What Easy!Appointments needs on a VPS
Easy!Appointments is self-hosted web software. Your VPS supplies the operating system and network address; you supply and maintain the web server, PHP runtime, database, application files, DNS, TLS, backups, and updates. The application is reached through a browser, so the server must be able to serve PHP requests and connect to MySQL.
Match the server to the Easy!Appointments release
Easy!Appointments documentation from different release generations lists different minimums. Select the exact application version first, then follow that version’s requirements rather than combining numbers from separate guides.

PHP 8.2+ is therefore the prudent baseline for a current deployment, but an older application release may have the older PHP and MySQL requirements shown above. Pin the application version, PHP version, and database version in your deployment notes so an upgrade does not silently change the runtime underneath it.
Core application requirements
- A Linux VPS with enough disk space for the application, logs, uploaded data, and backups.
- Apache or Nginx configured to serve the Easy!Appointments directory and pass PHP requests to the required PHP runtime.
- MySQL and a database account dedicated to the application.
- The uploaded Easy!Appointments source directory.
- A writable
storagedirectory. - A
config.phpcontaining the base URL and database connection values. - A DNS name and an HTTPS certificate for a public booking page.
The official materials do not prescribe a particular VPS company, Linux distribution, CPU size, memory size, firewall product, or TLS provider. Choose those according to your expected traffic and your ability to administer them.

When the conventional install is the safer default
Use the conventional route if your VPS already runs Apache or Nginx, you are comfortable applying PHP and MySQL security updates, or you need the application to fit an existing reverse proxy and backup system. It exposes more individual components, but each one is visible and diagnosable.
When Docker can be appropriate
Docker can be useful when your team already operates containers and has a production process for image review, persistent storage, health checks, reverse-proxy TLS, database backups, and rollback. Do not promote the official development Compose file to production merely because it starts successfully.
Prepare the VPS before installing
- Select and record the release. Download or otherwise obtain the Easy!Appointments release you intend to run. Record its PHP version, MySQL requirements, required PHP extensions, and upgrade instructions.
- Assign a DNS name. Create a hostname such as
bookings.example.compointing to the VPS address. Allow DNS changes to propagate before requesting a certificate. - Plan network exposure. Expose only the web ports needed for HTTP-to-HTTPS redirection and HTTPS. Keep MySQL private; it should not be reachable from the public internet unless there is a separately justified administrative design.
- Install the runtime stack. Install Apache or Nginx, the selected PHP version and its required extensions, and MySQL using your Linux distribution’s supported packages. Enable
php_curlif you will use Google Calendar synchronization. - Set an administrative access plan. Decide how SSH is protected, who can reach the administration interface, how operating-system updates are applied, and where logs and alerts are reviewed. Product documentation establishes the web deployment but does not provide a complete host-hardening recipe, so these controls are your operational responsibility.
Install Easy!Appointments with Apache or Nginx
1. Create a dedicated database and account
Create an empty MySQL database and a least-privilege account used only by Easy!Appointments. A typical SQL sequence is:

FLUSH PRIVILEGES;Use a unique secret generated for this installation. Do not reuse an administrator password, place the password in a public repository, or grant the account global MySQL privileges. If your web server and database run on different hosts, replace the host restriction with the narrowest private network address that your design requires and protect that connection accordingly.

2. Upload the application files
Upload the Easy!Appointments source folder to the directory your virtual host will serve. Keep the application outside unrelated sites and ensure the web-server user can read the application files. Do not make the entire project writable: the documented writable location is storage, so grant write access only where the application needs it.

3. Configure the virtual host
Create an Apache or Nginx site for the DNS name. Point its document root at the Easy!Appointments application directory, configure PHP handling for the selected PHP version, and make sure requests are routed to the front controller as required by the release. Enable the site, reload the web server, and check that a PHP response is served before beginning the application wizard.
4. Make storage writable
Change ownership or permissions so the web-server process can write to storage. Verify this with the same user that handles PHP requests. Avoid broad recursive write permissions such as making the entire site world-writable; they make a compromise more damaging and can conceal ownership mistakes.
5. Create and edit config.php
Copy config-sample.php to config.php. Set the public base URL, database host, database name, database username, and database password. The base URL must match the address customers will use, including the HTTPS scheme and any path prefix used by your virtual host.
cp config-sample.php config.phpProtect config.php from direct web download through the web-server configuration and filesystem permissions. Keep a secured copy of the values needed for disaster recovery, but do not commit the file to a public source repository.
6. Run the browser setup wizard
- Open the HTTPS installation URL in a browser.
- Enter the requested database connection details if the wizard asks for them.
- Create the initial administrator account with a unique password.
- Complete the installer and sign in to the administration area.
- Confirm that the application can write to
storageand that the database tables were created.
The initial installation includes an administrator, a test service, a test provider, and default settings. Treat those test records as setup aids: edit or remove them before publishing real services.
Configure the booking system after installation
Set the working plan
Define the business’s working days, opening hours, breaks, and exceptions. A working plan determines when a provider can be offered to customers; incorrect hours create unavailable slots or bookings outside business time.
Create services and providers
Add each bookable service with its duration and any other settings exposed by your release. Add providers, then assign the services each provider can deliver. Review the provider’s individual availability against the general working plan rather than assuming every provider follows the same schedule.

Add secretaries where needed
If staff members will manage appointments without being providers, create secretary accounts with only the access they need. Keep administrator privileges limited to people responsible for system-wide configuration.
Review booking rules
Set the lead time, cancellation behavior, appointment duration, and other booking rules available in the installed version. Test edge cases such as the last slot before closing, a break between appointments, and a day marked unavailable.
Configure notifications and calendar synchronization
Set up email notifications and verify sender details, delivery, and reply handling before launch. Google Calendar synchronization is optional; it requires the relevant configuration and the php_curl extension. Test synchronization with a non-production calendar first and confirm how edits or cancellations are reflected.
Publish the booking page
Once a complete test booking works, link the booking page from your main website, navigation, or a dedicated call-to-action. A public link should use the final HTTPS hostname, not an IP address or temporary staging URL.

Docker: what the official examples do and do not provide
Development Compose setup
The official Docker guide uses docker compose up and a sample configuration in which the database host is mysql, the database is easyappointments, and the example username and password are user and password. Those values are convenient for development because the Compose network gives the application a service name, but they are not suitable secrets for a public VPS.
The guide explicitly says the Compose setup is for development only. It does not establish a production backup policy, upgrade path, TLS termination, access control, persistent-volume design, or monitoring arrangement.
Evaluating a production image
An official Docker-image article dated April 9, 2024 demonstrates the alextselegidis/easyappointments image, a MySQL container, database environment variables, port mapping, and opening the server address to reach the setup wizard. Treat that example as a starting point, not proof that a particular tag is production-ready.

Before deploying an image, document:
- Image provenance, digest or tag policy, and how security updates are announced.
- Persistent volumes for the application’s writable data and database files.
- Database dumps and file backups taken outside the container lifecycle.
- Whether upgrades run database migrations and how to roll back safely.
- Container health checks, restart behavior, resource limits, and log retention.
- How a reverse proxy provides HTTPS and prevents direct exposure of an unprotected container port.
Never store production passwords in a sample Compose file committed to a public repository. Use your deployment platform’s secret mechanism or a root-readable secrets file with a documented rotation process.
Secure a public booking deployment
HTTPS and canonical URLs
Issue a certificate for the booking hostname, redirect plain HTTP to HTTPS, and set the Easy!Appointments base URL to the HTTPS address. Check that links, notification URLs, and calendar callbacks do not revert to HTTP.
Administration access
Use a strong, unique administrator password and remove unused accounts. Restrict administrative routes by network policy or an additional access layer when practical. Do not expose MySQL, Docker control sockets, or SSH management interfaces through the public web server.
Secrets and file permissions
Protect config.php, database credentials, calendar credentials, and mail settings. Keep ownership narrowly scoped, avoid world-writable directories, and inspect the web root to ensure configuration files cannot be downloaded.

Back up both the MySQL database and the Easy!Appointments files that contain writable application data. Store copies separately from the VPS, encrypt them where appropriate, retain multiple restore points, and periodically perform a test restoration on an isolated system. A backup that has never been restored is an assumption, not a recovery plan.
Updates and logs
Track Easy!Appointments releases, PHP security updates, web-server updates, operating-system patches, and container image changes. Read migration instructions before upgrading. Monitor web-server, PHP, MySQL, and application logs for failed logins, repeated errors, storage failures, and notification problems; Docker deployments add container and volume logs to that list.

- Open the public booking page from a device that is not logged in as an administrator.
- Book an appointment as a customer and verify the expected confirmation.
- Check that the appointment appears for the provider and administrator.
- Change or cancel the appointment according to your configured rules.
- Confirm notification delivery and inspect the sender and links.
- Test a closed period, a provider unavailable period, and the last available slot of a day.
- If using Google Calendar synchronization, create, modify, and cancel a test event.
- Verify HTTPS, redirects, certificate validity, and the canonical base URL.
- Restore a database and writable-file backup in a separate environment and confirm the application starts.
Troubleshooting common VPS failures
The setup page shows a database connection error
Check the database host, name, username, and password in config.php; confirm that MySQL is running; and verify that the account is allowed to connect from the host where PHP runs. In Docker, confirm that the application uses the database service name on the Compose network rather than localhost.

The application cannot save settings or uploads
Inspect ownership and write permission on storage. Test access as the PHP or container user, and check disk space and filesystem mount options. Do not solve the problem by making the whole application directory writable.

The web server is not passing requests to the required PHP handler, or the site is using a different PHP version than the one you installed. Check the virtual-host configuration, PHP-FPM service, enabled modules, and web-server error log.
Links point to the wrong host or scheme
Correct the base URL in config.php to the final HTTPS hostname and review reverse-proxy forwarding settings. Clear any proxy cache after changing the canonical address.
Calendar or email features fail while bookings work
Separate core booking problems from integration problems. Confirm the required PHP extension, credentials, callback or redirect settings, outbound network access, and application logs. Reproduce with a test provider or calendar before changing production data.
A Docker restart loses data
The database or writable application path was not mounted to persistent storage, or the backup covered only the container image. Stop the service, identify the correct volumes, restore from a known backup, and document the volume and migration procedure before restarting production.
Maintenance plan for a self-hosted installation
- Record the exact Easy!Appointments, PHP, MySQL, web-server, and operating-system versions.
- Review application and dependency release notes before every upgrade.
- Take verified database and file backups before changing code, schema, or runtime versions.
- Apply updates in a staging copy when possible and run the full booking and notification tests.
- Schedule maintenance during a period when new bookings can be paused if a migration fails.
- Keep a rollback procedure that identifies the previous application files, database backup, configuration backup, and DNS or proxy change needed to return to service.
- Review administrator accounts, secrets, logs, disk usage, backup success, and certificate expiry on a regular schedule.
Which approach should you use?
Choose a conventional Apache or Nginx installation when you want direct control and already operate a standard PHP/MySQL VPS. Choose Docker only when you can manage image provenance, persistent volumes, secrets, migrations, backups, health checks, and HTTPS outside the development Compose example. In both cases, the reliable deployment pattern is the same: pin a compatible release, configure the database and writable storage correctly, complete the wizard, secure the public endpoint, and prove that you can restore the service before relying on it for real appointments.
