What you can change in WooCommerce emails
WooCommerce emails have two layers of customization. Shared template settings establish the visual system used across messages, while each notification has its own content and delivery options. Keeping those layers separate prevents a common mistake: changing a global color when the real requirement is a single order-status heading, or editing one notification when the desired change should apply to every message.
Shared appearance
Depending on your WooCommerce version and enabled features, the Email Template area can expose a logo, logo width, header alignment, font family, footer text, and a color palette. The palette can either follow the active theme or use manually selected colors. With Email Improvements disabled, some controls may remain visible but unavailable; the documentation still describes logo and footer controls in that state. Interface labels and availability are version-sensitive, so use the controls actually shown by your installation. See the WooCommerce email settings documentation for the current screen and feature notes.

Individual notification content
Select Manage beside an email notification to edit the options exposed for that message. Depending on the notification and feature state, you may see:
- Enable or disable the notification.
- Recipients for relevant shop or administrator emails.
- Subject and heading text.
- Additional content shown in the message.
- Email type: Plain Text, HTML, or Multipart.
Use only placeholders documented for the particular field and email. Examples listed by WooCommerce include {site_title}, {site_address}, {site_url}, {order_date}, and {order_number}. A placeholder that works in one field is not automatically valid in every other field.

Your choice should follow the scope of the change and who will maintain it after WooCommerce or another extension updates.
| Route | Best suited to | Main trade-off |
|---|---|---|
| Built-in WooCommerce settings | Sender details, common branding, subject or heading text, additional copy, and notification options | Limited to the controls exposed for that email and feature state |
| Visual email-customizer extension | Drag-and-drop layout changes and additional email elements | Availability, compatibility, and support must be checked before installation |
| PHP template override, hook, or CSS filter | Bespoke structure and styling | Requires development skill and continuing maintenance |
| Developer or agency assistance | Complex, store-critical, or cross-extension implementations | Service cost and current availability require separate verification |
For a new logo, sender address, color adjustment, or short explanatory sentence, the built-in screen is usually the most robust choice. A visual editor is appropriate when you need to move blocks or add WooCommerce-specific elements without writing PHP. Use an override or hook when the message structure itself must change, such as inserting a conditional block or replacing markup that the settings screen does not expose.
Prepare before editing
A few checks reduce the chance of confusing a design problem with a delivery or data problem.
- Record the WooCommerce and WordPress versions and note whether Email Improvements or another email feature toggle is enabled. WooCommerce’s current guide identifies WooCommerce 9.8 as the introduction of updated email settings, but not every store will expose the same interface.
- Make a small change first and test it before changing several messages at once. This makes it clear which edit caused an unexpected result.
- Decide whether the change is global or notification-specific. Put shared branding in the Email Template area and message-specific wording under that email’s Manage screen.
- Keep a copy of existing template overrides or custom snippets before replacing them.
- Choose a test inbox that can display HTML and plain text and that you can inspect on both desktop and mobile.
Customize emails with WooCommerce’s built-in settings
1. Open the Email settings screen
- In the WordPress dashboard, go to WooCommerce > Settings > Emails.
- Review the sender section, the shared Email Template area, the notification list, and the Email Preview section before changing anything.
2. Set the sender and reply-to identity
Enter the From name and From address that recipients should see. If replies should go to a different mailbox, set a separate Reply-to name and address. Reply-to changes where a recipient’s response is directed; it does not replace the From identity shown in the message. WooCommerce recommends using an address on your store’s domain. Use an address your team monitors, and send a test message to confirm how the receiving mail client displays both identities.

Use the available Email Template controls for your logo, logo width, header alignment, font family, footer text, and colors. If the palette offers theme synchronization, decide whether emails should follow future theme changes or remain fixed with manually selected colors. Check the actual rendered message rather than assuming a web-font choice will appear identically in every mail client.
4. Edit one notification
- Find the notification in the email list and select Manage.
- Enable or disable it as required. For applicable shop or administrator notifications, review recipients carefully; customer messages generally do not use the same recipient controls.
- Edit the subject, heading, and additional content. Keep operational information prominent and place explanatory copy after the order details.
- Select the required format: Plain Text, HTML, or Multipart.
- Save the changes, then preview and test the message.
5. Respect the plain-text limit
WooCommerce documents a 155-character limit for Plain Text email fields. Long product names or variations may be truncated in plain-text output. If a sentence is cut off, shorten it or use HTML or Multipart where appropriate, then test the result in the target mail client.
Preview and test every important change
The Email Preview section lets an administrator choose an email and view it in desktop or mobile mode. Use both views when alignment, logo size, tables, or long headings matter. A desktop preview cannot reveal every narrow-screen wrapping problem.
Rank #2
Send a test email to an address you choose, then inspect the received message rather than relying only on the dashboard preview. Check the sender and Reply-to headers, subject, heading, logo, links, order data, footer, and the appearance of long product names. Open the message in the mail clients your customers actually use. If a notification contains a placeholder, verify that it resolves to real order data instead of appearing as literal brace-delimited text.
When a visual email editor is appropriate
A visual extension can fill the gap between basic fields and custom PHP. WooCommerce’s documentation for Email Customizer for WooCommerce describes a visual editor with draggable basic elements and WooCommerce elements such as order items, billing and shipping addresses, email headings and footers, and hooks. It also documents preview and save controls. Before installing any extension, confirm its current marketplace status, supported WooCommerce version, update history, and support terms; documentation alone does not establish that a product is currently sold or maintained. The feature set is described at WooCommerce’s Email Customizer for WooCommerce documentation.
Do not confuse that documentation with the older WooCommerce Email Customizer product page. WooCommerce states that the older product is no longer sold and that its documentation is no longer updated. That page mentions MailPoet as an alternative with a drag-and-drop editor and additional abandoned-cart or automated follow-up functions. Those are marketing-automation capabilities beyond changing the appearance of transactional messages, and current features and terms should be verified before choosing it. The status notice is recorded at the legacy WooCommerce Email Customizer documentation.
Use a PHP template override for structural changes
Settings and visual editors cannot expose every part of an email. If you need to change the underlying markup, WooCommerce provides a template-override route.
1. Identify the template from the settings page
Open the relevant email’s settings and use the template information and copy action provided there. WooCommerce identifies the related PHP template and lets you copy it for customization. Do not guess a filename or path when the screen can identify the exact template used by your installation and extensions.

2. Put the copy in a child theme
WooCommerce recommends keeping overrides in a child theme so a parent-theme update does not replace them. Preserve the directory structure indicated by WooCommerce when you copy the file. Keep a record of the original template version and your edits, because the override will not automatically inherit fixes made to the source template.
3. Make the smallest safe change
Change only the markup or logic you need. Preserve WooCommerce variables, escaping, order tables, and accessibility attributes unless you understand the consequences of removing them. A structural edit that hides an order total, billing address, download link, or required notice can create support and compliance problems even if the email looks attractive.
4. Re-test after updates
After updating WooCommerce, the theme, or an extension that supplies the email, compare your override with the current source template. Reapply upstream security, compatibility, and markup changes deliberately rather than assuming the old copy remains safe.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Hooks, filters, and email CSS
Hooks provide code-level insertion points without replacing an entire template. WooCommerce describes actions and filters as places where code can interact with WordPress processes. Use a hook when you need to add or alter a discrete value and a template override when the document structure itself must change. General guidance is available in WooCommerce’s hooks, actions and filters documentation.
For styles, WooCommerce documentation describes the woocommerce_email_styles filter. A callback receives the generated email CSS, allowing you to append or adjust rules before the message is sent. Keep selectors tied to markup that exists in your installed templates, and test in several mail clients because email CSS support is less consistent than browser CSS. The official example and maintenance notes are in WooCommerce’s custom email CSS guidance.
AutomateWoo’s customization guidance also covers template overrides, the same style-filter approach, and the need to maintain customizations as APIs and extensions change: customizing your email design.
Common failure modes and fixes
The option you need is missing
Check whether the control belongs to Email Improvements or another feature state. Some controls are visible but unavailable when a feature is off, and the Block Email Editor is described in WooCommerce’s guide as alpha. Confirm the WooCommerce version and enabled features before assuming the setting has been removed.
The email still shows the old logo or colors
Confirm that you edited the shared Email Template area rather than a single notification. Save the settings, send a fresh test message, and inspect the received email. If a template override or extension supplies its own markup, that layer may be taking precedence over the shared settings.
Replies go to the wrong mailbox
Review Reply-to separately from From. The visible sender can be correct while replies are routed elsewhere, or a Reply-to address can be absent and cause the mail client to use From. Send a test and inspect the message headers.
Text is truncated
Check whether the field is Plain Text. WooCommerce documents a 155-character limit and warns that long product names or variations may be truncated. Shorten the copy or choose HTML or Multipart when that better fits the message.
CSS works in one inbox but not another
Reduce dependence on advanced selectors, verify that the selector matches the generated template, and test the actual received message in more than one client. Recheck the filter and template after WooCommerce or extension updates.
An override breaks after an update
Compare the child-theme copy with the current source template, then merge changes instead of blindly restoring the old file. Keep overrides small and documented so the difference is easy to review.
When to involve a developer
Ask for development help when the change affects multiple extensions, requires conditional PHP, replaces core order markup, or is business-critical and cannot tolerate a broken notification. WooCommerce’s developer guidance points readers toward a Woo Agency Partner or Codeable for assistance. Treat those as service options, not as evidence of a particular price, referral arrangement, or guaranteed availability; obtain a current scope and support commitment directly.
Quick Recap
A maintenance routine that keeps custom emails reliable
- Keep a list of every changed notification, visual extension, template override, hook, and CSS filter.
- After each WooCommerce, theme, or related-extension update, send representative customer and administrator emails.
- Test at least one order with long product names or variations, because those expose wrapping and plain-text limits.
- Inspect desktop and mobile rendering and confirm that From and Reply-to headers remain correct.
- Review child-theme overrides against their source templates and update them when upstream markup changes.
- Remove abandoned snippets and unused extension settings so a later administrator can identify the active customization path.
