Give each WordPress team member the least powerful role that still completes their work. On a single site, that usually means Administrator for the technical owner, Editor for a content lead, Author for a staff writer who publishes only their own work, Contributor for a freelancer whose drafts need review, and Subscriber for profile-only access. In a multisite network, reserve Super Admin for people who genuinely need network-wide control.

Roles and capabilities: the two controls behind WordPress access
WordPress access is built from two related concepts. A role is a named bundle of permissions, while a capability is an individual permission that WordPress or a plugin checks before allowing an action. Assigning a role is therefore a convenient way to grant a group of capabilities at once; it is not the same as giving someone unlimited access.

Publishing an article is materially different from changing a theme, installing a plugin, or creating another administrator.
When WordPress or a plugin protects an operation, it should check the current user’s capabilities. That is why a team policy should discuss both the visible role name and the capabilities the role actually contains. A role that looks suitable in the dashboard may still be too broad if a plugin has added extra capabilities to it.

The six predefined WordPress roles at a glance
| Role | Publishing authority | Other users’ content | Administration scope | Best fit |
|---|---|---|---|---|
| Super Admin | Can administer sites in the network | Network-level control | Whole multisite network, including sites, network users, themes, plugins and network options | Trusted network operator |
| Administrator | Broad control on one site | Broad site administration | One site, including administration of settings, plugins, themes and users | Site owner or technical operator |
| Editor | Can publish | Can publish and manage other users’ posts and pages | Content administration rather than site-wide technical administration | Content lead |
| Author | Can publish their own posts | Own posts only | Author-level content work | Staff writer |
| Contributor | Can write and manage drafts but cannot publish | Own drafts and submitted work | Contributor-level content work | Freelancer or occasional contributor |
| Subscriber | Cannot publish | Cannot manage posts or pages | Can manage their own profile | Reader, commenter or membership user who needs profile access |
The table describes the standard role boundaries. Plugins can add capabilities, remove them, or create their own roles, so check the actual capabilities on a production site before relying on a role as a security boundary.
Which role should you assign to each team member?
Site owner or technical operator: Administrator
Use Administrator for the person responsible for one WordPress site’s technical and user administration. This role is appropriate when someone must manage site settings, plugins, themes and users in addition to content. Keep the number of administrators small: an administrator can make changes that affect the whole site, not merely one article.

Do not use Administrator as a shortcut for a writer who only needs to submit or publish stories. If the person’s work is editorial, Editor, Author or Contributor will normally complete it without exposing technical controls.
Network operator: Super Admin
Super Admin is the multisite network-level role. It is appropriate only for a trusted operator who must create or delete sites, manage network users, control network themes and plugins, or change network options. Those powers extend beyond an individual publication site.
A person can be an Administrator on one site without being a Super Admin. Treat the distinction as a deliberate approval decision, not as a higher title for the same job.
Content lead: Editor
Editor is the usual fit for an assigning editor or managing editor who must publish and manage other users’ posts and pages. It gives the person authority to move work through the publication workflow without automatically granting plugin, theme or user-management control.
For a gaming site, this can suit the person who reviews guides from several writers, corrects headlines and copy, and publishes approved stories. If the content lead also needs technical administration, document that separate requirement instead of assuming Editor should be upgraded to Administrator.

Staff writer: Author
Author is suitable when a writer should publish and manage their own posts. It keeps ownership of the writer’s work clear while preventing the role from becoming a general editorial desk. Assign it when the writer’s responsibility ends with their own published articles and drafts.
If the writer must edit another writer’s article, approve submissions, or manage pages for the whole site, Author is not the right boundary; those tasks point toward Editor or a narrowly designed custom role.
Freelancer or occasional contributor: Contributor
Contributor can write and manage their own posts but cannot publish them. That makes it the safest built-in choice when every submission must be checked by an editor before publication. The editor can review the draft, make changes and publish it without giving the freelancer publishing authority.

If the contributor later becomes responsible for publishing only their own work, reassess the role rather than leaving excess or insufficient access in place.
Reader or membership account: Subscriber
Subscriber is for someone who needs to manage their own profile and no editorial or administrative access. It is appropriate for a reader account, a commenter, or a member whose interaction with the site does not include writing or publishing posts.
A practical process for granting team access
Use a repeatable process whenever you add an employee, freelancer, contractor or agency account. The same process also works when an existing user changes jobs.
- List the person’s tasks. Write down the actions they actually need: drafting, publishing, editing other users’ posts, moderating comments, uploading media, managing pages, changing settings, installing plugins, editing themes, or managing users. Describe actions, not job titles.
- Choose the closest built-in role. Start with Subscriber, Contributor, Author, Editor or Administrator according to the work. In multisite, consider Super Admin only when the task list includes network-wide administration.
- Test the workflow with a restricted account. Use staging or a restricted test account to perform the person’s real tasks. Confirm that the required screens and actions work before granting more access on production.
- Identify the exact missing capability. If the built-in role is close but incomplete, determine which individual capability is absent. Do not jump directly to Administrator because one button is unavailable.
- Add only the missing capability. Create a narrowly scoped custom role or add a carefully selected capability to an existing role. Record the capability, the task it supports, the account or role receiving it, and who approved the change.
- Keep high-impact permissions concentrated. Limit plugin, theme, user-management and network permissions to a small group of trusted operators. Editorial access should not automatically include technical access.
- Review the account after the job changes. Remove capabilities that are no longer needed when someone changes duties, finishes a contract or leaves the team.
Understanding the built-in boundaries in daily work
Publishing versus editing
Publishing authority determines whether a person can move content from an internal draft into the public site. Contributor is intentionally separated from Author: both can work on their own posts, but only Author can publish. This distinction supports a review queue without requiring a custom workflow.

Editor goes further by managing and publishing other users’ posts and pages. That makes Editor the natural approval point for a multi-writer newsroom. It also means an Editor can alter work after submission, so give the role only to people trusted with that responsibility.
Content authority versus technical authority
Managing posts and pages is not the same as managing the software that runs the site. Administrator has broad administration on one site, including settings, plugins, themes and users. Editor’s value is content coordination, not technical control. Keeping those responsibilities separate reduces the number of people who can change site behavior or create new privileged accounts.
One site versus a network
On a standalone WordPress installation, Administrator is the highest standard site role. In multisite, Super Admin operates above the individual site level. A site Administrator does not automatically receive Super Admin’s network capabilities, so a person can administer one publication without being able to change every site in the network.
When and how to create a custom role
A custom role is justified when none of the predefined bundles matches the job without granting unrelated powers. For example, a team may need a narrowly defined production role that combines specific editorial actions with one additional operational capability. The WordPress Plugin Handbook documents creating roles and adding or removing capabilities; use those mechanisms rather than modifying the built-in role definitions blindly.

- The role name and the individual capabilities it contains.
- The job or workflow the role supports.
- The person or group that approved the change.
- The date it was added and the date it should be reviewed.
- The account owners currently assigned to it.
Be especially careful with edit_theme_options. Core documentation warns that this capability can expose broader theme-related administration in addition to Site Editor access. If someone only needs to adjust a limited presentation workflow, verify whether that capability grants more theme control than intended before assigning it.
Never delete the built-in Administrator or Super Admin roles. If a role is no longer suitable, create a replacement and migrate users deliberately. Removing a standard role can create recovery and maintenance problems for the site.

Multisite: assigning access without opening the whole network
Multisite separates network administration from administration of an individual site. Before assigning a network role, explain this boundary to the recipient and document which sites they are expected to manage.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteWhat Super Admin can change
- Create and delete sites in the network.
- Manage network users.
- Manage network themes and plugins.
- Change network options.
These capabilities can affect every site, so the role belongs with a small, trusted operations group. A person who edits stories for one site should not receive Super Admin simply because they need to publish there.
What a site Administrator can do
A site Administrator manages one site within the network. The role is powerful at that site but does not automatically include the network capabilities listed above. Use it for a site owner or technical operator whose responsibilities stop at one publication, game database or community site.
How to decide between the two
- List whether the person must create or delete sites, manage network users, control network plugins or themes, or change network options.
- If none of those network tasks is required, keep the person at the individual-site level.
- If one or more network tasks is required, approve Super Admin separately and record the reason.
- Test the account on a staging or restricted site before giving it production network access.
Least privilege and privileged-user risk
Least privilege means each account receives only the capabilities required for its current work. This limits the number of people who can change settings, users, plugins, themes or network infrastructure. It also reduces the potential impact if an account is misused or compromised.
The Hosting Handbook treats Super Administrators, Administrators and Editors as trusted users whose capabilities could be abused to damage or compromise a site. The practical implication is not to avoid those roles when they are necessary; it is to assign them deliberately, keep their population small, and review them regularly.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Use a separate technical account instead of upgrading an editorial account for a one-time maintenance task.
- Do not make every writer an Administrator to solve an access request quickly.
- Keep network permissions with the people responsible for network operations.
- Record why any custom capability was added and who approved it.
- Remove unused access when a contract ends or a person changes duties.
Common access problems and the safest fix
“The writer can draft but cannot publish.”
That is the expected Contributor boundary. If the review process is working, an Editor should check and publish the draft. If the writer now owns publication of their own work, change the account to Author after confirming that no other access is needed.
“The freelancer needs to correct another person’s article.”
Contributor and Author are designed around the user’s own posts. Do not promote the freelancer to Administrator merely to solve a single cross-author edit. Route the correction through an Editor or design a custom role with the narrowly required capability and a documented approval.

- Compatible with Wide Screens - To ensure compatibility with the dual monitor mount, your each monitor must meet three conditions at the same time: First, computer screens size range: 13 to 32 inches. Second, screen weight range: 4.4 to 19.8 lbs. Third, the back of the monitor screen must have VESA mounting holes with a pitch of 75x75mm or 100x100mm.
- Regarding the compatibility with desks - Your desk must meet three conditions at the same time: First, desk material: Only wooden desks are recommended, plastic or glass desks cannot be used. Second, desk thickness range: 0.59" - 3.54". Third, the bottom of the desk should not have any cross beams or panels, as this will interfere with installation. We recommend carefully checking that your desk and monitors meets all above conditions before purchasing.

Built-in cable management guides wires along the arms, keeping cords out of sight and out of the way. Enjoy a tidy, modern workstation that looks as good as it feels to use.
“The Editor needs a setting that the role does not expose.”
First establish whether the setting is truly part of the Editor’s job. If it is, identify the missing capability and test a narrowly scoped addition on staging. Review the implications of that capability, especially if it touches themes, plugins or users. An Administrator upgrade should be the last resort, not the default response.
“A site administrator asks for network access.”
Site administration and network administration are separate. Confirm that the person must create or delete sites, manage network users, control network themes or plugins, or change network options. If the requirement is limited to one site, retain the site Administrator role and do not grant Super Admin.
“A plugin changed what a role can do.”
Plugins can add or remove capabilities. Recheck the role’s effective permissions, compare them with the documented task list, and test the affected workflow with a restricted account. If the plugin’s additions are broader than needed, remove the extra capability or replace the role with a narrower custom role.
Account reviews, job changes and offboarding
Access management is not finished when an account is created. Review users whenever responsibilities change and when someone leaves the team. A former Editor should not retain publishing authority after moving to a non-editorial role; a former contractor should not remain in the user list after the contract ends.
- Compare the account’s current role and capabilities with the person’s present task list.
- Remove capabilities that no longer support a documented task.
- Check whether a custom role still has active users and an owner responsible for reviewing it.
- For multisite, verify both site assignments and any network-level access.
- Record the review and the date for the next check.
A decision framework for a gaming publication team
For a small gaming publication, start by separating editorial work from site operations. The technical owner can administer the site. A content lead can coordinate and publish everyone’s stories. Staff writers can publish their own work, while freelancers can submit drafts for review. Readers and community members who only need profile access remain Subscribers.
As the team grows, resist the temptation to make the role structure flatter by giving everyone Administrator. A clear division lets an editor run the daily publishing queue without exposing plugin, theme, user or network controls to every contributor. When a new workflow does not fit the built-in roles, document the missing capability and create the smallest custom role that closes the gap.
Quick Recap
Key principles to retain
- Roles are bundles; capabilities are the individual permissions WordPress and plugins check.
- Editor manages other users’ content, Author manages their own published work, and Contributor cannot publish.
- Administrator is powerful on one site; Super Admin is the network-level role in multisite.
- Least privilege reduces the number of people who can change settings, users, plugins, themes or network infrastructure.
- Custom roles are appropriate when built-in roles are too broad, but every added capability should have a documented task and approval.
