WooCommerce normally calls WordPress’s wp_mail() function. A “Sent” entry means the message was handed to the configured mail system; it does not prove that Gmail, Outlook, or another mailbox accepted it. The procedure below separates those stages so you can repair the actual failure instead of changing settings at random.

Email passes through several independent stages. Treating all failures as a WooCommerce problem leads to wasted time: an order may never trigger a notification, WordPress may fail to hand the message to a mail system, or a receiving server may accept and later filter it.

WooCommerce’s own documentation describes wp_mail() as the default sending method. WordPress’s Advanced Administration Handbook explains that a self-managed server without a configured SMTP server or MTA cannot send outgoing mail unless WordPress is connected to a remote SMTP server.

Step 1: Confirm that WooCommerce should have generated the email
Check the notification toggle
Open WooCommerce > Settings > Emails and select the notification that is missing. Make sure it is enabled and that its recipient field contains the intended address. Save the settings even if you made no change, then create a controlled test order rather than relying on an old transaction.
Verify the triggering order status
Each notification is tied to an order event or status. For a typical paid checkout, the order may need to reach Processing before the customer-processing email is generated. If payment succeeded but the order remains Pending payment, the payment gateway, webhook, or gateway extension is the first thing to investigate; changing SMTP settings will not create an email for a status transition that never occurred.
Look for code, theme, and extension failures
A fatal error in a theme, custom snippet, payment extension, or another plugin can interrupt checkout or prevent the status transition. Temporarily reproduce the problem with only WooCommerce active and a default WordPress theme. If the notification appears in that state, restore extensions one at a time until the failure returns. Keep the extension that reintroduces the problem disabled while you obtain a compatible update or inspect its error log.
Step 2: Read the WooCommerce transactional log
After creating a test order or manually triggering the notification, open WooCommerce > Status > Logs and filter the source to transactional-emails. WooCommerce records both successful and failed attempts as private order notes, which lets you associate a log event with a specific order.

If no entries appear, review your log settings and retention thresholds. INFO and NOTICE records must be retained for the relevant event to be visible. An empty log is not proof that no code ran; it can also mean the event was filtered out or the notification was never generated.

Step 3: Separate WordPress transport from recipient delivery
Why a self-managed server needs an MTA or relay
WordPress wraps PHPMailer and PHP’s mail() function. On a self-managed server, PHP mail expects a sendmail-compatible MTA. If no local MTA is installed and configured, WordPress has nowhere to hand the message and outgoing mail will not leave the server.
You have three supported operating models:
- Run a local MTA that delivers directly to recipient servers.
- Run a local MTA that relays through a third-party service.
- Configure an SMTP integration or plugin so WordPress connects directly to a third-party relay.
The second and third models are generally more practical for a store. They reduce the need to build IP reputation, maintain outbound queues, monitor blocklists, and troubleshoot every recipient domain. Direct delivery gives maximum control but leaves all reputation, security, DNS, retry, and abuse-management work with you.
Interpret “Sent” correctly
A Sent result in WooCommerce’s log means only that the handoff succeeded. It does not confirm that the relay accepted the message, that the recipient server accepted it, or that the message reached the inbox. For post-handoff diagnosis, use the relay’s event log and inspect the headers shown by the receiving service. A provider rejection, a recipient-server 4xx/5xx response, or spam filtering occurs outside WooCommerce.
Step 4: Repair the sender identity and authentication
Use a From address on the store’s domain
Set WooCommerce’s From address to a mailbox on the same domain customers recognize, such as an address at your store domain. Do not send as a personal @gmail.com or @yahoo.com address through your web server. WooCommerce warns that this mismatch between the declared sender and the actual sending infrastructure can cause spam placement or blocking.
Publish SPF, DKIM, and DMARC
Use the DNS records supplied by your SMTP provider:

- SPF authorizes the relay’s sending infrastructure for your domain.
- DKIM adds a provider-generated cryptographic signature to outgoing messages.
- DMARC tells recipient servers how to evaluate messages that fail alignment and where to send reports.
Publish the records exactly as your provider specifies, including the correct host names and values. Multiple competing SPF records are invalid, so combine authorized mechanisms into the single SPF record required by your DNS host rather than adding a second one.
Check DNS, TLS, and Gmail-specific requirements
For Gmail-facing delivery, the sending host needs valid forward and reverse DNS. The reverse DNS (PTR) record should resolve consistently with the sending host, and the SMTP connection should use TLS. These checks matter whether you operate your own MTA or relay through a provider.
Google’s 2024 guidance identifies a spam-rate target below 0.10% and warns that 0.30% or higher can lead to enforcement. Sending 5,000 or more messages to Gmail recipients per day triggers requirements for both SPF and DKIM plus DMARC. These thresholds can change, so verify Google’s current sender guidance when your volume approaches them.
Validate with headers, not just a successful test button
After DNS changes propagate, place a controlled order to an address you can inspect. Confirm that the delivered message contains the expected SPF, DKIM, and DMARC authentication results, a TLS transport where shown, and a consistent From domain. A test that merely reports “success” from a plugin proves less than a message header and a provider event tied to the same message.

When comparing relays, evaluate authentication and DNS assistance, searchable logs, message IDs, retries and fallbacks, quotas, scaling limits, reputation controls, latency, data-region options, and recurring cost. WooCommerce’s provider guide lists MailPoet, Mailjet, Brevo, Postmark, and Amazon SES as examples; availability, quotas, prices, and terms must be checked for your region and current plan.

Step 6: Configure a remote SMTP relay safely
The exact field names depend on the provider or SMTP integration, but the sequence is consistent:
- Create a sending identity for your store domain in the relay account. Complete any domain-verification step.
- Copy the provider’s SPF and DKIM records into your domain DNS. Add a DMARC policy appropriate for your current rollout, then monitor its reports before tightening enforcement.
- Choose the relay’s authenticated SMTP endpoint or supported integration. Enter the host, port, encryption mode, username, and credential exactly as documented by that provider.
- Set the WordPress or SMTP integration’s From address to the verified store-domain address. Keep the visible From domain aligned with the authenticated domain.
- Send a test message to an address you control. Confirm both the integration result and the provider’s event record.
- Place a real low-value test order and verify the customer and store-admin notifications independently. Check the WooCommerce log, provider event, and received headers.
- Store credentials outside public theme or plugin code, restrict administrator access to mail settings, and rotate credentials if they were exposed in an error report or repository.
If the provider reports an authentication or DNS failure, fix that provider-side requirement before changing WooCommerce templates. If the provider accepts the message but the mailbox does not show it, move to recipient filtering and headers rather than repeatedly resending.

Use a minimal reproduction
Reproduce with WooCommerce and a default theme only. If the notification is generated and sent, restore payment gateways, checkout customizations, email extensions, and other plugins one at a time. The first extension that removes the transactional-log entry or changes the order status is the likely conflict.

Check other WordPress messages separately
Password resets, new-user notices, and other non-WooCommerce messages may not appear in the transactional-emails source. Use the SMTP provider’s logs or a mail-logging plugin for those messages. A working WooCommerce order email does not prove that every WordPress email path uses the same hooks, recipient data, or templates.
Troubleshoot by the symptom you see
WooCommerce says Sent, but nobody receives the email
- Open the relay’s event log and search by timestamp, recipient, or message ID.
- If the provider never saw the message, inspect the WordPress-to-relay connection and credentials.
- If the provider accepted it, inspect the recipient’s spam, quarantine, and filtering rules and read the authentication headers.
- Confirm that the From address is on your store domain and that SPF, DKIM, DMARC, forward DNS, reverse DNS, and TLS are valid.
The log says Failed
Copy the complete transport error before making changes. Connection timeouts point to network reachability or a blocked port; authentication errors point to credentials or the provider account; certificate or encryption errors point to TLS settings; a missing sendmail binary or MTA points to local transport. Correct the specific failure, then run a new test order rather than relying on the old failed attempt.

The log says Disabled or Skipped
Disabled is a WooCommerce configuration issue: enable the notification under WooCommerce > Settings > Emails. Skipped means a required condition, such as a recipient, was absent. Inspect the order’s billing and shipping email data and the notification’s recipient configuration.
No transactional-emails entry exists
First verify that the order reached the triggering status. Then check whether INFO and NOTICE records are retained in the log settings. If the order status is correct and the log is still empty, reproduce with a default theme and only WooCommerce active to expose a fatal error or extension conflict.

Payment succeeded but the order remains Pending payment
Investigate the gateway callback, webhook, API credentials, and gateway extension before touching SMTP. The notification depends on the status transition; a mail relay cannot compensate for an order that WooCommerce never marked as paid.
Operate the mail system after the repair
Keep the WooCommerce transactional log, provider events, and a controlled test order available for future incidents. Record the message ID from a known-good order so you can trace a customer complaint across systems. Monitor provider bounces, complaints, authentication failures, and quota usage rather than waiting for customers to report missing receipts.
Review DNS records after provider or domain changes, especially SPF includes and DKIM keys. Recheck Gmail’s current sender requirements before a marketing or seasonal volume increase. Transactional reliability depends on the entire chain—order status, WordPress handoff, authenticated relay, and recipient filtering—not on a single WooCommerce checkbox.
