A failed WordPress demo import is usually caused by the wrong file type, a missing theme or plugin dependency, a PHP resource limit, unreachable media URLs, or a fatal error during one particular XML item. Identify the stage and exact error first, then repair that stage instead of repeatedly re-running the import.

Start by identifying where the import fails
WordPress imports do not fail for one single reason. The upload can be rejected before WordPress reads the file, the XML can fail validation, PHP can run out of memory while parsing or creating records, attachment downloads can time out after posts are created, or a theme/plugin callback can throw a fatal error. Each case needs a different fix.

Record the exact message, the approximate point at which it appears, the XML file size, and whether any content was created. A generic “500 Internal Server Error” is not enough to select a safe fix.
Verify that the file is a WordPress WXR export
WordPress uses WXR, the WordPress XML interchange format, for its built-in exports. A demo package may contain several files: theme settings, page-builder data, images, documentation, or a WordPress export. Only the WXR XML belongs in Tools > Import with the WordPress Importer.

Use the official importer
- Sign in with an administrator account.
- Open Tools > Import.
- Install or activate WordPress Importer if it is not already listed as active.
- Choose the importer’s file-upload option and select the WXR XML file.
- On the author-mapping screen, map imported authors to existing users or create users only when that is appropriate for the site.
- Select Download and import file attachments when the original media URLs are available to your server.
- Start the import and keep the result page, error text, and server log entry if it fails.
A theme’s demo-data file is not automatically a WXR file. If the importer reports an empty or invalid XML file, open the file as plain text and verify that it is a complete WordPress export rather than a settings archive or a truncated download. Do not rename an unrelated file to .xml and expect the importer to convert it.
Check for a damaged or incomplete download
Compare the file size with the download information supplied by the theme or site owner. A zero-byte file, an HTML error page saved with an XML extension, or an interrupted download can all produce an “empty” or malformed-file message. Obtain a fresh copy before changing PHP settings. Keep the original file unchanged so that a support technician can inspect it.

Demo WXR files often contain objects that WordPress core does not define by itself. Custom post types, taxonomies, custom fields, shortcodes, and attachment handlers may be registered by the demo theme or by plugins. If those components are inactive, the XML may upload successfully but fail while creating a particular item, or it may import posts without the fields and layout the demo expects.
Dependency checklist
- Activate the theme for which the demo was built, or use the theme author’s documented prerequisite theme.
- Install and activate plugins that define the demo’s custom post types, taxonomies, fields, widgets, or media processing.
- Use the versions supported by the theme’s current documentation; do not activate an unrelated replacement simply to make an importer screen appear.
- Confirm that the site can create the required post type and taxonomy manually before retrying the full import.
- Disable maintenance or security rules that block legitimate admin requests only when your host or security administrator confirms they are interfering, and restore the protection afterward.
If a 500 error names WXRImporter.php, that filename identifies the importer code path, not necessarily the root cause. Capture the complete stack trace from the PHP error log, note the function and plugin or theme file named below it, and identify the XML item being processed when the failure occurred. Without those details, treating every WXRImporter 500 as a memory problem can hide a broken callback or malformed record.

Check the PHP limits that are actually running
Editing a configuration file is not proof that the web request uses the new values. Review the active values in the site’s health information and the PHP runtime used by the web server. The important settings are:
memory_limit: maximum memory available to the PHP request.post_max_size: maximum size of the HTTP POST body.upload_max_filesize: maximum size of an uploaded file.max_execution_time: maximum time a PHP request may run before it is stopped.
WordPress documentation gives this illustrative configuration for a large import: memory_limit = 300M, post_max_size = 200M, upload_max_filesize = 100M, and max_execution_time = 600. WordPress.org presents these as example settings, not universal requirements. A smaller export may need far less, while a host may impose separate web-server or proxy limits.

memory_limit > post_max_size > upload_max_filesize
If the upload is smaller than upload_max_filesize but larger than post_max_size, it can still be rejected. If both upload settings permit the file but PHP runs out of memory during parsing, increasing only the upload limit will not help.
Where to inspect the values
- Open Tools > Site Health > Info and expand the server or media-handling sections to see the limits WordPress reports.
- Ask the host which PHP SAPI handles the site’s web requests and request the active values for all four settings. The command-line PHP configuration can differ from the web-server configuration.
- Check for a reverse proxy, web application firewall, or hosting control-panel upload cap that may be lower than PHP’s values.
- After a change, verify the values again in Site Health and run a small test upload before attempting the full demo.

Ask which limits can be changed, how long the change remains active, and whether the provider has a request or proxy cap that PHP cannot override.

Split a large XML when limits cannot be raised
The official WordPress Importer documentation warns that a very large export can exhaust the host’s PHP memory. If the host cannot increase memory or execution time, the documented fallback is to split the export into smaller XML files and import them one at a time.
Plan the split
- Keep each piece a valid WXR document with the required XML header and closing tags. A text editor that merely cuts the file in the middle of an item can create invalid XML.
- Prefer separate exports produced by WordPress or the demo provider, such as date or content-type ranges, when that option exists.
- Keep related records together where possible. Importing terms or custom post types before the content that uses them can make troubleshooting easier.
- Give each piece a clear name and preserve the original file as a backup.
Import each piece safely
- Inspect the site for content already created by an earlier attempt.
- Import the first smaller WXR file and wait for its completion screen.
- Verify representative posts, terms, authors, and media before continuing.
- Import the next piece and record which file was processed.
- Stop if a specific piece fails; do not repeatedly submit the entire set and create duplicates.
Splitting reduces the amount of XML and the number of objects handled in one request. It does not repair invalid XML, missing dependencies, or inaccessible media URLs, so those problems still need their own fixes.

Handle media as a separate import stage
Posts can import correctly while images and other attachments fail because attachments require additional outbound HTTP requests. The importer must fetch each source URL, save the file, create an attachment record, and often generate metadata before the request ends.
Confirm the attachment option
Select Download and import file attachments on the importer’s options screen when the source URLs are still reachable. If the option is not selected, the post content may retain references to the original site without copying the files.

Test source access from the server
- Open a representative source URL in a browser and confirm that it returns the intended file rather than a login page, redirect loop, hotlink block, or 404 response.
- Check whether the source uses HTTPS with a certificate the destination host accepts.
- Ask the host whether outbound DNS or HTTP requests are restricted by a firewall, security policy, or network allowlist.
- Check execution time: a large number of remote downloads can exceed the request limit even when the XML itself uploads quickly.
- Review the PHP error log and web-server log for timeout, SSL, DNS, or connection-reset messages.
There is no single media fix that works for every host. If source URLs are gone or the destination server cannot make outbound requests, obtain the media through an authorized alternative and import it using the site’s normal media workflow. Preserve licensing and ownership records when moving demo assets.

A 500 response is a symptom, not a diagnosis. The importer may have exhausted memory, exceeded execution time, encountered a malformed XML item, called a missing plugin function, or received a media-download failure that was not handled cleanly.
Collect the evidence
- Write down the exact time of the failed request and the filename being imported.
- Copy the complete PHP fatal message and stack trace from the server log, including the first “allowed memory size,” timeout, undefined-function, type, or database message.
- Note the last item, post title, attachment URL, or record number shown before the failure.
- Check whether the same item fails in a smaller WXR file or whether the failure moves when the file is split.
- Inspect the site for records created before the error.
WordPress documentation illustrates a memory exhaustion message as “Fatal error: Allowed memory size of 8388608 bytes exhausted.” The number in that example is the limit reported by that particular PHP process, not a recommended setting for every site. Use the active value in your own log when deciding whether memory is involved.
Match the trace to the repair

If the trace does not identify a cause, provide the host or plugin maintainer with the complete trace and the smallest WXR file that reproduces the failure. A generic 500 page alone cannot establish whether the importer, a dependency, the database, or the server caused the problem.

Prevent duplicate content after a failed run
The importer can create records before a later request fails. Before retrying, inspect posts, pages, custom post types, categories, tags, users, and media. Look for a partial batch created at the time of the failed attempt.
Choose a recovery approach
- Clean retry: On a new or disposable site, remove the partial records and start with the corrected file.
- Continue carefully: On an established site, keep valid imported content and import only the missing pieces after confirming what already exists.
- Restore and retry: If the site has a recent backup and the import changed many records, restore to a known-good point before another attempt. Confirm the backup can actually be restored.
Do not assume that rerunning the same WXR is idempotent. Depending on the content and importer behavior, a second run can create duplicate posts, terms, or attachments. Record which file was imported and which objects were retained or removed.
A complete repair runbook
- Stop repeated attempts. Save the exact error, time, file name, file size, and whether content appeared.
- Confirm the format. Use a complete WordPress WXR export, not a theme settings file or unrelated demo archive.
- Confirm the importer. In Tools > Import, install or activate WordPress Importer.
- Prepare dependencies. Activate the required theme and plugins that register the XML’s post types, taxonomies, fields, and media handlers.
- Inspect active limits. Verify
memory_limit,post_max_size,upload_max_filesize, andmax_execution_timein the web runtime. - Correct the limiting stage. Raise the applicable limit, request host assistance, or split the WXR when limits cannot be raised.
- Test a representative subset. Import a small valid file and check authors, taxonomies, custom fields, and layout before attempting the full set.
- Import attachments deliberately. Select the attachment-download option only when source URLs are reachable and outbound requests are permitted.
- Inspect the result. Check posts, terms, custom content, and media rather than trusting a success message alone.
- Clean up before retrying. Remove or account for partial records so the next run does not duplicate them.
When to involve your host or developer
Contact the host when you cannot see or change the active PHP limits, when a proxy or firewall rejects the upload, when outbound requests fail, or when the server log shows a web-server or PHP fatal outside WordPress’s control. Provide the WXR size, the four active limits, the timestamp, and the complete error text.
Contact the theme or plugin developer when the trace points to a missing class or function, a custom post type, a field handler, or a media callback supplied by their code. Include the smallest file and XML item that reproduces the error, plus the theme and plugin versions. Avoid sending credentials or an unredacted database dump.
