How to Host Your Own Email Server on a VPS

By VGSources Team 12 min read

Yes, a VPS can host reliable email if it has a static public IP, provider-controlled reverse DNS (PTR), and outbound TCP port 25. A practical stack uses Postfix for SMTP, Dovecot for IMAP, ACME-issued TLS certificates, and DNS records for MX, SPF, DKIM, and DMARC. If port 25 is blocked or the address has poor reputation, receive mail on the VPS but send through an authenticated SMTP relay.

Self-hosting gives you control over data and configuration, but you also become responsible for security, patching, backups, abuse handling, and sender reputation. The steps below show how to make that decision, assemble the system, and troubleshoot delivery without creating an open relay.

Decide whether VPS self-hosting fits your mail use case

Running mail is not just installing an SMTP package. The server must be reachable and trusted by other providers, and it must remain maintained for as long as the domain uses it. Make the decision against these operational requirements.

Conditions that make self-hosting viable

  • A VPS with a static public IPv4 address (and a planned IPv6 policy if you will publish an AAAA record).
  • Control of reverse DNS (PTR) for the sending address. The PTR hostname should resolve forward to the same address.
  • Outbound TCP port 25 permitted by the VPS provider. Some providers block it to limit abuse; ask for an unblock before moving production mail.
  • Root or equivalent administrative access, a supported Linux distribution, firewall controls, and enough storage for mailboxes, logs, and backups.
  • A domain whose DNS zone you can edit.
  • Time to monitor queues, bounces, certificates, abuse reports, and software updates.

When an outbound relay is the better design

If the provider will not open port 25, if the VPS address is on a blocklist, or if you cannot operate reputation and abuse controls, use a split design. Let Postfix and Dovecot accept inbound mail and provide mailbox access, while Postfix submits outbound messages to an authenticated relay over port 587 (or another port the relay specifies). The relay supplies an established sending path; it does not remove your responsibility for authentication, valid DNS, secure accounts, and lawful content.

Architecture: what each component does

Keep the roles distinct so that a failure has a clear boundary.

  • Postfix: receives SMTP from other servers on port 25, queues and delivers outbound mail, and accepts authenticated submission from your users on port 587. Port 465 can be offered for implicit TLS when your clients require it.
  • Dovecot: provides IMAP mailbox access. Disable protocols you do not need; POP3 is optional and should not be enabled merely by default.
  • DKIM signer: adds a cryptographic signature to outgoing mail. Its private key stays on the server; the matching public key is published in DNS.
  • Spam and malware filtering: inspect inbound content before it reaches a mailbox. Filtering is an operational choice, not a substitute for authentication or patching.
  • Webmail: add it only when browser access is a real requirement. It increases the exposed application surface.
  • ACME client: obtains and renews certificates for the mail hostname. Certbot with Let’s Encrypt is one example.

Choose the VPS and establish identity first

Check the provider before ordering

  1. Confirm the address is static and dedicated to your VPS. Ask how an address can be changed if its reputation is damaged.
  2. Verify how PTR records are set: a control-panel field, support request, or another workflow. Make sure you can change it later.
  3. Test or obtain written confirmation that outbound TCP port 25 is allowed. If it is blocked by default, request removal of the block or budget for a relay.
  4. Read the abuse policy. Mail servers generate complaints when compromised accounts or scripts send spam, and providers may suspend an instance.
  5. Check snapshot and backup options, firewall features, console access, and the provider’s policy for restoring a compromised machine.

Set the fully qualified hostname

Choose one stable hostname, for example mail.example.com. Set the VPS hostname to that name and create a forward DNS record pointing it to the public address. Then ask the provider to set the PTR for that address to mail.example.com. A forward lookup of the hostname must return the sending address; if you publish IPv6, its reverse record must also be correct or you should prevent mail from using IPv6 until it is ready.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

On a Debian- or Ubuntu-family system, a typical hostname change is:

sudo hostnamectl set-hostname mail.example.com

Package names and service management differ by distribution. Treat the following as an installation outline, not a complete production configuration:

Install and separate SMTP roles

Port 25: server-to-server transport

Port 25 is where other mail servers deliver to you and where your server delivers directly to them. It should not be used as an unauthenticated mail-submission endpoint. Configure Postfix to accept mail for domains you explicitly host and to reject recipients outside those domains unless the sender is an authenticated, authorized client.

Port 587: authenticated submission

Users and applications should submit through port 587 with SMTP AUTH over TLS. Require authentication, apply per-account or per-IP rate limits, and keep submission policy separate from the public port-25 policy. Port 465 (implicit TLS) is optional for clients that need it; do not expose several submission paths unless you can monitor each one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Prevent an open relay

Postfix’s own guidance emphasizes that an SMTP server is exposed to the public Internet and to junk mail and viruses. Relay permission must be limited to trusted networks, authenticated users, or explicitly authorized destinations. Before accepting real mail, test from an unauthenticated external account and verify that a message addressed to an unrelated domain is rejected. Also test a legitimate authenticated submission and confirm it is accepted.

Use Postfix’s relay restrictions and SASL settings rather than relying on a firewall alone. A firewall can limit who reaches a port; it cannot decide whether an authenticated account is allowed to relay.

Enable TLS and protect credentials

Obtain a certificate for the mail hostname

Issue a certificate whose name matches the hostname used by SMTP and IMAP clients. With a standalone ACME flow, a one-time request can look like:

sudo certbot certonly --standalone -d mail.example.com

Use your distribution’s documented Postfix and Dovecot certificate directives to point at the resulting full-chain certificate and private key. The private key should be readable only by the service account or a tightly controlled group. Automate renewal and reload the services after a successful renewal; an unmonitored renewal timer is not a recovery plan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Require encrypted authentication

Do not permit usernames and passwords over plaintext SMTP AUTH or IMAP. Offer IMAPS (normally port 993) or STARTTLS on the chosen IMAP port, and require TLS before authentication on submission. Use long, unique passwords, store only salted slow password hashes, and remove unused accounts and aliases. Protect DKIM private keys with the same care as mailbox credentials.

Create mailboxes and aliases with least privilege

Decide whether accounts are local Unix users, virtual mailbox users, or an identity-system integration. Virtual mailboxes usually make it easier to prevent a compromised mailbox from gaining shell access. Whichever model you choose:

Publish the DNS records mail providers evaluate

DNS changes may be cached for the duration of their TTL, so make the records before sending production traffic and allow time for propagation. The names below use example.com and mail.example.com as examples.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Record Example Purpose and checks
A mail.example.com. A 203.0.113.10 Maps the mail hostname to the VPS IPv4 address. It must match the PTR target’s forward lookup.
MX example.com. MX 10 mail.example.com. Routes inbound mail for the domain. The target must have an A or AAAA record and must not be an IP literal.
SPF example.com. TXT "v=spf1 mx -all" Authorizes hosts named by the domain’s MX record. If other legitimate senders exist, add them explicitly; publish one SPF policy, not several.
DKIM s1._domainkey.example.com. TXT "v=DKIM1; k=rsa; p=..." Publishes the public key for selector s1. The selector and key must match the signer configuration, and the DNS value must not be truncated.
DMARC _dmarc.example.com. TXT "v=DMARC1; p=none; rua=mailto:[email protected]" Requests aggregate reports and initially monitors alignment. Move to a stricter policy only after legitimate sources pass.

Understand alignment before tightening DMARC

DMARC evaluates whether the visible From domain aligns with the domain authenticated by SPF and/or DKIM. A message can pass SPF for an envelope sender yet fail DMARC if the visible From domain does not align. Review aggregate reports, fix every legitimate sender, and then consider quarantine or reject. Keep the reporting mailbox monitored and protected from excessive report volume.

Harden the host and mail services

  • Apply operating-system and mail-software security updates promptly.
  • Permit only required inbound ports in the firewall: normally 25, 587, and 993, plus SSH restricted to an administration network where possible. Add 465 only if you support it.
  • Use SSH keys, disable password login for administration when practical, and protect the provider console.
  • Limit message size, recipient count, connection rate, and authenticated sending rate. Set queue retention limits so deferred mail cannot consume all storage.
  • Run spam and malware filtering on inbound mail and keep its rules updated.
  • Log authentication, rejected recipients, queue events, TLS negotiations, and administrative changes. Send logs to separate storage or monitoring so an attacker cannot erase all evidence.
  • Back up mailbox data, Postfix and Dovecot configuration, DKIM private keys, certificates or renewal configuration, and the DNS zone information. Test a restoration on a separate instance.

Test in a controlled order

  1. Resolve the A, MX, PTR, SPF, DKIM, and DMARC records from an external network. Confirm that the PTR hostname resolves back to the same address.
  2. Connect an external SMTP tester to port 25 and verify that the server presents the expected certificate and rejects relay to an unrelated domain.
  3. Connect a real mailbox client to IMAP over TLS and verify login, folder creation, delivery, and deletion.
  4. Submit an authenticated message through port 587. Confirm that unauthenticated submission is rejected and that the message receives a DKIM signature.
  5. Send representative, low-volume messages to Gmail and another major provider. Inspect the complete Received chain, TLS result, SPF result, DKIM result, DMARC alignment, and final folder placement.
  6. Inspect the Postfix queue and logs after each test. A successful SMTP handoff is not proof that the message reached the inbox.

Deliverability: authentication is necessary, not a guarantee

Google’s sender guidance says all senders to Gmail need SPF or DKIM, valid forward and reverse DNS, TLS, and a spam rate below 0.3%. Senders who deliver more than 5,000 messages per day to Gmail must use SPF, DKIM, and DMARC and align the From domain. The 5,000-message threshold and 0.3% ceiling are Google’s 2024 requirements; they describe Gmail’s systems, not a universal law or an inbox-placement promise.

Google reported in 2023 that Gmail’s defenses stop more than 99.9% of spam, phishing, and malware and block nearly 15 billion unwanted messages each day. It also reported a 75% reduction in unauthenticated messages received by Gmail users after authentication measures. Those figures reflect Google’s global systems. A new VPS address can still land in spam because reputation depends on address history, complaint rate, volume, content, engagement, and operational behavior.

Diagnose common failures

Symptom Likely cause Fix
No outbound delivery; connection times out on port 25 Provider or network blocks outbound TCP 25. Request an unblock. If unavailable, configure an authenticated relay and submit over its supported TLS port.
Remote server rejects for reverse DNS PTR is missing, points to a generic name, or the name does not resolve back to the sending address. Set PTR to the mail hostname and make its A/AAAA records return the same address. Allow DNS caches to expire, then retest.
Server accepts mail for unrelated domains Relay restrictions are too permissive. Limit relay to authenticated users, trusted networks, or approved destinations; retest from an unauthenticated external connection.
SPF fails The sending address is absent from the one published SPF policy, or multiple SPF TXT records exist. Publish one syntactically valid policy containing every legitimate sender and remove conflicting records.
DKIM fails Wrong selector, malformed or truncated public key, incorrect signing domain, or unreadable private key. Compare the selector and domain in the message with DNS, verify the complete key, check file permissions, and sign a new test message.
DMARC fails while SPF or DKIM passes The authenticated domain is not aligned with the visible From domain. Use an aligned envelope or DKIM signing domain, then confirm alignment in aggregate reports before tightening policy.
Messages arrive in spam or are blocked Poor IP reputation, high complaints, sudden volume, invalid recipients, or missing authentication. Reduce volume, send only requested mail, remove bad addresses, monitor bounces and complaints, correct DNS and TLS, and consider an established relay.
Clients suddenly report certificate errors ACME renewal failed or services still use an expired certificate. Check renewal logs, renew manually if necessary, reload Postfix and Dovecot, and alert on future renewal failures.
Mailbox or configuration data is missing Backups were incomplete or never tested. Back up mailbox data, configuration, DKIM keys, and DNS information separately, then perform a documented restoration test.

Hand-built stack or an integrated mail distribution?

A hand-built Postfix/Dovecot installation exposes each policy and file, while an integrated distribution trades some of that granularity for faster setup. The right choice depends on whether you want component-level control or a single administrative surface.

Decision area Hand-built Postfix and Dovecot Integrated distribution such as poste.io
Control and portability Fine-grained configuration; components can be replaced independently, but migrations require understanding their formats. One packaged environment is quicker to move as a unit; you depend on its conventions and release process.
Setup time Longer. You assemble SMTP, IMAP, filtering, DKIM, TLS, accounts, and monitoring. Shorter. poste.io advertises one container containing SMTP, IMAP/POP3, webmail, filtering, antivirus, SPF, DKIM, DMARC, and administration.
Updates You track operating-system packages and each mail component, including compatibility and restart order. The distributor publishes an integrated update path; you still must patch the host, watch release notes, and keep rollback backups.
Spam and antivirus defaults You choose, configure, and tune the filters and their resource limits. Defaults are supplied as part of the package, reducing initial work but potentially hiding tuning details.
Observability You decide log format, metrics, queue dashboards, and alerting. An administrative interface may expose common status views; verify that raw logs and queue data remain available for diagnosis.
Backup format Back up mailbox directories, databases if used, configuration, keys, and DNS data individually. Back up the container’s persistent volumes and its documented export format, then prove that a clean host can restore them.
Support Support comes from distribution and project documentation plus your own operating knowledge. You gain package-specific documentation or support, but incidents may require understanding both the distribution and its container runtime.

Whichever route you choose, the network prerequisites, reverse-DNS identity, TLS, authentication, relay restrictions, backups, and reputation work remain the same.

Operate the server after launch

Daily and weekly checks

  • Review deferred and bounced queues, authentication failures, disk usage, and certificate status.
  • Check aggregate DMARC reports and investigate any sender you do not recognize.
  • Watch complaint and bounce trends rather than only total delivery counts.
  • Apply security updates in a maintenance window and confirm that SMTP, IMAP, and submission still work afterward.
  • Verify that backups completed and periodically restore a mailbox and configuration to a test instance.

Incident response

If an account is compromised, disable it immediately, revoke active credentials, stop the queue or rate-limit the account, and identify the first unauthorized message in logs. Change credentials, patch the entry point, inspect all aliases and forwarding rules, and notify the provider if abuse controls were triggered. Do not simply delete the queue and resume normal volume; remote providers may continue to distrust the address until behavior stabilizes.

Practical launch checklist

  • Static address, provider PTR control, and confirmed port-25 policy.
  • Hostname A/AAAA and matching PTR.
  • Postfix restricted to hosted domains and authenticated submission.
  • Dovecot IMAP protected by TLS.
  • ACME certificate issuance, renewal, reload, and alerting.
  • Mailbox quotas, salted password hashes, protected DKIM keys, and least-privilege accounts.
  • One valid SPF record, working DKIM selector, and DMARC monitoring policy.
  • Firewall, operating-system updates, queue and rate limits, filtering, and logs.
  • Backups of data, configuration, keys, and DNS information with a tested restore.
  • Low-volume delivery tests to Gmail and another provider, including header and spam-folder inspection.
