Your email provider does. Reset or change the password on the provider’s official website first, then give Outlook the new credential when it asks. The exact path depends on whether the account is Outlook.com/Microsoft, Gmail or another provider, a work or school mailbox, and whether you use Outlook for Windows or Mac.
Identify who controls the password
Before changing anything, identify the account type. The address shown in Outlook does not by itself determine the recovery process.

| Account type | Where the password is changed | What Outlook normally needs afterward |
|---|---|---|
| Personal Microsoft account or Outlook.com | Microsoft sign-in and password-reset pages | The new Microsoft password, entered when Outlook prompts |
| Gmail, Yahoo, iCloud, Xfinity, AOL or another provider | That provider’s own account website | The provider password, or an app password if the service requires one |
| Work or school Microsoft 365 account | Your organization’s password-reset process or administrator | The organization-approved credential and sign-in method |
If you can still open a browser session for the mailbox, leave it signed in while you work. It may help you receive a verification code or confirm that the new password works.

- BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.
- Open Microsoft’s official sign-in page and select Forgot password? or Reset password.
- Enter the account username and continue.
- Choose one of the verification methods Microsoft offers, such as a recovery email address or phone number.
- Retrieve the security code, enter it on the page and create a new password.
- Sign in to the mailbox in a browser with the new password before returning to Outlook. This confirms that the reset succeeded and that you are using the right account.
Microsoft requires identity verification before it allows a new password to be created. If none of the displayed email addresses or phone numbers belongs to you, do not guess repeatedly; use the Sign-in Helper described below.
When the offered verification methods are unavailable
Run Microsoft’s account Sign-in Helper from the official Microsoft support site. Enter the email address or mobile number it requests. The helper identifies the next available action for that account. It cannot bypass identity checks or reveal an existing password.
Update Outlook for Windows after changing the password
Once the provider accepts the new password, open Outlook for Windows. The application should ask for the updated credential and then synchronize the account.
- Start Outlook and wait for the password prompt.
- Enter the new provider password, not the old one, and submit it.
- Allow synchronization to finish. Check that new messages arrive and that a test message can be sent.
- If Outlook shows more than one account, make sure you are entering the password for the account named in the prompt. Each mailbox has its own credential or sign-in policy.
The Microsoft guidance for this process covers Outlook for Microsoft 365, Outlook 2024, Outlook 2021, Outlook 2019, Outlook 2016 and New Outlook for Windows. The wording of the prompt can differ between classic and new Outlook, but the password still belongs to the provider.

If Windows Outlook keeps rejecting the new password
- Verify the new password by signing in to the provider’s website in a private browser window. If web sign-in fails, reset the password again through the provider rather than changing Outlook settings.
- Check that the account in the prompt is the intended mailbox. A second account can continue prompting for its own old credential.
- For an account that uses an app password, enter the provider-generated app password instead of the normal web password. See the app-password section below.
- After a successful web sign-in, reopen Outlook and respond to its credential prompt. A successful browser login alone does not update a stored Outlook sign-in.
Update Outlook for Mac
Current Microsoft 365 and Exchange accounts on Mac use modern authentication. After changing the password, Microsoft’s Mac procedure is to manage the account in Outlook and sign in again.
- In Outlook, choose Outlook > Settings > Accounts.
- Select the affected account and choose Manage.
- Remove the account from Outlook, then add it again.
- Complete the Microsoft or organization sign-in window with the newly changed password and any requested verification.
- Send a test message and request new mail to verify both directions work.
Removing an account from Outlook removes its local account setup; it does not delete the mailbox at the provider. Confirm that any mail stored only locally is available through the account or backed up before removing an account.
Reset passwords for Gmail, Yahoo, iCloud, Xfinity and other providers
Go to the provider’s own account-management or password-reset website. Outlook cannot create, display or recover a password owned by another service.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches- Sign in to the provider’s account page, or select its password-recovery option.
- Complete the provider’s identity checks and create a new password.
- Test the new password in the provider’s webmail.
- Return to Outlook and enter the new credential when prompted.
Some IMAP, iCloud or AOL configurations do not accept the normal account password in a mail application. The provider may require an app password: a temporary, randomly generated credential used in place of the regular password for that app or connection. Create it in the provider’s security settings, copy it exactly, and enter it in Outlook when the password field appears. An app password is not the same as changing the main account password.

Work and school Microsoft 365 accounts
An organization controls a work or school mailbox. Use the organization’s password-reset page or contact its administrator or help desk. Personal Microsoft-account recovery steps may not apply, and an administrator may require multifactor authentication, a managed device or another sign-in condition.
If Outlook prompts immediately after an organizational password change, enter the new credential and complete the organization’s sign-in window. If the account remains blocked, only the organization can confirm whether the account is locked, the password has expired or access policies changed.
What to do when Microsoft account recovery fails
Microsoft’s account recovery form asks for a reachable email address and account-specific information, including Outlook contacts and exact subject lines from messages. Supply as many accurate details as you can remember, because the form is used to verify that you own the account.

Microsoft Support, Help with the Microsoft account recovery form
If verification fails, the recovery page allows up to two attempts per day. Use the waiting period to gather more precise account information rather than submitting guesses. Microsoft support agents cannot send a reset link or change account details on your behalf.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Why Outlook may still ask for a password
A repeated prompt usually means Outlook is still trying to authenticate with a credential or method that the provider no longer accepts. Work through these distinctions instead of repeatedly typing the same password.
The provider password changed, but Outlook has not been updated
Sign in to webmail first, then enter the new password at Outlook’s next prompt. Windows normally requests it directly; Mac modern-authentication accounts may need to be removed and added again through Outlook > Settings > Accounts > Manage.

The account requires an app password
For some IMAP, iCloud or AOL setups, the normal password will continue to fail in Outlook even though webmail works. Generate the provider’s app password and use that value in Outlook.
The prompt names a different account
Read the full email address in the prompt. If several mailboxes are configured, update the credential for the account actually requesting it; changing one mailbox’s password does not change another’s.
The account is managed by an organization
Use the work or school reset process and contact the administrator if the organization’s sign-in policy, multifactor requirement or account status prevents access.
Protect yourself from password-recovery scams
- Start recovery from the provider’s official sign-in or account-security page, reached through a bookmark or a manually entered address.
- Never give a password or verification code to someone who claims to be restoring the account.
- Do not approve an unexpected sign-in request just because a caller or message tells you to do so.
- After access returns, review the account’s security information and remove recovery methods you no longer control.
A password manager can generate and store a unique password for the mailbox. A hardware security key is another optional way to strengthen sign-in where the provider and account type support it. Neither is required for Microsoft’s recovery process.
Quick Recap
Optional Windows troubleshooting shortcut
Outbyte PC Repair is an optional Windows utility that can address some broken system elements, invalid redirects, shared-DLL problems and related app issues while also providing an app-crash log and other maintenance features. It complements antivirus software and does not replace provider password recovery or antivirus protection; results vary, and no tool repairs every crash. It runs on Windows 11, 10, 8 and 7, with a free trial by category for at least two days before a subscription is required.
