Choose WordPress Multisite when one team should operate several sites with shared WordPress core files, themes, plugins, and release policies. Choose separate WordPress installations when sites need independent code, databases, hosting, administrators, migration paths, or incident boundaries.
The decision is architectural, not just a question of convenience. Multisite reduces duplicated maintenance but couples the sites operationally; independent installations require more upkeep but let each site evolve and move on its own.

There is no universal winner. A network of regional sites using one design system has a different requirement from a collection of unrelated client sites, even if both contain several WordPress websites.

WordPress defines a multisite network as “a collection of sites that all share the same WordPress installation core files.” The network runs one WordPress core, while each site has its own content tables and media-upload directory. The sites are separate in their content, but they live inside a common operational framework.

This arrangement is useful when the sites should receive the same core updates and follow the same technical standards. A network administrator installs themes and plugins once. Those components can then be activated for particular sites, subject to the network’s governance rules.
Subdomains and subdirectories
During network setup, you choose whether sites use subdomains such as news.example.com or subdirectories such as example.com/news. That choice affects DNS, rewrite rules, certificates, and how visitors perceive the site hierarchy. It should be made before production content is built, because changing URL patterns later can create redirects and search-indexing work.
Mapped top-level domains
A multisite subsite can also be presented on its own top-level domain. Native domain-mapping support has been available since WordPress 4.5, but mapping is not a one-click substitute for server administration. The domain must resolve to the correct server, the server needs a valid SSL certificate for the mapped host, and the network’s URL and rewrite behavior must be tested. WordPress does not generate Nginx configuration for you, so Nginx operators must create and maintain the required rules themselves.
What “multiple installations” can mean
Independent WordPress instances
With separate installations, every site has its own WordPress files, configuration, update process, and administrative boundary. The sites may be hosted on one machine or spread across providers. They can use different PHP code, themes, plugins, and release schedules without waiting for a network-wide decision.
Shared database with different table prefixes
WordPress documents an architecture in which multiple instances use one database but have distinct table prefixes. This can reduce the number of database servers you operate, yet it does not make the installations a single network. Each instance still has its own files and configuration, and you must carefully protect the table-prefix and credential settings.
Separate databases
A stronger isolation model gives every installation its own database and its own database settings in wp-config.php. Separate databases make ownership, backup, restoration, access control, and incident response easier to reason about. They also make it simpler to move one site without carrying unrelated sites along.

Shared code and update cadence
Multisite is strongest when the sites genuinely share a code baseline. One core installation and a centrally managed theme and plugin catalogue reduce repeated update work. The network team can coordinate testing and rollouts across the portfolio.

A site administrator cannot independently install an unapproved plugin or pin a different version when the network policy does not allow it. A plugin update that is safe for one site still has to be evaluated against every site using it.

Separate installations reverse the trade-off. Each site can adopt a different theme, plugin set, PHP customization, or deployment calendar. The price is repeated maintenance: updates, compatibility checks, security review, and monitoring must be performed per installation unless you add an external fleet-management process.
Site autonomy and administration
In a network, the network administrator controls installation of themes and plugins. Site administrators work within that boundary and manage their own site content and settings that the network exposes. This division works for a central publishing or education team, but it can frustrate customers or departments that expect full control.
Independent installations give each site its own administrator boundary. A customer can receive the complete site, credentials, and configuration without granting access to unrelated sites. This is often the safer default when legal ownership, staffing, or contractual responsibility differs between sites.

Multisite separates site content into distinct tables and upload locations, but the sites still depend on the shared WordPress installation and its operational environment. A mistake in a network-level plugin, core update, server configuration, or backup process can affect more than one site.
Separate databases and installations create clearer failure boundaries. A database restoration or file rollback can target one site. This does not eliminate risk—shared servers, DNS, identity systems, or deployment tooling can still be common dependencies—but it narrows the scope of many incidents.
Domains and certificates
Multisite’s native patterns are subdomains and subdirectories. A domain-based portfolio is possible, but every mapped domain adds DNS records, certificate coverage, canonical-URL checks, and rewrite behavior to your operations checklist.
Independent installations treat domains separately from the start. Each site can have its own virtual host, certificate, redirect policy, and deployment schedule. That separation is useful when domains are owned by different organizations or may be transferred later.

Migration and future separation
WordPress’s administration guidance states that moving a multisite network is more complicated than moving a single installation. A network move must preserve network settings, site-specific tables, upload paths, domain behavior, and the relationships between shared files and subsites.

A separate installation can be migrated on its own, although each site still needs a tested procedure for files, database export and import, configuration, DNS, SSL, and post-move checks. If one site may be sold, spun out, or handed to another team, that independent procedure is a significant architectural advantage.
When Multisite is the better choice
Multisite is a good fit when most of the following statements are true:
- One organization owns the entire portfolio and has a team responsible for network administration.
- The sites use a common theme system, plugin set, coding standard, or deployment cadence.
- Centralized security review and updates are more valuable than per-site customization.
- Sites should be created, deactivated, or audited through one administrative structure.
- You can operate DNS, SSL certificates, URL rewriting, backups, and server configuration for the network.
- A network-wide failure or maintenance window is an acceptable risk.
Examples include a publisher with regional editions, a university with departmental sites, or a company managing several campaign sites that all use the same design system. The common factor is shared governance, not merely the number of sites.

Use independent installations when one or more of these conditions matters:
- Sites need materially different plugins, themes, PHP code, or WordPress settings.
- Different teams or customers must have full administrative control over their own site.
- Sites require different hosting providers, database credentials, backup policies, or maintenance windows.
- You need the strongest practical separation for security, compliance, or incident response.
- One site may be transferred, sold, rebranded, or rebuilt without involving the rest.
- A future split from a common platform is likely, but the extraction procedure has not been proven.
Independent installations are also a sensible choice when the sites only look related on an organizational chart. If their technology and ownership are already diverging, putting them in one network usually postpones the separation rather than removing the need for it.
How to plan a multisite implementation
- Define the governance boundary. Name the network owner, the people who may install or update plugins and themes, and the process for approving changes that affect every site.
- Choose subdomains or subdirectories. Record the URL convention, redirect policy, and naming rules before creating sites. Confirm that the choice matches your DNS and hosting model.
- Confirm server rewrite support. URL rewriting is required. Configure the rules for your web server—Apache, IIS, or Nginx—and do not assume WordPress will produce Nginx configuration automatically.
- Plan certificates and DNS. For subdomains or mapped domains, determine how records are created and renewed and how certificates cover every hostname.
- Install and test shared code. Enable only the themes and plugins that have been checked against all intended sites. Test activation, deactivation, upgrades, and rollback in a staging network.
- Test site isolation. Verify that users, media uploads, menus, settings, and content remain associated with the correct subsite. Confirm that a site administrator cannot perform network-only actions.
- Prove backup and restore. Restore the entire network and, where your tooling supports it, an individual subsite. Document the exact recovery order and the DNS changes required during an outage.
- Record an exit plan. Keep an inventory of each site’s tables, uploads, domains, plugins, and configuration so that a later extraction is a planned project rather than an emergency.
How to plan separate installations
- Decide the database model. Use separate databases when independent recovery, ownership, or migration is important. A shared database with distinct table prefixes is possible, but document the boundaries and access controls carefully.
- Create per-site configuration. Each instance needs its own files and database settings in
wp-config.php. Keep credentials scoped to the smallest practical database and filesystem area. - Standardize without coupling. You can publish a common coding standard, starter theme, or update checklist while allowing each site to choose its own production versions.
- Assign ownership. Record who controls the domain, hosting account, database, backups, administrator accounts, and emergency contacts for every installation.
- Automate repeatable maintenance. Use a documented process for updates, staging, backups, vulnerability response, and uptime checks. Automation should report failures per site rather than hiding them in one aggregate status.
- Test an individual migration. Clone one installation to a different environment, update its configuration, verify URLs and media, and practice DNS and SSL cutover before you need to move a production site.
Common pitfalls and how to avoid them
Choosing Multisite only to reduce the number of dashboards
A single dashboard does not compensate for incompatible release schedules or different owners. Map governance, code, data, and recovery requirements first; choose the network only when those boundaries are genuinely shared.
Assuming subsites automatically share data or users
WordPress cautions that multisite subsites are separate and are not automatically interconnected. If the project requires shared records, tightly synchronized content, or a common user model, confirm that the necessary integration is explicitly designed. Do not infer it from the fact that sites occupy one installation.

Underestimating domain mapping
A mapped domain can appear to work while leaving certificate, redirect, canonical URL, or rewrite defects. Test HTTP and HTTPS, the preferred hostname, login and administration URLs, media links, and cache behavior for every mapped site.

Updating shared code without a network-wide test
Centralized updates have a larger blast radius. Keep a representative staging copy, identify which sites use each plugin or theme, and define a rollback method before applying a network-level change.
Leaving migration until the portfolio is large
The larger the network, the more relationships and exceptions a move must account for. Perform restore drills and document extraction steps early, even if you have no immediate plan to change hosts.

If most answers fall in the shared column, Multisite removes duplicated operational work. If most fall in the independent column, separate installations avoid forcing unlike sites into one governance and failure model. A mixed portfolio can also be split deliberately: put the standardized group in one network and keep exceptional or independently owned sites outside it.

Should sites that need shared data use Multisite?
Not automatically. Subsites are separate and do not become a shared-data system merely by being in one network. Design and test the required integration, or choose an architecture that matches the data relationship.
Can separate installations still share a visual design?
