When your boss adds another assignment, do not answer with a vague refusal or silently accept an impossible workload. Show the commitments already on your list, explain the capacity or deadline conflict, and ask which priority should change. A useful prompt is: “I can take this on; which current priority should I pause or move, and what deadline should I reset?” The decision about scope, sequencing, staffing or timing belongs with the manager.
What a work boundary means in this situation
A boundary is a clear statement about what can be completed within the agreed hours and what must change when new work arrives. It is not a demand that no one ever interrupt you, and it is not a promise to solve chronic understaffing by working indefinitely.
As an Amazon Associate I earn from qualifying purchases.
The Health and Safety Executive (HSE) treats workload, work patterns and the working environment as part of “demands.” Its standard says demands should be adequate and achievable in relation to agreed working hours. Acas identifies too many or conflicting demands, together with little control over work, as possible causes of work-related stress.

A boundary is therefore about trade-offs, not defiance. You are saying, in effect, “Here is what is already committed, here is what this request changes, and here is the decision needed.” That approach keeps the conversation about work rather than your personality or willingness.
Prepare a factual picture before you speak
List current commitments, not every activity you have ever done
Use a short list that a manager can review quickly. For each significant item, note:
- the deliverable or outcome;
- the agreed or expected deadline;
- the next milestone or dependency;
- the realistic time or attention it needs during your normal working hours;
- who is waiting for it or affected if it slips; and
- any work that cannot be paused safely, such as a fixed meeting, production window or regulatory step.
Keep estimates practical rather than presenting false precision. “Needs two focused mornings” is more useful than an optimistic number that excludes meetings, support requests and routine work. Include the ordinary duties that consume capacity, but do not bury the decision in a spreadsheet containing every minor email.
Check that your list reflects the hours you are actually expected to work, including agreed part-time hours, scheduled meetings and essential handovers. If a task depends on someone else’s approval or data, record that dependency. It explains why simply “working faster” may not solve the collision.
Show the capacity conflict
Compare the new request with the work already promised. You do not need a complicated productivity system. A simple note can show that three deliverables all require attention before Friday, while only two focused days remain after scheduled meetings and essential duties.
Separate facts from assumptions. Write “client review is booked for Thursday” rather than “the client will probably be unhappy.” If a deadline is unclear, mark it as a question to resolve. If quality or safety requirements set a minimum amount of work, state that plainly rather than presenting an unnecessarily perfect version as the only option.
Prepare two or three realistic routes. For example, you might be able to deliver a short decision brief by Wednesday, a full report by Friday, or the full report by Wednesday if another item moves. Options help the manager make a decision without suggesting that you have authority to change commitments unilaterally.
Keep a neutral assignment log when additions repeat
Record the date a task was assigned, the requested outcome, the deadline, and any trade-off discussed. This is preparation for an accurate workload conversation, not a threat or a legal evidence strategy. A neutral format helps you spot a pattern without attributing motives:
- Date: when the request arrived.
- Request: the deliverable in the manager’s words.
- Existing commitments affected: which item would move.
- Decision: what was paused, reassigned, reduced or rescheduled.
- Review: when the arrangement will be checked.
HSE warns that workload can “drift” as activities are gradually added. Reassess responsibilities when a new task, system, role or process is introduced instead of allowing each addition to become a permanent, invisible obligation. A log also lets you distinguish a short-term surge from a role that has effectively changed.
What to say when the new task arrives
Use an acceptance-plus-trade-off response
In your own words, say: “I can take this on; which current priority should I pause or move, and what deadline should I reset?” This acknowledges the request while making the conflict visible. It asks the person with authority to choose the order of work.

If you need more information, ask: “What outcome matters most here, and when does it need to be ready?” Then connect the answer to your list: “To deliver that by Tuesday, I would need to move the report currently due Monday.” If the request is genuinely urgent, ask what makes it urgent and which existing commitment is consequently less urgent.

Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →When the request arrives in a chat or hallway conversation, briefly acknowledge it and ask for a few minutes to check the current commitments. A prompt response is not the same as an instant promise. If you cannot get an immediate decision, state what you will continue doing and when you will return with the conflict clearly set out.
Offer the available levers
When appropriate, present the choices rather than trying to invent a solution alone:
- Which deliverable is most important?
- Can another task be reassigned?
- Can the new work be delivered in a smaller first phase?
- Can the deadline move?
- Is temporary help, training or another resource available?
A boundary is clearer when it names the consequence: “I can finish the incident review by Thursday, or the data-cleaning task by Thursday, but not both to the current standard.” Do not offer options you cannot actually deliver; credibility comes from realistic capacity, not from sounding accommodating.
Stay neutral and specific
Avoid statements that invite an argument about your attitude, such as “You keep dumping work on me.” Describe the observable problem instead: “Four items now have deadlines before Friday, and two require the same uninterrupted time.” You can be direct without diagnosing the manager’s intentions.
Use “I” statements about capacity and “we” language about the decision: “I can complete this within my agreed hours if we move the lower-priority review. Which order should we use?” This is firm without being accusatory.
Hold a proper workload conversation
If additions are frequent, request a scheduled conversation rather than negotiating every task in a rushed chat. Acas recommends a supportive discussion that uses open questions, listening, joint problem-solving and a written action plan. Send a short agenda so the meeting is about workload, priorities and support rather than a general complaint.
- Describe the change. Explain which new assignments have been added and over what period.
- Show the existing commitments. Bring the short list of deliverables, deadlines and realistic capacity.
- Name the conflict. State which deadlines or quality requirements cannot all be met within the agreed hours.
- Ask for a decision. Request a priority order and agreement on what will pause, move, shrink or be reassigned.
- Agree support and timing. Discuss resources, training, breaks, adjusted responsibilities or other help where relevant.
- Record the plan. Confirm the decisions, owners, dates and review date in the normal workplace channel.
Use open questions that make the manager engage with the trade-off: “Which outcome is critical this week?” “What can wait?” “Who else could own this?” and “When should we review whether the new arrangement is workable?” Listen for the answer, including constraints you may not have known, but return to the need for a clear order and date.
Set a review date even when the change is described as temporary. HSE advises revisiting proposed changes, and a date prevents a temporary workaround from becoming an unexamined permanent load.
Choose the boundary that matches the problem
The following options are practical decision routes, not experimentally ranked techniques. Choose the one that produces a clear decision in your workplace. Consider four questions: Does it create a priority decision? Can scope or timing change? Are resources or reassignment available? Do you feel safe raising it with this manager?

| Boundary option | Manager must decide | Useful when | Confirm afterward |
|---|---|---|---|
| Priority swap | Which existing task becomes lower priority | Everything cannot be completed in the same window | New order and the paused task’s next date |
| Deadline change | Which date can move and by how much | The scope is fixed but timing is flexible | Revised date and any dependencies |
| Scope reduction | What “good enough” or first phase means | A smaller deliverable can meet the immediate need | Included and excluded work |
| Reassignment | Who has the capacity and authority to take the work | Another person or team can reasonably own it | New owner, handover and deadline |
| Additional support | What resource, training or cover is available | The work is essential and cannot move | Resource, start date and review point |
If no option is discussed, ask again for a priority decision. Do not treat an unspoken expectation to work longer hours as an agreed plan. A planner can reveal the conflict, but it cannot authorize more staff, remove a dependency or change a deadline.
Confirm the decision without sounding confrontational
A short written note prevents different memories of the conversation. Follow your workplace’s normal practice; email may be appropriate in one team and a shared task system in another. Include only the decisions:
- “I will complete A by Wednesday.”
- “B moves to next Monday so I can deliver A.”
- “C is being reassigned to Jordan, with handover today.”
- “We will review the workload on 15 May.”
Invite correction: “Please let me know if I have captured the priorities differently.” This creates a useful record while keeping the focus on work, dates and ownership. If there is no reply and the deadline is approaching, send one concise follow-up asking which item should take precedence; do not silently assume that every original deadline still applies.

Ask for a role and priority review
Repeated additions may indicate that responsibilities have changed without the role being redefined. Bring the assignment log to a review and ask which activities are core, which are temporary and which should stop. HSE says clear roles and priorities help staff focus on key activities.
Request a recurring check-in if work changes weekly. A review date turns a one-time agreement into a mechanism for catching workload drift early. Ask whether a new system, process or customer requirement has permanently changed the role and, if so, what other responsibilities should be removed or resourced.
Do not compensate indefinitely with hidden overtime
If every new task is completed only by skipping breaks, working unpaid extra hours or sacrificing essential recovery, the apparent solution is masking the capacity problem. State the hours and conditions under which the agreed work can be completed. The manager must then decide what changes. If working hours or rest arrangements are governed by a contract or local rule, obtain advice appropriate to your location rather than guessing about your rights.
Recognise stress and seek support early
HSE defines work-related stress as “the adverse reaction people have to excessive pressures or other types of demand placed on them.” In an Acas article dated 1 April 2022, HSE reported that 822,000 UK workers experienced work-related stress, depression or anxiety in 2020–2021. That is a historical UK figure, not a current estimate.

HSE says employers must assess work-related risks and act to protect workers. Acas suggests discussing causes and possible support, including help prioritising workload.
Support does not have to mean leaving your team immediately. It can involve a manager, another line manager, a colleague, a trade-union or worker representative, HR, a mental-health champion, an employee-assistance or counselling service, a trained first aider or a GP, depending on what exists in your workplace. Ask what confidentiality and follow-up those channels provide before sharing sensitive details.
If you do not feel safe raising it with your manager
HSE specifically points to alternative contacts when pressure is caused by the line manager. Choose a route that fits your workplace policy and your sense of safety: HR, a union or worker representative, another manager, an employee-support service, counselling or a GP.

This advice does not resolve situations involving bullying, retaliation, discrimination or threats. If those behaviours are present, use the relevant workplace policy and obtain advice from an appropriate local employment adviser or representative. The guidance cited here is from Great Britain; employment rights and reporting routes differ elsewhere. Do not put yourself at additional risk by confronting someone alone if you fear retaliation.
Discuss adjustments when stress or disability affects work
Acas notes that an employer must make reasonable adjustments where someone is disabled. It also recommends discussing adjustments that may help a worker experiencing stress even when disability is not established. Possible examples include flexible hours, different responsibilities, additional breaks, workload prioritisation or training.
Ask for the adjustment in functional terms: “A protected block for the highest-priority work would help me meet the deadline,” or “I need the competing requests routed through one priority review.” Agree how the arrangement will be reviewed and what information the manager needs. An adjustment should be specific enough that both sides know what will happen, who will implement it and when it will be reconsidered.
Examples of boundary language
When two deadlines collide
“The launch checklist and the audit response are both due Thursday. I can complete one to the current standard by then. Which should take priority, and what date should we set for the other?”
When the scope is unclear
“I can start this today. Do you need a complete report or a two-page decision brief for this meeting? The smaller brief would let me keep Friday’s client deliverable on schedule.”
Recommended Free Tools
When reassignment may solve the problem
“The new request needs daily follow-up while I am finishing the migration. Is there someone who can own the follow-up, or should we move the migration date?”
When priorities change repeatedly
“The order has changed three times this week. Could we agree the top two outcomes for the week and a short review point before new work is added?”
When everything is called urgent
“I understand these are all important. I have capacity to complete two by Friday. Which two have the greatest business or customer impact, and what should happen to the others?”
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Common mistakes that weaken a boundary
- Only saying no. A refusal without the capacity facts leaves the conflict unresolved.
- Accepting everything verbally. The manager may reasonably believe all deadlines still stand.
- Using an overlong task inventory. Include the commitments that affect the decision, not every minor activity.
- Waiting until the deadline is missed. Raise the collision as soon as you can see it.
- Turning the conversation into a motive dispute. Keep the first discussion on deliverables, dates, ownership and support.
- Assuming a planner can fix the problem. Organisation can reveal the conflict; only a management decision can change priorities, scope, resources or timing.
- Offering an unrealistic compromise. A promise that ignores meetings, dependencies or agreed hours simply postpones the same conflict.
- Failing to revisit a temporary change. Without a review date, extra duties can become permanent workload drift.
When a boundary has worked
You should leave the conversation knowing what is most important, what will change, who owns each item and when the arrangement will be reviewed. If those points remain unclear, send a concise follow-up question instead of silently guessing. The purpose of the boundary is not to win an argument; it is to make the workload achievable within agreed hours and to ensure that changing demands trigger an explicit decision.

Frequently asked questions
What if my boss says every task is a priority?
Acknowledge the importance, then ask for an order based on impact, deadline or risk. State the number of items you can complete within the agreed hours and ask which should come first. If no order is provided, summarize the unresolved conflict in writing and ask for a decision by a specific point.

Should I keep a record of every new request?
Keep a neutral log when additions repeat or change deadlines. Record the request, date, affected commitment and agreed trade-off. The purpose is to make workload drift visible and support an accurate conversation, not to assign motives or threaten legal action.
What if the manager refuses to move anything?
Repeat the concrete capacity limit: explain which deliverables cannot all be completed to the required standard within the agreed hours. Ask whether scope, resources or ownership can change. If the conflict remains and you feel unsafe or stressed, use another line manager, HR, a worker representative, union, support service or other route available under workplace policy.
Can I ask for help even if I am not disabled?
Yes. Acas recommends discussing adjustments that may help workers experiencing stress even when disability is not established. Examples include flexible hours, different responsibilities, breaks, workload prioritisation or training. Agree the practical arrangement and a review date.
Is this advice legal advice?
No. The guidance summarized here is from Great Britain and does not decide an individual’s employment rights. For bullying, retaliation, discrimination, threats, disability-related rights or contractual working-time questions, consult an appropriate local employment adviser, union or representative.
What if I cannot speak to my boss at all?
Choose an alternative contact that fits your workplace and safety needs. HSE and Acas identify another manager, colleague, trade-union or worker representative, HR, a mental-health champion, an employee-assistance or counselling service, a trained first aider or a GP as possible routes.
Frequently Asked Questions
What should I say when my boss adds another task?
Say that you can take it on, then ask which current priority should pause or move and what deadline should reset. Connect the request to concrete commitments and agreed hours.
How do I prove my workload is too high?
Use a short, neutral list of deliverables, deadlines, dependencies and realistic capacity. When additions repeat, log the request, affected work, decision and review date so workload drift is visible.

Yes. Acas recommends discussing helpful adjustments such as flexible hours, different responsibilities, breaks, workload prioritisation or training even when disability is not established.
Who can I contact if my manager is the source of the pressure?
Depending on your workplace, consider another manager, HR, a trade union or worker representative, an employee-assistance or counselling service, a mental-health champion, a trained first aider or a GP.
The Bottom Line
Make your current commitments and capacity visible, ask your manager to choose the trade-off, confirm the decision and set a review date. If the workload remains unachievable or raising it feels unsafe, use an alternative support or workplace-policy route rather than relying on hidden overtime.
