Files hold the application, themes, plugins, media and configuration; the database holds posts, pages, users, settings, comments and other stored content. What a complete WordPress backup must contain
WordPress describes a site backup as two parts: Database and Files. A files-only archive cannot recreate your pages or settings, while a database dump without the matching files may lose media, themes, plugins or custom code. Treat the two components as one dated backup set and record which versions and destination they belong to.

Include wp-config.php and .htaccess when they exist. They often contain database connection details, rewrite rules, security directives and custom behavior that are not reproduced by reinstalling WordPress. Also capture files outside the web root when they are needed for operation, such as cron definitions, deployment configuration or server-level certificates; document secrets by reference to a secure vault rather than putting plaintext passwords in an archive.
Set recovery objectives before choosing a schedule
Backup frequency is a business decision, not a universal WordPress setting. Define the maximum acceptable data loss, called the recovery point objective (RPO), and the maximum tolerable outage, called the recovery time objective (RTO). Then assign an owner who can perform the restore and a retention period that covers investigations, delayed discovery and rollback.

- RPO: Decide how much recent publishing, registration or transaction data could be re-created manually. A store or frequently updated publication generally needs database captures more often than a rarely changed brochure site.
- RTO: Estimate how quickly the site must be usable, including time to obtain the backup, provision compatible hosting, import the database, clear caches and test critical functions.
- Retention: Keep enough historical sets to recover from corruption that was copied into several successive backups. Use a documented rotation rather than deleting the only known-good copy.
- Responsibility: Name a person or team, an escalation contact and the credentials or secure references required to access storage, hosting, DNS and the database.
WordPress guidance does not publish a universal RTO, RPO, retention period or restore-test interval. Derive those values from the rate at which your content changes and the cost of downtime, then write them into the runbook.
Build and store a dated backup set
1. Export the database
Use phpMyAdmin, a hosting control panel or MySQL/MariaDB command-line tools. Export all WordPress tables, including tables created by plugins. A command-line example is:
mysqldump -u db_user -p db_name | gzip > db-YYYY-MM-DD-HHMM.sql.gzReplace the example names with the values from wp-config.php. Verify that the export finishes without errors and that the compressed file can be opened. A dump made while a large transaction is in progress may need the database tool’s consistent-snapshot option; follow the documentation for your MySQL or MariaDB version.
2. Copy the entire WordPress directory
Download or archive the complete installation, not only wp-content. Include WordPress core, uploads, themes, plugins, wp-config.php, .htaccess, custom drop-ins and any static files used by the site. FTP/SFTP, a control-panel archive or a server-side copy can work; preserve file names, permissions where practical and symbolic links only when the destination supports them.
3. Add the operating record
Create a manifest beside the archive containing the backup timestamp, site identifier, domain, WordPress and PHP versions, database engine and version, active theme, plugin list, DNS provider, scheduled tasks and server-specific configuration. Record where credentials are stored rather than embedding them in the manifest.

4. Make independent copies
Keep at least one copy independent of the production server and its account. Host-only backups can become inaccessible with the server or account; requesting a provider restore may also delay an incident response. Encrypt archives in transit and at rest, restrict access to the people who restore sites, and consider read-only or immutable storage for a retained copy. Store the encryption key separately from the archive.

5. Record integrity
Generate a cryptographic hash for each archive and keep the hash record in a separate protected location. Recalculate the hash after copying or downloading and compare it before a restore. A matching hash proves the bytes were not changed after the hash was recorded; it does not prove that the backup contains every required table or file, which is why a test restore is still necessary.

No method is automatically reliable. Confirm that the chosen system can produce a usable database and file set, stores a copy outside the server, reports failed jobs, and offers a restore path that does not depend solely on a functioning WordPress administration screen.
Use the safe backup and restore order
WordPress recommends backing up the database regularly and before an upgrade. For a planned backup, capture the database first and then the files. The database-first order gives you a clear content point in time before files are copied. For recovery, restore files first and import the matching database afterward, then align wp-config.php with the destination.
- Backup: export the database, verify it, copy the complete files, and label both with one timestamp.
- Restore: place the files on the clean destination, configure permissions, import the corresponding database dump, and update connection settings.
If files and database come from different dates, plugins may refer to code or tables that did not exist at the other time. Use a matched pair whenever possible; if you must mix dates, record the decision and test every critical feature.

WordPress disaster-recovery runbook
1. Declare and contain the incident
Record when the problem began, what is affected and the target restore point. Preserve the newest known-good backup before deleting or overwriting anything. In a suspected compromise, isolate the affected host, preserve logs for investigation and avoid copying potentially altered files into your clean recovery environment.
2. Prepare an isolated destination
Use a clean server, staging environment or separate account. Confirm compatible PHP and database versions, sufficient disk space, filesystem ownership and permissions, web-server configuration, SSL requirements and the ability to run scheduled tasks. Do not point public DNS at the destination until validation is complete.
3. Restore files
Upload or extract the complete WordPress directory. Check that wp-content/uploads, active themes, plugins, custom code, wp-config.php and rewrite files are present. Remove temporary archives from any web-accessible directory after extraction.
4. Create or select the destination database
Create an empty MySQL or MariaDB database and a user with the required privileges. Import the matching dump with phpMyAdmin or a command such as:
gunzip -c db-YYYY-MM-DD-HHMM.sql.gz | mysql -u db_user -p db_nameWatch for character-set errors, oversized packets, timeouts and incomplete imports. Compare table counts or inspect the import log before continuing.

5. Align wp-config.php
Set the destination database name, user, password and host. Preserve the correct table prefix and salts unless your incident procedure requires rotating them. Never publish the file or paste its secrets into a ticket or chat.
6. Handle a domain change
When moving to a different domain, update the siteurl and home values in the restored database as required. Search and replace old URLs with a WordPress-aware method that understands serialized data; a plain text replacement can corrupt serialized settings. Keep the old domain available for controlled redirects only after the new site is validated.
7. Validate before traffic cutover
Disable or bypass page caches, maintenance blockers and external proxy caches while testing. Check:

- Home page, representative posts and pages, navigation and search
- Media thumbnails, full-size uploads and new upload permissions

- Forms, email delivery, webhooks and scheduled tasks

- PHP, web-server, cron and WordPress error logs

8. Switch over and document
Only after validation should you change DNS, load-balancer routing or the hosting target. Record restore start and finish times, backup age, tests passed, failures, workarounds and any data that could not be recovered. Keep the old environment isolated until the incident review is complete.

A successful upload or a green scheduled-job badge is not proof of recovery. At a planned interval, restore a copy to an isolated environment using only the documented runbook. Measure how long each step takes and note which credentials, tools or permissions were missing. Verify content, media, logins, forms, scheduled work and any revenue-critical workflow, then destroy or securely reset the test environment.

- Test a full database-and-files restore, not only a single-file download.
- Test access to an off-site copy if the production host is unavailable.
- Check that encrypted archives can be decrypted with the stored key.
- Confirm hashes before extraction and inspect import logs afterward.
- Update the runbook with observed duration, errors and the person who performed the test.
Selective restores can be useful for one table or upload, but they do not replace a full rehearsal. A single archive can be complete yet unusable because of a missing key, incompatible PHP version, damaged database dump or undocumented server dependency.
Choose frequency and retention by change rate
Frequently changing sites
Stores, membership sites and active publications generate database changes continuously. Capture the database often enough to meet the defined RPO, and create a new full file backup after core, theme or plugin updates. Consider transaction-aware or point-in-time capabilities only if the selected system documents how they work and you have tested recovery.

Mostly static sites
A brochure site may change infrequently, but an update can alter many files at once. Schedule periodic full sets, make an extra set before every update, and retain historical copies long enough to detect a problem that was not noticed immediately.
Retention and rotation
Use a written rotation such as recent, weekly and monthly tiers only when those tiers meet your business requirements. Keep an independent known-good copy outside the automatic deletion cycle. Review storage access, encryption keys, DNS records and the runbook whenever the host, domain, PHP version or responsible staff changes.

Keep the runbook usable
Store the procedure and manifest where the person responding to an outage can reach them without the production WordPress dashboard. Include the backup location, encryption-key reference, hosting and DNS contacts, version compatibility notes, exact restore commands, validation checklist, escalation path and a change log. Review it after every test or real incident. The practical standard is simple: a dated database dump and complete file set, protected independent storage, and a documented restore that someone has successfully performed.
