Before recording, check workplace policy and the rules that apply where you work: a training walkthrough, employee monitoring, and a meeting recording raise different privacy and legal issues.
Decide whether a recording is necessary
Write down what the recording needs to accomplish: for example, showing a colleague how to complete a task, documenting a software process, or creating training material. Then ask whether notes, a still screenshot, a live demonstration, or an existing guide would meet the same need with less capture.
This distinction matters especially if an employer is recording workers’ activity. The UK Information Commissioner’s Office (ICO) says employers should document their justification for monitoring and consider less intrusive methods. It also warns that monitoring can gather excessive personal information. These are UK data-protection recommendations, not a universal legal test. NIST’s virtual-meeting guidance puts the principle plainly: “Don’t record the meeting unless it’s necessary.” That advice concerns meetings, rather than every type of work recording.
Tell people what the recording captures and why
Before recording, explain what will be captured, the purpose, how the file will be used, and who may access it. If the recording is part of workplace monitoring, involve workers or their representatives where appropriate, and follow your organization’s notice and consultation procedures.

Do not assume that an employee’s consent is automatically freely given. The ICO cautions that the power imbalance in employment may mean a worker does not have a genuine choice; consent may be suitable in some circumstances, but it should not be treated as a default answer to every recording question. Check the applicable law and workplace policy instead of relying on a blanket consent form.
If a meeting is being recorded
A screen recording may also capture voices, participants, chat, or meeting content. Tell participants before recording and follow the meeting platform’s controls and your organization’s policy. The New Zealand Privacy Commissioner says: “Generally, it is best to voice record a meeting with consent, so that both sides have an accurate record of what occurred.” That is guidance from New Zealand about meeting recordings, not a universal rule for all workplace screen recordings.

The U.S. Department of Labor’s cited recording policy applies to covered agency interviews and conversations; it is not a general rule for every U.S. employer. Rules can vary by location, the people recorded, and the purpose.
Prepare a narrow, clean capture
Before pressing Record, reduce the chance that unrelated or private information will appear. These are practical precautions based on regulator and security guidance about excessive capture and sensitive information exposure.

- Close unrelated tabs and applications, and sign out of personal accounts.
- Pause notifications or enable a focus mode so messages and previews do not appear.
- Choose a specific window or region if your recording tool allows it; avoid recording the full desktop when the task does not require it.
- Check whether the tool will capture microphone audio, webcam video, participant lists, or chat. Turn off audio or video that is not needed.
- Use a test recording to confirm the right window, audio source, and capture boundaries before making the final version.
- Keep personal use off-screen, particularly when using a personal device for work.
Record the task, then review before sharing
- Start the recording only after the intended application and task are ready.
- Show the steps needed to explain the process; avoid switching into unrelated accounts, messages, or documents.
- Stop the recording as soon as the demonstration or meeting purpose is complete.
- Review the beginning and end, and scan the full recording for exposed personal information, credentials, private messages, or content that should not be shared.
- Trim or remake the recording if sensitive material appears. Do not assume that a brief accidental exposure is harmless simply because it was unintentional.
- Share only the reviewed version with the intended audience, using an approved channel.
Use extra safeguards for worker monitoring
A one-off walkthrough made to teach a task is different from repeated screenshots or continuous recording used to assess a worker. Monitoring can be particularly intrusive when it takes place in a home, where privacy expectations are higher. The ICO warns that device-activity monitoring may capture excessive personal information, including sensitive information, and advises against capturing private use on employees’ personal devices.
For monitoring, identify a clear purpose and lawful basis under the applicable rules, explain the monitoring and how information may affect decisions about workers, and consider whether a less intrusive approach would work. The ICO recommends a data protection impact assessment (DPIA) before processing likely to create high risk; even when one is not required, it can help identify and manage risks. Do not treat the UK framework as law everywhere: consult the relevant local authority, legal adviser, and workplace policy for your jurisdiction.

The ICO describes continuous audio and video monitoring as highly intrusive and unlikely to be justifiable in most circumstances. If audio is not necessary, disable it. Covert monitoring should not be used as a routine substitute for clear notice; any exceptional use must meet the constraints set by the applicable authority and policy.

- Store: Use an organization-approved location rather than a personal drive or an unapproved consumer sharing service.
- Restrict access: Give access only to the people and systems that need the recording. Check sharing permissions before sending a link.
- Set retention: Decide how long to keep the file based on its purpose and relevant records rules, then delete it when that purpose no longer justifies keeping it.
- Know what else is saved: For meeting recordings, find out where the video, transcript, chat, and shared files are stored, who can access each, and how long they remain available. The UK National Cyber Security Centre’s online-meeting guidance emphasizes these storage and access questions.
