It creates the message, while the recipient’s mail provider evaluates the sending server, authentication, domain alignment, technical setup, and reputation. Messages sent through an unconfigured PHP or hosting mail path are especially vulnerable to spam filtering.
Antihost offers managed WordPress hosting with free migration, one-click staging and a 14-day free trial.
The dependable repair is to route WordPress through a reputable SMTP or transactional provider, send from an address on your own domain, publish correct SPF and DKIM records, add DMARC, verify TLS and DNS, then inspect headers and test with several mailbox providers. Authentication is essential, but it cannot by itself guarantee inbox placement.

WordPress is the application layer. A contact form, password-reset request, order notification, or comment alert asks WordPress to generate a message, but another mail system must transmit it. That system may be a host’s local mail transfer agent, a remote SMTP server, or a transactional email service connected through an SMTP plugin.
The recipient’s provider makes the final decision. It can accept the message into the inbox, place it in spam, defer it for later, or reject it during the SMTP conversation. A successful “sent” notice inside WordPress only means that the application handed the message to its configured mail path; it is not proof that a mailbox accepted or displayed it.

WordPress developer guidance warns that a message can be routed to spam or discarded as malicious when the sending path is unknown or unauthenticated. A self-managed site without a functioning SMTP server needs a remote SMTP server rather than relying on PHP mail.
The common reasons WordPress mail is filtered
An unsuitable local or hosting mail path
PHP mail and a basic shared-host mail server may not provide a stable sending identity, authenticated SMTP, usable logs, or a reputable outbound IP. In some configurations the server connects directly to the recipient and claims an address in your domain without proving that it is authorized to send for that domain. The receiving provider then has little reason to trust the message.
Shared hosting can also place many unrelated customers on the same outbound IP. Abuse by another customer can damage that IP’s reputation even when your site is legitimate. A host may handle mail correctly, but “the site is hosted” does not automatically mean that application email is configured for reliable delivery.
Missing, invalid, or misaligned authentication
SPF, DKIM, and DMARC answer different questions:
- SPF is a DNS TXT record that lists the servers authorized to send mail for a domain. Every legitimate sender, including a form service, newsletter system, support platform, or SMTP provider, must be represented in the domain’s one SPF record.
- DKIM adds a cryptographic signature to each message. The recipient retrieves the public key from DNS and checks whether the signed content and signing domain are valid.
- DMARC tells the recipient what to do when SPF or DKIM fails and reports authentication results. For DMARC to pass, SPF or DKIM must authenticate a domain aligned with the domain visible in the message’s From field.
A record can exist and still fail. Typical causes include a misspelled hostname, a deleted DKIM key, an SPF record that exceeds DNS lookup limits, two separate SPF TXT records, or a provider sending with a different domain than the one shown to recipients. “SPF present” is not the same as “SPF passed and aligned.”
DNS, TLS, and reverse-DNS failures
Recipient providers inspect the infrastructure behind the message. Google’s sender guidance requires valid forward and reverse DNS for sending IP addresses and TLS for mail transmission. Reverse DNS, also called a PTR record, should identify the sending IP with a hostname that has matching forward DNS. A missing, generic, or inconsistent PTR/A relationship can hurt acceptance even when WordPress settings are correct.
TLS protects the SMTP connection in transit. If the connection falls back to an insecure transport or fails certificate validation, a recipient may defer or reject the message. The SMTP provider normally controls these settings, while a self-managed server owner must configure them.

Domain and IP reputation
Authentication proves that a sender is authorized; it does not prove that the sender is wanted. Spam complaints, compromised forms, malware, sudden volume changes, repeated bounces, and a history of unwanted mail can lower the reputation of a domain or IP. A shared IP can carry reputation problems created by other senders.
Google states that authenticated messages are less likely to be rejected or marked as spam, but it does not promise inbox placement. Correct DNS therefore removes a major technical reason for filtering while leaving reputation and recipient behavior to be managed continuously.
Recipient-provider requirements differ by volume
Mailbox providers apply their own thresholds and policies. Gmail’s requirements are the clearest current example, and they became stricter for high-volume senders. A WordPress site sending a few transactional messages each day does not have the same obligations as a sender delivering more than 5,000 messages per day to Gmail accounts, but implementing the full authentication set is still the soundest practice.
SPF, DKIM, and DMARC: what to configure
SPF: authorize every legitimate sender
Publish one SPF TXT record for the domain used by your visible From address. Add the SMTP or transactional provider’s documented include or IP authorization, plus the authorizations for any other legitimate service that sends as that domain. Do not create a second SPF record for another service; receivers can treat multiple records as a permanent error.
Review SPF whenever a sender is added or removed. A forgotten marketing platform or support tool can be a legitimate source that is absent from the record, while an obsolete include adds unnecessary DNS lookups and complexity. The final SPF policy should reflect the actual systems that send mail today.
DKIM: sign the message
Your provider supplies a selector and public key. Publish that key at the exact DNS name it specifies, then enable signing in the provider’s control panel. The selector in the DKIM-Signature header must resolve to the published key, and the signature must pass when the message arrives.

Google requires at least a 1024-bit DKIM key for mail to personal Gmail accounts and recommends 2048-bit keys when the provider supports them. Use the largest supported key and replace keys through a controlled rotation process rather than deleting an active key before all queued mail has cleared.
DMARC: apply policy and alignment
DMARC is published at the domain’s _dmarc DNS name. Start with a monitoring policy such as p=none while you identify every legitimate sender and review reports. Once SPF or DKIM passes and aligns for all expected sources, tighten enforcement according to your risk tolerance.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Alignment matters. The domain visible after From: must align with the domain authenticated by SPF or DKIM. A provider can sign with its own unrelated domain while your message displays your domain; DKIM may pass technically but fail DMARC alignment. Configure the provider’s custom sending domain or aligned signing option when available.
Gmail requirements you need to know
Google’s published sender guidance sets these milestones:
| Audience or condition | Requirement | Qualification |
|---|---|---|
| All senders to Gmail, from February 1, 2024 | Set up SPF or DKIM for the sending domain | This is a minimum authentication requirement; it is not an inbox-placement guarantee. |
| More than 5,000 messages per day to Gmail accounts | SPF, DKIM, and DMARC; valid forward and reverse DNS; TLS; spam rate below 0.30% | The 5,000-message threshold and 0.30% figure are Google’s stated sender-guideline conditions for high-volume delivery. |
| Mail to personal Gmail accounts | DKIM key of at least 1024 bits | Google recommends 2048-bit keys when supported. |
Google recommends always setting up SPF, DKIM, and DMARC, including for senders below the high-volume threshold. A small WordPress site benefits from the same aligned identity because providers use authentication as one of their trust signals.
How to fix WordPress email delivery, step by step
1. Choose the sending identity
- Use a
Fromaddress on the same domain that visitors associate with the site, such as an address at your site’s domain rather than a free mailbox address. - Make sure that mailbox exists or that the domain is configured to receive replies.
- Set
Reply-Toto a monitored mailbox when replies should go somewhere different. Do not put a visitor-supplied address inFrom; use it asReply-Toinstead.
A stable domain identity allows SPF, DKIM, and DMARC alignment and prevents a contact form from impersonating whichever address a visitor enters.

2. Select the transport
Connect WordPress to a reputable SMTP or transactional provider rather than relying on an unknown local mail path. A WordPress SMTP plugin supplies the application interface and credentials, but it does not provide DNS authentication, IP reputation, or delivery policy. Those remain the provider’s responsibility.
Check the provider’s documentation for supported authentication, TLS, custom From domains, bounce and complaint handling, logs, regional data-processing options, and volume limits before committing to it. Keep credentials in protected configuration rather than exposing them in theme files or public repositories.
3. Publish the provider’s SPF authorization
- Copy the provider’s documented SPF include or sending-IP value exactly.
- Add it to the existing SPF record for the From domain, preserving authorizations for other legitimate senders.
- Ensure the domain has one SPF record, not one record per service.
- Remove retired services and check that the record stays within DNS lookup limits.
Do not guess an include hostname from a similar service. The provider’s exact value is part of the configuration.
4. Publish and enable DKIM
- Generate or obtain the DKIM selector and public key in the provider’s dashboard.
- Create the TXT or CNAME record at the exact hostname supplied by the provider.
- Wait for DNS propagation, then use the provider’s verification control.
- Send a test and confirm that the receiving header reports DKIM as passing.
Use a 2048-bit key when supported; never reduce a key below Google’s 1024-bit minimum for personal Gmail delivery.

5. Add DMARC in monitoring mode
- Create a DMARC record for the From domain with a monitoring policy, such as
p=none. - Designate a mailbox or reporting destination that someone will review.
- Send mail from every legitimate WordPress and third-party source.
- Review reports for unexpected senders and alignment failures.
- After legitimate traffic passes consistently, move toward a stricter enforcement policy appropriate to your organization.
Changing directly to a rejecting policy can block password resets or form notifications from a source you forgot to authorize. Monitoring first makes the change reversible.
6. Verify DNS, PTR, and TLS
- Ask the SMTP provider who controls the outbound IP and PTR record. If you control the server, set a meaningful PTR hostname and ensure forward DNS for that hostname points back to the same IP.
- Confirm the SMTP connection uses TLS and the certificate validates for the server name.
- Check that the provider’s custom sending domain, DKIM selector, and SPF record resolve publicly, not only from your local network.
- Record the final DNS values and the date they were changed so future troubleshooting has a baseline.
7. Send controlled tests and inspect headers
- Trigger a WordPress password-reset email, because it exercises a core mail path independently of a contact-form plugin.
- Submit a test contact form with a monitored Reply-To address.
- Send tests to Gmail, Yahoo, and Outlook mailboxes that you control.
- In each mailbox, open the message’s full or original headers.
- Find the
Authentication-Resultsheader and record SPF, DKIM, and DMARC results, including the domains that passed. - Check the
Receivedchain for the actual sending host and theReturn-Pathfor the envelope sender. - Compare the visible From domain with the SPF-authenticated and DKIM-signing domains to verify alignment.
Testing one mailbox is not enough. A message can pass authentication yet be placed in spam by one provider because reputation and local filtering decisions differ.

8. Improve reputation and keep it healthy
- Patch WordPress, plugins, and themes, and protect forms with rate limits or anti-abuse controls.
- Investigate unexpected spikes, unknown recipients, or password-reset bursts as possible compromise indicators.
- Stop sending repeatedly to invalid addresses and remove persistently bouncing recipients.
- Honor unsubscribe and suppression requests for any non-transactional mail.

Troubleshooting by symptom
The WordPress dashboard says “sent,” but no mailbox receives the message
Check the SMTP plugin’s connection test and delivery log first. If no provider event exists, WordPress may be failing before transport. If the provider accepted the message, inspect the recipient mailbox’s spam folder and full headers. A dashboard success message alone does not establish acceptance by the recipient.
Password resets arrive, but contact-form notifications do not
The two features may use different plugins, From addresses, or transport settings. Compare their headers and logs. Make the form notification use the same authenticated From domain, place the visitor’s address in Reply-To, and verify that the form plugin is routed through the configured SMTP integration rather than PHP mail.
SPF passes, but DMARC fails
Look at the domain shown beside the SPF result. SPF can pass for the envelope sender while the visible From domain is different. Correct the provider’s return-path or custom-domain setting, or rely on an aligned DKIM signature. DMARC needs at least one aligned authentication path.
DKIM fails after a DNS change
Confirm the selector and hostname character for character, check that the public key was not truncated, and verify that the provider is signing with the same selector you published. If keys were rotated, keep the old public key available until messages signed with it are no longer in transit.

Authentication is only one signal. Review complaint and bounce patterns, sending volume, recent domain or IP changes, compromised accounts, and recipient engagement. Test another provider to determine whether the issue is mailbox-specific. Remove unwanted traffic before requesting reputation assistance from the sending provider.
Delivery is intermittent
Intermittence often indicates multiple sending paths. Search every plugin and server configuration for PHP mail, a second SMTP integration, or a third-party service. Compare the sending IP and Authentication-Results headers from a good message and a bad one. Standardize all transactional messages on the intended provider and domain.
Operational checks after the fix
- Keep an inventory of every service authorized in SPF and every service that sends with your From domain.
- Review DMARC reports on a regular schedule and investigate new sources.
- Retest after changing DNS, switching providers, rotating DKIM keys, or moving hosts.
- Watch provider logs for bounces, complaints, deferrals, and blocked recipients.
- Protect SMTP credentials, restrict administrator access, and rotate secrets after a suspected compromise.
- Document the From, Reply-To, envelope sender, DKIM selector, and provider account used by each WordPress feature.
These checks turn deliverability from a one-time DNS project into a maintained part of site operations.
