To keep webinar viewers engaged, plan the session around what they need to learn or do, break the presentation into manageable sections, and give them meaningful ways to participate throughout. Rehearse the technology, make participation accessible, and finish with one useful next step. Engagement is not guaranteed by any single format or feature: the goal is to make it easy for people to follow, contribute, and get value.
Start with the audience and the outcome
Before choosing a platform or building slides, define who the webinar is for and what attendees should understand or be able to do afterward. A useful outcome is specific enough to guide both the content and the format—for example, being able to identify a problem, compare options, or complete a task.
- Audience: Who is attending, and what do they already know?
- Outcome: What should they leave knowing or able to do?
- Constraints: How many people are expected, how much time is available, and what production support can you provide?
Choose the format to fit those answers. A presentation with Q&A or polls can suit a large audience when hands-on practice is not essential. A smaller workshop or discussion is a better fit when people need direct feedback or time to practise. Cochrane describes 60 minutes as a typical webinar duration, not a proven ideal or an engagement guarantee. Its guidance recommends matching format to audience, learning objectives, reach, and available resources: Cochrane’s good-practice guidance.
Design a session that gives viewers reasons to take part
Map the session before writing the full script. Open with the topic’s relevance, explain how attendees can participate, and divide the main material into sections. Place interaction at natural transitions so participants can respond while the material is still fresh.

- Open with a useful prompt. Ask a relevant question or run a low-friction poll that connects the subject to attendees’ needs.
- Explain participation early. Tell people how to use chat, Q&A, polls, or other features you plan to use.
- Present in sections. Give each segment a clear point and a transition rather than delivering one uninterrupted lecture.
- Invite input at transitions. Use a poll, a chat prompt, or a short Q&A when it supports the session objective.
- Close with one next step. Point attendees to a relevant action, resource, or follow-up—not a long list of competing requests.
Cochrane advises avoiding presentation stretches longer than 15–20 minutes; if a longer stretch is necessary, insert a poll or Q&A. This is practical guidance, not a guarantee that interaction at a particular interval will improve retention. Adobe Marketo Engage lists polls, Q&A, chat, and quizzes as possible formats for interaction. Use only the features that serve the session: adding an activity simply because the platform offers it can distract from the learning goal. See Adobe’s interactive webinar guidance.
Choose interaction and format for the audience size
There is no single best webinar format or platform for every audience. Make the choice against the amount of interaction the session needs and the support available to run it reliably.

When comparing platforms, check whether they provide the interaction and moderation features you need, whether their accessibility functions suit your event, and whether your team can operate them confidently. The cited guidance does not establish one universally best platform.
Vendor benchmark figures can help describe reported feature use, but they are not targets or proof that a feature causes engagement. BigMarker’s 2025–2026 B2B Webinar Benchmark Report reports an average of 87 poll responses per webinar across its benchmark group and 375 among high performers; it reports 13 submitted Q&A questions overall and 43 among high performers. Those are results for that report’s group, not universal goals: BigMarker’s report. Goldcast’s 2026 report gives feature-usage figures of 62.3% for chat, 56.1% for Q&A, 35.1% for resource clicks, 19% for polls, and 17.8% for CTA clicks. Those figures describe adoption in its report; they do not show that using a feature caused viewers to pay attention or stay longer: Goldcast’s report.

Assign the roles that keep the session moving
When one person tries to present, monitor chat, answer technical questions, and keep time, something is likely to be missed. Name the roles in advance and scale the team to the event’s format and audience.
- Presenter: Delivers the subject matter and follows the session plan.
- Moderator: Welcomes attendees, keeps time, manages Q&A, and signals transitions.
- Organizer or technical support: Prepares the event, handles platform and participant issues, and manages follow-up tasks.
- Workshop facilitators, if needed: Support small-group activities or practice.
For a large audience, Adobe recommends assigning co-hosts to help manage Q&A. Cochrane’s guidance also distinguishes the presenter, moderator, and organizer responsibilities. Agree beforehand on how speakers will hand off, who will respond to technical questions, and how unanswered questions will be handled.

Rehearse the attendee experience, not just the slides
Run through the parts attendees will actually see and hear. Test the webinar platform, presenter audio, screen sharing, polls, and breakout rooms if you plan to use them. Decide who switches speakers and who watches for technical issues.
- Join the event using the setup presenters will use on the day.
- Check that speech is clear and at a consistent level; Cochrane recommends that presenters use headsets.
- Share the slides or demonstration and confirm that important text is readable.
- Test each planned poll, chat prompt, Q&A handoff, and breakout-room instruction.
- Practise a simple contingency: what the moderator will tell attendees if a speaker disconnects or a feature fails.
A headset with a microphone is an optional way to support clear presenter audio; it is not a substitute for testing, and the guidance does not establish a particular model as necessary. Keep a backup copy of materials available to the team and make sure each role knows how to contact the others during the event.

Make participation accessible
Not everyone can or wants to speak live. Offer clear instructions for chat and Q&A, and provide a way to participate without turning on a microphone. Enable captions when the chosen platform supports them, and share materials in a readable format. Verify the actual features and settings available on your platform rather than assuming every event setup includes them.
Microsoft’s Virtual Event Playbook emphasizes accessibility, inclusion, audience experience, and message clarity. Vimeo likewise recommends enabling live captions in its webinar best-practices guide. Treat accessibility as part of event preparation: check the experience participants will receive, including how they can follow the presentation and contribute.
Close with a next step, then improve the next event
End by stating one practical next step and where attendees can find any promised resource. After the event, share relevant materials or an edited recording when appropriate, and ask participants what worked and what could be better. Cochrane recommends sending an evaluation form within 24 hours and describes publishing recordings and supporting materials. Review feedback alongside your own notes about timing, questions, and any technical issues; use it to adjust the next session rather than treating one webinar’s numbers as a universal benchmark.
