What’s actually slowing this PC down?

Most Gmail SMTP failures come from one of three configuration mistakes: using the wrong port or TLS mode, sending the account’s normal password, or having outbound SMTP blocked by the server host. Use smtp.gmail.com with port 587 and STARTTLS or port 465 with implicit SSL/TLS. Authenticate with a 16-character app password (after enabling 2-Step Verification) or with OAuth 2.0; a regular Google account password will be rejected.

Use these Gmail SMTP settings first
Before changing firewall rules or rewriting mail code, make the connection parameters unambiguous. Gmail accepts client submission on two ports, and each port requires a different TLS mode.

| Setting | Port 587 | Port 465 |
|---|---|---|
| Server | smtp.gmail.com | smtp.gmail.com |
| Encryption | STARTTLS (connect in plain SMTP, then issue STARTTLS) | Implicit SSL/TLS (TLS starts immediately) |
| Authentication | Required | Required |
| Username | The complete Gmail or Google Workspace address, such as [email protected] | |
| Password | A Google app password or an OAuth 2.0 access token; not the account’s normal password | |
Port 25 is intended for server-to-server relay, not ordinary application submission. A hosting company may block it, and choosing it for a website or game server does not bypass Gmail authentication requirements.
Choose the TLS mode that matches the port
A common failure is selecting SSL/TLS on port 587 or selecting STARTTLS on port 465. Those are not interchangeable labels. For 587, create a normal SMTP connection, negotiate TLS with STARTTLS, and only then authenticate. For 465, create the TLS-protected connection before sending any SMTP commands.

Use the full address as the username
Enter the entire mailbox address, including the domain. A local part such as name can be rejected even when the password is correct, particularly for Workspace accounts.
What each Gmail error means
The SMTP response usually tells you whether to fix credentials, create an app password, or investigate the network. Read the complete response rather than treating every failure as “Gmail is down.”
| Error | Likely cause | Corrective action |
|---|---|---|
535 5.7.8 Username and Password not accepted |
The program is sending the normal account password, or an app password was revoked or is no longer valid. | Generate a new app password, update the secret everywhere the service uses it, or migrate to OAuth 2.0. |
534 5.7.9 Application-specific password required |
2-Step Verification is enabled, but the SMTP client has no app password. | Create a 16-character app password and use that value as the SMTP password. |
| Connection timed out | The server, cloud firewall, hosting provider, or ISP is blocking outbound TCP 465 or 587, or the route is unavailable. | Test both ports, ask the provider to unblock the permitted port, and retry with the matching TLS mode. |
421 4.7.0 Too many concurrent connections |
A single source may be opening too many simultaneous sessions for one account. One vendor source reports a threshold of about 10 sessions, but that figure has not been independently confirmed. | Reuse a controlled connection pool, queue messages, close idle sessions, and reduce concurrency. Treat the reported threshold as an operational clue, not a guaranteed Gmail limit. |
Separate an SMTP response from a network failure
If your application receives a numeric SMTP response such as 535 or 534, it reached Gmail and the server answered. If it waits until a socket timeout with no banner or response, credentials have not been evaluated yet; investigate egress filtering, DNS, routing, and TLS negotiation first.
Test whether the server can reach Gmail
Run connectivity tests from the same machine, container, or virtual host that sends your mail. Testing from a laptop can produce a false sense of success because hosting networks often apply different egress rules.
Check DNS resolution
- Resolve
smtp.gmail.comfrom the sending host using the operating system’s DNS utility. - Confirm that it returns addresses and that the host can route to at least one of them.
- If resolution fails only inside a container, inspect that container’s resolver and network policy rather than changing Gmail credentials.
Do not hard-code a single returned IP address. Gmail can publish multiple addresses and change them.

Probe port 587 and STARTTLS
With OpenSSL installed, a direct probe can show whether TCP connection and TLS negotiation work:
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →openssl s_client -starttls smtp -connect smtp.gmail.com:587 -crlf -servername smtp.gmail.com
A successful test normally displays a certificate exchange and an SMTP capability response after STARTTLS. A refusal, timeout, or inability to complete the handshake points to egress controls, an intercepting firewall, or a local TLS problem rather than a bad password.
Probe port 465 with implicit TLS
openssl s_client -connect smtp.gmail.com:465 -crlf -servername smtp.gmail.com
Port 465 should begin TLS immediately. Do not add -starttls smtp to this test; that would ask for the wrong protocol sequence.
Interpret the results
- Both probes time out: ask the host or ISP whether outbound SMTP is blocked and whether a security-group or egress rule must be changed.
- One probe works: configure your application for that port and its corresponding TLS mode.
- TLS completes but authentication fails: check the username, app password, OAuth token, and account policy.
- The certificate cannot be verified: update the server’s CA bundle and check its clock. Never disable certificate verification as a permanent fix.
Create and use a Gmail app password
An app password is the quickest option for a small service that cannot implement OAuth. It is separate from the account’s normal password and is shown only when it is created.

- Sign in to the Google account that will send the mail.
- Enable 2-Step Verification if it is not already enabled. App passwords require 2-Step Verification.
- Open the account’s security settings and choose the option to create an App password.
- Give the credential a recognizable label, such as the server or application name, and create it.
- Copy the generated 16-character value immediately. Enter it in the SMTP library’s password field; do not add spaces that are only visual separators.
- Store it in a secrets manager or protected environment variable, update the service, and send a test message.
If Google reports that an application-specific password is required, this is the remedy for that account. If the app-password option is missing, the account’s organization policy, security state, or account type may prevent it; an administrator must confirm the allowed authentication method.
When an app password stops working
- A 535 response after a previously successful deployment can mean the app password was revoked. Create a replacement and update every running instance.
- Changing the account’s main password can invalidate existing app passwords. Treat the resulting failure as a credential-rotation event.
- Do not paste the app password into logs, source control, issue trackers, or monitoring alerts. Redact SMTP authentication failures before sharing diagnostics.
Use OAuth 2.0 when the service supports it
OAuth avoids storing a reusable mailbox password in the application. The service obtains an access token and presents it to Gmail through the XOAUTH2 SMTP authentication mechanism. Google describes it this way: “The SASL XOAUTH2 mechanism enables clients to provide OAuth 2.0 credentials for authentication.”
What an OAuth implementation requires
- A registered OAuth client for the application or service.
- A consent and authorization flow that grants the mail permission required by the implementation.
- Secure storage for the refresh credential and short-lived access tokens.
- Token refresh handling, including recovery when a refresh token is revoked.
- SMTP AUTH XOAUTH2 support in the mail library.
One third-party configuration guide recommends the https://mail.google.com/ scope for SMTP, but that scope requirement was not confirmed in the Google material available for this article. Verify the current scope and consent requirements in Google’s OAuth documentation before shipping an implementation.
Typical OAuth failure patterns
- Invalid or expired access token: refresh the token and retry authentication; do not repeatedly retry the same token.
- Wrong account: ensure the authorized mailbox matches the From address and the SMTP username.
- XOAUTH2 unsupported by the library: upgrade the library or select an app-password path while you replace it. Do not send an OAuth token in a normal password field.
- Consent or administrator denial: have the Workspace administrator approve the client or use an account policy-approved method.
Fix outbound firewall and hosting restrictions
A timeout on 465 or 587 is usually a network-policy problem, not a Gmail account problem. Shared hosting, VPS providers, corporate networks, and cloud security groups commonly restrict outbound SMTP to reduce abuse.

- Identify the exact source address: the host, container, or worker that opens the SMTP socket.
- Inspect local firewall rules, cloud security groups, container network policies, and egress ACLs for TCP 465 and 587.
- Ask the hosting provider whether it blocks client SMTP by default and request an unblock if its policy permits Gmail submission.
- Retest from the production network after the rule changes. A successful test from an administrator’s workstation does not validate the production path.
- If only one port is allowed, use the matching Gmail encryption mode rather than forcing a protocol mismatch.
Do not “fix” a timeout by switching to port 25 without understanding the policy. Port 25 is for server-to-server relay and may remain blocked or require a different relay arrangement.

Make the settings explicit
Print a redacted configuration at startup or expose it through a diagnostic endpoint restricted to administrators. It should make the host, port, TLS mode, username domain, and authentication method visible without revealing the secret.
- Host is exactly
smtp.gmail.com. - Port is 587 with STARTTLS or 465 with implicit TLS.
- Username is the complete mailbox address.
- Password field contains an app password, not the account password, when using password authentication.
- OAuth mode sends an access token through XOAUTH2, not as a literal password.
- Certificate verification is enabled.
- The server clock is accurate enough for TLS and token validation.
Prevent connection storms
Open one controlled connection when practical, queue messages, and close or recycle sessions according to your library’s documented behavior. A web request that opens a new SMTP session for every notification can trigger concurrent-connection errors and makes transient failures harder to recover from.
Handle retries safely
Retry network timeouts with bounded backoff. Do not blindly retry 535 or 534 responses: those are configuration or credential failures and will not be repaired by repetition. Record a message identifier so a retry does not send duplicates after Gmail accepted a message but the client lost the final response.

Built-in cable management guides wires along the arms, keeping cords out of sight and out of the way. Enjoy a tidy, modern workstation that looks as good as it feels to use.
Google Workspace considerations
Workspace administrators can impose authentication rules that differ from a personal Gmail account. Third-party guides disagree about the dates on which plain-password SMTP was disabled for Workspace users—one cites 30 September 2024 and another cites May 2025—so do not treat either date as a universal rule. Check the current Google Admin documentation and your organization’s authentication policy.
If an administrator disallows app passwords, OAuth may be mandatory even though the SMTP host and port are correct. Conversely, an administrator may restrict which OAuth clients or scopes can be used. Capture the exact SMTP response and the account domain when opening an administrator ticket.
A complete troubleshooting sequence
- Correct the endpoint: set
smtp.gmail.com, then choose 587 with STARTTLS or 465 with implicit TLS. - Verify identity: use the full mailbox address.
- Replace the password: create an app password after enabling 2-Step Verification, or configure OAuth 2.0.
- Test from production: run the appropriate OpenSSL probe on the actual sending host.
- Classify the failure: timeout means network; 535 means credentials; 534 means an app password is required; 421 means reduce concurrent sessions.
- Check policy: confirm Workspace administrator rules if app passwords or OAuth are unavailable.
- Harden operations: protect secrets, enable certificate verification, queue messages, and use bounded retries.
What not to change
- Do not keep trying the account’s normal password after a 535 response.
- Do not combine port 587 with implicit TLS or port 465 with STARTTLS.
- Do not disable certificate verification to hide a trust-store problem.
- Do not expose app passwords or OAuth refresh tokens in logs.
- Do not assume a successful desktop test proves that the production server can make the same outbound connection.
- Do not publish or rely on a daily Gmail sending limit without checking Google’s current documentation; figures in third-party guides conflict.
Bottom line
Start with the supported endpoint and authentication: smtp.gmail.com:587 plus STARTTLS, or smtp.gmail.com:465 plus implicit TLS; use the complete email address; and authenticate with an app password or OAuth 2.0. A 535 or 534 response calls for credential or account-policy work, while a silent timeout calls for an outbound-network fix. Once the connection works, control concurrency and protect the credential so the same failure does not return during the next deployment.
