Use reports in the Microsoft 365 admin center for the fastest view of service and user activity, the Microsoft 365 Usage Analytics template app in Power BI for a management-ready cross-product dashboard, and Microsoft Graph or OData APIs when you need a governed data pipeline or custom metrics. These are three layers of the current Microsoft 365 reporting stack, not three competing products.
What “Office 365 reporting tool” means now
Microsoft documents the current service as Microsoft 365, but administrators still search for Office 365 reporting, Office 365 usage reports, and Microsoft 365 analytics dashboards. In practice, reporting is split across three layers:

- Microsoft 365 admin center reports: built-in workload reports for quick operational checks, exports, and selected user-level details.
- Microsoft 365 Usage Analytics in Power BI: a prebuilt, cross-product adoption dashboard for trends, licensing, communication, collaboration, mobility, and storage.
- Microsoft Graph and OData reporting APIs: programmable data access for custom models, warehouses, governance, and metrics that the standard views do not provide.
The right choice is usually sequential rather than exclusive: start with the admin center, add Usage Analytics when leaders need a unified view, and build an API-fed model when the organization outgrows exports or needs its own definitions.

| Inspect a large tenant repeatedly | Graph/OData or scheduled exports | Repeatable pipelines instead of manual dashboard review | API handling and reporting definitions must be owned by your team |
Microsoft 365 admin center reports
What they cover
The admin center is the quickest starting point for Microsoft 365 usage reporting. Depending on the service, reports cover Exchange, OneDrive, SharePoint, Teams, Microsoft 365 groups, Viva Engage, Forms, Planner, Project, Visio, and other workload-specific activity. You can view organization totals, inspect available user-level details, and export data to Excel or CSV for further analysis.

These reports answer operational questions such as which workloads are active, whether collaboration is increasing, and which accounts appear inactive. They are better suited to an administrator checking service health or preparing a one-off spreadsheet than to a fully governed executive scorecard.
How far back the reports go
Microsoft says admin-center reports generally expose 7-day, 30-day, 90-day, and 180-day periods. The exact choices depend on the report. Data typically becomes available within 24 to 72 hours, so a report is not a real-time audit stream and should not be used to verify an action that occurred minutes ago.
How to open and export a report
- Sign in with an account that has an appropriate Microsoft 365 administrator or reader role.
- Open the Microsoft 365 admin center and go to Reports, then Usage.
- Choose a workload report, such as Teams, SharePoint, OneDrive, or Exchange activity.
- Select the available period, review the organization summary, and open the user-detail view if your role permits it.
- Use the export control to download Excel or CSV data when you need to filter, annotate, or archive the results.
For a large organization, Microsoft recommends Graph APIs rather than relying on repeated manual exports. A scheduled extraction gives you consistent naming, refresh timing, and retention rules.

Microsoft 365 Usage Analytics in Power BI
What the template app adds
Usage Analytics combines Microsoft 365 usage signals into a cross-product dashboard. Its report areas include adoption, licensing, product usage, user activity, communication, collaboration, mobility, and storage. That makes it useful when the question is not “How many Teams users were active?” but “Which products are adopted by which parts of the organization, and where should enablement focus next?”
The prebuilt dashboard shows the last 12 months of cross-product data, according to Microsoft. Reports can be filtered by supported Microsoft Entra attributes, including location, department, and organization, allowing a manager to compare adoption without building those dimensions from scratch.
User-level timing is different from the headline dashboard
User-level information is available for the latest complete calendar month. It is therefore a period-based view, not a live list of every action. The User Activity tab is refreshed after the middle of the month and again at the start of the next month; during the initial period it can be empty even when the app has been installed correctly.

Power BI licensing and initialization
Microsoft’s enablement guidance states: “You must have a Power BI Pro license to install, customize, and distribute a template app.” This requirement applies to the template-app workflow; it is separate from the permissions needed to read reports in the Microsoft 365 admin center.
After the administrator makes report data available in the Microsoft 365 admin center and starts the template app in Power BI, initial collection takes two to 48 hours, depending on tenant size. Plan that delay into a rollout rather than treating an empty first-day dashboard as a data failure.
Typical setup sequence
- Confirm that Microsoft 365 usage-report data is available in the admin center and that your account can access it.
- In Power BI, start the Microsoft 365 Usage Analytics template app.
- Authenticate the connection with the authorized Microsoft 365 account and complete the tenant configuration requested by the app.
- Wait for the initial two-to-48-hour collection period.
- Review the adoption, licensing, product usage, communication, collaboration, mobility, and storage tabs.
- Apply supported Microsoft Entra filters such as department, location, or organization.
- Customize the model or report pages only after confirming that the default measures match your organization’s definitions.
- Distribute the finished app or report only to audiences covered by your Power BI licensing and Microsoft 365 governance policies.
Microsoft Graph and OData APIs for custom reporting
Available user-detail endpoints
Microsoft Graph provides workload-specific user-detail reports, including getEmailActivityUserDetail, getOneDriveActivityUserDetail, getSharePointActivityUserDetail, and getTeamsUserActivityUserDetail, along with related reporting endpoints. These endpoints are intended for programmatic retrieval rather than a person clicking through a dashboard.

When an API pipeline is justified
Choose Graph or OData when built-in reports cannot answer a recurring business question. Common examples include joining activity to a departmental hierarchy, combining Microsoft 365 usage with a data warehouse, applying a company-specific definition of “active user,” enforcing centralized retention controls, or refreshing a Power BI model on a schedule.
Microsoft’s customization guidance also supports connecting directly to Microsoft 365 OData reporting APIs, loading a Power BI template file, adding other data sources, and publishing a tailored report. The trade-off is ownership: your team must document endpoint behavior, handle authentication and failures, preserve historical snapshots where necessary, and explain every calculated metric to report consumers.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsDesign a reliable custom model
- Define the grain: decide whether each row represents a user, workload, day, month, or tenant snapshot.
- Separate source measures from business measures: retain the original activity counts and calculate adoption rates, inactive-user rules, or department comparisons in a documented model layer.
- Keep identity joins controlled: use approved Microsoft Entra attributes and restrict access to fields that can identify individual employees.
- Record reporting periods: store the period represented by each extract so a monthly user-detail report is not mistaken for a live event log.
- Automate monitoring: alert on failed refreshes, unexpected row-count changes, expired credentials, and schema changes.
History, freshness, and the meaning of “active”
| Layer | Typical history or period | Freshness stated by Microsoft | Interpretation |
|---|---|---|---|
| Admin-center usage reports | 7, 30, 90, and 180 days, depending on report | Typically available within 24–72 hours | Operational usage view, not real-time auditing |
| Usage Analytics cross-product dashboard | Last 12 months of cross-product data | Initial collection takes 2–48 hours | Trend and adoption analysis across workloads |
| Usage Analytics user-level information | Latest complete calendar month | User Activity refreshes after mid-month and at the start of the next month | Periodic user analysis; the initial tab may be empty |
These periods should not be blended casually. A 180-day admin report, a 12-month cross-product chart, and a latest-complete-month user table describe different slices of activity. Label the period beside every KPI so readers know whether a number is a rolling window, a calendar month, or a cumulative trend.

User-level visibility, privacy, and roles
Roles that can read reports
Documented roles include Global Administrator, Exchange Administrator, SharePoint Administrator, Teams Administrator, Reports Reader, and Usage Summary Reports Reader. Use the least-privilege role that supports the task. A service administrator may be able to inspect a workload without receiving broad tenant permissions.
Why two administrators may see different detail
Some reader roles can view summaries but cannot see user activity details. User names may also be concealed by tenant privacy settings. Before concluding that data is missing, check the signed-in role, the report’s privacy configuration, and whether the selected period is complete.
User-level activity should be treated as sensitive operational data. Limit distribution, document the business purpose, and avoid presenting a usage count as a performance judgment without context. A low count can reflect role, leave, licensing, reporting delay, or a workload that does not match the person’s job.

The admin-center reporting layer is part of Microsoft 365 administration; the supplied Microsoft guidance does not state a separate per-report price. The Usage Analytics template-app workflow does require Power BI Pro to install, customize, and distribute the app. API reporting introduces engineering and infrastructure costs that vary with your existing identity, storage, orchestration, and BI environment.
For a small tenant, manual review and CSV export may be sufficient. As the tenant grows, repeated exports create inconsistent file names, missing periods, and fragile spreadsheet logic. A scheduled API pipeline or governed Power BI model becomes more practical when multiple departments depend on the same definitions or when leaders need a repeatable monthly pack.
Troubleshoot the most common reporting problems
The report is empty or behind
- Allow for the normal 24-to-72-hour admin-center delay.
- For Usage Analytics, allow two to 48 hours for initial collection.
- Check whether you selected a complete period and whether the User Activity tab is between its scheduled refresh points.
User details are unavailable
- Verify that your account has a role that permits user-level detail.
- Check whether names are concealed by privacy settings.
- Use the latest complete calendar month for Usage Analytics user data instead of expecting same-day events.
The dashboard does not answer a management question
- Confirm that the question is cross-product adoption rather than a single-workload operational check.
- Add Microsoft Entra department, location, or organization filters where supported.
- If the required join or metric is still absent, move to a Graph/OData model instead of forcing the template app to perform warehouse work.
Exports are becoming unmanageable
Stop treating downloaded files as the system of record. Define a schema, schedule Graph or OData extraction, store period-labeled snapshots, and publish one governed model for downstream reports.
Quick Recap
A practical decision framework
- Start with the question. If it is a quick service-usage check, open the relevant admin-center report.
- Test the required time horizon. Use admin windows for short operational periods and Usage Analytics for its 12-month cross-product view.
- Decide whether user detail is necessary. If yes, verify role access, privacy settings, and the latest complete reporting period.
- Measure the customization burden. Built-in filters and exports are enough for simple reviews; joins, custom definitions, and scheduled refreshes indicate an API-backed model.
- Assign governance ownership. Name the people responsible for licensing, permissions, metric definitions, refresh monitoring, and distribution.
- Document the period beside every chart. This prevents a rolling 180-day count from being compared as if it were a monthly user-level measure.
What to retain when planning Microsoft 365 reporting
- The Microsoft 365 admin center is the fastest first stop for service reports and exports.
- Usage Analytics is the management-oriented option when adoption must be viewed across products.
- Admin reports commonly offer 7-, 30-, 90-, and 180-day windows, while the Usage Analytics dashboard provides 12 months of cross-product history.
- User-level information is more restricted and tied to the latest complete reporting period, not a real-time event feed.
- Power BI Pro, tenant configuration, and suitable administrator permissions are required for the template-app workflow.
- Graph and OData are the appropriate foundation for custom joins, warehouses, governance controls, and metrics outside the standard dashboards.
