A successful hybrid event is designed for two audiences, not just filmed for one. Decide what people in the room and people watching online should be able to see, hear, ask, and access; then build the venue, production plan, platform, staffing, and backup procedures around those needs.
What is a hybrid event?
A hybrid event combines an in-person experience with a virtual one. It might include a live stage stream, online-only sessions, recorded content available afterward, or participants joining from multiple physical sites. IEEE’s hybrid-event guidance describes the format as a combination of physical and virtual offerings that should be intentionally designed for presenters and participants.
For a gaming convention, tournament, launch event, or creator meetup, that means considering the remote audience as participants rather than passive viewers. They may need a clear view of gameplay or demonstrations, intelligible commentary, a way to submit questions, and access to promised recordings or resources. The right format depends on the event’s goals and what each audience should be able to do.
Plan the experience for both audiences
Set the audience paths and event goals
Start by deciding what is live in the venue, what is streamed live, what is prerecorded, and what will be available on demand. If multiple venues are involved, determine which parts connect across sites and who controls those connections.

- Write down what in-person attendees should see and do, including how they will hear presentations and take part in questions or discussion.
- Specify what online attendees can see, how they can ask questions or network, and whether they can participate in polls or other activities.
- Plan for time zones: place key live sessions at reasonable times where possible, and coordinate live and non-live activities so remote attendees are not left without useful content.
- Decide how attendees register, receive access instructions, and get help if they cannot join.
- Set expectations for recordings, post-event resources, feedback, and any continuing engagement.
IEEE recommends coordinating schedules across time zones, live and non-live activities, audience interaction, and post-event communication. Do not assume that showing the same stage feed to everyone creates an equally usable experience.
Choose a production level and platform
Match production complexity to the event’s scale, interaction needs, existing AV setup, recording plans, access controls, support capacity, and licensing. AVIXA’s general production guidance identifies cameras, microphones, switchers, streaming platforms, chat, Q&A, analytics, and reliable connectivity as considerations; it is not a substitute for a venue-specific technical design.
A lightweight setup may use a meeting platform with its supported production tools. An existing professional production setup may instead feed a platform through a supported hardware or software encoder. Microsoft documents both approaches for Teams, but its Teams live events service retired on June 30, 2026, and its guidance points users toward Teams town halls as the newer experience. Before committing to a platform, verify the current product, licensing, organizational eligibility, and feature set directly with its provider; capabilities and availability can change.

Compare candidate platforms against the event’s real requirements: what each audience can see and do, live and on-demand support, Q&A and moderation, recording access, integrations with venue AV, access controls, support, staffing demands, and total cost. The available official guidance does not establish one universally best platform.
Survey the venue and map the signal path
Walk the actual space before choosing equipment. Check room capacity and layout, internet access, camera positions, lighting, microphones, speakers, displays, control positions, and every connection from the source to the online audience. Microsoft recommends a site survey, equipment verification, and a documented audio, video, and network signal flow. IEEE also identifies venue internet, AV, capacity, layout, and technical support as planning considerations.
Keep the room and online audio intelligible
Test the in-room sound system and the online audio path separately. The room mix that works for people sitting in front of the stage may not work for remote viewers. Microsoft’s guidance advises sending only one dominant audio source to the meeting platform rather than feeding it multiple competing sources. Use suitable presenter and audience microphones, and keep spare microphones available for panelists and roaming questions.

During rehearsal, verify that online attendees can hear questions asked in the room and that the room can hear remote contributions where those are part of the program. Microsoft Support’s guidance for large meetings and events emphasizes audio quality as especially important; this is vendor-authored advice, not an independent comparative study.
Choose video and connectivity for the actual workflow
Camera count, lighting, switching, and internet needs depend on the room, production design, platform, stream quality, and number of outputs. The reviewed official guidance does not establish a universal bandwidth figure or a single equipment specification for every venue. AVIXA recommends good-quality cameras, microphones, and switchers, and a dedicated wired internet connection where practical.

Microsoft recommends testing a secondary connection such as a mobile hotspot. Record how the production team will switch to it and who has authority to make that change.

Use capture hardware only when the signal path needs it
A USB HDMI capture device can bring an HDMI camera or AV output into a computer when the production workflow requires that connection. Microsoft describes this use for Teams. It is not required for every hybrid event: first check what outputs the camera or venue system provides, what inputs the production computer and platform support, and whether the chosen capture device is compatible with the actual signal path.

Assign production roles and rehearse
Run an end-to-end rehearsal in the venue or the actual production environment. Check speaker handoffs, camera shots, presentation media, audio levels, audience access, remote questions, recording, accessibility features in use, and transitions between live and prerecorded material. AVIXA recommends testing equipment and platform compatibility and rehearsing presenters and AV staff; Microsoft likewise recommends practicing transitions and checking audio and video.

- Producer: controls the program and stream, calls transitions, and makes production decisions.
- Room and feed operator: monitors the in-room AV and online picture and sound.
- Remote moderator: watches chat and Q&A, routes questions, and communicates with online attendees.
- Backup producer: can take over if the primary producer loses access or becomes unavailable.
Agree how the team escalates problems and who can make decisions during a live segment. Microsoft recommends a second producer, a spare laptop and equipment, a tested secondary internet path, and prerecorded critical presentations as contingency options. Prepare those backups in advance rather than improvising after a failure.
Run the event with remote attendees in mind
During the program, monitor sound, video, connectivity, chat, Q&A, and the room. Have presenters repeat or summarize audience questions when needed, and provide context for demonstrations or references that may be hard to follow from a camera view. If onsite attendees have a break, consider whether online attendees should have a useful activity or content available during the same period.
After the event, deliver recordings or other resources that were promised, collect feedback, and decide how to continue engagement. IEEE identifies post-event communication, continued engagement, reuse of event materials, and audience surveys as planning considerations. AVIXA also notes recorded access through an online portal as one way to extend access after a live session.
Prepare for common failure points

Budget for the whole production
Estimate total event cost rather than comparing platform fees alone. Account for venue connectivity and AV, cameras and microphones, switching or encoding, platform licensing and access controls, technical staffing, rehearsal time, recording and post-event delivery, and backup equipment or connectivity. IEEE recommends careful financial planning to assess return on investment but does not provide a general ROI figure. The reviewed AVIXA guidance describes possible benefits such as broader reach and analytics without establishing a quantified result that applies to every event.
