Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minutePowerPoint’s read-only state is not one single setting. The correct fix depends on what you see: an Enable Editing banner, a password prompt, a notice that another person is editing the file, a Restricted Access or IRM policy, or a Windows file attribute. Identify that state first, then use the matching procedure below.
These steps cover PowerPoint for Microsoft 365 and desktop editions 2024, 2021, 2019 and 2016, with platform differences noted where they matter. You must be authorized to edit the presentation; the procedures do not bypass an owner’s password or organization permissions.
Identify why the presentation is read-only
Look at the message and the file’s location before changing anything. Each state requires different authority.

| What you see | Likely cause | Authority needed | Appropriate action |
|---|---|---|---|
| A yellow or red banner with Enable Editing | Protected View | Your account must trust the file and be allowed to edit it | Choose File > Info > Protect Presentation > Enable Editing |
| A prompt for a password to modify, while the file can otherwise be opened | Password-to-modify protection | The existing modification password | Remove the password through Save As > More Options > Tools > General Options |
| The file opens for viewing while someone else is working on it | Another editing session has the file locked | The current editor must close or release the file, or provide an editable copy | Wait, ask the editor to close it, or save an authorized copy |
| A Restricted Access or rights-management notice | IRM permissions | The owner or administrator must grant Change or Full Control | Request the required permission; a Read-only recipient cannot change the policy |
| No PowerPoint banner, but Windows says the file is read-only | Local file attribute | Write access to the file and its folder | Clear the Read-only attribute in Windows file properties |
| A password is required before the presentation opens | Opening-password encryption | The opening password from the author or administrator | Enter the password, then remove it from the protection settings if you are authorized |
Fix Protected View and enable editing
Protected View is a safety mode used for presentations received from another person or opened from a location PowerPoint considers untrusted. Microsoft describes this case as a presentation that cannot be changed even though it can be viewed.
When the file is trusted
- Open the presentation in the Windows desktop version of PowerPoint.
- Read the security banner and verify that the file came from a source you trust. Do not enable editing merely to dismiss a warning on an unexpected attachment.
- Select File on the ribbon.
- Choose Info, then Protect Presentation.
- Select Enable Editing.
- Make a small change and use File > Save to confirm that editing is restored.
If Enable Editing is absent, the file may be governed by a password, another user’s lock, Restricted Access, or an organization policy rather than Protected View. Continue with the matching section instead of repeatedly reopening the file.

Clear a Windows Read-only file attribute
A local presentation can have the Windows Read-only attribute set independently of PowerPoint’s security features. This is common with files copied from removable media, extracted from archives, or placed in a folder where you do not have write permission.
- Close the presentation and quit PowerPoint so that the file is not in use.
- In File Explorer, browse to the presentation.
- Right-click the file and choose Properties.
- On the General tab, clear Read-only in the Attributes area.
- Select Apply, then OK.
- Reopen the presentation and save a test change.
If the checkbox is unavailable, returns after you clear it, or the save still fails, check that your Windows account has write permission for the folder. A copy in a folder you control can confirm whether the problem is the original location rather than the presentation itself. Copy only when you are permitted to create and edit that copy.

Remove a password to modify
A password-to-modify lock lets someone open a presentation but prevents changes unless the correct password is supplied. It is different from a password that encrypts the file before it opens.

Windows desktop procedure
- Open the presentation and enter the modification password if PowerPoint requests it.
- Select File > Save As.
- Choose More Options to open the full Save As dialog.
- In that dialog, select Tools > General Options.
- Delete the value in Password to modify. Leave the opening-password field unchanged unless you also intend to remove opening encryption.
- Select OK, save the file, and confirm any overwrite prompt.
- Close and reopen the newly saved presentation to verify that it can be edited without the modification password.
PowerPoint requires the original password to remove a password-to-modify lock. If you do not know it, ask the author or administrator for the password or for an editable copy; do not treat the read-only view as a way to recover the credential.
Remove an opening password when you know it
An opening password is applied through encryption and is requested before PowerPoint displays the slides. The protection is separate from the password-to-modify setting.
- Open the file with the current opening password.
- Go to File > Info > Protect Presentation > Encrypt with Password.
- In the password box, remove the existing password so the field is empty.
- Confirm the dialog and save the presentation.
- Close and reopen the file to confirm that PowerPoint no longer asks for an opening password.
You cannot use this procedure without first opening the file. Microsoft states that a password-protected presentation cannot be opened without its password, so a forgotten password must be supplied by the person who encrypted the file or by an administrator who controls the document.

When another person has the file open
PowerPoint can let you view a password-protected presentation while another person is editing it, but it will prevent your changes and show the file as read-only. This is a session lock, not a setting you can remove from your copy.
- Check the message in PowerPoint for the name or account of the current editor, when shown.
- Contact that person and ask them to save and close the presentation completely.
- Wait briefly for the editing session or lock to clear, then close and reopen your copy.
- If the other editor cannot release the file, request a separate editable copy from the owner. Use Save As only when the owner permits creating a new copy, because the copy may not retain the original collaboration or permission controls.
Opening the same file under a different account or repeatedly restarting PowerPoint will not grant editing rights while the authorized editing session remains active.
Restricted Access and Information Rights Management
Restricted Access and IRM attach permissions to the presentation. The owner can assign separate read and change rights; a recipient with only Read permission cannot make edits, regardless of the local file attribute.

Restricted Access
On supported desktop editions, the owner can open File > Info > Protect Presentation > Restrict Access > Restricted Access and assign people Change or Full Control. Ask the owner to add your account to one of those levels, then close and reopen the file after the permission change propagates.
IRM permission levels
| Level | What it permits |
|---|---|
| Read | View the presentation only |
| Change | Read, edit, copy and save changes |
| Full Control | Includes permission administration in addition to editing capabilities |
If an administrator supplied a rights-management template, individual recipients cannot change or remove those permission levels. The author or administrator must alter the template or grant a different level. Contact the organization that manages the account rather than trying to remove the protection through Save As.

- Confirm the signed-in account. In Microsoft 365 or a work account, make sure PowerPoint is signed in with the account that was granted edit access. A personal account may be able to view a shared file without having Change permission.
- Check whether a second account has the file open. Close other PowerPoint windows and ask collaborators to end their editing sessions.
- Check the folder, not just the file. A folder can deny write access even when the file’s Read-only checkbox is clear. Ask the folder owner or administrator for write permission.
- Look for an organization policy. Company-managed IRM, Restricted Access or template rules can override local settings. Only the policy owner or administrator can change them.
- Distinguish opening and modification prompts. A password before the slides appear is an opening password; a prompt that allows viewing but blocks saving is usually a modification password or permission lock.
- Test an authorized copy. If the owner permits it, save a new copy in a folder where you have write access. If that copy is editable, the original location or policy is responsible; if it is still read-only, the presentation’s protection remains attached.
Platform and edition notes
Microsoft documents the password controls for PowerPoint for Microsoft 365 and desktop editions 2024, 2021, 2019 and 2016, including relevant Mac editions. The Protected View instructions are documented for current Windows desktop editions. IRM documentation covers Microsoft 365, PowerPoint 2024, 2021, 2019 and 2016, plus Mac, iPad, iPhone and Android editions.
Menu names and the availability of Protected View, Save As tools and IRM controls can differ in PowerPoint for the web, mobile apps and organization-managed installations. If a menu in this article is missing, use the desktop app or ask the file owner or administrator which platform supports the required permission change. A different device does not bypass a password or rights-management policy.

Quick Recap
- Choose Enable Editing for a trusted file in Protected View.
- Use Save As > Tools > General Options when you know a password-to-modify credential and want to remove that lock.
- Wait for the current editor or request an authorized copy when another person has the file open.
- Ask the owner or administrator for Change or Full Control under Restricted Access or IRM.
- Clear the Windows Read-only attribute when the problem is only a local file flag and you have folder write permission.
- Ask the author for an opening password you do not have; PowerPoint cannot retrieve it.
