How to Keep Track of Upcoming Indie Game Showcases and Publisher Events

By VGSources Team 10 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The most reliable way to follow upcoming indie showcases is to use three layers: check Valve’s official Steamworks event schedule for Steam-run festivals, scan a broader indie-event directory for additional opportunities, and verify every listing on the organizer’s own page before saving it. Record the show date separately from registration, submission, demo, or press-review deadlines. That system works for players building a watch list and for developers deciding where to submit a game.

Why one calendar is not enough

Indie showcases are spread across platform festivals, publisher presentations, themed Steam events, online broadcasts, physical conventions, and regional programs. No single reviewed calendar establishes complete coverage of every showcase, publisher livestream, and local event. A useful tracker therefore separates discovery from verification:

As an Amazon Associate I earn from qualifying purchases.

  • Official calendars establish dates and rules for events run by a platform or organizer.
  • Directory calendars surface events you might not otherwise find and often add filters or deadline information.
  • Organizer pages and event listings are the final authority for a particular broadcast, submission call, location, eligibility rule, or schedule change.

Use a directory to find possibilities, not to assume that an entry is still open or that its date is final. Open the linked official page, check when it was updated, and save the date you actually intend to attend or apply for.

Start with Valve’s official Steamworks schedule

For Steam festivals, Steamworks’ Upcoming Steam Events pages are the authoritative starting point. They publish Valve-run dates and the participation documentation that developers need. Dates can change, so revisit the page when you create or renew a reminder rather than relying on an old screenshot or social-media post.

The October 2026 Steam Next Fest example

Valve’s October 2026 documentation scheduled Steam Next Fest from October 19, 2026, at 10:00 a.m. PDT through October 26, 2026, at 10:00 a.m. PDT. The same documentation described Next Fest as “an opportunity to get early feedback from players and build an audience for a future launch on Steam.” Put the opening and closing times in your calendar, not just “the week of October 19,” because the end-of-event cutoff is specific.

The schedule also listed later editions for February 22–March 1, 2027, and June 14–21, 2027. Treat those as the dates shown on the checked schedule, not as permanent commitments; Steamworks is the place to confirm them again before planning a release or public announcement.

Keep the dates that affect developers separate

A festival opening date is only one of the dates that matters. For the October 2026 edition, Valve’s documentation listed an August 31 registration deadline, a September 14 press-preview review milestone, and a September 28 review milestone before the October 19 opening. These are different actions and should be separate calendar entries with different alerts.

Date or window What it means Who needs it
August 31, 2026 Registration deadline stated in Valve’s October 2026 documentation Developers entering the festival
September 14, 2026 Press-preview review milestone Developers preparing review access or materials
September 28, 2026 Review milestone Developers monitoring the second review checkpoint
October 19, 2026, 10:00 a.m. PDT Festival opens Players and participating developers
October 26, 2026, 10:00 a.m. PDT Festival closes Players and participating developers

The table reflects the edition-specific documentation. Valve can set different deadlines for another edition, so do not copy these dates into a future festival without checking its own rules.

Check eligibility before committing a game

For October 2026, Valve required an upcoming game with a public Steam store page and a publicly playable demo. The game also had to release after the festival, and a title could participate in only one Steam Next Fest. Those requirements make an early eligibility check essential: a private page, a demo that is not publicly playable, a release scheduled before the event, or a previous Next Fest appearance can change the decision before any submission work begins.

Use indie directories as a discovery layer

After checking Steamworks, add one broad calendar so you can discover events outside Valve’s own schedule. Two directories serve different purposes.

IndieCtrl for broad opportunity hunting

IndieCtrl’s event directory covers a mix of themed Steam events, online showcases, and in-person opportunities. Listings display the event month and, in many cases, a closing date and a link to the event page. That combination is useful when you are looking for an application opportunity rather than only a broadcast to watch.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Because the directory spans different event formats, read each entry for what the date represents. A closing date may be a submission cutoff, not the day the showcase streams. Open the linked organizer page and record both dates when they differ.

CanopyFest for filtered Steam-festival searches

CanopyFest provides a filterable catalogue organized by month, country, and theme. Use it when a general list is too noisy—for example, when you want events in a particular region, a themed festival, or a specific month. Its game-matching path can also help developers identify festivals that fit a title’s characteristics.

Filters improve discovery but do not replace verification. Confirm the organizer, format, time zone, eligibility, and current deadline on the official event page before you submit information or announce participation.

Follow organizers and publishers directly

Directories can miss an announcement window, while an organizer’s own event page can provide notifications, a follow control, or an email list. Follow the publishers and organizers whose genres or audience match your interests, then use their pages to confirm a listing discovered elsewhere.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For example, the Steam page for Fellow Traveller’s Story-Rich Showcase identifies it as a showcase for narrative-driven indie games and offers a way to follow for updates. The page records a broadcast in June 2026; it demonstrates an organizer-specific follow channel, not evidence that another edition is currently upcoming. Always distinguish a past broadcast page from a new announcement.

Build one record for every event

A consistent record prevents the most common mistakes—confusing a submission cutoff with a show date, losing the time zone, or forgetting where a claim came from. Use a spreadsheet, calendar description, notes app, or project-management board with these fields:

  • Event name and organizer. Use the official spelling.
  • Show date and start/end time. Include the time zone exactly as announced.
  • Format and platform. Note a livestream service, Steam event page, video premiere, or physical venue.
  • Location. Add city and country for an in-person event; write “online” when that is the confirmed format.
  • Submission deadline. Keep it separate from registration, asset, or press-access deadlines.
  • Eligibility. Record requirements such as an upcoming release, public store page, public demo, genre, country, or platform.
  • Official event page. Save the organizer’s page rather than only the directory entry.
  • Date last checked. This tells you when a reminder needs reconfirmation.

For player-facing entries, prioritize the broadcast date, time, platform, replay or on-demand information, and a reminder shortly before the show. For developer-facing entries, prioritize eligibility, submission materials, review access, asset deadlines, and a preparation schedule.

Set reminders for actions, not just attendance

Create separate calendar entries for each meaningful action. A developer tracking the October 2026 Next Fest example might create:

  1. Eligibility check: verify the public store page, public demo, release timing, and one-fest restriction before registering.
  2. Registration deadline: August 31, with an earlier internal reminder for the team.
  3. Press-preview milestone: September 14, with a checklist for review access and current assets.
  4. Review milestone: September 28, with a final check of the demo and store presentation.
  5. Festival opening: October 19 at 10:00 a.m. PDT, with a launch-day monitoring reminder.
  6. Festival closing: October 26 at 10:00 a.m. PDT, if the team needs a final performance or feedback review.

Players need fewer entries. Save the show start in local time, add a reminder one day before and another 15–30 minutes before, and include the official viewing page. If the organizer promises an on-demand replay, note that separately rather than assuming every broadcast remains available.

Verify a listing before you rely on it

Run this short check whenever you discover an event through a directory, social post, newsletter, or community recommendation:

  1. Open the official page. Follow the directory’s link to the organizer, publisher, platform, or venue.
  2. Identify what the date describes. Determine whether it is the broadcast, an application cutoff, a registration deadline, a press preview, or an in-person opening day.
  3. Confirm the time zone. Convert the announced time to the zone used by your calendar, while retaining the original zone in the notes.
  4. Read eligibility and format details. Check release status, demo requirements, genre or regional restrictions, physical attendance rules, and supported platforms.
  5. Look for a newer update. An amended schedule, postponed broadcast, or closed submission form overrides an older directory entry.
  6. Save the official page and check date. This gives you a trail for future review and makes stale entries easier to find.

If the official page does not state a value—such as a replay window or a submission deadline—record “not stated” rather than guessing. Absence of information is a reason to monitor the organizer’s updates, not to infer a promise.

Track events differently as a player and as a developer

Player workflow

  1. Check Steamworks for the Next Fest dates and other Valve-run events.
  2. Scan IndieCtrl for online showcases, themed events, and physical opportunities.
  3. Use CanopyFest filters when you want a particular month, country, or theme.
  4. Follow publishers or organizers whose games you regularly play.
  5. For each confirmed event, save the show time, time zone, viewing platform, official page, and replay details.
  6. Set reminders for the broadcast and, when useful, a second reminder for the closing time or final day.

Developer workflow

  1. Start with the official rules for an event that fits the game’s platform, release window, genre, and region.
  2. Check whether the event requires a public store page, public demo, unreleased status, or a particular launch window.
  3. Write every deadline into the calendar as a distinct task: registration, application, assets, press access, demo review, and event opening.
  4. Reserve internal time before each external deadline for approvals, build uploads, localization, trailer exports, and store-page changes.
  5. Keep the organizer’s page in the record and recheck it before submitting or announcing participation.
  6. After the event, record feedback or performance notes separately from the next event’s planning dates.

Common tracking mistakes and fixes

Mistake Why it causes trouble Fix
Using a directory as the final authority Listings can become stale or describe a different date than you expect Verify every entry on the organizer’s current page
Saving only “October 19” The time zone and closing time are lost Save the full announced start and end times with the zone
Combining all deadlines in one note A team can miss registration while preparing for the show Create separate entries for registration, assets, reviews, and broadcast
Assuming every showcase is a livestream Some events are Steam festivals or in-person programs Record the confirmed format, platform, or venue
Following a past event page A follow control does not prove a new edition is scheduled Check for a current announcement and date
Copying one edition’s eligibility rules Festival requirements can change by edition Read the rules for the specific event you plan to enter
Claiming the calendar is complete No reviewed source covers every indie and regional opportunity Use layered discovery and state the scope of each source

Keep the tracker current throughout the year

Set a recurring monthly review for your event list. Start with Steamworks, then scan the directories for newly added or changed entries. Remove events whose official pages confirm cancellation, mark postponed events with the new date, and move closed applications out of the active queue while retaining the event record for reference.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before a major announcement, release, or submission, perform an immediate verification rather than waiting for the monthly review. This is especially important for dates that are several months away, because the further out a schedule is published, the more opportunity there is for a format, deadline, or time to change.

  • Keep Your Desk Organized: By lifting both screens off the desktop, this dual monitor stand opens up valuable space for your keyboard, notebook, docking station or a simple, clutter-free work area. Built-in cable management guides wires along the arms, keeping cords out of sight and out of the way. Enjoy a tidy, modern workstation that looks as good as it feels to use.

A practical minimum setup

You do not need specialized hardware or a paid planner. A digital calendar plus a simple notes table is sufficient if every event has an official source and separate reminders. Use a consistent naming convention such as “EVENT — registration,” “EVENT — show,” and “EVENT — close,” then add the organizer and time zone in the description. Color-coding player events, developer deadlines, and internal preparation can make a busy month readable at a glance.

The key is not the app; it is the habit of checking an authoritative page, recording what each date means, and setting the reminder early enough to act.

What to do when information is missing

If a directory lists an event but the organizer has not published a date, keep it in a “watch” list without creating a fixed attendance reminder. If a show date exists but submissions are not mentioned, do not assume that applications are open. If a page gives a date without a time zone, save the date as tentative and look for a later update or organizer announcement before scheduling travel, a launch, or a coordinated stream watch.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

This cautious status system—watching, verified, deadline passed, or cancelled/postponed—prevents uncertain entries from being treated as commitments.

The simplest reliable routine

Once a week, check the official Steamworks schedule and one broad directory. Add promising events to a watch list. When an organizer publishes the details, move the event to your calendar, enter the show and all applicable deadlines separately, and note the date you verified it. Recheck the official page before you submit a game or plan to watch. This layered routine gives players timely reminders while giving developers the deadline discipline that festival participation requires.
