YouTube Studio creates the live event and provides the stream URL and key; repeat playback is configured in the encoder, not with a documented repeat-playlist switch in Live Control Room. Before making the event public, confirm permissions for the performances and identifiable students, then test the complete loop and replay plan.
Choose the right way to run the loop
For a scheduled event with an operator present, a school computer running encoder software is a straightforward option. It depends on that computer staying on, maintaining power and internet, and continuing to send the feed. If the stream must run unattended for a long time, a cloud-based continuous-stream service is another operational path; check its current capabilities, availability in India, and price directly before relying on it.
YouTube’s encoder guidance lists Gyre as an example of a cloud-based service for 24/7 prerecorded-video streaming. That mention is not an endorsement and does not establish its current availability, pricing, or capabilities in India.
Confirm performance rights and student permissions first
Clear the recording for live and replay use
Inventory the final videos and identify songs, backing tracks, choreography, scripts, visuals, and any third-party recorded material. Confirm that the school has the necessary permissions for recording, live online communication, the intended geographic reach, and the replay. YouTube’s Livestream terms and conditions require the provider to have the necessary rights for live content throughout the world, including music licensing rights.

YouTube scans live streams for third-party content. A match may lead to a warning and placeholder; continued use can result in temporary interruption or termination. Even if a rights holder has licensed the material, it may need to add the channel to its Content ID allowlist. See YouTube’s copyright guidance for live streams.
Do not assume the educational exception covers a public broadcast
Section 52(1)(j) of India’s Copyright Act provides a limited-audience exception for certain performances in the course of educational-institution activities. Its wording concerns an audience that includes the institution’s staff and students, parents or guardians, and people connected with the activities. A public YouTube stream may be accessible beyond that audience, so the exception should not be treated as automatic permission. Get rights-holder permissions or qualified legal advice for the school’s specific performance and distribution plan. The text is available from the Copyright Office’s Copyright Act document.

Plan for children’s privacy and consent
Obtain documented parent or guardian permission for identifiable students, and explain who can watch the stream, whether it will be archived, and how long the recording will be retained. Plan alternate shots or exclusions for students without permission. A Ministry of Electronics & IT release published 12 December 2025 says the Digital Personal Data Protection Act, 2023 and Rules, 2025 were notified on 13 November 2025; it describes verifiable parental consent for processing a child’s personal data as well as certain educational-institution exemptions. Ask the school’s privacy or legal lead to assess the rules’ current application to the specific recording and publication.
Prepare the recording and playlist
- Gather the approved final files. Keep an untouched copy of each original recording and make a separate working playlist. A separate copy is a sensible safeguard; YouTube recommends checking local archive integrity.
- Set the show order. Arrange performances in the intended sequence and decide what viewers should see at the beginning and end. Avoid a long silent gap, black frame, or one-time ending slate at the loop point.
- Configure repeat in your encoder. YouTube’s cited setup explains how to send an encoder feed but does not document a native repeat-playlist switch in Live Control Room. Set the chosen playback software to repeat the files in order. The exact controls vary by software and version, so consult its current instructions.
- Test the wraparound. Play through the final item and confirm that playback returns to the first item cleanly, with sound and picture. Check that transitions do not expose material the school has not approved.
Create or schedule the YouTube Live event
- Open YouTube Studio and choose Create → Go Live. In the Live Control Room, use Manage to schedule a stream or create one. Scheduling lets the school share the watch URL in advance.
- Complete the event details. Add an accurate title, description, thumbnail, audience setting, visibility, and start time. For a rehearsal, choose unlisted visibility if appropriate and verify the actual setting rather than assuming a default.
- Check who can change visibility. YouTube says visibility defaults differ by age: streamers aged 13–17 default to private, while adult streamers default to public. Review the event setting before sharing or going live.
- Open the Stream tab and copy the server URL and stream key. Enter both in the encoder’s streaming settings. Treat the key like a password; reset it if it is exposed.
Connect the encoder, rehearse, and go live
- Start early. YouTube advises setting up encoder streams at least two hours ahead and starting the encoder at least 15 minutes before the planned start.
- Run an unlisted rehearsal. Use the same recording, playlist order, repeat behavior, and audio setup planned for the event. Check the transition from the final video back to the first.
- Wait for the Live Control Room preview. Confirm picture and sound, then check the event’s watch page and playback on a mobile device. Verify that the intended audience can access it.
- Check the local backup. Confirm the source files are intact and any local recording or archive being written is usable. Monitor the stream and keep a responsible operator available for the event.
- Select Go live in Live Control Room when the preview and event details are correct. Continue monitoring audio, video, and the event page.
End the stream and review the archive
At the end of the event, choose End stream in Live Control Room and stop sending the encoder feed. YouTube automatically archives streams under 12 hours. Review the replay for technical problems, copyright claims, and student privacy. Decide whether it should remain public, become unlisted or private, or be removed; permission for a live broadcast should not be assumed to authorize an indefinite public archive.

Troubleshoot common problems
- The event page exists, but no video appears: confirm the encoder has the correct server URL and stream key, is sending a feed, and that the Live Control Room preview has loaded.
- The stream stops or shows a copyright warning: a third-party match may have triggered YouTube’s live scanning. Stop or replace the affected material and confirm permissions; if licensed, ask the rights holder whether the channel needs to be added to its Content ID allowlist.
- The playlist ends instead of looping: check the encoder’s repeat setting and run a full last-to-first transition test. Do not expect Live Control Room to supply a native repeat control.
- Viewers cannot open the watch page: check the stream’s visibility and audience settings, then test the actual event page from a device or account representative of the intended audience.
- The replay is missing or incomplete: check the stream duration, whether the feed ended cleanly, and the local recording or source files. Streams under 12 hours are automatically archived, but keep a separate usable copy of the school’s recordings.
