it, and place shapes or text around it. Leave enough space for the provider’s playback controls and for the frame to remain readable at the room’s viewing distance. Test the slide in Slide Show view rather than relying only on the small Preview pane.
Method 2: Insert YouTube embed code
Use embed code when the page-URL method rejects a valid video or when the publisher supplies an iframe specifically for embedding.

- Open the video on YouTube.
- Choose Share, then Embed.
- Copy the complete embed snippet. A valid snippet begins with an
<iframeor<objectelement. - Return to PowerPoint and select the destination slide.
- Choose Insert > Video > Online Video.
- Paste the snippet into From a Video Embed Code, then select the arrow or insert control.
- Resize and position the resulting frame, then use Preview > Play to verify it.
Do not paste a code string that begins with http into the embed-code box. Microsoft specifically warns that an address beginning with http is the wrong item for this method; use the iframe or object markup instead. If you only have a URL, return to the URL field and use Method 1.
Which PowerPoint editions support online video?
Support differs by operating system and release. The following matrix reflects Microsoft’s stated support for YouTube and related online-video features.

If the Online Video command is missing on a Mac, check the PowerPoint release before troubleshooting the link. Microsoft says earlier Mac versions do not support inserting online video; installing a current supported edition is different from repairing a bad URL.

An online clip is a streamed web object. The presentation stores a reference and a frame, while the video itself remains on YouTube. At show time, PowerPoint must contact the provider and load the player. A file that opens perfectly during editing can therefore fail in a venue with a captive Wi-Fi portal, blocked streaming domain, weak bandwidth, or no connection.

The player uses the provider’s own controls for play, pause, and volume. PowerPoint’s normal video-editing features do not apply to online videos: Microsoft lists Fade, Bookmark, and Trim among the unavailable playback features. PowerPoint for the web cannot trim videos either.
Rehearse the actual delivery path
- Connect the computer to the same network, projector, and audio equipment you will use in the room.
- Open the file and enter Slide Show view.
- Navigate to the video slide and start playback.
- Check that the frame is not covered by a sign-in prompt, consent dialog, or browser-level network notice.
- Pause, resume, and adjust volume using the on-screen player controls.
- Run the clip from the intended starting point again after reopening the presentation. This catches failures caused by a stale session or a changed network connection.
Keep a speaker note describing what to say if the clip cannot load. A short verbal explanation or still image is safer than improvising while the audience waits.
Need offline playback or trimming? Insert a local video
Online insertion is not the right tool when the venue has no internet, the presentation must travel as a self-contained file, or you need to cut the beginning and end. Use a video file stored on the computer and insert it through desktop PowerPoint’s local-video workflow. Microsoft describes local insertion and notes that embedding is the default behavior depending on the version.
- Obtain a video file that you are legally allowed to use in the presentation. A YouTube page URL alone does not grant permission to download or redistribute the content.
- Save the file in a known folder and keep a backup copy.
- In desktop PowerPoint, select the target slide and choose Insert > Video, then the command for a video on your device. The wording can vary by release, such as This Device or Video on My PC.
- Browse to the video file and select Insert. If the release offers a choice between linking and embedding, embedding keeps the media inside the presentation; linking keeps a dependency on the external file path.
- Resize and position the local video frame.
- Use the Playback tab to preview it and, in desktop PowerPoint versions that expose the control, set a start mode or trim the clip.
- Copy the presentation and its media to the delivery computer, reopen the copy there, and test it before disconnecting from the network.
A locally inserted file can still be too large for convenient sharing, and incompatible codecs can prevent playback. Convert only when you have permission and retain the original so you can recover if a conversion loses quality or audio.

Troubleshooting common failures
The Online Video command is missing
Confirm that you are using a supported edition and that you are editing in the desktop or web application rather than an older Mac release. Microsoft’s supported list includes Microsoft 365, PowerPoint 2024, 2021, 2019, and 2016 on Windows, plus Microsoft 365, 2024, and 2021 on Mac. Earlier Mac versions do not support inserting online video.
PowerPoint rejects the YouTube URL
Open the YouTube watch page, copy its page address again, and paste it into the URL field under Insert > Video > Online Video. Do not put a downloaded filename or iframe markup in that field. If the page URL still fails, try the video’s Share > Embed snippet in From a Video Embed Code.
The embed-code method says the code is invalid
Check the first characters of what you pasted. The embed method expects iframe or object markup, not a string beginning with http. Return to YouTube’s Share > Embed command and copy the entire snippet rather than only the address inside it.

- Test the slide in Slide Show view, not only in editing view.
- Confirm that the delivery computer can open YouTube and that the network does not require an unfinished sign-in or consent step.
- Check that the video is still available and viewable to the intended audience. A private, age-restricted, removed, or region-limited video may not load for every viewer.
- Verify that the computer’s output device is selected and that the player volume is not muted.
- Keep a local, permitted copy or a non-video speaking point as a contingency when the event cannot tolerate a failed network request.
The clip plays during editing but fails in the venue
That symptom usually points to the delivery environment rather than the slide object. Rehearse on the venue’s network and hardware, then decide whether the presentation should use a locally inserted file instead. A local file removes the web request but does not remove the need to test codecs, audio routing, and file packaging.

You need to cut the clip, but Trim is unavailable
Trim, Fade, and Bookmark do not apply to online videos. Use a permitted local video in desktop PowerPoint, where local-video playback controls can be available. PowerPoint for the web cannot trim videos, so move the editing step to desktop PowerPoint or prepare the shortened file in an authorized video editor before insertion.
The video works on Windows but not on an older Mac
Compare the Mac release with Microsoft’s support boundary. Online-video insertion is supported on Microsoft 365, PowerPoint 2024, and PowerPoint 2021 for Mac; earlier macOS versions do not support inserting online video. On an unsupported Mac, use a locally inserted file in a compatible desktop application or present from a supported system.
Permissions, privacy, and audience access
Microsoft states that use of online videos is subject to each provider website’s Terms of Use and Privacy Policy, including YouTube. Check that showing the selected video is permitted in the intended presentation context, especially for a classroom, conference, commercial event, recorded webinar, or public stream.
Audience access can differ from the presenter’s access. A link that plays while signed in may fail for viewers who cannot authenticate, who are in another region, or whose organization blocks the provider. For a public presentation, test with an account and network that resemble the audience’s conditions, and avoid relying on a private or restricted video unless every attendee is expected to have access.

- Confirm internet access for an online video, or disconnect and test the local file if the deck is meant to work offline.
