A live stream run of show is the production team’s shared operating plan: it turns an audience-facing agenda into timed segments, named owners, actionable cues, and decisions for delays or failures. Build one row for every segment and handoff, then rehearse the viewer-critical path so each person knows what happens next and who can call a hold.
What a live stream run of show should do
An agenda tells viewers what is planned. A run of show tells the people delivering the stream how to make it happen. It should let the host, producer, technical operator, and moderator identify the next action and the person responsible without having to settle basic ownership questions while live. That production-facing approach is reflected in guidance from Nitro Media Group and Revel Entertainment.
For a gaming broadcast, that might mean more than listing “gameplay” or “Q&A.” The plan can identify when the stream changes from a holding screen to the game, who checks game and microphone audio, who reads audience questions, and what the host should do if a match or guest is delayed. Include only roles and cues that apply to your production, but make every important handoff explicit.
Set the event frame before writing the sequence
Start with the information that applies to the whole broadcast. Use a clearly identified current version of the plan, and make it available to everyone who needs to act on it. Vimeo’s run-of-show guidance emphasizes a shared plan and backstage checks; for larger productions, that shared reference is especially useful when timing or cues change.

- Event: title, date, time zone, platform, and planned duration.
- Constraints: hard start or end times, scheduled match or guest availability, and any other immovable timing.
- People: host, show caller or producer, technical operator, moderator, segment owners, and key contacts. One person may hold several roles on a small stream.
- Plan control: version or last-updated time, where the current copy lives, and how changes will be shared with the crew.
- Stream destination and audience path: the platform, any audience-facing holding content, and how viewers can get help or submit questions if relevant.
Build the run of show one segment at a time
Give every distinct segment and transition its own row. A row that hides several actions makes it harder to see when control changes hands. Use either planned clock times or relative elapsed times, and include duration so the crew can tell whether the event is running early or late.
A practical starting table is below. Remove columns that do not fit a solo stream; add detail when multiple people, remote guests, or a hybrid event create more handoffs.

Make cues observable and actionable
“Show gameplay” is not enough if no one knows who changes the scene or how the host learns the game feed is ready. Name the cue caller, the operator who executes it, the readiness signal, and the person authorized to hold or continue. A cue should describe an action someone can perform or confirm, not an intention such as “get ready.”
Include the remote viewer’s experience
Add audience-facing actions when they matter to the format: a holding screen before the start, a clear transition during a delay, chat or Q&A moderation, support routing, captions where applicable, and the recording check if the stream is meant to be recorded. For each delay that could leave viewers waiting, specify who communicates an update and what the audience should expect next. Mark readiness and decide what happens if a cue fails
For assets, speakers, technical checks, and unresolved decisions, show whether each is confirmed, pending, or unavailable. A critical fallback needs both an action and an authority: “use the backup clip” is incomplete unless the plan says who chooses it and how the operator receives the cue.
- Guest is not ready: identify who confirms the connection, whether the schedule holds or skips, and who tells viewers about the delay.
- Game or media feed is missing: specify the fallback scene or content and who can authorize the change.
- Audio check fails: name who verifies the microphone and game mix, who reports the result, and whether the show waits or proceeds without that audio source.
- Moderator or support coverage is unavailable: assign an alternate, reduce audience interaction, or tell viewers how questions will be handled.
Do not mark an item “ready” merely because it appears in the plan. Record who will check it and when, especially for items that can block the broadcast.

Rehearse the sequence and keep one controlling plan
- Review the document with speakers and crew. Confirm names, responsibilities, pronunciations or key talking points as needed, and the cues each person is expected to receive.
- Test the viewer-critical path. Check the signal from the source through audio and program output to the stream destination. Exercise the transitions the audience depends on, not only the equipment in isolation.
- Walk through holds and fallbacks. Practice how the caller signals a hold, who makes the decision to continue, and how the operator and host learn about a changed cue.
- Update the controlling copy. If timing or ownership changes, publish the current version in the agreed location and tell the people affected which version to use. Vimeo’s guide also stresses shared planning and technical checks before the event.
A compact example sequence for a gaming livestream
This is a structure to adapt, not a fixed schedule. Set actual timings to the event and crew.

For each row, fill in the real time, duration, responsible people, production change, asset status, and any fallback. The sequence is not complete until the crew knows how to move from one row to the next.
