To make a vBulletin forum private, deny the Guests usergroup permission to view the target channel, deny thread-content access when necessary, and grant the corresponding permissions to your approved member group. Save every change. If unauthorized users must not even see the forum in forum lists, enable and configure Access Masks. Then test with accounts that represent each relevant usergroup, because inherited permissions and overlapping memberships can reopen access.

What “private” means in vBulletin
vBulletin privacy is controlled at the channel (forum) level through usergroup permissions. A usergroup is a collection of registered users who share permissions or access rights, as the vBulletin Manual explains. A private setup normally has two separate goals:

- Protect the channel and its content: unauthorized users cannot open the forum or read its threads.
- Remove the channel from listings: unauthorized users do not see the forum on forumhome or forumdisplay.
Those goals are related but not identical. Can View Channel controls whether a user can access the channel, while Can View Thread Content controls whether the body of a thread can be read. Access Masks can additionally hide a restricted forum from listings and can create an individual-user denial. Configure the first two permissions even if you also use Access Masks; hiding a link is not a substitute for denying access.
Before changing permissions
Decide exactly who should be allowed in and what they should be able to read. Write down the target forum, its parent channel, any child forums, the approved usergroup, and the test accounts you will use. This prevents a common mistake: securing a parent forum while leaving a child channel with a permissive override.

- Use an account in the Guests usergroup to test the public view.
- Use an account in the approved member group to confirm the intended access.
- Use a moderator account if moderators have a separate group or role.
- Use an administrator account only to confirm administrative visibility, not as proof that ordinary members are correctly restricted.
Keep a record of the original settings. Permission changes take effect only after you save them, and documenting the previous state makes recovery easier if a group loses access unexpectedly.
Step-by-step: restrict a forum to approved members
1. Open the forum-permission editor
- Sign in to the vBulletin Admin Control Panel (AdminCP).
- Open Usergroups > Forum Permissions. In newer documentation or releases, the same area may be labeled Channel Permissions.
- Locate the forum or channel that should be private and open its permissions for editing.
Menu wording varies by release, but the concepts are the same. If you do not see the exact label, look for the usergroup permission screen attached to the forum or channel rather than changing global usergroup defaults.

- Select the Guests usergroup.
- Set
Can View Channelto No. - If guests must not read any thread body, set
Can View Thread Contentto No as well. - Save the permission change before moving to another usergroup.
Setting only the thread-content permission is not a complete privacy rule. The channel-view denial is the control that prevents guests from entering the forum; the thread-content setting handles the separate question of whether thread bodies are readable.
3. Grant the approved group access
- Edit the usergroup that represents your approved members.
- Set
Can View Channelto Yes. - Set
Can View Thread Contentto Yes when those members should read discussions. - Save the changes for that group.
Do not assume that a group becomes authorized merely because it is a registered-member group. Give the intended group an explicit grant and test a real account assigned to it.

4. Check every child forum
Channel permissions are inherited by child channels unless a child has its own override. Open each child forum beneath the private parent and inspect its permissions. A child-specific setting can make a subforum more open or more restrictive than the parent.
- Keep the inherited denial when every descendant should be private.
- Use a child override only when a particular subforum has a deliberate exception.
- After changing an override, test the child directly; checking only the parent forum can miss an exposed subforum.
5. Save and allow for the saved state to be tested
Save each usergroup edit individually. Unsaved changes do not take effect, so navigating away after changing a checkbox can leave the old access policy active. Once the saves complete, sign out of the AdminCP or use a separate browser session for the guest test.

A channel can be inaccessible yet still appear in a forum list, depending on the release and the configured display behavior. If unauthorized users must not see the forum on forumhome or forumdisplay, enable Access Masks in the relevant vBulletin option and configure the mask for the restricted channel.
What Access Masks add
- Listing control: a restricted forum can be omitted from listings for users who lack permission.
- Per-user exceptions: a mask can set an individual user to No, denying that user access completely even when a broader group would otherwise allow it.
- Scope beyond a group rule: masks are useful when one person needs an exception without changing the permissions of an entire usergroup.
Access Masks must be enabled before their behavior is available. The exact option name and location can differ between releases, so use the Access Masks setting exposed by your installed version. Continue to maintain the underlying channel permissions: a hidden listing is a visibility feature, while the channel and thread-content permissions are the access controls.

Why a user can still see a private forum
Unexpected visibility usually comes from one of four configuration details: an overlapping usergroup, inherited or overridden child permissions, a missing save, or a distinction between channel visibility and listing behavior.
Overlapping primary and secondary usergroups
vBulletin combines permissions from all usergroups assigned to a user. When groups disagree, the greater permission can win. For example, denying Can View Channel for Guests does not restrict a logged-in account that also belongs to an approved secondary group. Likewise, a staff, donor, or legacy group can unintentionally reopen access.

- Inspect the target channel’s permissions for each of those groups.
- Remove an unintended membership or change the group rule that grants access.
- Retest after saving the correction.
Test the actual group combination, not just an isolated group name. A clean result for a basic member account does not prove that users with additional memberships are restricted.
A child channel has an override
Parent settings are inherited unless a child overrides them. If a guest can open a subforum, inspect that child directly for a permissive value. Apply the intended denial at the child level or remove the override so the parent rule is inherited.

The change was not saved
Permission edits are not active until saved. Reopen the target usergroup and confirm that the displayed values match the policy. If they have reverted, save again and verify that the correct forum and usergroup were selected.
The forum is hidden from content but still listed
Can View Channel and Can View Thread Content answer access questions; they do not necessarily control whether a forum name appears in every listing. Enable Access Masks when the requirement is to remove the forum from forumhome or forumdisplay for unauthorized users. Confirm the result while logged out, because an administrator may still see restricted channels by design.
The user can see a title but cannot read the thread
This indicates a mismatch between channel visibility and thread-content visibility. Review both settings for the user’s effective groups. If no thread body should be exposed, set Can View Thread Content to No for the unauthorized group and save it.

Most private forums should start with a clear group-wide rule: Guests denied, approved members allowed, and child channels checked. Add an Access Mask when listing privacy or a one-person exception is an explicit requirement. Avoid building a complicated set of exceptions before the ordinary group policy is correct; complexity makes later audits harder.

Version-specific labels and the “Show Private Forum” setting
Documentation and menus differ between vBulletin releases. The vBulletin 4.2.5 manual describes a Show Private Forum setting that controls behavior for users who lack permission. That label and its available choices are version-specific, so confirm what your installed release displays instead of copying a 4.2.5 path verbatim.
The stable concepts to map across versions are:
- the forum or channel selected for editing;
- the Guests and approved-member usergroups;
Can View Channel;Can View Thread Content;- inheritance from parent channels to children; and
- Access Masks for listing visibility or individual denials.
When a label differs, compare its description and scope rather than assuming that a similarly named global option replaces a channel-level permission.

Testing checklist after configuration
Use separate sessions or accounts so browser cookies do not make one role appear to have another role’s access. Record the result for each test:

- Open the forum URL directly while using the guest session. A direct URL test catches cases where a link was merely removed from navigation.
- Open a known thread URL as the guest. This verifies thread-content protection separately from the forum list.
- Sign in as an approved member and confirm both the forum and its thread bodies are available.
- Repeat with a user who has secondary memberships, such as a moderator or legacy role.
- Check forumhome and forumdisplay to confirm whether listing visibility matches your requirement.
Practical configurations
Members-only discussion forum
Deny Guests for both channel viewing and thread-content viewing. Grant the approved member group both permissions. Check all child forums and test a logged-out browser plus a normal member account. Add Access Masks if the forum name must disappear from public listings.
Private forum with a public announcement area
Keep the parent private and inspect the announcement child. If the announcement area is intentionally public, give that child an explicit public rule and test it separately. If every descendant is confidential, do not create the override; let the parent denial inherit.
Removing one person from an otherwise approved group
Leave the group-wide member grant in place and use an Access Mask to set that individual user to No. Verify the denial with the person’s full set of primary and secondary memberships, because a broader permission can otherwise produce surprising results.

- Change one scope at a time: identify the channel, usergroup, and intended result before editing.
- Save deliberately: treat each usergroup edit as a separate change and verify it after saving.
- Audit descendants: revisit child channels whenever you add a new private forum or alter its parent.

Frequently encountered mistakes
- Changing only the forum description or navigation: removing a menu link does not deny a direct URL.
- Setting a guest denial but forgetting thread content: review both controls when thread bodies must remain private.
- Assuming inheritance is permanent: a child override can change the result without altering the parent.
- Testing only as an administrator: administrative access may not reflect guest or member behavior.
- Expecting a hidden listing to enforce access: use channel permissions for access and Access Masks for listing or individual exceptions.
- Leaving changes unsaved: the old permissions remain active until the edit is saved.
Final verification path
For a dependable private forum, confirm the policy in this order: Guests have Can View Channel set to No; Guests have Can View Thread Content set to No when required; the approved group has both settings set to Yes; every child channel has been checked for overrides; Access Masks are enabled and configured if listing privacy or a per-user denial is needed; and test accounts covering guest, approved member, moderator, and administrator roles produce the expected results. This sequence addresses access, content, inheritance, exceptions, and visible listings without relying on a single account or a hidden link.
