What small caps does in Word
Small caps is a font effect that displays lowercase letters as smaller versions of capital letters while keeping the text in its original character form. For example, a heading typed as “Release notes” can display with a larger initial capital and smaller capital-shaped letters for the rest of the word. The exact appearance depends on the typeface and its available glyphs.

Because small caps is an effect, you apply it to a selection. You do not need to retype the passage, and you can turn the effect off later without changing the wording. This makes it useful for short headings, labels, running text, names, and other passages where an all-capital appearance would be too heavy.

Small caps is different from uppercase text
Word treats the Small Caps effect separately from its Change Case commands. Applying an uppercase command changes the characters themselves; applying Small Caps changes their presentation. That distinction matters when you later edit, copy, search, or remove the formatting.
| Operation | What it changes | Typical result |
|---|---|---|
| Small Caps | A font effect applied to selected text | Lowercase letters appear as reduced capitals |
| UPPERCASE | The underlying letters | Every letter becomes a full-size capital character |
| Change Case | The underlying capitalization pattern | Lowercase, uppercase, or capitalized words, depending on the command |
Microsoft lists small caps in the Font dialog’s Effects area, while case-conversion commands are documented separately. That is why the case-changing shortcut Shift+F3 is not the small-caps shortcut.
Before you apply the effect
- Use the installed desktop version of Word on Windows or macOS for the documented workflow.
- Select exactly the words, sentence, paragraph, or heading that should receive the effect. If no text is selected, Word may apply the setting to new typing instead of the existing passage.
- Decide whether the text should remain mixed case. If you need the original lowercase and uppercase characters preserved, use Small Caps rather than an uppercase conversion.
- If the document is open in a browser, plan to switch to the desktop application. Microsoft’s guidance does not document a Small Caps control for Word for the web.
How to apply small caps in Word for Windows
Method 1: Use the Font dialog
- Open the document in the Windows desktop version of Microsoft Word.
- Select the text that should appear in small caps. You can select a single word, a phrase, a paragraph, or a larger range.
- Open the Home tab.
- In the Font group, click the small dialog launcher arrow in the lower-right corner. This opens the full Font dialog rather than the compact ribbon controls.
- In the Font dialog, find the Effects section.
- Select the Small Caps check box.
- Choose OK to apply the effect to the selected text.
Microsoft describes this route as selecting the text, opening the Font group’s lower-right dialog launcher, and selecting Small Caps under Effects. The wording and location are documented in Microsoft Support’s instructions for changing capitalization or case.

Method 2: Use the Windows shortcut
- Select the text.
- Press
Ctrl+Shift+K.
The shortcut toggles the Small Caps font effect for the selection. Pressing the same shortcut again removes the effect when the selected text already has Small Caps applied. If the selection contains mixed formatting, inspect the Font dialog afterward to confirm the resulting state.

What you should see
Lowercase letters in the selected range should display as smaller capital forms. Existing full-size capitals remain capitals, so a passage containing both uppercase and lowercase characters can have different visual sizes after the effect is applied. The text itself is not replaced with a new all-uppercase version.
How to apply small caps in Word for Mac
Method 1: Use Format > Font
- Open the document in the macOS desktop version of Microsoft Word.
- Select the text to format.
- Open the Format menu in the macOS menu bar.
- Choose Font.
- In the Font dialog, locate the Effects section.
- Select Small Caps.
- Confirm the change with OK.
This is Microsoft’s documented Mac path: select the text, choose Format > Font, and check Small Caps under Effects. The same Font dialog distinguishes the effect from ordinary case conversion.
Method 2: Use the Mac shortcut
- Select the text.
- Press
Command+Shift+K.
As on Windows, the shortcut acts on the current selection. Use it once to apply Small Caps and again to toggle the effect off when appropriate. Microsoft’s Word keyboard-shortcut reference lists the Mac combination alongside the Windows command; see Microsoft’s Word keyboard shortcuts page.

Can you use small caps in Word for the web?
Microsoft’s support guidance says Word for the web does not support its Change Case feature and recommends opening the document in the desktop application for that feature or changing the casing manually. The cited guidance does not confirm that Word for the web exposes the Small Caps font effect as a browser control.

For that reason, use desktop Word when you need the documented Small Caps workflow. Do not treat a browser command that changes letters to uppercase as an equivalent substitute: uppercase text changes the underlying characters, whereas Small Caps is a font effect.
If the document opens in a browser by default
- Save the document so the latest edits are available in the desktop application.
- Use the document’s Open in desktop app option, or open the file directly from your computer in Word.
- Apply Small Caps with the Windows or Mac steps above.
- Save the document again before returning to browser editing.
If you only have browser access, you can manually type capital letters, but that produces uppercase text rather than the Small Caps effect. It may also make later capitalization edits less convenient.
Small Caps versus Word’s Change Case commands
Why Shift+F3 is not the Small Caps shortcut
Word uses Shift+F3 for cycling through capitalization states such as lowercase, uppercase, and capitalized words. Microsoft documents that command as part of Change Case. It does not apply the Small Caps effect.

When uppercase conversion is the right choice
Choose an uppercase command when the document requires actual capital characters—for example, when another system must receive all-cap text or when capitalization itself carries meaning. Choose Small Caps when the goal is a typographic appearance and you want to preserve the original mixed-case text.
When Small Caps is the right choice
Small Caps is appropriate when you want a compact, formal visual treatment without rewriting the passage. It can be applied to selected words inside a sentence, a complete heading, or a longer block, and it can be removed later through the same Font dialog or shortcut.

A single word or name
Select the word precisely, then use the platform’s shortcut. This limits the effect to that word and leaves adjacent spaces and punctuation unchanged.

A paragraph
Select the paragraph’s text and apply the effect through the Font dialog or shortcut. If the paragraph includes existing full-size capitals, those capitals remain visually distinct from the reduced forms of lowercase letters.
Mixed formatting
When a selection contains multiple font effects or capitalization states, use the Font dialog to inspect the result. Applying a toggle to a mixed selection can produce an indeterminate or mixed state, so verify the selected text before moving on.
Troubleshooting small caps
The shortcut does nothing
- Confirm that Word has focus by clicking inside the document before pressing the shortcut.
- Check that text is selected. A collapsed cursor can apply formatting to future typing rather than visibly changing an existing passage.
- Use the Font dialog as a fallback: on Windows open Home > Font and the dialog launcher; on Mac choose Format > Font.
- Make sure you are in desktop Word, not the browser version, because Microsoft’s web guidance does not document this Small Caps control.
The text looks fully uppercase
Check whether you used a Change Case command or manually replaced lowercase letters. Small Caps should present lowercase characters as smaller capitals, not convert every character to a full-size uppercase character. Undo the case conversion, reselect the original text, and apply Small Caps from the Font dialog.
Only part of the passage changed
The effect applies only to the current selection. Undo if necessary, select the complete intended range, and apply the command again. Be careful around paragraph marks, spaces, and punctuation when extending the selection.
The effect is difficult to see
Compare a selected word with an unformatted copy at the same zoom level. Small Caps relies on visibly different letter sizes, so a short selection or a typeface with subtle letterforms may make the change less obvious. Open the Font dialog and verify that Small Caps is checked rather than relying only on a visual glance.
You need to remove Small Caps
- Select the formatted text.
- Press the same platform shortcut again, or reopen the Font dialog.
- Clear the Small Caps check box under Effects.
- Click OK if you used the dialog.
Removing the effect restores the normal visual treatment without requiring you to retype the passage.
Quick Recap
A reliable workflow for documents edited on multiple platforms
- Draft and proofread the wording in its normal capitalization first.
- Select only the text that needs the typographic treatment.
- Apply Small Caps in desktop Word using the operating-system-specific method.
- Inspect the selection at normal reading size and at a closer zoom to confirm that lowercase letters appear reduced.
- Save the document in its usual Word format.
- If another person will edit it in Word for the web, tell them that the documented Small Caps workflow requires desktop Word; do not ask them to replace it with uppercase text unless that change is intentional.
Quick reference checklist
- Windows: select text, press
Ctrl+Shift+K, or use Home > Font dialog launcher > Effects > Small Caps. - Mac: select text, press
Command+Shift+K, or use Format > Font > Effects > Small Caps. - Web app: use desktop Word for the documented Small Caps method; Microsoft’s cited web note concerns unsupported Change Case functionality and does not establish a web Small Caps control.
- Do not use:
Shift+F3when your goal is Small Caps; that shortcut changes capitalization. - To undo: select the text and toggle Small Caps off with the same shortcut or clear the check box in the Font dialog.
