Choose Microsoft 365 when your team depends on the desktop versions of Word, Excel and PowerPoint, Outlook and Exchange, Teams, SharePoint, Windows integration, or Microsoft-centered identity and device administration. Choose Google Workspace when work is browser-first, people collaborate mainly in Gmail, Docs, Sheets and Slides, and pooled Drive storage with simple sharing is more important than desktop Office fidelity.
The title often says “Google Workplace,” but Google’s current product name is Google Workspace. The right comparison is not the cheapest headline plan. Match the same user count, storage needs, meeting limits, AI access, retention and compliance requirements, endpoint controls, billing term, taxes and regional pricing before deciding.

What each suite actually includes
Microsoft 365
Microsoft describes Microsoft 365 and Office 365 plans as a combination of the familiar Microsoft Office desktop suite and cloud versions of its communication and collaboration services. Depending on the plan, that cloud layer includes Office for the web, Exchange Online, Microsoft Teams and SharePoint Online.
Recommended Free Tools
In practical terms, a Microsoft-centered workplace can use installed Word, Excel, PowerPoint and Outlook alongside browser versions, hosted business email, calendars, chat, meetings, team sites, document libraries and organization-wide identity and device controls. The exact apps and administrative features vary between Business Basic, Business Standard, Business Premium and enterprise plans.

Google Workspace
Google Workspace is a browser-first suite built around Gmail, Drive, Meet, Docs, Sheets, Slides, Chat and Calendar. Gemini features, security controls, support levels and storage allowances depend on the edition. Google describes its storage as flexible pooled storage per user that is shared across the organization, rather than a completely separate personal quota for every employee.
That design favors a team that opens documents in a browser, edits the same file simultaneously and shares folders or files through Google Drive. Desktop editing is possible through Google’s desktop and offline options, but the primary experience remains the web applications.
Quick decision guide
| Question | Microsoft 365 is usually the stronger fit when… | Google Workspace is usually the stronger fit when… |
|---|---|---|
| How do people work? | Staff rely on installed Office applications, complex spreadsheets, Outlook or Windows workflows. | Staff work mostly in a browser and expect several people to edit one document at once. |
| What is the document priority? | Exact Word, Excel or PowerPoint formatting, macros, add-ins and file compatibility matter. | Fast sharing, comments, version history and live collaboration matter more than desktop feature parity. |
| Email and calendar | The organization already uses Outlook and Exchange or wants Microsoft’s mailbox and calendar ecosystem. | The organization prefers Gmail, Google Calendar and Google’s search and labeling model. |
| Meetings and chat | Teams is the center of meetings, channels, calling and collaboration. | Meet and Chat fit a lighter, browser-based communications workflow. |
| File storage | Teams and SharePoint sites, document libraries and OneDrive are already part of the operating model. | Pooled Drive storage and Google-native sharing are the desired model. |
| Administration | Windows, Microsoft identity, device management and Microsoft security tooling are already deployed. | The company wants a Google-administered, browser-centric environment and does not need every Microsoft control. |
| AI | You want Microsoft’s assistant experience integrated with Microsoft applications and are prepared to buy the qualifying plan or add-on. | You want Gemini capabilities in the Google environment and will verify which edition includes them and what limits apply. |
| Typical recommendation | Desktop-Office-heavy businesses, regulated Microsoft environments and Windows-centric teams. | Startups, agencies, distributed teams and browser-first groups built around Docs, Sheets and Slides. |
Productivity: desktop Office versus browser collaboration
When Microsoft’s desktop applications matter
The installed versions of Word, Excel and PowerPoint remain the decisive advantage for teams that use advanced formatting, long or carefully designed documents, complex formulas, specialist add-ins, macros, offline work or established templates. If a client, publisher, finance department or supplier expects an Office file to look exactly as created, keeping the native desktop application can remove conversion risk.
Outlook and Exchange also matter when an organization has years of mailbox rules, shared calendars, room booking, delegated access, archive practices or integrations built around them. Microsoft 365 lets that desktop and server-style workflow coexist with web access and cloud collaboration instead of requiring a complete change in working habits.
When Google’s simultaneous editing matters
Docs, Sheets and Slides are designed for multiple people to edit the same cloud file at the same time. Comments, suggestions, links and version history are visible in one shared workspace, so a team is less likely to create competing attachments called “final,” “final 2” and “final approved.”
This is particularly effective for briefs, production schedules, design notes, community plans, meeting records and lightweight analysis where the team values speed and shared context over the deepest desktop feature set. Offline access and desktop synchronization can help, but administrators should test the exact files and devices employees use rather than assuming every Office feature behaves identically in a browser.
File compatibility is a business risk, not a checkbox
Both suites can open common Office formats, but “opens” does not guarantee “matches.” Before changing platforms, test representative files: financial workbooks, documents with tracked changes, presentations with custom fonts, templates, forms, linked data, macros and third-party plug-ins. Record which features must remain editable, which can be exported to PDF and which can be rebuilt.

- [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.
- [Classic Office Apps] — Includes Word, Excel, PowerPoint, Outlook and OneNote.
- [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.
A team that mostly receives and sends simple documents may see little disruption in Google Workspace. A team whose revenue depends on exact Excel calculations, PowerPoint layouts or Word automation should budget for a longer validation period or retain Microsoft applications for those users.
Email, calendars, chat and meetings
Outlook, Exchange and Teams
Microsoft 365 groups email, calendars, contacts, meetings, chat and files around Outlook and Teams. Teams channels can connect conversations to shared files and meetings, while SharePoint provides the underlying site and document-library structure for many collaborative workloads. This is a natural fit when people already navigate their day through Outlook and Teams.
Gmail, Calendar, Meet and Chat
Google Workspace connects Gmail, Calendar, Meet and Chat with Drive and the Docs editors. Gmail’s labels, search and browser interface suit teams that do not want a desktop mail client. Meet is convenient for browser-based calls, while Calendar and Chat keep scheduling and conversations inside the same Google account.
Meeting limits require plan-level checking
Do not compare “Teams” with “Meet” as if every account has the same capacity. Participant limits, recording, attendance reports, noise controls, dial-in options, storage for recordings and administrative policies can vary by edition, geography and service change. List the largest meeting you actually run, whether recording is mandatory and whether external guests need unrestricted access; then verify those requirements in the target-region plan tables.
Storage and sharing models
Google’s pooled Drive model
Google’s official pricing description says Workspace provides flexible pooled storage per user shared across the organization. Pooled storage can be convenient for a growing team: unused capacity from one account can be available to another, subject to the edition’s rules and organizational limits.
Shared drives separate team-owned content from an individual employee’s My Drive. Set ownership, external-sharing, download and link-access policies before moving production files. A pooled model does not remove the need for quotas, lifecycle rules or an offboarding process.
Microsoft’s OneDrive, SharePoint and Teams model
Microsoft 365 commonly separates personal working files in OneDrive from team-owned files in SharePoint sites and Teams-connected libraries. That structure can map well to departments, projects and permissions, but it requires deliberate site design. Decide which content belongs to a person, a project team, a department or a controlled archive before creating hundreds of libraries.

Google Workspace US price snapshot
Google’s current US pricing page lists the following prices after the displayed promotional periods: Starter at $7 per user per month, Standard at $14, and Plus at $22. These figures exclude tax, and promotions are time-limited. They are a dated US snapshot, not a worldwide promise; check the live page for your country, currency, billing commitment and any annual or monthly difference before signing.
| Google Workspace tier shown on the US page | Price after listed promotion | What to verify before purchase |
|---|---|---|
| Starter | $7 per user/month, excluding tax | Storage allowance, Meet limits, Gemini availability, security and support included in the current edition. |
| Standard | $14 per user/month, excluding tax | Higher storage and meeting capabilities, AI inclusion and administrative controls for your region. |

Microsoft plan families
Microsoft’s business comparison presents Business Basic, Business Standard, Business Premium and enterprise entry points. Exact prices vary by market, billing commitment and the state of the pricing page. Business Basic is generally the web-and-cloud starting point, while Business Standard adds installed Office applications; Business Premium and enterprise options add higher levels of security, device management, compliance or scale. Verify the current target-region table rather than carrying a price from another country or month.
Build an apples-to-apples cost sheet
For each suite, enter the same number of users, billing term and currency. Add taxes, migration labor, identity and domain work, backup or archive requirements, training, meeting add-ons, AI licenses, extra storage, calling, endpoint-management tools and any third-party integrations. Separate promotional pricing from the renewal price.
- Price the edition that contains the controls you actually need, not the cheapest edition with the same logo.
- Include occasional users, contractors, shared mailboxes and meeting-only participants.
- Calculate the cost of keeping a small group on desktop Office if only a few people need advanced compatibility.
- Record cancellation, annual-commitment and seat-change rules before choosing monthly or yearly billing.
Security, identity, administration and compliance
Plan parity is imperfect. A low-cost tier in one suite may omit a control that is standard in a higher tier of the other. Compare these items in the exact editions under consideration:

| Control area | Questions to ask |
|---|---|
| Identity | Can you enforce single sign-on, multifactor authentication, conditional access, password policies, administrator separation and automated joiner/mover/leaver workflows? |
| Endpoint management | Can administrators enroll, configure, update, inventory, encrypt and remotely wipe company and personal devices at the required depth? |
| Data protection | Are data-loss prevention, sensitivity labels, encryption, sharing restrictions and suspicious-login alerts included in this tier? |
| Retention and discovery | Does the edition provide Vault or equivalent retention, legal holds, eDiscovery, audit logs and export capabilities for your jurisdiction? |
| Email security | Which phishing, malware, quarantine, authentication and S/MIME options are included, and do they cover external mail? |
| Administration and support | What support channel, service-level commitment, reporting and delegated administration do you receive? |
Microsoft-centered organizations often gain efficiency when Windows devices, Microsoft identity and Microsoft security policies are already standardized. Google Workspace can be simpler for a browser-first fleet, but “simpler” should not be mistaken for “automatically compliant.” Document who can access sensitive files, how long records are retained and how an account is disabled in either environment.
AI assistants: compare inclusion, not slogans
Both ecosystems now market AI assistance, but availability and limits are edition-dependent. Check whether the assistant is included in the base subscription or requires an add-on, which applications it can use, whether organizational data is protected under the plan’s terms, how prompts and outputs are logged, and whether administrators can disable or scope the feature.

Test real tasks with non-sensitive sample data: summarize a meeting, draft a response, explain a spreadsheet formula, find a policy and produce a first-pass presentation outline. Measure permission handling, factual review time and output consistency rather than assuming that a branded AI feature will improve every role.

A suite migration is an identity, mail, file and habits project—not merely an export and import. Google lists Workspace Migrate as an official migration tool. Microsoft provides plan and service documentation, but a complete runbook still depends on your domains, data volume, integrations, retention rules and user devices.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches1. Inventory the current environment
List domains, aliases, users, groups, shared mailboxes, calendars, mobile devices, meeting rooms, applications, automations, archives, file shares, SharePoint sites, Teams channels, Drive folders and external collaborators. Identify owners and stale content before moving anything.
2. Map identities and permissions
Decide which account becomes the destination identity, how usernames and aliases map, and how multifactor authentication will be enrolled. Map groups to groups, shared drives to SharePoint sites or the reverse, and individual permissions to destination roles. Do not copy a confusing legacy permission structure without reviewing it.
3. Plan domain and mail coexistence
Lower DNS time-to-live values ahead of the cutover, document MX, SPF, DKIM and DMARC records, and decide whether both systems must receive mail during a transition. Test aliases, forwarding, calendars, mobile clients, automated senders and third-party systems that authenticate with the old mailbox.
4. Prepare the file conversion map
Classify files as native Office, native Google, PDF, media, database export or unsupported application data. Pilot conversion on representative documents, including spreadsheets with formulas and presentations with custom fonts. Preserve originals when legal, financial or production requirements demand exact fidelity.

Pick the symptom - the matching free tool is one click away.
5. Configure the destination before users arrive
Create organizational units or groups, sharing defaults, external-access rules, retention policies, endpoint enrollment, audit logging, backup or archive processes and naming conventions. Configure mobile management before the first phone is migrated.
Best Value
- Create, edit and style DOCUMENTS, SPREADSHEETS & PRESENTATIONS – all the features that you need to get work done
- Included PDF functions to FILL & SIGN forms, ANNOTATE and password PROTECT your PDF documents
- Compatibility with the most popular file formats - OPEN, EDIT & CREATE new and existing documents
- Manage all your email accounts and efficiently schedule with the inlcuded MAIL & CALENDAR apps

6. Run a pilot
Choose users from different roles, not only technically confident volunteers. Test mail flow, calendars, meetings, shared files, offline work, mobile access, printing, add-ins, document conversion, external sharing and account recovery. Record each failure and decide whether to fix, replace or retain the old workflow.
7. Train for the destination’s mental model
Teach where files live, how sharing works, how to recover a previous version, how to report phishing, how meetings are scheduled and how mobile devices are secured. Outlook users moving to Gmail need label and search guidance; Teams users moving to Meet and Chat need a new approach to channels, files and meeting records.
8. Cut over, validate and decommission carefully
Move in waves, keep a rollback plan, verify DNS and authentication, reconcile user and group counts, confirm retention and legal holds, and monitor help requests. Retain the old environment only as long as policy and contractual obligations require, then remove licenses and access deliberately rather than leaving an unmanaged security risk.
Which choice fits common small-business scenarios?
A game studio using complex Office files
Choose Microsoft 365 when production planning, budgets, publisher reporting or partner deliverables depend on advanced Excel, Word or PowerPoint behavior, and the team already uses Outlook, Teams or Windows administration. A small number of browser-first collaborators can still be given carefully scoped access without forcing every role into the same workflow.
An indie team or agency built around shared documents
Choose Google Workspace when briefs, schedules, scripts, research, community calendars and lightweight spreadsheets are edited collaboratively in a browser, and Gmail and Drive are already familiar. Confirm that any client-supplied Office templates survive the workflow before committing.
A distributed esports, media or creator operation
Start with the communication and file-sharing pattern: Gmail/Meet/Drive if people need fast browser access and pooled storage, or Outlook/Teams/SharePoint if channels, desktop Office and Microsoft identity are already the operating system. Meeting recording, external guests and retention can change the answer at the required tier.
A regulated or security-sensitive business
Do not choose from brand familiarity. Write down retention, legal hold, audit, endpoint, encryption, identity, email-security and data-location requirements, then compare qualifying editions with an administrator or compliance owner. If a control is not explicitly listed for the chosen plan and region, treat it as unconfirmed.
Common mistakes and how to avoid them
- Comparing brand names instead of editions: Build a feature matrix at the same user count and billing term.
- Ignoring file fidelity: Pilot the hardest spreadsheets, documents and presentations, not just a blank test file.
- Assuming pooled storage is unlimited: Set quotas, ownership rules, retention and offboarding procedures.
- Buying AI without governance: Check inclusion, limits, permissions, logging and data-handling terms.
- Forgetting external users: Test guest accounts, client sharing, shared calendars and meeting dial-in from outside your domain.
- Underestimating migration: Budget for DNS, identity, mail coexistence, conversion, mobile management, training and post-cutover support.
- Leaving the old tenant active: After validation, remove stale accounts, revoke tokens and document what was retained for legal or operational reasons.
Bottom line
Microsoft 365 is the safer default for a small business whose work is built on desktop Office, Outlook and Exchange, Teams, SharePoint, Windows or Microsoft administration. Google Workspace is the better default for a browser-first team that lives in Gmail, Drive, Meet, Docs, Sheets and Slides and values pooled storage and simultaneous editing.
Make the decision with a scored pilot and a region-specific cost sheet. Verify storage, meeting limits, AI, Vault or retention, eDiscovery, S/MIME, endpoint management, support, taxes, promotions and migration effort at the exact plan level. The suite that matches your files, identities and daily habits will usually cost less and create fewer operational surprises than the one with the lower advertised starting price.
