The reliable workflow is simple: identify the RPG Maker version and asset type first, capture the printed page without damaging it, keep an untouched high-quality source file, and make a separate cropped, resized PNG for the project. Do not treat one character-cell size or one scanning resolution as a rule for every RPG Maker image.
RPG Maker MZ’s official help states that image assets must be PNG. Its common map-character convention uses 48×48-pixel cells arranged as four directions by three walking patterns, but that convention belongs to character sheets; portraits, pictures, title images, battle graphics, and tiles follow different requirements. Confirm the standard for your exact version and asset before the final crop.

1. Decide what the scanned illustration will become
A crop is only “correct” in relation to its destination. Before touching the scanner, write down the RPG Maker version, the asset category, the intended display size, and whether the game needs transparency. A single illustration used as a full-screen picture has a different canvas problem from a set of tiny walking frames.

MV and MZ have separate official help pages. Read the asset-standards and image-specific sections for the version actually used by your project. Do not copy an MV sheet layout into MZ, and do not assume a rule for MZ characters applies to every MZ image. If you are using another RPG Maker generation, treat both MV and MZ examples as references rather than proof of compatibility.

Identify the asset category
| Possible use | What must be established before cropping | Known information from the cited manuals |
|---|---|---|
| Map character sheet | Cell dimensions, row and column order, walking-pattern order, and whether the sheet represents one character or a multi-character file | MZ’s usual cell is 48×48 pixels, with four directions and three patterns. At that cell size, a conventional three-column by four-row sheet is 144×192 pixels, but other character sizes can be used. |
| Face or portrait image | Face-window dimensions, placement, number of expressions, and filename or sheet convention for your version | Not stated in the supplied MZ character-cell guidance; verify the face-image standard in the project’s official help. |
| Picture or event illustration | Display canvas, intended on-screen scale, anchor position, and whether the paper background should remain | Not stated as a universal value; pictures are not character sheets. |
| Title, menu, battle, or system graphic | The relevant screen or battle layout, safe margins, color mode, and transparency rules | Not stated as one shared value; use the asset-specific section for the target version. |
| Tileset or other structured sheet | Grid size, tile flags, sheet type, and exact slot arrangement | Not stated by the 48×48 character example; never infer a tile layout from a character layout. |
Make a small specification note before scanning. For example: “MZ map character, four directions, three patterns, 48-pixel cells, transparent background, one character sheet.” That note prevents a beautiful crop from becoming unusable because it was prepared for the wrong importer.
2. Handle the zine as a physical object
Printed zines can be folded, stapled, glued, coated, or fragile. A clean digital result is not worth tearing a binding or embossing a page with scanner pressure.
Choose equipment around the page
A flatbed scanner is practical when the page can lie safely and the bed accommodates its full size. Align the page squarely, but do not force a bound spread to reach the glass. If the page cannot rest safely, choose a non-contact capture setup and follow the same principles of even lighting, stable alignment, and no pressure. The Library of Congress’ preservation guidance discusses equipment selection for graphic prints and related materials.

The Library of Congress gives a direct warning: “Don’t place glass or Plexiglas® on top of artwork, documents, manuscripts, prints, photographs, with or without mounts, or other Library materials to flatten for image capture.” A scanner lid is not a safe press for a delicate page. Leave the page as open as it can be without strain, and capture a slightly curved edge rather than damaging the original.
Prepare the page and bed
- Wash and dry your hands, or use the handling practice appropriate to the material.
- Remove dust from the scanner bed with a clean, non-abrasive method; dust becomes a dark spot repeated in every edit.
- Support a page near a weak fold instead of pulling it flat.
- Record which page, spread, or print the image came from if the zine contains multiple similar illustrations.
- Check the entire page for bleed, registration marks, captions, or border decoration that may be part of the artwork.
3. Select a capture resolution without confusing archival and game targets
Resolution should preserve enough information for your crop and later resizing, not blindly follow a single number. A small game asset may need far fewer final pixels than an archival master, while a tiny printed illustration may need a higher capture setting to retain line texture.

Use archival figures as reference points
The Smithsonian Institution Archives’ current still-image digitization guidance specifies a minimum of 600 ppi and 6,000 pixels along the long axis, with uncompressed TIFF used for preservation files. Those are archival specifications intended to support future reuse; they are not mandatory settings for every RPG Maker asset.
National Archives and Records Administration guidance for textual records gives 300–400 ppi ranges for color and grayscale material depending on the content. FADGI guidance also varies according to printed-material category, dimensions, and intended use. These figures describe records and digitization objectives, not a universal requirement for zine illustrations destined for a game.
Choose color or grayscale deliberately
- Capture in color when ink hue, paper tint, colored shading, or registration is part of the illustration.
- Use grayscale only when color carries no useful information and a smaller or simpler tonal workflow is genuinely helpful.
- Do not convert to black and white merely to hide a dirty page; clean the background in the editing copy instead.
Match capture detail to the crop
Estimate the largest useful crop, then leave room for straightening and edge cleanup. If the art will be reduced substantially, extra source detail gives the resize operation more information to average. If the illustration is already close to its intended display size, an enormous archival scan may only increase storage and processing time. The important distinction is that the source capture should be comfortably better than the game derivative, while the final derivative must match the engine’s documented dimensions and layout.
4. Save an untouched source before editing
As soon as the scan is complete, save it as a master and do not edit that file in place. Use a descriptive filename containing the zine, page or spread, and capture date. Keep the scanner’s native or lossless output when practical. The Smithsonian preservation example uses uncompressed TIFF for still images; that is a useful model for a source file, not a claim that TIFF is accepted by every RPG Maker importer.
Use a two-file workflow
- Save the original capture as the source master.
- Duplicate the master for editing.
- Keep the duplicate’s history or versioned copies as you make major changes.
- Export a separate game-ready file only after the crop, scale, transparency, and layout have been checked.
This separation lets you recrop a border, create a different expression, or prepare the same art for another asset category without rescanning the paper.

5. Crop and clean the editing copy
Straighten before making the final crop
Open the duplicate in your image editor and rotate or deskew it until printed lines and page edges are genuinely horizontal. Cropping first can hide the reference edge you need for alignment. Use the smallest rotation that corrects the scan; aggressive rotation can discard useful pixels at the corners.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesCrop around the illustration, not automatically around the ink
Decide whether the paper border is part of the design. A hand-torn edge, margin, caption, or bleed may be intentional. Conversely, a neighboring panel, staple shadow, or unrelated text should not remain merely because it touched the crop rectangle. Keep a little extra margin in the working copy until you have confirmed the target layout.
Remove dust and unwanted paper marks
Retouch isolated scanner dust and obvious defects at high zoom, but avoid smoothing away deliberate ink texture. Repeated patterns, halftone dots, and rough brush edges can be artistic features. If the page has uneven illumination, correct it gradually; a heavy global adjustment can flatten the drawing’s line weight.
Create transparency only when the asset needs it
For a character, sprite, or cutout intended to sit over a map, remove the paper background and retain an alpha channel. Select by color or tone, then inspect the perimeter at high magnification. Cream paper left on a dark outline creates a pale halo in-game. Clean the edge manually where automatic selection clips hair, fingers, thin weapons, or distressed lettering.
If the paper itself is an intentional background for a picture, do not remove it just because transparent PNG is available. Transparency is a design decision and an asset requirement, not a quality badge.

6. Build the final canvas for the actual RPG Maker asset
Map characters: calculate from the documented cell
For the common MZ character convention, each frame occupies a 48×48-pixel cell. Four directions and three patterns produce twelve cells. If your sheet uses three columns and four rows, the resulting canvas is 144×192 pixels. Treat that as a worked example of the default arrangement, not a universal maximum: MZ allows other character sizes, and a different sheet type can use a different arrangement.
Place each frame on the same baseline and keep equivalent body parts at consistent coordinates. A one-pixel shift between walking patterns reads as a visible bob or jump. Use guides or a grid set to the cell size, paste each frame on its own layer while aligning, and only merge when you have checked all twelve positions.
Other image types: do not borrow the character grid
Portraits, pictures, title images, battle graphics, and tiles have different display contexts. Start from the official page for that category, note the required file format and layout, and then set the canvas. If the documentation permits flexible dimensions, choose a size that preserves the intended composition while staying practical for the project’s display resolution. Do not cut a portrait into 48-pixel cells or place a full illustration on a character sheet because both happen to be PNG files.
Account for transparent margins
A transparent canvas can be larger than the visible drawing when the engine expects a fixed cell or sheet. Keep the artwork’s anchor consistent rather than trimming every frame to a different bounding box. Conversely, for a freeform picture where the whole canvas is displayed, unnecessary transparent margins can make the image appear misplaced or smaller than expected. The target asset’s placement rules decide which approach is correct.

7. Export a game-ready PNG
RPG Maker MZ’s official help says, “All images must be in the PNG format.” Export the derivative as PNG when preparing an MZ image asset, and preserve the source master separately in its lossless format. Do not assume that changing a filename extension converts a JPEG or TIFF; use the editor’s actual export or save-as command.

Export checklist
- Set the canvas to the dimensions and layout required by the specific asset standard.
- Choose RGB or RGBA as appropriate; retain an alpha channel when transparency is required.
- Export as PNG with no indexed-palette conversion unless the target documentation and visual check support it.
- Use a filename that identifies the asset and its version, such as a character name and sheet role.
- Reopen the exported PNG as a new file. Confirm its pixel dimensions, transparency, color, and edge quality rather than trusting the export dialog.
8. Import and verify inside the project
Use the RPG Maker editor’s asset workflow or the project folder associated with the relevant image category, following that version’s naming and placement rules. A file can be technically valid yet appear wrong because it is in the wrong category, uses the wrong sheet convention, or is being displayed at an unexpected scale.
Test at game scale
- Preview the character walking in all four directions and inspect every pattern.
- Check that transparent edges do not show a paper-colored fringe against both light and dark map backgrounds.
- Place pictures at their intended screen position and confirm that transparent margins do not move the artwork off-center.
- Look for clipped borders, missing captions, or a crop that removed a deliberate bleed.
- Verify that the project still loads after importing the file and that no unrelated asset was overwritten.
Keep the source master and the edited working file outside the destructive export cycle. If the in-game preview reveals a one-pixel alignment problem, return to the working copy, correct it, and export a new derivative rather than editing the archival capture.
9. Troubleshoot common failures
The page is skewed or the spine is visible
Do not press harder on the lid. Recapture with safer support or a non-contact setup, then deskew the duplicate. A slight perspective or curved-page distortion is preferable to a damaged zine. If only a narrow gutter is affected, crop it while preserving the illustration’s intentional border.
The scan looks soft after resizing
Check whether the source was captured at enough detail for the crop and whether repeated resampling occurred. Return to the untouched source, make one clean crop, and perform one final resize. Sharpen gently after resizing, watching thin lines and halftone texture for halos.
A white or beige halo surrounds the art
The background-removal selection probably included paper-colored pixels around the ink. Zoom in, contract or clean the mask conservatively, and inspect against a contrasting background. Semi-transparent edge pixels can retain the page tint even when the center appears transparent.
The character animates incorrectly
Recheck the engine version, sheet type, cell size, row order, and column order. For the common MZ example, verify that each 48×48 frame occupies the expected position in the four-direction, three-pattern arrangement. A correct-looking image can still animate incorrectly if the rows and patterns are swapped.
The imported file is rejected
Confirm that the export really is PNG, that the file is not merely renamed, and that it is placed through the correct asset workflow. Then compare its canvas and sheet layout with the exact official standard for the project version and category.

- Target: version, asset category, display context, transparency decision.
- Handling: page supported safely, no forced flattening, scanner bed or alternate equipment suitable.
- Capture: color or grayscale chosen for the art, resolution selected for the crop and intended reuse.
- Source: untouched master saved, preferably in a lossless or preservation-oriented format.
- Edit: duplicate straightened, cropped, cleaned, and masked only as needed.
- Layout: final canvas and cell arrangement checked against the relevant official manual.
- Export: MZ image derivative saved as PNG, with alpha only when required.
- Verification: exported file reopened, dimensions inspected, and asset tested in the actual project.
The central discipline is separation: preserve what was captured, edit a copy, and make a deliberately sized derivative for one documented RPG Maker use. That approach protects the zine while leaving you free to prepare alternate crops or layouts later.
