To use a password in Pokémon Reborn, enter it during the opening train sequence when prompted for special instructions, or—if your save is already underway—use a Data Chip at a PC to open the password controls. Check the notes for each password before activating it: effects, reversibility, and compatibility can vary.
Enter a password at the start of a new game

Begin a new game and proceed through the opening train sequence.

When the game asks about special instructions or passwords, accept the prompt and enter the password you want.

In one community walkthrough’s setup, the game may also offer to apply recommended settings automatically after you arrive. That is not an official default, and the exact prompts may differ by game version or setup. See the walkthrough.

Manage passwords after starting a save

Obtain a Data Chip in the game.

Interact with a PC and open the password controls.

Choose the password entries to enable or disable. A walkthrough describes this route as available at any computer after the introduction. The Data Chip is an in-game item, not a physical product. Walkthrough instructions.
Choose passwords by their effects and limits
Passwords can change convenience, difficulty, field conditions, or event outcomes. For example, easyhms lets you use field HM moves without teaching them to a Pokémon; an Episode 19 community post describes that example. Episode 19 password example.
Before activating an entry, read its notes in the password index. Check when its effect begins, whether it applies to later events or Pokémon rather than retroactively, whether it is marked irreversible, and whether selecting it limits combinations or rewards. Do not assume every password can be freely toggled or combined.

The community password index includes entries from version 19.5. The Be Reborn site identifies 19.5 as the base game line and recommends using the in-game updater; its documentation is for a mod, even though its data is automatically sourced from game data. Password index · Be Reborn documentation.
