How to Print on Both Sides for Duplex Printing in Word

By VGSources Team 8 min read

To print double-sided in Word, open File > Print, open the Print One Sided menu under Settings, and choose Print on Both Sides when it is available. Select long-edge or short-edge binding to control how the reverse side is oriented. If the option is missing, use Manually Print on Both Sides or print odd pages first and even pages second.

Duplex printing means printing on both sides of one sheet. Whether Word offers automatic duplexing depends on the selected printer and its driver setup, not on the document text alone.

Which Word versions support these steps?

Microsoft’s instructions apply to Word for Microsoft 365, Word 2024, Word 2021, Word 2019 and Word 2016. The exact wording of a printer driver can vary, but the Word workflow is generally the same on Windows. Word for Mac uses a different print-dialog layout, covered below.

Check the printer before starting

Select the printer you actually intend to use before deciding which method to follow. Different printers installed on the same computer can expose different print capabilities. An automatic duplex printer reports its two-sided feature to Word through the printer driver; a one-sided printer does not.

  • Make sure the intended printer is selected in File > Print.
  • Check the printer’s manual or manufacturer specification to confirm whether it supports automatic duplexing.
  • Load paper appropriate for the printer and document. For a manual workflow, use a small test stack first so you can learn how that printer accepts reloaded sheets.
  • For a long document, test one or two pages before committing the entire job.

Print automatically on both sides in Word

This is the simplest method when the selected printer has automatic duplex hardware and the driver exposes it to Word.

  1. Open the document in Word.
  2. Select File > Print.
  3. Under Settings, open the menu that currently says Print One Sided.
  4. Choose Print on Both Sides.
  5. Choose the long-edge or short-edge variant that matches the way the finished pages should turn.
  6. Confirm the printer, page range, orientation and copies, then select Print.

When Print on Both Sides appears, Word has detected duplex capability for that selected printer. The printer handles the sheet reversal internally, so you do not remove and reload the pages between sides.

Long-edge versus short-edge binding

The binding choice determines the direction in which the back of each sheet is rotated. It does not change the number of pages in your document.

Setting How the sheet turns Typical use Common mistake
Long-edge binding Pages turn along the longer edge, like a conventional book. Portrait documents intended to be read from left to right. The reverse side may appear upside down if the document is landscape or needs top-edge turning.
Short-edge binding Pages turn along the shorter edge, like a notepad or calendar. Many landscape documents, calendars and booklet-style layouts. Portrait pages can read upside down when the reader expects a normal book turn.

Choose the edge that corresponds to the physical edge you will use as the binding or hinge. If the back side is upside down, run the job again with the other binding direction rather than changing the document’s text.

Use Word’s manual duplex option

If the printer cannot automatically turn sheets over, Word can print one side, pause, and ask you to reload the stack.

  1. Select File > Print.
  2. Under Settings, open Print One Sided.
  3. Select Manually Print on Both Sides.
  4. Start the print job. Word prints the first side of the selected pages.
  5. When Word prompts you, turn over and feed the printed stack back into the printer.
  6. Continue the job so Word prints the reverse sides.

Paper-feed paths differ between printers. Some devices expect the stack to be turned over from one edge; others require a different rotation or a different orientation in the input tray. Microsoft recommends testing the reload direction for the specific printer. Use a one- or two-page document first and mark the top corner of a test sheet with a pencil. That lets you see exactly how the printer flips and feeds the paper before you print a large job.

What to test during a manual reload

  • Which printed side should face up in the input tray.
  • Which edge should enter the printer first.
  • Whether the stack must be rotated as well as turned over.
  • Whether the first reverse-side page lands on the correct sheet.

Do not assume that a reload method that works on one printer will work on another. The same Word command can produce a different physical orientation because the paper path is different.

Print odd pages, then even pages

The odd/even method is a fallback when automatic duplexing is unavailable and the manual duplex command is not usable or does not match your printer’s behavior.

  1. Choose File > Print.
  2. Open the Print All Pages menu.
  3. Select Only Print Odd Pages.
  4. Print the odd-numbered pages.
  5. Turn over and reload the stack using the orientation established by a test sheet.
  6. Return to File > Print, open the same page-range menu and choose Only Print Even Pages.
  7. Print the even-numbered pages onto the blank sides.

Word’s advanced print settings also include a choice of printing on the front or back of the sheet for duplex printing. That option can help preserve page order when you are managing the two passes yourself. If the pages come out in reverse order, stop and test the reload direction again instead of trying to repair a full stack.

Set up two-sided printing in Word for Mac

On Word for Mac, the two-sided control is in the macOS print dialog rather than the Windows-style Print One Sided menu.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open the document and choose File > Print.
  2. Select the intended printer.
  3. Open the Layout section of the print dialog.
  4. Use Two-Sided and choose Long-Edge binding or Short-Edge binding.
  5. Check the preview and print a short test job before printing the complete document.

Use long-edge binding when the pages should turn like a portrait book. Use short-edge binding when the finished piece turns over its top or short edge, as with many landscape documents and calendars. The available controls can still depend on the selected printer and its driver.

Why “Print on Both Sides” is missing

The missing command usually means that Word is not receiving automatic-duplex information from the currently selected printer. It does not necessarily mean that the document is wrong.

  1. Verify the printer. In File > Print, confirm that the desired device—not a different installed printer, virtual printer or single-sided model—is selected.
  2. Check the printer specification. Consult the printer manual or manufacturer documentation for automatic duplex support.
  3. Look for a driver or device setting. Some printer setups expose duplexing through the printer’s own properties. If the feature is not reported to Word, Word cannot show the automatic option.
  4. Use manual duplexing. Choose File > Print > Print One Sided > Manually Print on Both Sides and follow the reload prompt.
  5. Use odd/even printing. Print odd pages, reload the stack, then print even pages if the manual command is unavailable.
  6. Run a short test. A two-page test reveals whether the problem is a missing capability or simply an incorrect paper orientation.

Fix upside-down backs and wrong page order

If the back side is upside down

Switch the binding direction. For a portrait document that should read like a book, start with long-edge binding. For a document that turns over its top edge, try short-edge binding. In a manual workflow, the same conceptual choice is made by how you rotate the stack before feeding it back.

If pages are on the wrong sheets

Stop the job and test with two numbered pages. Confirm whether the printer expects the stack turned over, rotated, or both. In an odd/even workflow, ensure the even-page pass is printing onto the blank backs rather than onto already printed fronts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If the booklet is upside down

Booklet layouts commonly require sheets to be flipped on the short edge. Microsoft’s booklet guidance specifically cautions users to flip sheets on the short edge when producing a booklet manually so the pages do not print upside down. Test the first folded sheet before running the entire booklet.

Choose the right workflow

Workflow Printer requirement Handling Main risk Best use
Automatic Print on Both Sides Printer and driver must support automatic duplexing. Word and the printer reverse sheets automatically. Wrong long-edge or short-edge choice can rotate the backs. Routine two-sided documents when the option is available.
Manually Print on Both Sides Works with a printer that cannot duplex automatically, provided it can accept reloaded sheets. Word prints the first side and prompts you to reload. Incorrect feed direction can scramble order or orientation. Most convenient manual workflow after a successful test.
Odd pages, then even pages Any printer capable of printing the document one side at a time. You control both print passes. Reloading the stack incorrectly can put even pages on the wrong sides. Fallback when the manual duplex command is absent or unreliable.

A reliable test procedure

Before a long print run, create or open a two-page test document. Put a visible page number and a small “top” label near the upper edge of each page. Print using the intended workflow, reload the sheets if necessary, and inspect both sides in reading order.

  • Page 1’s back should be page 2, not an upside-down or reversed page.
  • The top of each page should be on the same physical edge when the document is opened normally.
  • For landscape or booklet work, fold or rotate the test sheet exactly as the final piece will be handled.
  • Once the orientation is correct, keep the same printer, binding option and reload direction for the full job.

Practical examples

Portrait report that reads like a book

Select Print on Both Sides and choose long-edge binding. The left and right edges function as the hinge, so each page turns in the usual book direction.

Landscape calendar

Select short-edge binding when the calendar is intended to turn over its top edge. Print a test sheet first; choosing long-edge binding can leave the reverse side rotated for the intended viewing position.

One-sided printer with a 10-page document

Use Manually Print on Both Sides if Word offers it, then follow the reload prompt after the first pass. If that command is unavailable, print odd pages first, reload the tested stack, and print even pages second.

Manually assembled booklet

Use the booklet layout required by your document, then test the physical fold. Microsoft’s booklet instructions caution that manual booklet sheets should be flipped on the short edge to avoid upside-down pages.

Key points to remember

  • Start at File > Print; the selected printer determines which duplex controls Word can show.
  • Print on Both Sides is automatic duplexing; Manually Print on Both Sides requires a reload between passes.
  • Printing odd pages and then even pages works as a general fallback for one-sided printers.
  • Long-edge and short-edge settings control reverse-side orientation, so match them to the document’s orientation and intended binding.
  • A one- or two-page test is the fastest way to learn a printer’s feed direction and prevent a full stack from printing upside down or out of order.
