How to Use Copilot in PowerPoint: Create, Edit, Summarize, and Fix Common Problems

To use Copilot in PowerPoint, open a presentation, select the Copilot button, describe what you need in ordinary language (or reference an eligible file), then review and edit the draft. Copilot can build a presentation, add an individual slide, rewrite text, summarize a deck, answer questions about an image, and help with accessibility. It produces a starting point—not a finished presentation—so you remain responsible for factual accuracy, structure, citations, visuals, and speaker notes.

What Copilot in PowerPoint can do

Copilot is an assistant inside PowerPoint. In the Copilot pane you can ask it to create a deck from a description, create slides from a permitted Word or PDF file, insert a new slide into an existing deck, rewrite selected text, summarize a presentation, or answer a question about a pasted image or screenshot. The exact controls you see depend on your Microsoft 365 subscription, account type, PowerPoint version, platform, organization policy, privacy settings, and the current feature rollout.

As an Amazon Associate I earn from qualifying purchases.

  • Drafting: Generate an outline and then a set of slides from a topic, audience, purpose, tone, and constraints.
  • File-grounded creation: Use a Word document, and in supported work accounts a PDF or encrypted file, as source material for a draft.
  • Slide insertion: Ask for one new slide in an existing presentation, optionally grounded in a particular file section.
  • Editing: Rewrite selected textbox content, condense it, make it more professional, or turn it into a list.
  • Summaries: Request a concise overview, key slides, or action items from a presentation.
  • Visual and accessibility help: Ask about a pasted image or screenshot and use documented keyboard access to operate the pane with a screen reader.

Copilot can also use a well-built template, representative sample slides, layouts, and Brand Kit information to guide visual and structural choices. Those inputs improve consistency; they do not guarantee that every generated slide follows your brand rules.

Check access before you look for the button

Copilot in PowerPoint requires an eligible Copilot license, a supported PowerPoint installation, an internet connection, and an account that is allowed to use the feature. A work account can be subject to administrator controls, regional availability, privacy settings, and staged rollouts. Home and work offerings do not expose exactly the same file-reference options.

Setup or workflow What the documentation establishes What can vary
Copilot Pro for home Supports creation grounded in one Word file. Subscription status, app version, and rollout stage can change which controls appear.
Microsoft Copilot for work Microsoft’s FAQ says supported accounts can use Word files and also PDF and encrypted files for file-grounded creation. Administrator settings, region, permissions, and organization privacy policies.
PowerPoint files Copilot works with PowerPoint files in .ppt and .pptx formats. Features may be enabled at different times in desktop and web apps.
Presentation-length summary Copilot can currently summarize presentations up to approximately 40,000 words. Very large or complex decks may still need to be summarized in sections.

If the button is missing, greyed out, or different from the instructions below, treat that as an availability issue first rather than a prompting problem.

Create a presentation from a prompt

This workflow is best when you have a subject and an intended audience but no finished slide outline. Start with enough context that Copilot can make decisions deliberately.

  1. Open PowerPoint and start a new presentation. You can also open an existing deck if you want Copilot to work inside it.
  2. In the slide area, select the Copilot icon. If the icon is not visible, use the troubleshooting section below before continuing.
  3. Enter a description that states the topic, audience, purpose, desired structure, tone, length, and constraints. Include facts that must appear and content that must be avoided.
  4. Submit the prompt. Copilot may ask clarifying questions or show an outline before it creates slides.
  5. Review the outline. Give follow-up instructions to change the order, remove a section, add a section, alter the level of detail, or tailor the language to your audience.
  6. Ask Copilot to generate the slides after the outline is suitable.
  7. Inspect every slide, then edit wording, data, images, layouts, citations, and speaker notes before presenting.

A prompt that gives Copilot useful boundaries

Vague requests such as “make a presentation about renewable energy” leave important decisions to the model. A more useful request identifies the people in the room and the job the deck must do:

Create a 10-slide presentation for city-council members deciding whether to fund a two-year home-insulation pilot. Explain the problem, proposed program, eligibility, timeline, budget categories, risks, measurement plan, and decision requested. Use plain language, one main idea per slide, a neutral and professional tone, and no claims that are not supported by the source material. Include concise speaker notes and suggest a simple chart where a number comparison would help.

After Copilot returns an outline, refine one variable at a time. For example, ask it to “combine the two background slides,” “move risks before the budget,” or “rewrite for a nontechnical audience.” Clear follow-up instructions are easier to evaluate than a completely new request that changes every requirement at once.

Adjusting length, tone, style, and images

Microsoft is rolling out controls for adjusting presentation length, tone, presentation style, and image preferences to Frontier and Microsoft 365 Insiders before making them available to all Copilot subscribers. Your account may therefore show these controls, show only some of them, or not show them yet. When they are available, use them as constraints and still inspect the result: a shorter setting can remove essential context, while an image preference can produce visuals that need licensing, accessibility, or factual review.

Create slides from a Word or PDF file

File-grounded creation is useful when the authoritative material already exists in a report, brief, or policy document. Copilot can build a draft with images and speaker notes, but it does not turn the source file into a verified presentation automatically.

  1. Open PowerPoint and select the Copilot button.
  2. In the compose box, choose the file-reference control, often labeled Reference a file, or type / to open the file picker.
  3. Select the eligible Word document. Copilot Pro for home supports one Word file; Microsoft’s work FAQ also lists PDF and encrypted-file support for supported work accounts.
  4. State what the deck must accomplish. Specify the audience, approximate slide count, sections to cover, tone, and any required conclusion.
  5. Submit the request and wait for Copilot to produce an outline or draft.
  6. Check that the generated slides represent the source accurately. Add, remove, and reorder slides; verify numbers, names, dates, quotations, and conclusions against the original file.
  7. Replace unsuitable images, adjust layouts, and edit speaker notes before sharing the deck.

For better results, point Copilot to a specific section or topic in the source instead of asking it to treat a long document as one undifferentiated block. For example: “Create three slides from the section titled ‘Implementation risks’; include the mitigation table and identify any unresolved assumptions.”

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Add one slide to an existing presentation

You do not need to regenerate an entire deck to fill a gap. Open the target presentation, select Copilot, and describe the missing slide, its position, and the evidence it should use.

  1. Open the presentation and navigate to the location where the new slide belongs.
  2. Select Copilot and describe the slide. Mention the preceding and following slides so the new material fits the narrative.
  3. For a file-grounded slide, select Reference a file or type /, choose the source, and identify the relevant section or topic.
  4. Submit the request and inspect the proposed title, body, visual, and speaker notes.
  5. Edit the slide so its terminology, design, level of detail, and evidence match the surrounding deck.

A focused instruction is more reliable than “add another slide.” Try: “Insert a comparison slide after ‘Current process.’ Use the source section ‘Options and trade-offs,’ show three options in a table, and end with the decision criterion rather than a recommendation.”

Rewrite text on a slide

Use rewriting when the structure is sound but a textbox is too long, too informal, or difficult to scan.

  1. Select the textbox you want to change.
  2. Select the pen button associated with the text.
  3. Choose one of the available actions: Custom prompt, Auto-rewrite, Condense, Make professional, or Visualize as a list.
  4. Read the proposed wording in context. Check that qualifiers, units, names, and technical meanings survived the rewrite.
  5. Select Keep it to accept the proposal, or choose Regenerate and provide more specific instructions.

“Condense” is not the same as “make accurate.” A shorter sentence can hide a limitation or change the strength of a claim. For important statements, compare the revised text with the source and preserve necessary conditions.

Summarize a PowerPoint presentation

To request a summary, select Copilot and enter the exact command “Summarize this presentation.” Microsoft says the current limit is approximately 40,000 words per presentation. Copilot can also respond to follow-up prompts such as “Show key slides” and “Show action items.”

  1. Open the deck you want to understand.
  2. Select the Copilot button.
  3. Enter Summarize this presentation and submit it.
  4. Read the summary and use follow-up prompts to request key slides or action items.
  5. Use Copilot’s references to see where it pulled information from in the presentation, then open those slides when a point matters.

A summary is a navigation aid, not a substitute for reading a decision-critical deck. Verify the original slide whenever the summary affects a commitment, deadline, budget, safety statement, or other consequential decision.

Ask about an image or screenshot

You can paste an image or screenshot into the Copilot prompt and ask a question about what it shows. This is useful for extracting visible text, describing a chart, or identifying what needs clarification before you place the image in a deck. Treat the answer as an interpretation: check small labels, legends, axes, and numbers yourself, and do not assume that an inferred trend is present in the source image.

Use Copilot with templates and brand guidance

A template gives Copilot more than a color palette. Representative sample slides, sensible layouts, and consistent placeholder structure show how your organization expects titles, charts, images, and supporting text to be arranged. A poorly structured template can guide Copilot toward poor structure just as efficiently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Provide sample slides that demonstrate the layouts you actually want people to use.
  • Keep title, body, chart, image, and notes placeholders clearly labeled and consistently placed.
  • Remove obsolete layouts and sample text that could be mistaken for current content.
  • Use Brand Kit assets for brand voice, tone, style, and imagery when your account supports them.
  • Check generated colors, contrast, logos, and image choices against your organization’s rules.

Templates can be used on any platform, but Microsoft says they must be created in PowerPoint for Windows or Mac rather than PowerPoint for the web. If a web user cannot create or modify the required template, have an authorized desktop user prepare it first.

Accessibility and keyboard use

Screen-reader users can open the Copilot pane with Alt+H, FX. Microsoft documents keyboard navigation for creating presentations, adding slides or pictures, and summarizing decks. Once the pane is open, use the documented controls and your screen reader’s reading commands to move through prompts and results.

Accessibility review still belongs in the editing pass. Check reading order, meaningful slide titles, alternative text for informative images, color contrast, chart labels, captioning or transcript needs, and whether the amount of text is usable when read aloud. Copilot can help draft content, but it cannot know every accommodation required by your audience.

Optional model selection for eligible work accounts

Some eligible commercial subscriptions show an editing-model switcher with Auto, ChatGPT, or Claude. Availability depends on region and subscription. An enterprise administrator may need to enable Anthropic as a sub-processor before Claude appears. The selected model applies only to the active session, so changing it does not establish a permanent default for every presentation or user.

Why the Copilot button is missing or disabled

Work through these checks in order:

  1. Confirm the license. Sign in with the account that owns the eligible Copilot subscription. A personal account and a work account can expose different capabilities.
  2. Check the app and file. Make sure you are using a current PowerPoint installation and a supported .ppt or .pptx presentation.
  3. Check connectivity. Copilot requires an internet connection. A disconnected or restricted session can hide or disable cloud features.
  4. Check organization policy. In a work environment, an administrator may restrict Copilot, file access, model options, or data handling.
  5. Check privacy settings. Account privacy controls can affect whether connected experiences are available.
  6. Consider rollout timing. New controls, including length, tone, style, and image preferences, may not have reached your account yet.
  7. Try the correct platform. Template creation requires PowerPoint for Windows or Mac; a web-only workflow cannot create that template.

If the button remains absent after these checks, contact your organization’s Microsoft 365 administrator or subscription support team with your account type, PowerPoint version, platform, and the exact symptom. Those details distinguish a licensing problem from a staged-feature or policy issue.

Review every Copilot-generated slide before presenting

Use a deliberate review rather than accepting the first draft:

  • Compare factual claims, figures, dates, quotations, and terminology with the source material.
  • Check that the outline answers the audience’s real decision or learning goal.
  • Remove duplicate ideas and slides that do not advance the narrative.
  • Make titles communicate the point of each slide, not merely its subject.
  • Inspect charts for correct axes, units, labels, totals, and implied comparisons.
  • Replace generic or unsuitable images and confirm that visuals are appropriate for the audience and permitted for use.
  • Read speaker notes aloud to test timing, transitions, and unsupported assertions.
  • Check layout consistency, text size, contrast, reading order, and alternative text.
  • Run the finished presentation in Slide Show view and inspect animations, cropping, links, and presenter notes.

Microsoft’s guidance is explicit: review the draft Copilot created. The practical rule is simple—use Copilot to accelerate outlining and editing, then apply human judgment to everything that will be shown, said, or decided.
