The password belongs to the company that hosts the mailbox, while Outlook is only the mail client. Reset the credential with that provider (or generate an app password when required), then update or re-add the account in Outlook. Outlook.com, Hotmail and Live addresses use the Microsoft-account password; Gmail, Yahoo, iCloud and ISP addresses use credentials issued by those providers.
What an “IMAP password” in Outlook actually is
IMAP is the protocol Outlook uses to read messages from a mailbox. It does not create a separate password that Outlook can display. Your mailbox provider verifies the username and password, and Outlook stores only enough information to authenticate the account. A masked password field is not a recoverable copy.

Microsoft Q&A guidance states that IMAP passwords are managed by the email provider and cannot be viewed or recovered from Outlook. Recovery therefore means changing the credential at the authority that owns the mailbox, then supplying the new credential to Outlook.
Some accounts use modern authentication instead of a traditional password field. In that case Outlook may open the provider’s web sign-in page. Other accounts, including some IMAP and iCloud configurations, require an app password generated in the provider’s security settings.

Identify who controls the mailbox
Look at the complete address after the @ symbol before trying to reset anything. The domain tells you which recovery route applies.
| Mailbox type | Who controls the credential | Where to recover it | What Outlook may show |
|---|---|---|---|
| Outlook.com, Hotmail or Live personal address | Microsoft account | Microsoft’s sign-in helper or forgotten-password flow | Microsoft web sign-in, or a normal password prompt |
| Work or school address | Your organization’s Microsoft 365 or other tenant administrator | The organization’s security-information reset process; contact the administrator if self-service reset is unavailable | Modern web sign-in, a password prompt, or an administrator-controlled policy |
| Gmail, Yahoo or an ISP address | The provider that issued the mailbox | That provider’s official password-recovery page | A provider sign-in page, normal password prompt, or app-password prompt |
| iCloud Mail | Apple account | Apple’s account-security settings, including app-password creation when required | Provider sign-in or an app-password request |
Do not reset a Microsoft account when the address is actually hosted by an ISP, employer or another service. Conversely, changing a third-party password will not change the password for an Outlook.com mailbox.
Reset the password at the provider
Microsoft Outlook.com, Hotmail and Live accounts
- Open Microsoft’s account sign-in helper or forgotten-password page from a browser.
- Enter the full Outlook.com, Hotmail or Live address and complete the identity checks requested by Microsoft.
- Choose a new Microsoft-account password and finish the reset.
- Keep the browser open until the reset is confirmed. A successful reset changes the credential used by Outlook.com and other Microsoft-account services, not just one Outlook profile.
- Return to Outlook. When it asks you to sign in, use the new password or complete the Microsoft web sign-in window.
If Outlook keeps showing the old prompt, close Outlook completely and open it again before entering the new credential. Repeated prompts after a confirmed reset usually indicate a saved old credential, an incorrect username, a case-sensitive password typo or an authentication method mismatch rather than a second “IMAP password.”

Work or school accounts
- Use your organization’s security-information reset process, if one is provided.
- If the reset option is unavailable, ask the Microsoft 365 or mail administrator to reset the account or confirm the organization’s sign-in policy.
- Ask the administrator whether IMAP access is enabled. An administrator can disable IMAP even when webmail works, so a correct password alone may not permit an IMAP connection.
- After the administrator confirms the change, sign in again in Outlook and complete any modern-authentication or multifactor prompts.
Do not keep trying random server settings on an account whose tenant blocks IMAP. The administrator must enable the service or provide the supported account type.
Gmail, Yahoo and ISP mailboxes
- Open the provider’s official password-recovery page, not a link from an unsolicited email.
- Verify the account using the provider’s recovery methods and set a new password.
- Read the provider’s current instructions for third-party mail clients. Some providers permit the normal password; others require an app password or an explicit IMAP setting.
- Use the new credential in Outlook only after the provider confirms the reset.
The provider’s instructions take precedence over old setup guides. Server names, ports, encryption requirements and authentication policies can change independently of Outlook.
When Outlook asks for an app password
An app password is a separate credential generated by the mailbox provider for an application that cannot complete the provider’s usual modern sign-in. Microsoft describes them as “randomly generated one-time use passwords that provide temporary access to your online accounts.” The app password is created on the provider’s security page, not inside Outlook.

Update Outlook after changing the credential
Let Outlook replace the saved password
A changed or expired provider password is a common reason Outlook repeatedly prompts. Start Outlook, wait for the account prompt, and enter the newly reset password or app password. Use the full email address as the username when the provider requires it. Passwords can be case-sensitive, so check Caps Lock and avoid adding a space when pasting.
If the prompt continues after a successful sign-in, exit Outlook, reopen it and try once more. If the account still fails, proceed to manual account setup rather than repeatedly submitting the same value.

Re-add the account in classic Outlook
Classic Outlook provides a manual path when automatic detection does not accept the new credential:
- Open Outlook and choose File > Add Account.
- Select Advanced options.
- Enable Let me set up my account manually, then choose IMAP.
- Enter the incoming and outgoing server names, ports and encryption values exactly as the mailbox provider documents them.
- Enter the full username if required and type the new normal password or provider-generated app password.
- Connect and send a test message only after Outlook reports that the account has authenticated.
For a profile that will not open the Add Account wizard, open Control Panel > Mail > Email Accounts, select New, enter the account details and finish the setup. Keep the existing profile until the new connection has successfully downloaded and sent mail.
Enter IMAP settings manually in classic Outlook
Manual setup separates a password problem from a server-configuration problem. The provider must supply the current values; do not guess ports or encryption modes.

- Choose File > Add Account > Advanced options > Let me set up my account manually > IMAP.
- For incoming mail, enter the provider’s IMAP server name and its documented port and encryption setting.
- For outgoing mail, enter the provider’s SMTP server name and its documented port and encryption setting.
- Enter the complete email address as the username when required.
- Enter the normal provider password or the app password created for Outlook.
- Connect and examine the result. A password error points to the credential or authentication method; a server or connection error points to the host, port, encryption or account-access setting.
Microsoft 365 or Exchange users should ask the administrator whether IMAP is enabled before attempting this route. A disabled service cannot be repaired by changing Outlook’s password field.

Outlook keeps asking for the IMAP password
- Confirm that the password was actually reset at the mailbox provider.
- Use the full email address as the username if the provider requires it.
- Turn off Caps Lock and retype the password carefully; passwords may be case-sensitive.
- Check whether the provider requires an app password instead of the normal password.
- Compare the incoming and outgoing server names, ports and encryption with the provider’s current documentation.
- Consider whether the provider recently expired or changed the password. Outlook may continue submitting the old saved credential until you replace it.
Outlook never displays a password prompt
On the IMAP details page, clear Require logon using Secure Password Authentication (SPA) and retry the setup. Microsoft documents this as a possible cause when Outlook does not ask for the expected password.
If the option is not available or the account wizard is stuck, use Control Panel > Mail > Email Accounts, select New, enter the account details and finish setup. This creates a fresh configuration instead of relying on a damaged or incomplete entry.
Webmail works but Outlook does not
Successful webmail access proves that the provider account is usable, but it does not prove that IMAP is enabled or that Outlook is using the right authentication method. Check the provider’s IMAP policy, confirm the server values, and determine whether an app password is required.
The account worked until recently
First check for a provider password change or expiration. Then verify that the provider has not changed its IMAP requirements. Update the saved credential, and if necessary re-add the account manually with the provider’s current server and encryption values.
Quick Recap
Choose the recovery route by symptom
| Symptom | First action | Escalation |
|---|---|---|
| You forgot the password | Reset it with Microsoft or the third-party mailbox provider | Use the provider’s account-recovery support if identity verification fails |
| Outlook repeatedly prompts | Replace the saved credential; verify username, capitalization and app-password requirements | Check server settings and account password expiration |
| Outlook asks for an app password | Generate one in the provider’s security settings | Check whether the provider supports modern sign-in for your Outlook edition |
| No password prompt appears | Clear Require logon using Secure Password Authentication (SPA) | Create the account through Control Panel > Mail > Email Accounts |
| Manual setup reports a server error | Compare host, port and encryption values with the provider’s current documentation | Ask a work or school administrator whether IMAP is enabled |
Safety checks before and after recovery
- Use only the mailbox provider’s official recovery page and type the address yourself when possible.
- Do not treat a masked Outlook password field, browser autofill entry or an email claiming to reveal your password as authoritative.
- Keep the new password or app password private and do not reuse it for unrelated services.
- After authentication succeeds, verify both receiving and sending. IMAP controls incoming mail; outgoing mail uses the provider’s SMTP settings and can fail separately.
- If the account belongs to an employer or school, follow the administrator’s policy instead of bypassing it with repeated manual attempts.
If Outlook still behaves erratically after you have reset the provider credential and verified the account settings, Outbyte PC Repair is an optional shortcut for addressing 100+ common Windows issues where possible, adjusting settings, cleaning temporary and cache files, and reviewing an app-crash log.
