Build a searchable video archive by connecting two systems: durable storage for the original files, and a catalog that stores each video’s identity, metadata, annotations, and storage location. An ingest workflow links them: it registers uploads, extracts technical details, generates useful previews, analyzes selected audio and video, and updates the search index. Search results should point back to an authorized original or proxy—and, when available, to the matching moment in the video.
For a game-video collection, this can make recorded matches, tournaments, walkthroughs, reviews, and event footage findable by title, speaker, spoken phrase, visual subject, or scene. The right design depends on what people search for, how quickly they need results, and how often they access older files.
Separate the video archive from the search index
Object storage holds the source files; a catalog and search index describe them and help people find them. Keep the systems linked by a stable asset ID and a canonical storage reference. Do not rely on a filename as the unique identifier: names can be duplicated, changed, or unhelpful.
This separation matters when choosing a search service. Google Cloud’s Batch Video Warehouse imports video from Cloud Storage to build indexes, but does not copy or store the video data. The original therefore remains in your storage, and your catalog must retain the reference needed to retrieve it.

Decide what one catalog record represents
A record can describe an entire video, a chapter, or a smaller segment such as a scene or shot. Whole-video metadata helps with broad queries like “finals match” or a game title. Segment-level metadata can help someone find the moment a particular character, item, or on-screen phrase appears. More granular annotations can improve moment-level discovery, but create more data to process and maintain.
Define fields before bulk ingest
Start with fields that identify, describe, locate, and govern each asset. Add collection-specific fields only when they help users filter or understand results.
- Identity: stable asset ID, title, original filename, and creator or source.
- Description: recording date, duration, game or subject, event, location, participants, and other useful collection terms.
- Technical details: file format, resolution, and other properties extracted during ingest.
- Access and rights: permission or rights status and any restrictions relevant to viewing or reuse.
- Location: canonical storage reference, plus a proxy or preview reference if you create one.
- Search annotations: transcript passages, visual labels, text read from frames, and their time ranges.
Distinguish human-entered information from machine-generated annotations. The former can record authoritative details such as event and access status; the latter are discovery clues that may be incomplete or wrong. Preserve annotation provenance so users and administrators can tell which information was supplied by a person and which came from analysis.

Choose storage and retrieval expectations
Store source files in object storage and decide which material needs frequent access, which can move to a colder archive tier, and what happens when someone finds an archived item in search. A search result is only useful if the source can be opened—or if the result clearly explains that retrieval requires a restoration step.
AWS’s Media2Cloud and Video on Demand implementation guides describe example workflows that can move source media into Glacier storage classes through lifecycle policies. Those are AWS architecture examples, not a universal recommendation: choose a storage tier based on your own access patterns, retrieval expectations, retention requirements, and provider terms. Confirm that the search service’s permissions and retention behavior continue to work with the chosen storage location.

- Validate the upload. Check that the file is accepted by your processing workflow and record failures clearly.
- Register the asset. Assign or confirm its stable ID, create the catalog record, and save the source location.
- Extract technical metadata. Record properties such as format, duration, and resolution.
- Create viewing aids if needed. Generate a proxy for preview or playback and thumbnails for result cards.
- Run selected analysis. Transcribe speech or extract visual information according to the collection’s needs.
- Save results with provenance and timestamps. Keep annotations associated with the asset and, where available, their relevant time ranges.
- Update the search index. Make the new or corrected record searchable and record the job’s completion status.
AWS Media2Cloud documents an event-driven example that includes ingestion, metadata extraction, proxy and thumbnail creation, AI analysis, and metadata storage. For your own implementation, keep long-running processing asynchronous so uploads and search do not have to wait for analysis. Make retries safe: replaying an event should not create a second asset record. Keep generated annotations versioned so you can reprocess after a model or configuration change without losing the source file or human corrections.
Add transcripts and visual clues
Speech and transcript search
Transcripts let people search for spoken names, phrases, or commentary and can connect a match to a time in the recording. Google’s Video Intelligence API documentation describes speech transcription that returns text blocks for video or segments. Its documented Video Intelligence transcription feature supports English (US); Google directs users to Speech-to-Text for other languages. Test representative recordings before relying on transcription, especially where game names, player handles, accents, noisy audio, or specialist vocabulary are involved.

Objects, scenes, and text on screen
Visual analysis can add detected objects, places, actions, shot boundaries, or text appearing in frames. Google describes annotations at video, segment, shot, and frame levels. Its illustrative family-video archive project combined transcription, object recognition, and text extraction to make different kinds of content searchable; it is an example workflow, not a performance benchmark. Treat labels as hints for discovery, not verified facts about a person, event, or game.

Match search to the questions people ask
Start by collecting real queries from intended users. Search by title, speaker, date, or exact spoken phrase may be handled by catalog fields and transcripts. A query such as “the scene with a red bicycle in the rain,” or a request to search using a reference image, calls for evaluation of semantic or multimodal retrieval.
Google Cloud’s Batch Video Warehouse documents semantic search using text, images, and annotation metadata filters. AWS’s multimodal knowledge-base documentation describes text queries over video segments with timestamp references. These are different approaches, not evidence that one will work better for your archive. Evaluate them against your own videos and queries.
- Can users find exact names and phrases as well as broader concepts?
- How precisely can a result identify a moment, and does it link to that point in playback?
- Can users filter by catalog fields such as event, date, game, or access status?
- Does the system support the text, image, or other query types users actually need?
- How are additions, corrections, and removals reflected in the index?
- Are the required formats and languages supported in your region?
- Can an authorized user open the result’s source or preview without exposing restricted assets to others?
Design results people can act on
A useful result should show a human-readable title, an appropriate thumbnail or preview, and a concise indication of why it matched. When the index has a timestamp, link to the relevant moment in the original or an authorized proxy rather than forcing the user to search the whole video manually. AWS’s multimodal video documentation describes timestamp references for retrieved segments; an AWS Transcribe and Kendra example describes indexing time-marked transcript passages and playing the corresponding part of a media item.

Enforce access in the application and storage layers, not just in the search interface. A result should not reveal an asset or allow playback to someone who lacks permission to open the source. Also decide what users see when an item has moved to archive storage, a proxy is unavailable, or their access has changed.
Keep the index in sync
Define update behavior for new uploads, deletions, changed catalog fields, revised annotations, and access changes. If an asset is removed from storage, its search entry should not remain as a working link. If its permissions change, the result must reflect those permissions.
Google’s Batch Video Warehouse documentation describes per-asset updates and removals for lower update latency, with limited throughput, as well as batch index updates for larger additions or removals. Choose between update paths according to collection size, change frequency, and acceptable delay. Keep an auditable link between every indexed record and its source object so you can detect stale or broken results.
