Best VPS for Self-Hosting a CRM Like SugarCRM (2026 Sizing and Setup Guide)

For most small SugarCRM teams, start with a Linux VPS offering root access, at least 2 performance-oriented vCPUs, 8 GB RAM, SSD or NVMe storage, and automated snapshots or a separate backup target. DigitalOcean is the easiest general-purpose choice when you want clearly documented shared and dedicated CPU options. Hetzner is a strong alternative for cost- and privacy-conscious administrators who are comfortable owning security, updates, monitoring, backups, and availability. SugarCRM does not publish one universal vCPU/RAM minimum, so treat those figures as a practical starting point and validate them against concurrent users, indexing, reports, and integrations.

Quick verdict: which VPS should you choose?

A self-hosted SugarCRM installation is a PHP application working continuously with a database, web server, filesystem, scheduled jobs, and security controls. The “best” VPS is therefore the one that supports Sugar’s PHP modules and database driver while giving you enough predictable CPU, memory, storage, backup capacity, and administrative control.

  • Best default for a small team: a Linux VPS with 2 performance-oriented vCPUs, 8 GB RAM, 80–100 GB of SSD/NVMe storage, root access, SSL support, and snapshots or external backups.
  • Choose DigitalOcean when simple resizing and clearly documented shared, dedicated, CPU-optimized, memory-optimized, and storage-optimized Droplet families matter most.
  • Choose Hetzner when transparent infrastructure, root access, and privacy are priorities and you are prepared to operate the server yourself.
  • Use a dedicated CPU when several users run reports or imports at the same time, indexing is slow, integrations create sustained load, or shared-CPU performance is inconsistent.

Those are planning recommendations, not a SugarCRM certification or a vendor-published minimum. Measure the finished deployment and resize when CPU saturation, memory pressure, database latency, or indexing queues become persistent.

What SugarCRM needs from the server

It is a PHP application plus a database

The Sugar Enterprise 26.1 installation guide states: “Installing Sugar requires a web server running PHP and a database server.” Your VPS image must therefore support a web server, the PHP version required by your Sugar edition, every required PHP extension, and a compatible database driver. The application also needs writable directories, secure random-token support, Blowfish cipher support, SSL, and a scheduled cron job for full system indexing (SugarCRM Support, current 26.1 guide).

Required PHP capabilities and operating-system checks

The 26.1 guide lists these PHP modules and capabilities:

  • bcmath
  • curl
  • gd with FreeType support
  • gmp
  • hash
  • imap
  • json
  • mbstring
  • openssl
  • SimpleXML
  • soap
  • zip
  • zlib

It also requires cryptographically secure random-token support, Blowfish, and the correct write permissions for Sugar’s directories. Confirm the exact PHP version and extension package names for the Linux distribution and Sugar release you intend to deploy; package names differ between distributions and PHP versions.

Database choices

SugarCRM’s database documentation says all Sugar products support MySQL and Microsoft SQL Server. Sugar Enterprise and Ultimate additionally support DB2 and Oracle (SugarCRM Support, 2025). Choose the database before provisioning the VPS, because the image, PHP driver, backup method, and operational workload depend on it.

Sugar edition scope Documented database options VPS implication
All Sugar products MySQL; Microsoft SQL Server Use a Linux image and PHP/database driver combination that supports the selected engine.
Sugar Enterprise and Ultimate MySQL; Microsoft SQL Server; DB2; Oracle Verify vendor support, client libraries, licensing, network access, and backup tooling before deployment.

An external managed database can work, but validate network latency, TLS, supported versions, firewall rules, and whether your backup covers both the database and Sugar’s uploaded files. Keeping the database on the same private network or host usually reduces latency and simplifies an initial deployment; separating it can improve isolation and scaling later.

SSL, cron, and upgrade safety are functional requirements

Use a signed SSL certificate and redirect HTTP to HTTPS. Configure cron for full system indexing so search and scheduled processing do not depend on a user leaving a browser open. Sugar’s guide recommends performing upgrades on a test or backup copy of production. Build that copy before the first upgrade rather than treating it as an emergency procedure.

Practical VPS sizing by workload

SugarCRM does not publish a universal vCPU/RAM sizing table. The following profiles are conservative planning points for a normal Linux deployment, not benchmark results or official minimums. Database size, attachments, workflow jobs, report complexity, and integration traffic can move you into a larger profile.

Use case Starting compute Memory Storage approach CPU choice
Pilot or very small team 2 vCPUs 8 GB 80–100 GB SSD/NVMe plus backups Shared can be acceptable while load is light
Growing team with regular reports and integrations 4 vCPUs 16 GB 120–200 GB SSD/NVMe, with separate backup retention Dedicated CPU is preferable when jobs overlap
Busy instance, heavy indexing, imports, or many concurrent users 8 or more vCPUs 32 GB or more Fast SSD/NVMe sized for database, attachments, logs, and recovery copies Dedicated or CPU-optimized capacity

Choose memory before adding vCPUs if the database is swapping or PHP workers are being killed. Choose faster or dedicated CPU when response time degrades during reports, imports, indexing, or synchronization. Add storage capacity for growth, but do not confuse more disk space with more database performance.

DigitalOcean: the easiest sizing path

DigitalOcean describes Droplets as Linux-based virtual machines. Its 2026 documentation lists these families:

Droplet family Documented range When it fits SugarCRM
Basic shared CPU 1–8 vCPUs; 1–32 GB RAM Development, pilots, and light production where occasional shared-CPU variability is acceptable.
Dedicated general purpose 2–48 vCPUs; 8–240 GB RAM Predictable production performance and a straightforward upgrade path.
CPU-optimized 2–48 vCPUs; 4–120 GB RAM Report generation, imports, indexing, and integrations that are CPU-heavy.
Memory-optimized 2–32 vCPUs; 16–384 GB RAM Large datasets, many PHP workers, or database workloads that consistently need more memory.
Storage-optimized 2–32 vCPUs; 16–384 GB RAM; 146–225 GB SSD per vCPU Instances with unusually high local storage requirements.

The advantage is not that one family is automatically “best.” It is the ability to begin with an appropriate shared or dedicated configuration and move to CPU-, memory-, or storage-optimized capacity as observed load changes. Confirm the current regional availability and pricing in the control panel before committing; the ranges above are the documented 2026 specifications, not a quote for a particular size.

Hetzner: capable infrastructure with more operator responsibility

Hetzner frames self-hosting as “taking control of your own digital infrastructure instead of outsourcing it and hoping for the best.” It also makes the operational consequence explicit: you are “in charge of updates, backups, and availability.” That makes Hetzner attractive to administrators who want root-access control, transparent infrastructure, and privacy, but it is not a fully managed SugarCRM service.

Before production, configure a host firewall that exposes only required ports, protect administrative access, and add Fail2Ban or an equivalent control. Keep the database private whenever the architecture permits. Hetzner recommends backups before production, restore testing, monitoring, alerts, and written documentation. It lists ISO/IEC 27001:2022 and BSI C5 Type 2 certifications and GDPR compliance; those attestations do not remove your responsibility to assess your own regulatory obligations, processing agreements, or data-residency requirements.

Pick Hetzner when your team can patch Linux and PHP, monitor disk and memory, investigate incidents, test restores, and maintain the application during an outage. If nobody owns those tasks, the apparent infrastructure saving can become an availability risk.

How to deploy SugarCRM on a VPS

  1. Select a supported Linux image and region. Choose a current distribution supported by your operations team, close to users and any external database or integration endpoints. Check data-residency requirements before creating the server.
  2. Provision the starting profile. Use at least 2 performance-oriented vCPUs, 8 GB RAM, SSD/NVMe storage, and enough additional space for attachments, logs, database growth, and temporary upgrade files. Enable snapshots or an external backup destination immediately.
  3. Lock down administration. Use SSH keys where available, disable password-based administrative login after testing key access, apply operating-system updates, and restrict the firewall to required services. In a typical web deployment, public HTTP/HTTPS are needed; database ports should remain private unless a documented architecture requires otherwise.
  4. Install the web and database layers. Install the web server, the PHP version supported by your Sugar release, every module listed in the 26.1 guide, and the selected database engine or client driver. Verify the driver from PHP rather than assuming a package installation succeeded.
  5. Create the database securely. Use a dedicated database account with only the permissions Sugar requires, a long unique password, encrypted connections where supported, and no public database listener unless it is unavoidable and tightly filtered.
  6. Configure HTTPS. Install a signed certificate, redirect plain HTTP to HTTPS, and verify that cookies, reverse-proxy headers, and any integration callbacks use the secure URL.
  7. Set filesystem permissions and cryptography. Give only the web process and required administrators write access to Sugar directories. Verify secure random-token support and Blowfish availability before the installer proceeds.
  8. Schedule indexing. Configure cron for full system indexing and confirm a run completes without permission, memory, or timeout errors. Record the schedule in your operations documentation.
  9. Run a non-production acceptance test. Create users and roles, upload files, run searches and reports, test email and integrations, and observe CPU, memory, disk, PHP worker, and database behavior under realistic concurrency.
  10. Promote only after recovery is proven. Take a backup, restore it to an isolated test location, and rehearse the upgrade procedure on that copy before changing production.

Backups: design for restore, not just file creation

Enable backups before the first production application goes live. Hetzner’s guidance states: “Before your first production application goes live, make sure your backup is up and running, and test your restore before you need it.” A backup that has never been restored is an unverified assumption.

What to protect

  • The Sugar database, including configuration and application data.
  • Uploaded files and any custom modules, themes, integrations, or scripts.
  • Web-server and PHP configuration required to rebuild the service.
  • Encryption keys, certificates, deployment notes, and a list of package versions.

Use independent retention

Keep encrypted copies outside the VPS so a compromised account, failed disk, or deleted server cannot remove every copy. Separate daily or frequent operational backups from longer-term retention. Restrict access to backup storage and document who can initiate a restore.

Optional cross-provider tooling

DigitalOcean’s SnapShooter documentation says it can back up servers, volumes, databases, and applications. Its native backup coverage is documented for several infrastructure providers, including DigitalOcean and Hetzner, with optional S3-compatible storage destinations (DigitalOcean, last verified 2025). Treat this as an optional layer, not a replacement for a tested recovery plan. Confirm that the selected job includes both the database and Sugar’s files, then perform a complete restore drill on a schedule.

When should you move from shared to dedicated CPU?

Shared CPU is reasonable for a pilot or lightly used system. Move to dedicated general-purpose or CPU-optimized capacity when any of these patterns persist:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Users report slow saves or page loads only when reports, imports, or indexing run.
  • CPU remains near saturation during normal business hours rather than in short bursts.
  • Scheduled jobs overlap and create a growing queue.
  • Integration workers compete with PHP and the database for CPU time.
  • Performance varies sharply at the same workload, suggesting noisy-neighbor contention.

Do not upgrade CPU to solve every problem. A full disk, insufficient RAM, missing database indexes, slow external APIs, or an inefficient report can produce similar symptoms. Check application, PHP, database, disk-I/O, and network metrics together before resizing.

Cost and capacity decisions beyond the advertised VPS price

Compare the complete monthly operating cost, not only the base server:

  • VPS compute and the chosen CPU class.
  • Block or attached storage for database growth and attachments.
  • Snapshots, image retention, and independent backup storage.
  • Data transfer and any egress charges.
  • Managed database, monitoring, firewall, or support services.
  • Administrative time for patching, incident response, restore tests, and upgrades.

Prices and regional availability change, and no universal monthly total is established. Obtain a current quote for your chosen region and include recurring backup and storage charges before comparing providers.

Security and operations checklist

  • Apply operating-system, PHP, web-server, and database security updates on a defined schedule.
  • Expose only required network ports; keep database traffic private whenever possible.
  • Use HTTPS with a signed certificate and renew it before expiration.
  • Monitor CPU, memory, swap, disk capacity, disk latency, database connections, PHP worker saturation, cron completion, and backup jobs.
  • Alert on failed backups, failed indexing, certificate expiry, low disk space, and unavailable services.
  • Record the server region, Sugar version, PHP modules, database version, firewall rules, restore steps, and escalation contacts.
  • Review user roles, integration credentials, and SSH access regularly.

Troubleshooting common deployment failures

Symptom Likely cause What to check next
Installer reports a missing module PHP extension is absent, disabled, or installed for a different PHP version Check the active PHP configuration and install the module for that exact version; reload the web service afterward.
Uploads or cache writes fail Incorrect ownership or permissions on Sugar directories Identify the web-server account, grant only required write access, and avoid making the entire document root world-writable.
Search results are incomplete Cron indexing is missing, failing, or running out of memory Run the indexing task manually in a safe window, inspect logs, and verify the scheduled user has the same environment as the web process.
Pages slow down during reports CPU contention, insufficient RAM, database pressure, or an expensive report Correlate application timing with CPU, memory, swap, disk latency, and database metrics before moving to a larger or dedicated plan.
Restore starts but the application is unusable Only the database or only the files were restored, or configuration and versions differ Restore the database, uploads, custom code, configuration, certificates, and compatible package versions as one documented procedure.
Remote database connections fail Firewall, TLS, driver, DNS, or unsupported-version mismatch Test private-network reachability, certificate validation, PHP driver support, and the database vendor’s supported-version matrix.

Choosing between DigitalOcean and Hetzner

Decision factor DigitalOcean Hetzner
Scaling documentation Clearly documented shared and dedicated CPU, memory, CPU-optimized, and storage-optimized families. Evaluate the current product line and region directly; the key benefit is infrastructure control rather than a single SugarCRM profile.
Root access Available on Linux Droplets. Central to the self-hosting model.
Operational responsibility You still administer the VPS unless you add managed services. Explicitly yours: updates, backups, firewalling, monitoring, and availability.
Best fit Teams wanting an easy, well-documented resize path. Experienced operators prioritizing control, privacy, and infrastructure economics.
Backup approach Use snapshots plus an independent destination; SnapShooter is an optional cross-provider layer. Enable backups before production and test restores; keep an independent copy.

Both can run SugarCRM when the chosen Linux image, PHP runtime, modules, database, storage, and security configuration meet Sugar’s requirements. The deciding difference is usually operational fit, not whether the platform can launch a virtual machine.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Final decision framework

  1. Confirm your Sugar edition, release, supported PHP version, and database choice.
  2. Estimate concurrent users, report and import frequency, indexing volume, integration traffic, attachment growth, and recovery objectives.
  3. Start with 2 performance-oriented vCPUs and 8 GB RAM for a small team unless testing indicates a larger requirement.
  4. Choose DigitalOcean for the clearest documented path among shared and dedicated families, or Hetzner if your team explicitly accepts full operational ownership.
  5. Provision SSL, firewalling, least-privilege access, cron indexing, monitoring, and independent backups before importing production data.
  6. Run realistic acceptance tests, measure the workload, and resize based on evidence rather than a generic “users per vCPU” formula.

The winning VPS is the one your team can secure, observe, back up, restore, and upgrade reliably. For many small deployments that means a modest Linux server with 2 vCPUs and 8 GB RAM; for sustained concurrency or heavy automation, dedicated CPU and additional memory become the safer investment.
