Start by matching your books to an organization that serves their intended readers, then ask that organization whether it is accepting donations and how to deliver them. Policies vary: a recipient may accept only clean, current books, limit the number of boxes, require an appointment, or decide that donated titles will be sold, passed on, recycled, or discarded rather than added to its collection.
Choose a recipient that can use your books
Think about who the books are for and what the organization does. A school library may need materials suited to its students and curriculum; a community group may be a better fit for books connected to its programs or the readers it serves. Public libraries also assess whether titles suit their collection and current needs.
Before you arrange transport, contact the specific library, school, or group. Ask whether it is accepting books now and whether it has limits by subject, format, age, language, or publication date. Policies are local and can change, so a rule at one branch or institution is not a rule for others.
Prepare books that are clean, intact, and relevant
Check condition
Offer books that are clean, dry, and usable. Mold, mustiness, water damage, dirt, stains, torn pages, missing covers or pages, and extensive personal markings are common reasons for refusal. Set aside books with these problems rather than passing them along as donations.

Check age and subject
Some recipients restrict dated material, particularly in areas where information quickly becomes obsolete. Tulsa City-County Library, for example, asks for books in excellent condition and less than five years old, while Ames Public Library applies a five-year limit to certain categories, including medical or financial advice, travel guides, computer manuals, textbooks, and test-preparation guides. These are local examples, not universal thresholds.
Schools may evaluate a gift for its relevance to the curriculum, quality, condition, and the terms attached to the donation. The 2018 Kenya School Libraries Policy and Guidelines describes this kind of vetting and says schools may refuse resources that do not meet their standards. Western Cape College of Nursing’s 2024 guideline likewise calls for curriculum and research relevance, good condition, and contact with the appropriate campus librarian; it is specific to that institution.

Ask what happens to books the recipient does not select
Acceptance does not necessarily mean a book will be catalogued or placed on a shelf. Some libraries choose titles for their collections and direct the rest elsewhere. Kent Free Library says unselected items may go to Friends book sales, be offered to other organizations, or be recycled. Austin Public Library’s gift policy, effective January 2, 2026, says gifts may be selected for the collection, transferred to Recycled Reads or another suitable agency, or discarded or recycled.
Other arrangements differ. Pasadena Public Library directs donations to its Friends group for possible bookstore sale and says acceptance does not guarantee collection placement. Ames Public Library says donated items may be added to the collection, sold, given away, or responsibly discarded. If you want the books used in a particular way, ask whether the recipient can honor that request before making the gift.

Confirm the drop-off rules before you go
Ask about the number of books or boxes accepted, approved receiving location, hours, and whether you need an appointment. Do not leave books unattended or put them in a book return unless the organization specifically tells donors to use that method.

These examples show why it is worth checking the recipient’s own current instructions rather than relying on another organization’s limits. Contact the intended location before loading a large donation, and get directions to its designated receiving point.

If your first choice cannot take the books
Ask whether the organization can suggest another recipient, or contact a different library, school, or community group whose readers and activities fit the books. Confirm that the alternative is accepting donations and that the titles meet its requirements before transporting them. Do not assume a group is currently accepting books just because it serves a relevant audience.
School-specific instructions deserve particular care. A Los Angeles Unified School District bulletin dated February 6, 2014 discusses criteria for accepting library book donations, but its age means it should not be treated as current district procedure without checking for revisions.
