A webcast usually centers on broadcasting a presenter or program to an audience, while a webinar usually means an online seminar with planned attendee participation, such as questions or polls. The distinction is a useful convention, not a strict rule: platforms use the terms in overlapping ways. To choose, check what attendees can actually do and how the event is produced—not just what the vendor calls it.

These are tendencies, not formal definitions. The U.S. Food and Drug Administration groups “Webinars,” “Web Conferencing,” and “Webcast” among names for web-based presentation and meeting services, noting that capabilities and delivery methods vary (FDA guidance). webinar.net likewise notes that the terms are sometimes used interchangeably (FAQ).
Does a webcast have to be one-way?
No. Interaction is a helpful way to compare formats, but it is not a dividing line. A webcast-style viewing experience can still include audience participation. For example, Webex documents Q&A and polls in its webinar webcast view (Webex instructions). Conversely, a webinar may be configured with little or no attendee interaction.
Before you book or build an event, check the actual controls: can attendees submit questions, answer polls, use chat, or speak? Can the host moderate those contributions? These settings matter more than the format label.

Does audience size determine the format?
No universal audience-size threshold separates webcasts from webinars. The official materials cited here do not establish a general numeric boundary, and platforms may offer webcast viewing as a mode within a webinar product. Webex’s comparison documentation describes product-specific event options, not a universal definition (Webex feature comparison).
If attendance capacity matters, confirm the current limit for the exact product, plan, and event configuration you intend to use. Do not infer capacity from the word “webcast” or “webinar.”

How to choose the right format
Choose a webcast-style setup when viewing is the main activity
This can suit a presenter-led announcement, a company update, or a program where the audience is primarily there to watch. Decide whether you want questions or polls at all; a broadcast-oriented experience need not exclude them.
Choose a webinar-style setup when participation is part of the session
This can suit instruction, a product demonstration, or a presentation where attendees need a planned way to ask questions or respond. Verify how questions are collected and moderated, and whether polls or chat are available in the configuration you will use.

Look beyond single-session tools for larger programs
If your program spans multiple sessions or days, compare event-level platforms as well as tools designed for a single webinar. Kaltura distinguishes focused, single-session webinars from larger multi-session virtual events and describes audience-facing webcast experiences separately from production studios (Kaltura documentation).
Check access, accessibility, and replay before inviting people
Registration requirements, open or embedded access, interaction options, and replay availability are platform settings—not reliable consequences of calling an event a webcast or webinar. Confirm the chosen platform’s configuration before you publish the invitation.

- Access: Check whether viewers need registration, a link, or a particular account, and whether the event can be embedded where your audience expects to watch.
- Accessible participation: Ensure attendees can receive the presentation material and use the available channels to communicate with presenters. If an interface creates a barrier, arrange an alternate way to access the content or participate.
- Captions and materials: Plan accessible presentation materials and captions where applicable, and check what the platform supports for the live session.
- Replay: Decide whether you will provide a recording or transcript, and verify how those will be made accessible.
The FDA’s guidance emphasizes that participants must be able to receive presentation content and communicate with presenters, with alternate means arranged when the interface prevents access (FDA guidance).

A webcam is optional: it is useful if a presenter will appear on camera, but it is not a requirement for a slide-based, screen-share, or audio-only session. Decide whether the event needs a live camera, slides or screen sharing, and a producer to manage the broadcast flow. The format name alone does not settle those production choices.
