OpenClaw can turn a finished meeting transcript into a reviewable package of decisions, action items, calendar events and follow-up email drafts. The dependable pattern is a five-stage pipeline: detect the transcript, extract structured information, create tasks or events, draft messages, and require a person to approve anything sent outside the organization.
Antihost offers VPS plans with one-click OpenClaw, NVMe storage and a 14-day free trial.
Use OpenClaw’s current Automations interface for scheduled or webhook-driven work, configure inbound hooks with a dedicated token, and treat timing or time-saving figures from vendor tutorials as targets and illustrations rather than measured results.

The meeting follow-up pipeline
A useful automation separates machine work from the decision to communicate externally. The agent should prepare the follow-up; a person should decide whether the wording, recipients and commitments are correct.
- Trigger and intake: a webhook, poller, uploaded recording, watched folder or transcript-search step notices that a meeting transcript is ready.
- Extraction: OpenClaw loads a meeting-processing skill and asks its language model to identify the executive summary, decisions, open questions and action items.
- Task and calendar creation: each action item is mapped to an owner, suggested deadline and priority, then offered as a task or calendar event for confirmation.
- Drafting: a follow-up skill creates a message for each attendee using the parsed attendees, decisions and action items.
- Approval and delivery: drafts go to a review channel such as Slack or WhatsApp. Only an explicit approval sends the message.
This design also gives you checkpoints. If a transcript is incomplete, you can stop before creating commitments. If an owner is ambiguous, you can correct the record before a task or email is created.

What OpenClaw provides
Automations replace the older scheduler terminology
Current OpenClaw documentation calls its scheduler Automations. The openclaw automations command manages one-shot reminders, recurring intervals, cron expressions and inbound webhook triggers. openclaw cron remains an alias in the current documentation summaries. An automation can deliver by announce, webhook or none, so a workflow can either notify an agent, call another system or run without a delivery message.
Many third-party tutorials still show commands such as openclaw cron add or a JSON cron array containing session and message. Do not copy those fields blindly: compare them with the help output and configuration schema for the OpenClaw version you have installed.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Inbound hooks connect transcript systems
Inbound webhooks are enabled in a hooks configuration block. The documented pattern includes enabled, a dedicated hook token and a path (the examples use /hooks). Use a hook-specific token rather than the Gateway authentication token, and restrict allowedAgentIds to the agent that is intended to process meeting data.
Skills hold repeatable procedures
A skill is a reusable procedure that the agent loads when needed. A meeting workflow normally uses one skill for action-item extraction and another for follow-up drafting. Keeping these procedures separate makes it easier to change the email style without altering calendar logic.
Choose how a transcript enters OpenClaw
| Intake route | How it works | Best fit | Main risk |
|---|---|---|---|
| Webhook | The transcript service posts an event as soon as processing finishes; the event contains a transcript location or payload. | Low-latency follow-up and systems that expose reliable webhooks. | Authentication, retries and duplicate deliveries must be handled. |
| Polling | An Automation checks a transcript API or inbox at intervals and processes items marked ready. | Services without webhooks or teams that prefer a simpler network boundary. | Processing is delayed and the same transcript can be discovered more than once. |
| Uploaded audio | A recording is uploaded to a location watched by the workflow; transcription occurs before extraction. | Teams that receive files manually or from varied meeting tools. | Audio quality, transcription delay and file naming affect matching. |
| Folder watcher | A new transcript file in a designated folder starts the workflow. | Local or shared-drive processes. | Partial files can be picked up before the upload is complete. |
| Transcript search | The workflow searches a transcript product for meetings that have become available. | Teams already storing meetings in a searchable service. | Search results need a processed marker to prevent duplicates. |
For any route, pass a stable meeting identifier, meeting title, start and end time, attendee list and transcript location along with the transcript text when possible. Those fields let later steps correlate drafts and events to the original meeting.

Prepare OpenClaw safely
- Run onboarding: use
openclaw onboardfor the interactive setup and select the agent that will own meeting processing. - Configure the hook: enable the
hooksblock, define a path, generate a token used only by the transcript intake client, and setallowedAgentIdsto the intended agent. - Validate before restarting: run
openclaw config validate. Correct schema errors before changing the running service. - Restart and inspect logs: restart the OpenClaw service after configuration edits, then check logs for a successful listener and rejected or accepted hook requests.
- Create the Automation: use the current
openclaw automationscommand and its installed-version help output to define the webhook, polling interval or recurring schedule. Avoid assuming examples written for an older release still accept the same field names.
Keep the hook endpoint private or protected by your network edge, rotate the dedicated token if it is exposed, and grant the processing agent only the calendar, task and messaging permissions it actually needs.
Define the extraction contract before calling the model
Natural-language output is difficult to route reliably. Give the extraction skill a fixed structure and require it to leave a field empty when the transcript does not support an answer. A practical contract contains:
- Executive summary: a short account of the meeting’s purpose and outcome.
- Decisions: decisions that participants explicitly made, not proposals that were merely discussed.
- Open questions: unresolved issues and, where stated, who must answer them.
- Action items: one item per object with a description, owner matched to a participant name, suggested deadline and priority.
- Attendees: the names or addresses used to route drafts.
- Meeting identifier: the source ID used for deduplication.
In the extraction instructions, tell the agent not to invent an owner or deadline. If several participants could own an item, mark it for human review rather than silently assigning it. Preserve the original wording of a commitment when a short paraphrase could change its meaning.
Separate decisions from action items
“The team will launch on Friday” is a decision; “Alex will publish the release notes by Thursday” is an action item. Keeping those categories distinct prevents a follow-up email from presenting a suggestion as an approved commitment.
Match owners to attendees
Owner matching should use the participant list as the authority. If the transcript says “Jordan” and two Jordans attended, route the item to approval instead of guessing an address. Names that do not appear among attendees should be flagged as unresolved.

Turn action items into calendar events or tasks
A calendar-booking skill can create one Google Calendar event per action item, with OpenClaw holding the proposed events for user confirmation. That one-item-per-event approach is easy to audit, but it can create clutter when a meeting produces many small tasks. A task system may be more appropriate for work that does not require a time block.
Use a confirmation queue
- Show the action description, proposed owner, deadline, priority and source meeting.
- Let the reviewer edit the owner or date before creation.
- Create the event or task only after confirmation.
- Store the source meeting identifier with the created item so a retry can detect that it already exists.
The exact Gmail and Google Calendar connector steps depend on the integration you choose; the available material establishes the workflow pattern, not a universal connector configuration. Test permissions with a non-production calendar before granting write access.
Draft attendee-specific follow-ups
The drafting skill should receive the attendee list, decisions, open questions and action items that concern each recipient. Generate one draft per attendee when responsibilities differ, or one shared draft when everyone needs the same record.
Recommended draft contents
- A subject that identifies the meeting and date.
- A concise summary of the outcome.
- A “Decisions” section containing only confirmed decisions.
- An “Action items” list with owner and suggested deadline.
- An “Open questions” section with the person expected to resolve each question, if known.
- A request for corrections when the transcript may be incomplete.
Do not let the model send directly to external recipients. Route the draft, recipients and source meeting to an approval message. The reviewer should be able to approve, edit, reject or request a regenerated draft.
Build the approval gate
Several implementation guides use Slack or WhatsApp for one-click approval. The channel is less important than the rule: no external message leaves until a person has approved the exact recipients and body.

- Post a compact preview with recipients, subject, decisions and action items.
- Expose the full draft and transcript reference for inspection.
- Provide separate controls for approve, edit, reject and snooze.
- Record the approver, timestamp and final message body.
- Send only the approved version and mark the meeting as completed.
Keep approval for calendar events separate from approval for email when the two have different owners. A reviewer may accept a task while rejecting a draft that contains sensitive discussion.
Timing expectations and what the numbers mean
One vendor guide describes a target cadence of summaries within five minutes of meeting end, tasks within two minutes and follow-up emails within ten minutes. These are workflow targets, not independently measured performance guarantees; transcription queues, polling intervals, model latency and approval time can all extend them.
Another vendor example describes reducing three hours of weekly follow-up work to thirty seconds per meeting. Treat that as an illustrative scenario, not a measured OpenClaw result. No independent statistic establishing average time savings was identified.
Prevent duplicates and unsafe retries
Use idempotency keys
Derive a key from the transcript provider’s meeting ID, not from the message text. Store processing state such as received, extracted, awaiting approval, created and sent. If a webhook is delivered twice, the second request should reopen the existing record rather than create another event or email.
Retry only the failed stage
If extraction succeeds but calendar creation fails, retry calendar creation with the saved structured result. Do not rerun extraction automatically and risk changing owners or deadlines between attempts. If sending fails after approval, preserve the approved body and retry delivery without requesting a new approval unless recipients have changed.

Built-in cable management guides wires along the arms, keeping cords out of sight and out of the way. Enjoy a tidy, modern workstation that looks as good as it feels to use.
Handle late transcript corrections
Some transcription systems revise text after the first result. Keep the original version and mark later versions as revisions. Require a new approval when a revision changes an owner, deadline, decision or recipient.
Consent and data handling
Recording and transcribing meetings can require participant consent and must follow company policy. Tell participants when recording or transcript capture is active, especially for external calls, and verify the rules that apply to the jurisdictions and organizations involved.

Troubleshoot the workflow by symptom
No follow-up starts
- Confirm the transcript is marked ready rather than still processing.
- Check that the hook path and dedicated token match the sender’s request.
- Inspect OpenClaw logs after restarting the service.
- For polling, verify the interval and that the query can see the intended transcript.
The same meeting creates multiple events
- Check whether webhook retries or overlapping polling windows are occurring.
- Confirm that every stage uses the same meeting identifier.
- Inspect the processed-state store for a missing or non-unique idempotency key.
Owners or attendees are wrong
- Compare transcript names with the participant list supplied to extraction.
- Require confirmation when names are ambiguous.
- Check that the attendee parser is reading the provider’s canonical addresses rather than display names alone.
The Automation will not load
- Run
openclaw config validateand correct schema errors. - Compare the configuration with the current OpenClaw documentation and installed command help.
- Look for older examples that use a
cronarray, sessionormessagefields no longer accepted by your version.
A message was sent without review
- Disable direct delivery while investigating.
- Check whether the Automation uses
announceor a direct webhook path that bypasses the approval service. - Separate draft generation from the send permission and require an approval token or recorded action.
Webhook, polling or uploaded files: which approach should you use?
| Priority | Recommended route | Reason |
|---|---|---|
| Fastest possible handoff | Webhook | The transcript service can notify OpenClaw immediately after processing. |
| Broad compatibility | Polling | It works even when the source system exposes no webhook. |
| Manual control over source files | Uploaded audio or folder watcher | The team decides which recordings enter the workflow. |
| Existing searchable transcript archive | Transcript search | The Automation can find completed meetings without changing the capture process. |
Whichever route you choose, begin with a dry-run mode that extracts and displays results without writing calendar items or sending messages. Enable writes only after duplicate handling, owner matching and approval behavior have been tested with representative transcripts.
A practical rollout plan
- Week one: extraction only. Feed a small set of transcripts to the agent and review summaries, decisions, owners and deadlines manually.
- Next: approval-based tasks. Add calendar or task creation behind confirmation, keeping outbound email disabled.
- Then: draft messages. Generate attendee-specific drafts and measure how often reviewers edit recipients, commitments or dates.
- Finally: controlled delivery. Permit approved sends for an internal pilot before including external recipients.
- Ongoing: monitor quality. Track duplicate rate, missing-owner rate, rejected drafts, late transcripts and failed deliveries rather than relying on claimed time savings.
This staged rollout keeps the highest-risk action—external communication—last, while giving you evidence about transcript quality and model behavior in your own meetings.
Bottom line
OpenClaw is most useful here as an orchestrator: an Automation notices a completed transcript, a skill extracts structured commitments, calendar or task integrations prepare work items, and another skill drafts follow-ups. Keep a dedicated hook token, restrict the allowed agent, validate configuration after edits, account for changing command syntax, and retain a human approval gate before anything is sent externally. That combination delivers practical automation without turning an uncertain transcript into an unreviewed commitment.
