When WordPress says an email was sent, it usually means only that wp_mail() handed the message to the configured mail transport. It does not prove that the message reached an inbox. The reliable fix is to identify whether the failure occurs during WordPress handoff, SMTP or API transport, sender authentication, a specific form’s notification logic, or the recipient provider’s filtering.

Start by separating “sent” from “delivered”
WordPress uses the wp_mail() function for password resets, registration notices, plugin notifications and form messages. A successful return value means the message was accepted for processing. It does not confirm acceptance by the recipient’s mail server or placement in an inbox.

That distinction determines what you should do next. If the mail transport cannot authenticate or connect, changing a form’s fields will not help. If a controlled SMTP test succeeds but one contact form fails, replacing the transport can hide the real problem in that form’s settings, validation or anti-spam rules.

Find the layer that is failing

Run a controlled test before changing the form
A controlled test isolates the site’s mail transport from the form’s own logic. Use the test-email screen in your SMTP plugin or email provider, send to an address you can inspect, and record the exact success message or error text. Do not rely on a form submission as your first test because a form can fail before it calls wp_mail().
- Confirm the addresses WordPress is using. Check the site’s configured administration email and the recipient addresses configured in the affected plugin. Look for a typo, an old mailbox or an address that forwards to a closed account.
- Send the plugin’s test email. Keep the full result, including error wording, response codes and the time of the attempt. A successful test means the configured transport completed its handoff; it does not guarantee inbox placement.
- Inspect logs immediately. Review the SMTP plugin’s log and any provider event log while the test is still easy to identify. Look for authentication failures, connection timeouts, rejected sender addresses, bounces and suppressions.
- Submit the real form only after the controlled test. Compare its result with the test message. If the test fails, stay in transport troubleshooting. If the test succeeds and the form fails, move to the form’s notification and anti-spam settings.
- Repeat with a second recipient mailbox. Testing only one mailbox can mistake a provider-specific spam or suppression decision for a WordPress failure.
Capture the actual WordPress mail error
The wp_mail_failed action exposes the error object and message details when WordPress cannot complete the mail operation. A temporary logger can show whether the failure is happening before the provider receives anything. Add logging only during diagnosis, protect the log from public access, and remove or disable it when finished because message data can contain personal information.

After reproducing the problem, inspect the PHP or WordPress debug log for the destination addresses, headers and exception text. The hook is most useful for transport errors; it cannot tell you that a recipient later placed an accepted message in spam.
Configure authenticated mail transport
WordPress normally relies on PHP’s mail() function. That basic handoff often lacks the authentication and delivery visibility expected by modern receiving systems. An SMTP plugin can route mail through authenticated SMTP, while some services provide an email API. The WordPress administration handbook recommends using an SMTP plugin and documenting sender authentication for the domain.
Install or enable one mail transport, then enter the values supplied by that service:

- SMTP host or API endpoint: use the exact hostname or endpoint from the provider account.
- Port: select the port required by that provider and encryption mode; do not substitute a port from another service.
- Encryption: match the provider’s TLS or SSL requirement. A mismatch can produce a connection or handshake error even when the host is correct.
- Authentication credentials: use the provider’s SMTP credentials or API key, not necessarily the password for the WordPress administrator account.
- From address and name: select an identity that the provider has authorized. Avoid using a visitor’s address as the From value.
Provider integrations documented for WordPress mail plugins include SendLayer, SMTP.com, Brevo, Mailgun, SendGrid, Postmark, SMTP2GO and Amazon SES. Availability, account requirements and sending limits differ, so use the instructions shown in the service account rather than copying settings from an unrelated provider.
After saving, run the transport’s test message again. A successful connection establishes that WordPress can authenticate and hand off a message; it does not eliminate sender-policy or recipient-filtering problems.
Align the From domain with SPF, DKIM and DMARC
Receiving systems evaluate whether the sender is authorized. The safest baseline is a From address on a domain that your mail provider is configured to send for. A visitor’s address belongs in Reply-To, not as the authenticated From identity.
SPF
Sender Policy Framework identifies which servers or services may send mail for your domain. Publish the provider’s SPF mechanism in the domain’s DNS according to its instructions. Do not create multiple competing SPF records; combine authorized services in the single policy required by the provider.
DKIM
DomainKeys Identified Mail adds a cryptographic signature to outgoing messages. The provider normally gives you a selector and DNS record. Publish that record exactly, then confirm that the provider reports the domain as verified.

DMARC
Domain-based Message Authentication, Reporting and Conformance tells receiving systems how to handle messages that fail authentication and alignment. Start with a policy appropriate for your domain’s existing senders, review reports or provider guidance, and tighten enforcement only after every legitimate sender is aligned.
These records are related but not interchangeable. A message can connect successfully over SMTP and still be rejected or filtered when its From domain is unauthorized or its authentication results do not align. Recheck DNS after changes and allow for normal DNS propagation before judging a new configuration.
When only one form or plugin fails
If password resets, user-registration messages or another plugin’s notifications arrive through the same transport, the transport is probably functioning. Concentrate on the failing form instead of replacing a working SMTP or API connection.
Check notification recipients
Open the form’s notification settings and verify every recipient, including commas, line breaks and any conditional-routing rules. A form can submit successfully while sending to an empty, misspelled or unintended address. Confirm whether the plugin expects a site administrator address, a fixed mailbox or a field token for the visitor.

Set From to the authorized site domain used by the mail transport. Put the submitter’s email field in Reply-To so staff can respond without forging the visitor’s domain. Some plugins offer separate fields for the envelope sender, From, Reply-To and display name; review each one rather than assuming they are identical.

Validate required fields and conditional logic
A validation failure can prevent the notification from being generated. Test with the smallest valid submission, then add optional fields one at a time. Check required-field rules, conditional recipients, file-upload rules and any field token that the notification template references.
Read the anti-spam result
A form may classify a submission as spam and deliberately suppress its notification even while every other WordPress email works. A documented Contact Form 7 support case demonstrates this pattern: the form returned a spam-blocked status while password resets, registrations and other plugin mail continued through SMTP. In that situation, investigate the form’s anti-spam integration, challenge result, score thresholds and false-positive conditions before touching the mail transport.
Test plugin and theme conflicts safely
Conflicts can alter a form’s hooks, validation or notification object. During a maintenance window, record the current configuration, then temporarily disable nonessential plugins and switch to a standard theme if your site’s change process permits it. Retest after each change so you know which component altered the result. Restore components in a controlled order and keep the conflicting component disabled or updated only after confirming the fix.

Interpret provider and mailbox results
Transport logs answer a different question from mailbox logs. Use the following sequence for each test message:
- WordPress result: Did the form or plugin create a message, or did validation or anti-spam stop it first?
- Transport result: Did the SMTP or API integration authenticate and submit the message?
- Provider event: Was it accepted, deferred, bounced or suppressed? Record the provider’s reason and timestamp.
- Recipient result: Is it in the inbox, spam folder, quarantine or nowhere visible? Check mailbox rules and forwarding as well as the normal spam folder.
An accepted provider event with no inbox copy is not evidence that WordPress failed. It can indicate recipient filtering, a suppression list entry or a mailbox rule. Remove the address from a provider suppression list only when you understand why it was added, and correct the underlying bounce or complaint condition first.

A complete verification run
Use this checklist after making a change, and retain the results for the next incident:
- Confirm the WordPress administration email and each plugin’s notification recipient.
- Run the mail plugin or provider’s controlled test and save the exact response.
- Check the SMTP or API log and the temporary
wp_mail_failedlog, if enabled. - Verify host, port, encryption, credentials and the authorized From identity.
- Confirm SPF, DKIM and DMARC records for the sending domain and check their alignment.
- Submit a real form with a minimal valid payload, then with a normal production payload.
- Record the form’s validation or anti-spam result rather than relying only on its success banner.
- Compare provider acceptance, bounce or suppression events with the message’s timestamp.
- Check inbox, spam and quarantine folders in at least two recipient mailboxes.
- Disable temporary verbose logging and remove sensitive log data after diagnosis.
When to use a WordPress email delivery plugin or provider
An authenticated WordPress email delivery plugin or transactional email provider is appropriate when the site’s current PHP mail handoff is unreliable, unauthenticated or impossible to monitor. Choose it after establishing that transport is the failing layer, not as a reflexive response to a form-only spam or validation error.

For a site with several plugins, prioritize consistent routing so password resets, orders, contact forms and system notices use the same monitored transport. Whichever service you choose, keep its credentials out of publicly accessible files, document the DNS records it requires and test the complete path from form submission to recipient mailbox.
What a successful fix looks like
The issue is resolved only when a controlled transport test succeeds, the affected plugin creates a valid message, the provider accepts it without bounce or suppression, and the message appears in the intended recipient mailbox. A green “email sent” notice by itself proves only the earliest part of that chain. Keeping transport logs, provider events and form-status results together gives you a repeatable way to distinguish a WordPress configuration problem from a form-specific rule or recipient-side filtering.
