The reliable way to connect WooCommerce to accounting software is to use a connector, authorize both systems, set a synchronization date and timezone, choose which order statuses can post, map products, customers, taxes, payments, shipping and fees, then test a small batch before enabling automatic sync. The connector moves the data; your chart of accounts, tax codes and inventory rules determine whether the resulting books are correct.

What a WooCommerce accounting connection actually does
A WooCommerce accounting integration transfers store activity into an accounting platform so orders and related records can be posted without re-entering every transaction. Depending on the connector, the synchronized data can include products, customers, invoices or sales receipts, payments, shipping, discounts, fees, taxes and inventory quantities.

1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThat transfer is not the same as bookkeeping. A connector can send a tax amount to the wrong tax code, post a payment to the wrong account, duplicate an order, or treat a processor payout as if it were an individual sale if the mappings are not configured carefully. The accounting platform’s chart of accounts and tax setup therefore matter as much as the plug-in or extension you install.
WooCommerce orders and bank deposits also represent different events. An order records what a customer bought and what the customer was charged. A payment processor may later combine many orders into one payout and subtract processing fees. Reconciliation must account for that difference.

Choose the connection method
| Connection method | Accounting platform | What it supports | Best fit |
|---|---|---|---|
| WooCommerce Connector | QuickBooks Online | Sales, products, inventory and customers; orders can be posted as invoices or sales receipts; WooCommerce taxes can be matched to QuickBooks tax codes. | Stores that want the official Intuit connection and a guided QuickBooks Online workflow. |
| Xero for WooCommerce extension | Xero | Invoices, items, shipping, discounts, fees and taxes; account-code and tax-rate matching; OAuth 2.0 authorization. | Stores already organized around Xero account codes and tax rates. |
| MyWorks QuickBooks Sync | QuickBooks Online or QuickBooks Desktop | Automatic-sync switches and detailed mappings for customers, products, payments and taxes. | Businesses that need configurable QuickBooks Online or Desktop synchronization. |
| Custom integration | Any platform with a suitable API | WooCommerce webhooks can notify an endpoint about order, product, coupon or customer events; the REST API supports programmatic access. | Teams that need rules or data flows not provided by an off-the-shelf connector. |
Pick one accounting system as the financial source of truth before connecting. If two systems are allowed to edit the same product, tax or inventory record, define which value wins and whether the sync is one-way or bidirectional.
Check prerequisites before authorizing anything
Resolve technical requirements first. Authentication failures are often caused by an unsupported version, missing SSL, disabled cURL, or a WooCommerce site that does not use the URL structure the connector expects.

- WooCommerce 3.5 or newer.
- WordPress 4.4 or newer.
- Pretty permalinks enabled.
- WooCommerce administrator access and permission to authorize the accounting connection.
These version and permalink requirements are documented for Intuit’s OneSaas-based WooCommerce connection. Confirm that your store and WordPress installation meet them before attempting authorization.
Xero extension requirements
- SSL enabled on the store.
- cURL and cURL SSL available on the server.
- WooCommerce 10.8 or newer.
- WordPress 6.9 or newer.
- PHP 7.4 or newer.
The Xero setup also needs an OAuth 2.0 app, its client ID and secret, a redirect URI, and access to the Xero organization you intend to connect. Have those details ready before opening the authorization screen.
Prepare the accounting file
- Confirm the revenue, shipping, discount, fee, payment-clearing and tax accounts that the connector should use.
- Ensure tax rates in WooCommerce have matching tax rates or tax codes in the accounting platform.
- Decide whether products and stock quantities are mastered in WooCommerce or in the accounting system.
- List payment methods and the clearing accounts that should receive them.
- Agree with the bookkeeper on whether an order becomes an invoice or a sales receipt and which WooCommerce statuses are eligible to post.
Step-by-step connection workflow
1. Select the connector
Choose the official connector for your accounting platform when its supported workflow meets your needs. Use a configurable QuickBooks synchronizer if you need QuickBooks Desktop support or more granular switches. Build a custom integration only when the standard mapping cannot represent your process.
2. Set a clean starting point
Choose the date and timezone from which orders should be synchronized. A limited historical range makes the first test easier to audit and reduces the risk of importing old orders that have already been entered manually. Record the chosen date so your bookkeeper knows which transactions are inside the automated process.
Rank #2
3. Authorize the two systems
For QuickBooks Online, open the connector’s Connections flow, enter the WooCommerce credentials requested by Intuit, and select the QuickBooks company to authorize. For Xero, create or select the OAuth 2.0 app, enter its client ID and secret, register the redirect URI, complete the consent screen, and select the Xero organization. Do not paste credentials into a webhook or an untrusted third-party form.
4. Choose the posting event
Define which WooCommerce order statuses trigger accounting activity. For example, you might post only paid or completed orders rather than every pending checkout. The correct choice depends on your fulfillment and payment process; the important point is that the rule is explicit and documented.
In QuickBooks, choose whether eligible orders are created as invoices or sales receipts. An invoice represents an amount due, while a sales receipt represents a completed sale, so selecting the wrong type can distort accounts receivable and payment reporting.
5. Map products and customers
Match WooCommerce products and variations to their accounting items, and match customer records using a stable identifier such as an email address where the connector supports it. Decide how guest checkouts should be represented. Review duplicate-handling behavior before the first broad import; otherwise, a historical order can create a second customer or item instead of linking to the existing record.
6. Map money fields
Assign every monetary component deliberately:
- Product revenue to the appropriate sales account.
- Shipping charges to a shipping-income account if your chart of accounts separates them.
- Discounts to the discount treatment approved by your bookkeeper.
- Gateway or marketplace fees to an expense account.
- Taxes to the matching tax code or tax rate.
- Payments to the correct processor-clearing account rather than directly to the bank account when payouts are batched.
For Xero, item account codes and tax rates must match the corresponding Xero records. For QuickBooks, WooCommerce tax settings must be paired with the correct QuickBooks tax codes.
7. Decide inventory ownership
Choose whether WooCommerce or the accounting platform is the inventory master. A one-way flow is easier to reason about: the master publishes quantity changes and the other system receives them. A bidirectional flow can be appropriate when both systems genuinely change stock, but it requires conflict rules and careful testing to prevent a sale, refund or manual adjustment from being applied twice.
Rank #3
8. Test, then enable automation
Run a small historical range containing different products, tax treatments, payment methods, shipping charges, discounts and at least one refund or status transition if those events are part of your workflow. Compare the WooCommerce order total with the accounting entry, inspect tax lines and confirm that the customer, product and payment accounts are correct. Ask the bookkeeper to review the postings before expanding the date range or turning on automatic synchronization.
Platform-specific setup notes
QuickBooks Online
Intuit’s WooCommerce Connector is designed for QuickBooks Online and covers sales, products, inventory and customers. The central decisions are the order-to-invoice or order-to-sales-receipt behavior, the eligible WooCommerce statuses, and the mapping from WooCommerce taxes to QuickBooks tax codes.
Windows Errors? Fix Them Before They Spread

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteAfter authorization, verify that each WooCommerce payment method reaches the intended clearing account. A connector can correctly create a sales receipt while still producing an inaccurate bank reconciliation if the payment is posted straight to the bank but the processor later deposits a net amount after fees.
Xero
The Xero for WooCommerce extension uses OAuth 2.0. Its setup therefore involves an app client ID, client secret, redirect URI and organization selection in addition to the WooCommerce installation. It can send invoices and item details together with shipping, discounts, fees and taxes.
Before importing orders, make sure every product and tax treatment has a valid Xero account code and tax-rate match. Xero marketplace alternatives may help with payout reconciliation, but evaluate them against your required data fields and the way your bookkeeper wants processor fees represented.
MyWorks QuickBooks Sync
MyWorks supports QuickBooks Online and QuickBooks Desktop and exposes automatic-sync switches. Use its detailed mappings to control customers, products, payments and taxes rather than enabling every object at once. Start with the records needed for one test order, confirm the result, and then add additional data types.

Custom webhooks and REST API integration
WooCommerce webhooks can notify an endpoint when orders, products, coupons or customers change. The REST API provides programmatic access for an integration that needs to transform or route those records before they reach the accounting platform. Build idempotency into the endpoint so a retried event does not create a duplicate invoice or payment, and log the source order ID, event type and processing result for audit purposes.
Some older custom implementations depend on WooCommerce’s Legacy REST API. If your design requires that interface, check whether the Legacy REST API plugin is needed and treat the dependency as a maintenance concern rather than assuming it is available in every current installation.
Map the fields that most often cause errors
Taxes
Tax configuration is the highest-risk mapping area because a numerically correct order can still produce incorrect returns when the tax code is wrong. Match each WooCommerce tax rate to the corresponding accounting tax code or rate, including zero-rated, reduced-rate and shipping-specific treatments where applicable. Check rounding at the line and order level and compare the accounting total with the storefront total.
Payments and payouts
Separate the customer payment event from the processor payout. Post customer payments to a clearing account when the processor settles in batches. Record the processor fee as an expense and clear the gross payment against the net bank deposit during reconciliation. If your connector does not support that flow directly, document the manual journal or reconciliation step instead of forcing a misleading one-to-one bank match.
Shipping, discounts and fees
Shipping charged to the customer, a coupon discount, and a payment or marketplace fee are different accounting concepts. Map them to separate accounts when your reporting requires that distinction. Confirm that discounts reduce the intended revenue base and that fees do not disappear from the order total simply because they are withheld before payout.
Products, variations and inventory
Use a consistent identifier for each product and variation. Decide how bundles, backorders, refunds and manual stock adjustments are represented before enabling quantity synchronization. If inventory is bidirectional, test simultaneous edits and confirm which update wins.
Best Value
Historical imports, statuses and duplicate prevention
The synchronization start date controls the historical population. Importing too much history can duplicate manually entered transactions; importing too little can leave an unexplained gap between WooCommerce and the accounting ledger. Export or record the list of orders in the selected range, then compare the connector’s result with that list.
Status rules deserve the same attention. A pending order, a paid order, a completed order and a refunded order can represent different points in your operational process. Decide which status posts the sale, which status records payment, and how a later cancellation or refund changes the accounting entry. Do not enable multiple status triggers that can cause the same order to post more than once.
Test and reconcile before going live
- Create a test set containing ordinary products, product variations, tax-inclusive and tax-exclusive prices, shipping, discounts, multiple payment methods and a refund scenario.
- Run synchronization for the smallest practical date range.
- Match every WooCommerce order to its accounting document by order ID or another traceable reference.
- Compare subtotal, discount, shipping, tax, total and payment values line by line.
- Check that the customer and product records were linked rather than duplicated.
- Confirm that inventory changed in the intended direction and only once.
- Reconcile processor payouts, fees and bank deposits with the bookkeeper.
- Review the connector’s error report and resolve failures before widening the date range.
No universal success-rate, accuracy-improvement or implementation-time statistic has been established for WooCommerce accounting integrations. Treat your own test and reconciliation results as the acceptance criteria.
Troubleshoot common connection failures
| Symptom | Likely cause | What to check |
|---|---|---|
| Authorization page fails or returns to the wrong screen | Unsupported versions, missing SSL, unavailable cURL, or an incorrect OAuth redirect URI. | Compare the site with the connector’s version requirements, verify SSL and cURL/cURL SSL, and check the exact redirect URI in the OAuth app. |
| Orders do not appear in the ledger | The selected order status is not eligible, or the order falls outside the synchronization start date. | Review the status filter, date, timezone and connector error log. |
| Tax totals differ | WooCommerce rates are mapped to the wrong accounting tax code, or rounding rules differ. | Compare each tax line and rate, then verify the accounting platform’s tax configuration and rounding behavior. |
| Bank deposits do not match order totals | Processor payouts are batched and fees are withheld. | Use a clearing account and reconcile gross payments, fees and net deposits. |
| Duplicate customers, products or invoices appear | Historical data was imported twice or records lack a stable matching identifier. | Pause automatic sync, identify the duplicate source IDs, correct the mapping, and have the bookkeeper reverse or merge entries safely. |
| Inventory keeps changing unexpectedly | Both systems are writing quantities without a defined master or conflict rule. | Choose one inventory owner, disable the unnecessary direction, and retest stock adjustments and refunds. |
Which WooCommerce accounting integration is best?
- Choose QuickBooks Online’s official connector when you want Intuit’s supported WooCommerce path and need sales, products, inventory and customers with invoice-or-sales-receipt choices.
- Choose the Xero extension when your accounting process already uses Xero account codes and tax rates and you can satisfy its OAuth, SSL, cURL, WordPress, WooCommerce and PHP requirements.
- Choose MyWorks when QuickBooks Online or Desktop support and granular automatic-sync switches are more important than using a single-platform connector.
- Choose a custom build when webhooks, API transformations, unusual payout logic or specialized inventory rules cannot be represented by the standard integrations. Budget for idempotency, logging, version maintenance and error handling.
The best option is the one that matches your accounting workflow, not the one that merely creates an authenticated connection. A successful setup produces traceable entries, correct taxes, controlled inventory and payouts that reconcile to the bank.
Go-live checklist
- Connector and accounting company selected.
- Supported WooCommerce, WordPress and PHP versions verified.
- SSL, cURL and permalink requirements checked where applicable.
- OAuth credentials, redirect URI and organization selection confirmed for Xero.
- Synchronization date and timezone recorded.
- Eligible WooCommerce statuses documented.
- Invoice versus sales-receipt behavior selected for QuickBooks.
- Products, customers, tax codes, account codes, payment methods, shipping, discounts and fees mapped.
- Inventory master and sync direction agreed.
- Small test batch reviewed by the bookkeeper.
- Processor payouts and fees reconciled separately from order totals.
- Error monitoring and a recovery owner assigned before automatic sync is enabled.
WooCommerce’s developer documentation describes the purpose of webhooks clearly: “Webhooks also make it easier for third-party apps to integrate with WooCommerce.” That convenience is valuable only when the receiving system, mappings and reconciliation rules are designed before live data starts moving.
