A useful remote-training plan combines a clear, job-related outcome with accessible instruction, a chance to demonstrate the skill, secure delivery, and periodic updates. Video supports that plan; watching a recording alone does not show whether someone can do the task.
Start with a job task and a measurable outcome
Identify a specific task employees need to perform and the errors, delays, or uncertainty the training should address. Ask managers and staff where the difficulty occurs, who needs instruction, and what successful performance looks like. The Government of Canada’s guidance on accessible training recommends assessing performance, skills, and knowledge and defining measurable outcomes aligned with roles.
Make the outcome observable. For example: “After training, the employee can process a standard return using the correct steps and explain when to escalate an exception.” Decide in advance how the employee will demonstrate that outcome. This keeps the lesson focused and gives you a more meaningful way to evaluate it than attendance or play counts.
Choose recorded, live, or mixed video

These are practical choices, not a guarantee that one format works best for every business. Compare flexibility, interaction, opportunities to practice and assess, learner access, update effort, and the sensitivity of the material. Video can be one part of a wider lesson: the current international instructional-video standard covers both standalone videos and video segments within larger information products, while the University of Washington’s DO-IT resources recommend using multiple learning modes, such as text, video, audio, and images.

Plan and make a focused lesson
- Break the task into teachable actions. Select one task or a small set of connected actions. Identify decision points, common mistakes, and any situation in which the employee should stop and ask for help.
- Outline what the learner should see and hear. Demonstrate the steps clearly, explain key decisions, and use titles or graphics where they clarify the process. Narrate information that matters on screen instead of expecting every learner to infer it visually.
- Prepare a clean recording environment. Remove private customer, employee, or business information from screens and surroundings. Check that the demonstration is visible and narration is understandable. A separate microphone may help capture narration, but no particular equipment is required.
- Use a suitable recording or meeting tool. Choose a service approved by your business and appropriate for the material’s sensitivity. Video-conferencing tools may support screen sharing, file sharing, and recording; weigh those options against privacy and security needs.
ISO/IEC/IEEE 26516:2026 is an international standard for planning, designing, and developing instructional videos, including standalone videos and segments in larger information products. Its scope is information technology systems, products, and services; it is a useful reference, not a claim that every small-business training video must follow the standard.
Make the training accessible
- Provide captions and a transcript so learners can follow or review the material in different ways.
- Use plain language where appropriate, readable visuals, and clear explanations of relevant on-screen information.
- Do not use color or an unexplained visual cue as the only way to communicate an important step.
- Offer written instructions or another way to review the procedure, and adapt the material or delivery to participant needs.
Accessibility Standards Canada’s CAN-ASC-5.2.1:2026 addresses accessible platforms and materials, accessible delivery, adaptation to participant needs, and plain language in its stated accessible-service-delivery scope. It does not automatically govern every small business. Requirements depend on your jurisdiction, industry, workforce, and training subject. The University of Washington’s DO-IT guidance also discusses captions, transcripts, multiple learning modes, practice, and feedback.

Build in practice, feedback, and assessment
After the video, have employees apply the skill in a way that resembles the job. Depending on the task, ask them to perform the procedure, explain a decision, work through a short case, answer a quiz, or submit an example of completed work. Give feedback and a chance to correct errors. Choose an assessment that tests the actual skill rather than simply recalling details from the video.
The Government of Canada’s training guidance describes interactive elements such as quizzes and case studies. DO-IT recommends practice, multiple ways to demonstrate learning, feedback, and opportunities to correct mistakes. Together, these support a training plan in which watching is preparation for doing, not the sole evidence of learning.

Deliver video securely
- Use company-approved conferencing applications for work. Keep meeting IDs and passwords private, use strong passphrases, enable multifactor authentication (MFA) where available, and verify links before opening them. These are recommendations from the Canadian Centre for Cyber Security’s video-conferencing guidance.
- Keep conferencing software updated, treat unexpected meeting invitations cautiously, and set business-wide expectations for conferencing and recording. The FTC’s video-conferencing guidance highlights these precautions and the risk that conferences may be recorded or shared.
- Before sharing a screen or recording a session, check for customer, employee, financial, or other sensitive information. Decide who may access saved recordings and how long they should be kept.
- Secure devices and connections used to reach business systems. Train staff on remote-access practices and require MFA for sensitive network access. The FTC’s small-business cybersecurity guidance covers these measures.
Check results and keep materials current
After training, check whether employees can perform the task, ask what was confusing, and revise steps that prompt errors or questions. Completion records can help document participation where needed, but completion alone does not establish that a skill transferred to the job. Choose measures that fit the intended outcome, such as successful completion of a procedure or fewer errors in a defined process.
NIST SP 800-50 Rev. 1, published September 12, 2024, describes a lifecycle approach to cybersecurity and privacy learning programs, with metrics and evaluation methods for improvement in organizations large and small. Its guidance is a useful model for reviewing and improving training; it does not set a universal review schedule for every business topic. Update recordings, transcripts, and written steps when systems, tasks, or policies change. Check local rules for any specific training obligation or refresher interval that applies to your organization.

Common problems and fixes
