Use native capture when OpenClaw can join the meeting and your provider exposes usable captions; use transcript intake when recordings come from a separate service or local workflow.
Antihost offers VPS plans with one-click OpenClaw, NVMe storage and a 14-day free trial.
What OpenClaw’s meeting automation actually covers
OpenClaw is not a universal meeting recorder. Native capture depends on a browser-joined meeting, a supported provider, provider authentication, available captions, and the account, language, and host policies of that meeting. When those conditions are met, the meeting plugin stores caption rows and running notes in OpenClaw’s shared state. Notes are updated approximately every five minutes while new speech is being captured. When the bot leaves, visible captions are finalized and OpenClaw writes the final summary.

The second route is transcript automation rather than live capture. A transcript produced by another recorder can arrive through a webhook, watched folder, chat message, or file upload. An OpenClaw agent can then identify decisions and action items, assign owners and dates, update a task or CRM system, and notify a channel. This route is usually more flexible, but it adds a recorder and an ingestion handoff.
For current provider support, settings names, and command syntax, check the live OpenClaw documentation. Configuration keys and CLI flags can change; the procedures below distinguish confirmed behavior from examples that require verification.

Choose the right automation route
| Route | Where capture runs | Best for | What you must provide | Where data persists |
|---|---|---|---|---|
| Native meeting capture | OpenClaw’s browser/Chrome host | Supported browser meetings that OpenClaw can join | Meeting plugin, native audio dependencies, provider authentication, and usable captions | Shared OpenClaw state database, then transcript exports |
| Transcript intake and routing | A separate recorder or your existing recording workflow | Platforms OpenClaw cannot capture directly, local recordings, or organizations with an established recorder | Webhook, folder, chat, or upload intake; a source ID; transcription if the input is audio | The received file or text plus any records your downstream tools create |
You can combine the routes. For example, use native capture for browser meetings and send transcripts from another recorder into the same action-item workflow. Keep capture and routing as separate stages so a failure in task creation does not destroy the original transcript.
Supported native meeting sources and their limits
The documented auto-start-capable provider IDs are google-meet, teams, slack-huddle, and zoom. Discord voice is the bundled auto-start-capable source and requires both a guildId and a channelId. These identifiers describe the provider source; they do not guarantee that every meeting in that provider will expose captions.
- Caption availability: The platform, account type, meeting language, and host policy can determine whether captions are available or complete.
- Browser requirement: Native meeting capture is designed around a browser-joined meeting. The meeting provider attaches to an already-active meeting-bot session.
- Auto-start behavior: A normal meeting join does not need an
autoStartentry. Auto-start entries are used to enable configured sources; omitting an entry disables that source. - Recording scope: Do not describe native capture as a guarantee of a verbatim transcript. Gaps can occur when captions are unavailable, delayed, or restricted by the host.
Prepare the Chrome host and provider access
1. Pick a host that can run the browser session
Run the meeting plugin on the Chrome host that will join the call. It must remain online for the duration of the meeting and have the native audio dependencies required by the plugin. A headless or locked-down environment that cannot launch the supported browser transport will not provide reliable capture.
2. Install the meeting plugin and native audio dependencies
Install the OpenClaw meeting plugin on that host, then install its required native audio components. The exact package names depend on the host operating system and the current plugin release, so use the installation instructions in the live documentation rather than copying an older package command.
3. Authenticate the meeting provider
Complete provider authentication for the account that will join meetings. Verify that the account can enter the target meeting, see captions when they are enabled, and is not blocked by a waiting room, domain restriction, or host-only policy.

4. Run the Google Meet setup in observe-only mode
For Google Meet, the documented setup command is:
openclaw googlemeet setup --transport chrome-node --mode transcribe
This sets up the Chrome-node transport and transcription mode without treating the command as a substitute for provider authentication or meeting permissions. OpenAI is the default transcription provider for agent mode according to the documented setup notes; confirm the current provider options before changing a production configuration.

Enable durable notes and automatic starts
Control persistent meeting notes
The transcripts.enabled control determines whether OpenClaw writes durable meeting notes on the host. Set it to false when you intentionally want to stop durable meeting notes. A disabled setting prevents persistence; it is not a deletion mechanism for transcripts already stored in the state database.
Configure automatic starts
Auto-start sources are configured under transcripts.autoStart. Each source is enabled by its presence; omit an entry to disable that source. Use the documented provider IDs exactly, and add the required Discord identifiers when configuring Discord voice. Because configuration field names can change, confirm the current schema at docs.openclaw.ai before applying a file edit.
Check the settings interface
A reported Control UI path for these controls is Settings → Communications → Meeting capture. Treat that path as a version-sensitive pointer and confirm the labels in the UI you are running. If the page is absent, use the current configuration reference instead of assuming that the option was removed.
Run a native capture from join to final transcript
- Start the OpenClaw gateway and browser host. Confirm that the meeting bot session can launch the browser transport and that the host has access to the configured provider account.
- Join a test meeting. Use a meeting where captions are permitted and announce the test to participants. Keep the test short enough to inspect quickly, but speak with multiple participants so you can check attribution and timing.
- Confirm that captions are arriving. During the meeting, OpenClaw should save caption rows and update running notes about every five minutes while new speech is detected. A silent notes panel can indicate missing captions rather than a broken summary engine.
- Leave the meeting normally. Leaving finalizes the visible captions and causes OpenClaw to write the final summary. Abruptly killing the browser or gateway can leave an incomplete session, so allow the bot to exit cleanly whenever possible.
- Inspect the saved record. Use the transcripts CLI’s documented
list, show, andpathsubcommands to locate and inspect the session. Exact option names should be checked against the current CLI reference. - Export only after inspection. Export a small test first, confirm that the expected speakers, timestamps, and summary are present, and then automate downstream routing.
Where OpenClaw stores transcripts and notes
The canonical transcript state is stored in:
$OPENCLAW_STATE_DIR/state/openclaw.sqlite
This is shared state, not a disposable browser download. Protect the directory with the same access controls you use for meeting recordings and other confidential business data. Back it up according to your retention policy, and document who can read or export it.

Turning transcripts.enabled off stops new durable meeting notes on the host; it does not retroactively erase the SQLite database. If you need deletion, apply your organization’s retention and deletion procedure to the stored records and exported files separately.
Export transcripts safely
Use the transcripts CLI for routine and large exports
The transcripts CLI exposes list, show, and path operations. Use list to find sessions, show to inspect a transcript and its summary, and path when another process needs the underlying file location. The exact flags were not confirmed in the available documentation, so do not copy an old flag name into an automation script without checking the current CLI page.
Understand gateway export responses
The gateway export method accepts a session selector and a format of markdown or jsonl. It returns a base64-encoded file together with a filename, MIME type, and byte size. Decode the payload only in a controlled process and preserve the returned filename and MIME type when writing the result to storage.
Account for the browser export limit
Control UI browser exports are capped at 4 MiB. When an export exceeds that limit, the interface fails visibly instead of downloading a partial file. Use the CLI or gateway method for long meetings, multi-session exports, or transcripts containing extensive caption data.

Ingest transcripts made by another recorder
Choose an intake channel
- Webhook: Best for an automatic handoff immediately after a recorder finishes processing.
- Watched folder: Useful when your recorder writes VTT, SRT, text, or JSON files to a location OpenClaw can monitor.
- Chat message: Practical for a low-volume workflow where a user posts a transcript or link for processing.
- File upload: Appropriate when a person reviews the recording before sending it to the agent.
Send enough metadata to make the workflow deterministic
A webhook payload can carry the meeting title, transcript text or URL, attendee list, timestamp, and source ID. Treat the source ID as an idempotency key: store it before creating tasks, and reject or ignore a later delivery with the same ID. This prevents retries from creating duplicate CRM notes, tickets, or assignments.

Keep the original transcript URL or file reference alongside extracted tasks. If an agent misidentifies an owner or deadline, reviewers need a way to return to the exact source passage rather than relying on a paraphrase.
Handle audio-only inputs before extraction
An audio file is not a transcript. Add a transcription step before asking an agent to extract action items, and record which transcription provider and language settings were used. If the recorder already produces VTT or SRT, prefer those formats because their timestamps make it easier to attribute statements to speakers and verify decisions.
Build a transcript-to-action workflow
A reliable workflow separates ingestion, interpretation, writes, and notification. The agent should not silently turn an ambiguous sentence into a firm commitment.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems- Receive and validate. Check that the payload has a source ID, meeting timestamp, title, and transcript text or a retrievable URL. Reject oversized or inaccessible payloads with a visible error.
- Normalize the transcript. Preserve timestamps and speaker labels where available. Remove only transport noise; do not discard uncertain words that could change the meaning of an action.
- Extract structured decisions. Ask for action, owner, due date, project, priority, and the supporting timestamp. Mark missing fields as unknown instead of guessing.
- Apply confidence and approval rules. Auto-create low-risk personal reminders when all required fields are explicit. Route cross-team commitments, financial decisions, or unclear ownership to a human review queue.
- Write to the destination system. Use the source ID in the destination record, check for an existing record before creating one, and store a link back to the transcript.
- Notify the right channel. Send a concise digest with owners, dates, and links. Avoid posting the full transcript to a broad channel when it contains confidential discussion.
- Record completion. Save the processing status, destination IDs, errors, and retry count. A failed CRM write should be recoverable without re-running every downstream side effect.
A third-party example describes an agent with both a webhook trigger and a scheduled poll, followed by action-item extraction, CRM updates, and chat notification. That is a useful architecture pattern, not an official OpenClaw configuration schema. Recreate the logic with the current agent and trigger syntax documented for your OpenClaw version.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Zoom recordings: cloud versus local
OpenClaw’s documented Zoom recording retrieval works with cloud recordings, not local recordings. If the meeting was saved only to a participant’s computer, move it through a separate transcription and intake workflow; do not expect the Zoom retrieval integration to find it.

Built-in cable management guides wires along the arms, keeping cords out of sight and out of the way. Enjoy a tidy, modern workstation that looks as good as it feels to use.
Some third-party pairings use an external meeting recorder to produce summaries and place them in a document store before OpenClaw processes them. In that arrangement, the recorder performs capture and OpenClaw performs intake and routing. This is different from native OpenClaw capture, so describe the resulting workflow accurately when setting expectations with participants.
Troubleshoot missing notes, incomplete captions, and duplicate tasks
| Symptom | Likely cause | Action |
|---|---|---|
| No meeting record appears | The browser host did not join, the source was not enabled, or authentication failed | Check the active bot session, provider login, and the presence of the expected transcripts.autoStart entry. |
| Notes remain empty during a live call | Captions are unavailable, blocked by host policy, or unsupported for the account or language | Enable captions in a permitted test meeting and verify provider coverage before changing agent logic. |
| Summary exists but misses discussion | Caption rows were incomplete or the bot left before finalization | Inspect the saved captions, repeat with a clean leave, and compare against the provider’s visible captions. |
| Export stops in the browser | The file exceeds the 4 MiB Control UI limit | Use the transcripts CLI or gateway export method instead. |
| The same meeting creates tasks twice | Webhook retry or polling overlap without idempotency | Persist and check the source ID before every task, CRM, and notification write. |
| Audio upload produces no action items | No transcription stage was run | Transcribe the audio first, retain timestamps, then send the text to extraction. |
| Zoom import cannot find a file | The recording is local rather than cloud-hosted | Upload or transcribe the local file through a separate intake route. |
Privacy, consent, and operational safeguards
Meeting capture and transcription can be regulated by workplace policy, contract, and local law. The available technical documentation does not establish a universal consent or recording-notice rule, so obtain guidance for every jurisdiction and meeting type in which you operate. Notify participants when required, respect host controls, and do not enable capture merely because the bot can technically join.

What is confirmed and what must be rechecked
Native capture, five-minute running-note updates, finalization on leave, the transcripts.enabled control, the SQLite state path, the listed provider IDs, and the 4 MiB browser export cap are documented behaviors. The Google Meet setup command is also documented.
Exact configuration field shapes and CLI flag names are version-sensitive. The transcripts CLI documentation was reported as having been updated roughly 145 days before the October 14, 2026 retrieval, and the full page bodies were not available for verification. Before deploying, confirm the current syntax for transcripts.autoStart, CLI export options, gateway request fields, and any provider-specific authentication steps at docs.openclaw.ai.
A practical rollout plan
- Start with one provider and one test account. Prove that the browser host joins, captions arrive, and the final summary is written.
- Inspect storage and exports. Locate the session with the CLI, export both supported formats, and verify access controls and retention.
- Add idempotent routing. Use a source ID, preserve transcript links, and send extracted actions to a review queue before enabling automatic writes.
- Test failure branches. Simulate missing captions, a failed destination API, a duplicate webhook, and an export larger than 4 MiB.
- Expand provider coverage deliberately. Add other auto-start sources only after confirming their captions, authentication, and host policies in real meetings.
- Document the human override. Every automated task should be traceable to a timestamped transcript passage and editable by its owner.
The result is a two-stage system: OpenClaw captures where its supported meeting integration is dependable, and a controlled intake pipeline handles everything else. That division keeps platform limitations visible while still automating the work people usually do after the call.
