Where Is the Outlook PST File? Find the Exact Path in Windows 10 and 11

By VGSources Team 8 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The usual Outlook Personal Storage Table (PST) location in Windows 10 and Windows 11 is C:Users<username>DocumentsOutlook Files. Older Outlook installations and some archive files use C:Users<username>AppDataLocalMicrosoftOutlook instead. Those folders are only starting points: the account type, Outlook generation, Windows version, and the way the file was created can all change the location.

The reliable answer is the path recorded in classic Outlook itself. Open File > Account Settings > Account Settings > Data Files, select the PST, and read the complete filename and path shown there.

Common Outlook PST locations

Microsoft’s current guidance lists the Documents folder as the normal location for PST files on Windows 10 and Windows 11. The path is written with a drive letter and your Windows account name:

drive:Users<username>DocumentsOutlook Files

For most installations, that means:

C:Users<username>DocumentsOutlook Files

Older Outlook versions and some archive files may instead be stored under:

C:Users<username>AppDataLocalMicrosoftOutlook

An older archive example is:

C:Users<username>AppDataLocalMicrosoftOutlookarchive.pst

The exact drive may not be C:, and the username in the path is your Windows sign-in name. A PST can also have any filename you chose when exporting, archiving, or creating it, so searching only for archive.pst can miss the file you need.

Situation Typical location What it means
Windows 10 or Windows 11, newer Outlook defaults drive:Users<username>DocumentsOutlook Files Microsoft’s listed default for Outlook PST files.
Older Outlook archive examples drive:Users<username>AppDataLocalMicrosoftOutlookarchive.pst Common legacy location for an archive PST.
Offline cache for synchronized accounts drive:Users<username>AppDataLocalMicrosoftOutlook Usually contains an OST rather than a PST.

Use these paths as places to check, not as proof that a file is missing. Outlook profiles can point to a PST in another folder, another drive, or a location selected during an import, export, or archive setup.

How to read the exact PST path in classic Outlook

Checking the data-file entry is safer than guessing from default folders because it shows the path used by the current Outlook profile.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open classic Outlook on the Windows computer that uses the PST.
  2. Select File in the upper-left corner.
  3. Choose Account Settings, then choose Account Settings again from the menu.
  4. Open the Data Files tab.
  5. Select the entry whose type or filename identifies it as a .pst file.
  6. Read the filename and full path shown in the list or in the file-details area. Record the complete path, including the drive letter and extension.

This is the path for that Outlook profile. If the computer has more than one Windows account or Outlook profile, repeat the check in the profile that contains the mail, archive, or folders you are looking for. A PST listed in one profile may not be attached to another profile.

If your Outlook interface does not contain File > Account Settings > Data Files, you may be using a different Outlook experience rather than classic Outlook. The menu path above is specifically the classic desktop workflow documented for inspecting data files.

How to open a PST when you know where it is

You do not need to replace the current Outlook profile to inspect a PST. Classic Outlook can attach the file as an additional data file.

  1. Open classic Outlook.
  2. Go to File > Open & Export.
  3. Select Open Outlook Data File.
  4. Browse to the folder recorded in Account Settings > Data Files, or to the folder where you found the file.
  5. Select the .pst file and choose Open.

The PST appears in the folder pane as an additional mailbox-style data file. You can then expand its folders and search its messages. Opening a file does not move it; Outlook continues to use the file at its existing path.

If Outlook reports that the file cannot be opened, first verify that the path points to a local file with the .pst extension. A disconnected removable drive, a renamed file, or a path that is no longer available can produce the same symptom as a damaged file.

PST versus OST: make sure you are looking for the right file

Not every Outlook account uses a PST. The extension tells you what kind of data file you are dealing with and prevents a lot of unnecessary searching.

What a PST contains

A PST is an Outlook Data File used for certain account types and for data that is deliberately stored outside the live mailbox. Common uses include:

  • POP account mail and folders.
  • Exported mail, contacts, calendars, or tasks.
  • AutoArchive or manually created archive data.
  • Project files and other folders kept separately from the primary mailbox.
  • Local backup copies of Outlook data.

What an OST contains

Microsoft 365, Exchange, IMAP, and Outlook.com accounts generally use an .ost file. An OST is an offline synchronized cache of server-based data, normally found under:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

C:Users<username>AppDataLocalMicrosoftOutlook

Searching for a PST when the account is entirely server-synchronized can therefore be the wrong diagnostic step. An OST is tied to its account and profile; it is not a substitute for a portable PST backup. If your goal is to locate exported or archived mail, look for the separately created PST rather than renaming an OST.

Why you cannot see the PST file

A correct path can appear empty when Windows is hiding the folder or the file extension. Change File Explorer’s visibility settings before concluding that the file has disappeared.

  1. Open File Explorer.
  2. Open the folder’s View options and choose Options (or Folder Options, depending on the Windows build).
  3. On the View tab, enable Show hidden files, folders, and drives.
  4. Clear Hide extensions for known file types.
  5. Apply the change, then browse to the path shown in Outlook.

With extensions visible, search the relevant drive for *.pst. Searching the entire drive can take time, especially on a large disk, so start with DocumentsOutlook Files and AppDataLocalMicrosoftOutlook. Include external drives if the PST was used as a backup.

Common reasons the search still fails

  • The file is on another drive: Outlook may point to a secondary internal drive or a removable drive rather than C:.
  • You are checking the wrong Windows account: each Windows username has its own Users<username> folder.
  • The file has a different name: exports and archives do not have to be called archive.pst.
  • You are viewing another Outlook profile: the profile in use may not contain the PST you remember.
  • The PST was moved or deleted: the Data Files tab can retain a reference to a path that is no longer available.
  • You are looking for an OST: synchronized accounts commonly use .ost, not .pst.

Finding an archive PST

Archive files are often the reason people search for a PST in the first place. Older Outlook archive examples place archive.pst in:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

C:Users<username>AppDataLocalMicrosoftOutlook

That filename and location are not universal. An archive may have a custom name, may be stored in the newer Documents location, or may have been moved after it was created. Use the Data Files tab to identify an archive that is currently attached, then use File > Open & Export > Open Outlook Data File to attach a file that is not currently listed.

If an archive folder is visible in Outlook but its file cannot be found at the displayed path, close Outlook and check whether the drive or folder is available. Do not create a new empty PST with the same name and assume it restores the old messages; that creates a different data file.

Backing up a PST safely

A PST can serve as an archive or backup, but copying it while Outlook is actively writing to it is a poor backup procedure. Use this sequence for a consistent local copy:

  1. Close Outlook completely. Check the notification area and Task Manager if Outlook appears to remain open.
  2. Use the path from Account Settings > Data Files to locate the PST.
  3. Copy the file to a separate local backup drive, such as an external USB hard drive. A second copy protects against failure of the computer’s primary drive; it is not required for Outlook to work.
  4. Keep the original file at its profile path unless you are carrying out a planned migration.
  5. Open the backup copy only when you need to verify it, using File > Open & Export > Open Outlook Data File.

Copying a PST is different from exporting new data. A copied file preserves the folders and messages that existed when Outlook was closed and the copy was made. For ongoing protection, maintain a schedule appropriate to how often the data changes and periodically test that a copy opens.

OneDrive, network shares, and performance cautions

Microsoft documents PST files for archives and backups, but storage location affects reliability and performance. Large PST files can slow OneDrive synchronization because the entire large file may need to be synchronized after changes. A synchronized copy also introduces the possibility that Outlook and the sync client access the file at the same time.

Microsoft also cautions against using PST files continuously over LAN or WAN links as long-term enterprise storage. Network latency, interruptions, and file-locking behavior can make an actively used PST slow or unstable. Keep the working PST on a local disk unless your organization has a specifically supported migration or storage plan. Use a separate local or removable copy for backup rather than running Outlook directly from a network share.

  1. Need the exact file used by Outlook? Read File > Account Settings > Account Settings > Data Files.
  2. Do you only need a likely starting folder? Check DocumentsOutlook Files, then AppDataLocalMicrosoftOutlook.
  3. No PST appears? Turn on hidden files and clear hidden extensions, then search for *.pst.
  4. The account is Microsoft 365, Exchange, IMAP, or Outlook.com? Check whether the data you need is in an OST-backed synchronized mailbox instead.
  5. Need to inspect a file found elsewhere? Use File > Open & Export > Open Outlook Data File; do not overwrite the existing profile.
  6. Need a backup? Close Outlook first, copy the PST to a separate local drive, and avoid using a network or continuously synchronized location as the active file.

Key takeaways

  • On current Windows versions, start with C:Users<username>DocumentsOutlook Files.
  • For older archives, check C:Users<username>AppDataLocalMicrosoftOutlook.
  • The path in classic Outlook’s Data Files tab is more dependable than any default-folder guess.
  • POP, exported, archived, and backup data commonly uses PST; synchronized Microsoft 365, Exchange, IMAP, and Outlook.com data generally uses OST.
  • Hidden folders, hidden extensions, another Windows account, another profile, or a different drive can make a valid PST appear missing.
  • Close Outlook before copying a PST, and do not run an actively used PST directly from a network share.
