How to Show Your Working Hours to Colleagues in Outlook

Set your schedule in Outlook’s calendar work-hours settings. In Outlook on the web or new Outlook, open Calendar → Settings → Calendar → View; in newer builds, choose Work hours and location. Select your working days, enter start and end times, confirm the meeting-hours time zone, and save. Colleagues can then see those hours on your Microsoft profile card and when they check your availability in Outlook or Teams. Profile-card changes can take up to 12 hours to appear.

Set working hours in Outlook on the web or new Outlook

The web interface and new Outlook use the same current work-hours experience for eligible Microsoft 365 work or school accounts. Your settings describe your normal recurring schedule; they are not individual calendar appointments.

  1. Open Calendar. Sign in to Outlook and select Calendar from the app navigation.
  2. Open calendar settings. Select the gear icon, then choose Calendar and View. In newer builds, the section may be labeled Work hours and location.
  3. Choose your working days. Select every day on which you normally work. If the interface offers separate daily controls, configure each day rather than relying on one weekly range.
  4. Enter start and end times. Set the beginning and end of your normal work period for each selected day. Where daily schedules are available, use the actual hours for that day.
  5. Confirm the meeting-hours time zone. Check the time-zone setting in the calendar view. This is the zone Outlook uses when interpreting your work schedule for meetings.
  6. Save the change. Calendar views can use the new hours immediately, while profile-card information may take longer to propagate.

Outlook uses these values in scheduling suggestions. Non-working hours are displayed in a darker shade in calendar views, and Scheduling Assistant considers each attendee’s configured work times when suggesting meeting slots.

When your week is not the same every day

Some versions let you assign different start and end times by day. Use those daily fields for compressed Fridays, rotating shifts, or any other recurring variation. If your build provides only a single recurring range, set the closest normal pattern and use calendar events or free/busy status for exceptions.

Work location is a separate setting

Newer Outlook versions may group hours with Work hours and location. Location information and work hours can appear together on your profile card, but changing a location does not replace the start and end times. Verify both when you update the section.

Configure or verify hours in classic Outlook for Windows

Classic Outlook can display colleagues’ work hours and location, but the editing controls depend on the Outlook build and the account configuration. Open the calendar options for work time and work week, select the appropriate days, and set the start and end times available in your version.

Before closing the options, verify the account’s meeting-hours time zone. A correct clock on your computer does not guarantee that the calendar’s meeting-hours zone is correct. If your organization is moving from classic Outlook to new Outlook, compare the hours in both clients and treat the web or new Outlook Work hours and location page as the current documented experience.

Where colleagues see your working hours

Microsoft profile card

People in your organization, including guest accounts, can open your Microsoft profile card to see online status, the next available time to meet, work hours, local time, and work location. The work-hours field is based on the hours stored in Outlook.

The card presents those hours in the viewer’s time zone. If your schedule contains separate intervals, the card can show the interval that is currently relevant; when there is a gap between intervals, it can show the next interval instead. This makes the card useful for a quick “when can I reach this person?” check, but it does not turn your schedule into a booking.

Scheduling Assistant and free/busy views

When a colleague creates a meeting and opens Scheduling Assistant, Outlook uses each attendee’s work hours alongside free/busy information to suggest sensible times. The darker non-working shading in calendar views also helps identify hours outside your normal schedule.

Work hours describe your usual timetable. They do not, by themselves, block a meeting, mark a period as busy, or reserve time. A calendar event and its free/busy status still determine whether a particular slot is booked. If you need to prevent scheduling, create an event or use the organization’s normal availability controls.

Teams and other Microsoft profile surfaces

Because the hours are attached to your Microsoft profile, colleagues may encounter them from Outlook or Teams when viewing your profile information. The same saved Outlook schedule is the source; changing a display in one application does not create a second independent work-hours calendar.

Time-zone behavior: why another person may see different hours

Work hours have an associated meeting-hours time zone. Outlook converts the schedule for the person viewing your profile card, so a colleague in another zone can see different clock times even though your underlying working period has not changed.

To check the source zone in Outlook on the web, open Calendar → Settings → Calendar → View → Time zones and inspect the meeting-hours time zone. Correct this setting if you moved, if your account was provisioned with the wrong zone, or if colleagues consistently see a shift that does not match your normal hours.

Changing only your device’s local time-zone setting may not fix the problem. The calendar’s meeting-hours zone is the value that controls how Outlook interprets and displays the schedule for meetings and profile information.

How long updates take

Calendar settings and scheduling calculations can reflect a saved change promptly, but Microsoft says profile-card changes can take up to 12 hours to appear. That delay affects what a colleague sees on the card; it does not mean the values failed to save.

After saving, reopen your own calendar to confirm the days and times. Ask a colleague to refresh your profile card, then allow the full 12-hour propagation window before treating an unchanged card as an error. Scheduling Assistant is a useful interim check because it evaluates work hours in the meeting-planning view.

Troubleshoot incorrect or missing hours

  1. Check account eligibility. The documented Work hours and location experience applies to eligible Microsoft 365 work or school accounts. A personal or differently configured account may not expose the same controls.
  2. Recheck the selected days. A missing weekday or an accidentally selected non-working day changes what Scheduling Assistant considers normal availability.
  3. Review every start and end time. If your build supports daily schedules, inspect each day individually rather than assuming one edit changed the entire week.
  4. Inspect the meeting-hours time zone. In Outlook on the web, use Calendar → Settings → Calendar → View → Time zones. Correct the calendar zone, not only the computer’s clock.
  5. Save and verify in your calendar. Confirm the darker non-working shading and the hours shown in your own calendar before asking someone else to check.
  6. Refresh the colleague’s profile card. Have the viewer reopen or refresh your card, then allow up to 12 hours for Microsoft’s profile information to propagate.
  7. Use Scheduling Assistant as a cross-check. Create a draft meeting and inspect how Outlook interprets your work hours alongside free/busy status. Remember that a work-hours label does not block a meeting.
  8. Compare clients if necessary. If classic Outlook and the web client disagree, verify the account and time-zone settings in the web or new Outlook experience, where the current documented controls are located.

Technical note for administrators and developers

Microsoft Graph represents working hours with daysOfWeek, startTime, endTime, and timeZone. Those fields describe the conceptual schedule used by Microsoft services.

Microsoft also documents that the work-hours experience in new Outlook and Outlook on the web is not currently supported through that specific Graph resource. An integration that reads or writes Graph working-hours data should therefore not assume it mirrors every control or behavior in the current Outlook interface. Validate the result in the client your colleagues actually use.

Practical rules for a reliable schedule

  • Use recurring work hours for your normal pattern and calendar events for holidays, appointments, and one-off changes.
  • Set the meeting-hours time zone deliberately, especially when your team spans countries or when you relocate.
  • Use daily fields for recurring differences between weekdays when your Outlook build provides them.
  • Tell colleagues that the profile card is informational; a calendar event remains the authoritative indication that a specific slot is busy.
  • After an edit, verify both your own calendar and a profile-card view, allowing the documented propagation period for the latter.
