In your authoritative DNS control panel, create an MX record whose host/name is @ (or blank) for the root domain, or the relevant label such as support for a subdomain. Paste the email provider’s exact mail-server hostname as the target, enter its specified priority, save, and verify the public MX response. An MX target must be a hostname, not an IP address.

What an MX hostname does
Mail exchange (MX) DNS records tell sending mail servers where to deliver messages for a domain. When someone sends mail to [email protected], the sending system looks up the MX records for example.com, orders the returned records by preference, and then connects to the selected mail host using SMTP. The record contains two essential values: a numeric preference and the hostname of a server willing to receive mail.

It is not the address of your website and it is not an IPv4 or IPv6 address. DNS resolves the MX hostname to addresses later, when the sending server makes its connection.
Which DNS panel should you use?
Edit the zone at the provider whose nameservers are authoritative for your domain. That may be the registrar where you bought the domain, a managed DNS service, or a hosting company. The company that bills you for the domain is not necessarily the company hosting DNS.

Identify the authoritative provider
- Look up the domain’s nameserver (NS) records and note which provider operates them.
- Sign in to that provider, open the domain or DNS zone, and select the page named DNS records, Zone editor, or similar.
- If the panel contains no editable zone, you are probably viewing a non-authoritative service. Make the change where the delegated nameservers point instead.
Changes made in an old registrar panel have no effect when the domain uses nameservers at another DNS host. This is the most common reason a correctly typed MX record appears not to work.
Collect the provider’s exact values first
Before adding anything, open the receiving email service’s current setup instructions. Record the target hostname, priority (also called preference), and any TTL recommendation. Providers can use different values and can change them over time, so do not reuse a hostname from an old guide or invent one based on the provider’s brand.
- Target: the complete mail-server hostname, copied exactly.
- Priority: a number supplied by the provider. Lower numbers are preferred when several MX records exist.
- TTL: the cache lifetime. Use the provider’s stated value or the DNS panel’s default when the instructions allow it.
- Mailbox status: create users, aliases, and mailboxes before switching an existing domain to a new service.
Keep a copy of the current MX records before editing. You may need them to restore service or to complete a staged migration.
How to add the MX record
- Open the authoritative DNS zone. Choose the domain and start a new record. Do not edit an A, AAAA, CNAME, TXT, or SRV record for this task.
- Select record type MX. The form may call the fields Name, Host, Alias, Value, Target, or Answer.
- Set the host/name. For mail addressed to the root domain, enter
@or leave the field blank, according to that interface. Forsupport.example.com, enter onlysupport; do not type the entire domain unless the panel explicitly requires a fully qualified name. - Paste the target hostname. Use the provider’s value exactly, including any required trailing dot. Do not replace it with an IP address, a website hostname, or a CNAME alias.
- Enter the priority. Use the provider’s number. If the provider lists several MX records, add each one with its corresponding value rather than assigning your own order.
- Set TTL. Choose the documented TTL or retain the registrar’s default where permitted. A shorter TTL can make a planned change easier to reverse, but cached answers will still remain until their previous TTL expires.
- Save the record. Check that the panel did not append the domain twice, remove a required final dot, or silently convert the target to another record type.
- Verify publicly. Query the domain’s MX records from outside the control panel and compare the returned hostname and priority with the provider’s instructions. Send an inbound test message after the record is visible.
What belongs in the hostname field?
| Mail address being served | Host/Name field | Target field | Meaning |
|---|---|---|---|
[email protected] |
@ or blank |
Provider-supplied mail hostname | Applies to the zone apex, example.com. |
[email protected] |
support |
Provider-supplied mail hostname | Applies only to the support subdomain. |
[email protected] |
mail |
Provider-supplied mail hostname | Creates a separate mail domain under the parent zone. |
Some interfaces display the fully qualified result after you type a short label. If you enter support and the panel shows support.example.com, that is expected. If it turns support.example.com into support.example.com.example.com, remove the repeated suffix or use the panel’s fully qualified-name option.

Illustrative provider configurations
The values below reflect the documented examples in the provider guidance and are not universal defaults. Always check the current instructions for your tenant, region, and edition.
| Service | Host/name for root domain | Target example | Priority | TTL guidance |
|---|---|---|---|---|
| Google Workspace | Blank or @ |
smtp.google.com |
1 |
Registrar default is accepted in the current instructions. |
| Microsoft 365 / Exchange Online | @ |
Provider-supplied tenant target | Typically 0 |
Microsoft documents 3600 seconds; values below six hours are supported. |
| Amazon SES receiving | Often the domain, such as example.com. |
SES endpoint supplied for your setup | Use the value in the SES procedure | Follow the DNS provider’s field and TTL guidance. |
Google Workspace
In the registrar’s DNS settings, remove obsolete MX records when the domain is being moved, then add the single record shown in the current Workspace instructions. Use a blank name or @ for the apex. For a subdomain, enter that subdomain label instead. The target currently documented for this configuration is smtp.google.com with priority 1.
Microsoft 365 and Exchange Online
Microsoft commonly documents @ as the host, a tenant-specific target, priority 0, and a 3,600-second TTL. Copy the tenant target exactly; it is not interchangeable with a generic Microsoft hostname. Exchange Online supports TTL values below six hours, but your DNS provider may offer only preset choices.
Amazon SES receiving
AWS describes the generic operation as adding an MX record at your DNS provider. Depending on the interface, the name field may be labeled Host, Domain, or Mail Domain. An example name is example.com.; use the endpoint and preference supplied for your SES receiving setup.

Priority and multiple MX records
When DNS returns more than one MX record, the sending server normally tries the lowest numeric preference first. A record with priority 0 is preferred over one with 10; it does not mean “disabled.” Equal preferences allow a sender to choose among those hosts, often for distribution or resilience.
| Situation | Safer configuration | Reason |
|---|---|---|
| One provider, new domain | Use exactly the provider’s listed record or records. | Extra records can send mail to an unintended host. |
| Moving from an old provider | Provision the new mailboxes, then remove the old record or give it a deliberately lower delivery priority during the transition. | Equal or accidental priorities can split delivery. |
| Provider supplies several hosts | Publish every supplied hostname with its specified preference. | The provider’s redundancy design depends on those values. |
| Temporary fallback | Keep a fallback only when both providers explicitly support the arrangement. | An arbitrary backup can accept or reject mail without synchronizing the mailbox. |
Do not leave old records with equal priority merely because they are still visible in the panel. During a migration, inbound messages can continue arriving at the old service, making mail appear to disappear from the new mailbox.
Migration sequence that avoids lost mail
- Prepare the destination. Create every user, alias, group, and mailbox at the new provider. Confirm that users can sign in and that storage and licensing are ready.
- Lower TTL ahead of time when possible. Do this before the cutover, not after it. Existing caches continue using the earlier TTL.
- Record the old DNS values. Save the exact hostnames and priorities so you can restore them if necessary.
- Publish the new MX set. Follow the destination provider’s host, target, preference, and TTL instructions.
- Remove or deprioritize the old MX records. Do not leave competing records at an unintended equal or better priority.
- Verify from independent resolvers. Check that public DNS returns only the intended set, then send messages from more than one external account.
- Monitor both services during the cache window. Old resolvers may continue using the previous answer until its TTL expires. Retrieve or forward any messages that arrive at the former provider.
- Restore normal TTL. After delivery is stable, return to the provider’s recommended cache lifetime.
How to verify an MX record
Check the public DNS answer
Use an MX lookup service or a DNS command from a network outside your DNS provider’s management interface. Query the exact domain that receives mail, such as example.com or support.example.com. Confirm the response contains the expected target hostname and preference, and that the target itself resolves to addresses.
A control panel’s “saved” status proves only that the record was accepted locally. A public query proves that authoritative DNS is serving it. Third-party MX lookup tools are particularly useful when troubleshooting because they expose what external resolvers can see.

Send a real inbound test
Send a message from an unrelated mail service to a newly provisioned mailbox. Check the receiving mailbox, spam folder, and the sending service’s delivery result. A successful DNS lookup does not guarantee that the destination accepts the message; the provider may still require domain verification, mailbox creation, or additional anti-abuse settings.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Why an MX record is not working
| Symptom | Likely cause | Fix |
|---|---|---|
| The lookup shows no new record. | You edited a non-authoritative DNS panel, or caches still contain the previous answer. | Confirm the delegated nameservers, edit that provider, and check again after the configured TTL. |
| The target is an IP address. | The value was entered in an A-record style. | Replace it with the provider’s hostname. MX data requires a preference plus a host name. |
| The hostname appears doubled. | The panel automatically appends the zone name to an already fully qualified value. | Use the interface’s documented format: either a short label or a fully qualified name, not both. |
| Mail still arrives at the old service. | An old MX record remains active or has an equal/better preference. | Remove it or assign the provider-approved lower delivery priority after confirming destination mailboxes exist. |
| Mail fails after adding a CNAME. | The MX target is an alias or is being proxied. | Use the provider’s direct hostname. MX records should be DNS-only, and the target must resolve as a DNS name. |
| Some senders succeed while others fail. | Different resolvers have cached different MX answers during propagation. | Compare results from several public resolvers, wait through the previous TTL, and keep the MX set consistent. |
| DNS looks correct but delivery is rejected. | The mailbox, domain verification, or provider-side receiving setup is incomplete. | Complete the provider’s onboarding steps and inspect the SMTP rejection message. |
Important DNS details
Trailing dots
A final dot marks a fully qualified DNS name, for example smtp.google.com.. Some panels add or hide that dot automatically; others expect you to retain it. Follow the provider’s and panel’s format. The important point is preventing an unintended suffix from being appended.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →MX targets cannot be IP addresses
SMTP clients first obtain the MX hostname and then perform address lookups. Entering 192.0.2.10 or an IPv6 literal in an MX value violates the record’s data model. If you control the mail server, publish an A or AAAA record for its hostname and use that hostname in MX.
Do not proxy mail through a web setting
Web acceleration or HTTP proxy modes do not apply to SMTP. The MX target must remain DNS-only and must resolve directly. A web proxy can make a website work while leaving mail delivery broken.

TTL and propagation
DNS is cached by recursive resolvers. A newly saved record may be visible at the authoritative server before every sender sees it. Check the configured TTL and the previous record’s TTL, then allow those caches to age out. No universal propagation-time number applies to every resolver or domain.
MX is only one part of email authentication
MX directs inbound delivery. It does not publish SPF, DKIM, or DMARC policy, and it does not prove that a provider is authorized to send mail. Follow the email provider’s separate DNS instructions for those records after inbound routing is working.
What’s actually slowing this PC down?

Final setup checklist
- The domain’s authoritative nameservers and editable DNS provider are confirmed.
- The provider’s current target hostname, preference, and TTL instructions are available.
- The host/name is
@or blank for the apex, or only the intended label for a subdomain. - The MX target is a hostname, not an IP address, CNAME, or proxied value.
- Every obsolete or competing MX record has been removed or deliberately reprioritized.
- Destination mailboxes and aliases were provisioned before cutover.
- A public MX lookup returns the expected records and priorities.
- An external test message reaches the intended mailbox.
Once those checks pass, the hostname portion of the MX setup is complete. Keep monitoring delivery through the old TTL window, then finish any separate SPF, DKIM, and DMARC work required by your email provider.
