Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsFor a live count, read the number on Word’s status bar. To place a count inside the document so it can be printed, use Insert > Text group > Quick Parts > Field > NumWords in desktop Word. A selected passage has its own count, while the unselected number remains the document total.
Choose the kind of word count you need
Word has two different word-count workflows. The status-bar count is a live monitor: it changes as you edit and is normally visible at the bottom of the Word window. The NumWords field is part of the document itself. Use that field when the number must appear on a title page, in a report template, in a submission form, or on a printed page.

| Need | Best method | What you get |
|---|---|---|

| Count only a passage | Select the passage | The selected text’s count alongside the full-document count |
| Print or submit the count inside the document | NumWords field | An embedded field that can be refreshed and printed |
| Use Word for the web | Editing view, then Review > Word Count | A visible or hidden status-bar count; the desktop field menu is not the documented web workflow |
How to show the live word count at the bottom
Desktop Word on Windows
Word counts as you type and displays the total in the status bar at the bottom of the window. If you do not see a number, right-click the status bar and enable Word Count in the status-bar options. The number is the count for the document as a whole when no text is selected.
Recommended Free Tools
This is the fastest option for checking progress because it requires no insertion into the page. Keep the status bar visible while drafting, editing, or checking a submission limit.

Word for Mac
On a Mac, click the word-count number in the status bar to open Word’s Word Count box. It provides additional statistics, including characters, lines, and paragraphs. The same box can be used after selecting text, in which case the figures apply to the selection.
Microsoft also documents Tools > Word Count for counting a selected portion. If you want the whole document, clear the selection before opening the count.
Word for the web
Word for the web counts while you type, but the count is controlled through Editing view. Choose Review > Word Count and enable Show Word Count if the number is hidden. This controls the status-bar display; the documented desktop path for inserting a persistent NumWords field is not the web method.

The following procedure inserts a Word field rather than ordinary typed text. Because it is a field, Word can recalculate it after you update the field or before printing.

- [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.
- [Classic Office Apps] — Includes Word, Excel, PowerPoint, Outlook and OneNote.
- [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.
- Open the document in desktop Word and click where the count should appear.
- On the ribbon, select Insert.
- In the Text group, select Quick Parts.
- Choose Field.
- In the Field names list, select NumWords.
- Select OK.
The number now sits at the insertion point as a document field. You can put a label next to it, such as “Word count:”, and format the surrounding text like any other content. The field is useful when the count must travel with the document rather than remain visible only in Word’s interface.
Word versions that document this field workflow
Microsoft documents the Insert > Quick Parts > Field > NumWords procedure for Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016. Menu appearance can vary slightly with the ribbon layout, but the field name is NumWords.
How to update an embedded count
A NumWords field can become stale after you add or remove text. To recalculate it manually, right-click the field and choose Update Field. The displayed number then reflects the document at the time of the update.
For a printed workflow, enable automatic updating before printing:

- Select File > Options.
- Choose Display.
- Enable Update fields before printing.
- Select OK.
With that option enabled, Word refreshes fields before it sends the document to the printer, reducing the risk that a printed count reflects an earlier draft. Microsoft describes this field behavior as a way to insert the word count and update the information whenever needed.
Counting the whole document versus selected text
Whole-document count
To see the total document count, make sure no passage is selected and read the status bar. Clicking the count opens additional statistics in desktop Word and on Mac, including characters, paragraphs, and lines. The total answers “How many words are in this document?”
Selected-text count
Drag across a passage, or use another selection method, and Word shows the selected passage’s count alongside the full-document count. This is useful for checking a chapter, quotation, abstract, or other section without deleting or copying anything.
The selection changes the question being answered. If you intended to check the entire document but a paragraph remains highlighted, the number you see for the selection is not the document total. Clear the selection before recording the final total.

Compare a selection with the total
Word’s display keeps the selected count and the full-document count available together, so you can check both values without switching documents or doing arithmetic. This is particularly useful when a document has a maximum overall length but individual sections have their own targets.
Desktop, Mac and web: what differs
| Platform | Live count | Selection count | Embedded NumWords field | Refresh or visibility control |
|---|---|---|---|---|
| Windows desktop | Status bar while typing | Select text to show its count | Insert > Text group > Quick Parts > Field > NumWords | Right-click the field > Update Field; status-bar context menu enables Word Count; print updating is under File > Options > Display |
| Mac desktop | Status bar while typing | Select text, then click the status-bar count or use Tools > Word Count | The documented NumWords menu path is the desktop field workflow | Click the status-bar count for characters, lines, paragraphs and other statistics |
| Word for the web | Available while typing in Editing view | Use the count with the relevant text selected | The desktop field menu is not the documented web workflow | Review > Word Count > Show Word Count |
Use cases: which method fits your workflow?
Drafting to a word limit
Use the status bar. It updates as you write and avoids adding anything to the document that a reader might mistake for part of the finished copy. Select a specific section when you need to check a subsection rather than the entire draft.
Putting a count on a cover page or submission sheet
Insert a NumWords field at the location where the count belongs. Add a label so the purpose is clear, then update the field after the final edit. If the document will be printed, enable Update fields before printing so the printed value is refreshed automatically.

Maintaining a reusable template
A field is preferable to typing a number into a template because the field can be updated when a user replaces or expands the template text. The status bar remains useful during editing, but it is not visible to someone reading a printed copy.

Checking one chapter, section or excerpt
Select only the passage and read the selection count. Keep in mind that the document total remains visible as a separate value. Clear the selection when you return to checking the complete document.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Troubleshooting missing or incorrect counts
The count is not visible at the bottom
- Desktop Word: right-click the status bar and enable Word Count.
- Word for the web: switch to Editing view, choose Review > Word Count, and enable Show Word Count.
- Mac: click the status-bar area where the count normally appears to open the Word Count box.
The number is lower than expected
Check whether text is selected. Word shows a selected passage’s count alongside the full-document count, and it is easy to read the selection value as the total. Clear the selection and check again.
The number inside the document has not changed
An embedded NumWords field may still show its previous value. Right-click the field and select Update Field. For print jobs, verify that File > Options > Display > Update fields before printing is enabled.
You are using Word for the web and cannot find Quick Parts
The documented persistent-field path is for desktop Word. In Word for the web, use the live count through Review > Word Count and Show Word Count. Use desktop Word when the count must be embedded as a NumWords field in the document.
You need characters, paragraphs or lines instead of words
Open the Word Count details by clicking the status-bar count on Mac or in desktop Word. The statistics window includes characters, paragraphs, lines and other count information in addition to words.
Accuracy and update checks
Word’s count is a feature of the application, not a universal external standard. Microsoft documents the commands and field behavior, but does not publish a separate study or universal statistic for how every type of content should be counted. If an editor, instructor or submission system defines its own counting rules, follow that specification when deciding what to include.
Quick Recap
For a reliable final number, use this sequence:
- Finish the edits that affect the text.
- Clear any selection if you need the entire document’s total.
- Read the live status-bar count or open the Word Count details.
- If the document contains a NumWords field, right-click it and choose Update Field.
- If printing, enable Update fields before printing before producing the final copy.
Quick decision table
| Question | Action |
|---|---|
| “How many words are in my draft right now?” | Read the status-bar count. |
| “How many words are in this paragraph or chapter?” | Select the passage and read the selected count. |
| “How do I show the count on the page?” | Insert a NumWords field through Insert > Text group > Quick Parts > Field. |
| “Why does the printed count show an older number?” | Update the field and enable Update fields before printing. |
| “How do I show a count in Word for the web?” | Use Editing view, then Review > Word Count > Show Word Count. |
