What a self-hosted Vanilla installation needs
Vanilla Open Source runs as a PHP application behind a web server and a MySQL-compatible database. Higher Logic Vanilla documentation describes the requirement as PHP, MySQL and web-server software such as Apache or nginx. The current general recommendation is PHP 7.3 or newer and MySQL 5.7 or newer, with compatible Percona or MariaDB releases also suitable. Version support changes between Vanilla releases, so check the requirements for the exact package you deploy rather than assuming that the newest Ubuntu packages are accepted.

No canonical source publishes a universal CPU, RAM, bandwidth or community-size benchmark for Vanilla. Size the VPS from your concurrent users, attachment volume, search workload, plug-ins and backup retention, then monitor CPU, memory, disk space and database growth after launch.
Prepare and harden the Ubuntu VPS
- Update the base system. Log in using the provider’s initial account, apply Ubuntu security updates, and reboot if the kernel or core libraries require it. Use a normal administrator account with
sudofor daily work instead of operating the forum as root. - Set an SSH policy. Prefer key-based authentication, restrict SSH to the administrators who need it, and disable direct root login after confirming that the new account works. Keep an out-of-band console or recovery method available before changing SSH settings.
- Configure the firewall. Allow SSH from your administration network and allow TCP ports 80 and 443 for web traffic. Do not expose the database port publicly; the web application should connect over the local socket or a private interface.
- Choose the hostname. Create an A or AAAA record such as
forum.example.compointing to the VPS address. DNS propagation can take time, so verify that the name resolves from the networks your moderators use. - Plan TLS before opening registration. Obtain a certificate for the final hostname, configure the web server for HTTPS, and redirect plain HTTP to HTTPS. The certificate and private key should be readable only by the services that need them.
Keep the VPS provider, Ubuntu release, PHP package source and Vanilla release recorded in your operations notes. When a version reaches end of support, plan the upgrade instead of silently mixing repositories or downgrading security packages.

Install PHP, extensions and the database
Install a supported PHP runtime together with mbstring, cURL, GD and PDO. Enable MySQLi if you will import data, and keep OpenSSL available for social-login or other integrations that use it. Confirm the command-line PHP version and the PHP-FPM version match the version used by the web server; a common cause of confusing failures is updating one while the other still points to an older socket.
Install MySQL 5.7 or newer, or a compatible Percona/MariaDB release accepted by your Vanilla version. Some documented Vanilla versions require MySQL strict mode to be disabled. Treat that as a version-specific setting: verify the release notes and database requirements, change only what that version requires, and document the change because it affects every schema on that database server.

Do not expose a database administration panel or the database listener to the public internet merely to simplify installation.
Create a least-privilege database
Use the database administrator account only to create an application database and a dedicated application user. Choose a long, unique password and store it in your password manager. The host value is normally localhost when the database is on the same VPS; use the private database hostname only when your architecture separates web and database servers.

FLUSH PRIVILEGES;Use the database name, username, password and host exactly as created when the browser installer asks for them. Grant the application access to its own database, not to every schema on the server. If your database engine or Vanilla release specifies a different character set or collation, follow that release’s requirement instead of copying the example unchanged.
Choose nginx or Apache
Both servers work. The practical choice is the one your team can patch and troubleshoot confidently.

Download and place Vanilla safely
- Download the official pre-built Vanilla package for the release you intend to run. Do not build a production forum from an incomplete source checkout unless that release explicitly requires it.
- Create the document root, for example
/var/www/vanilla, and transfer the archive over SFTP or another encrypted channel. - Extract the package into the document root and verify that the application files, including the supplied Apache rules where present, are in the expected top-level location rather than one directory too deep.
- Set the web-server/PHP account as owner of the files it must read. Make
cache,confanduploadswritable by PHP, but avoid making the entire document root world-writable.

Confirm it with the PHP-FPM pool and web-server configuration before applying ownership commands. Keep configuration and application source unavailable for direct download; a visitor should receive forum pages and assets, never PHP source or configuration contents.
Configure nginx for Vanilla
Vanilla’s maintained cloud configuration uses nginx, and its documentation emphasizes that rewrite handling is the critical part. The server must send unknown forum routes through /index.php, pass the correct FastCGI variables, set X_REWRITE to 1, and use the real PHP-FPM socket or upstream name on your VPS.

}The socket shown is illustrative: Ubuntu commonly includes the PHP version in the filename, so replace it with the socket actually provided by your PHP-FPM service. Validate the nginx configuration before reloading it. Add your TLS listener and certificate settings, then redirect port 80 to HTTPS once the certificate is active.
The deny rule covers the sensitive paths called out by the Vanilla guidance: .git, build, cache, cgi-bin, uploads/import, conf, tests and vendor. Do not add a broad rule that permits arbitrary PHP execution. If assets unexpectedly acquire /index.php, requests loop, or nginx returns 500, inspect the FastCGI parameters and socket first; changing application files usually masks the real routing error.
Configure Apache instead
Apache requires mod_rewrite and an enabled .htaccess. Place the Vanilla-provided rules in the document root, permit them with the VirtualHost’s AllowOverride policy, and reload Apache after enabling the module. Those rules protect non-public directories and permit direct PHP execution only for /index.php, which prevents visitors from calling arbitrary scripts.
Make the active VirtualHost deliberate for both the forum hostname and unmatched hostnames. The official guidance warns that failing to add a default entry can expose the site to host-header injection behavior. Confirm which VirtualHost answers an unknown host before launch, and ensure HTTPS requests reach the intended forum site rather than a default application.

Run the browser installer
- Open the final hostname in a browser. If DNS is not fully propagated, use the VPS IP only for temporary reachability; configure the final hostname before issuing the production certificate.
- Enter the database host, database name, application username and password created earlier.
- Choose the forum name, owner account and owner password. Use a unique administrator password and enable multi-factor protection if an appropriate add-on is available for your release.
- Allow the installer to write the configuration file. If it reports a permissions error, fix ownership for
confrather than making the whole site writable. - Sign in as the owner, confirm that the dashboard, discussions, profiles, uploads and sign-out flow work, and test a pretty URL while logged out.
Immediately configure outbound mail so password resets and notifications do not disappear into a local mail queue. Disable unused add-ons, confirm the site URL uses HTTPS, and verify that uploaded media is stored where your backup plan includes it.

Pretty URLs return 404
On nginx, confirm that the location / block contains try_files $uri $uri/ /index.php?$query_string and that the request reaches the intended server block. On Apache, verify that mod_rewrite is enabled, .htaccess is present in the document root, and AllowOverride permits its rules. A static homepage working while discussion URLs fail almost always indicates a rewrite or front-controller problem rather than a missing discussion.
Every request returns 500
Check the PHP-FPM service status and the configured socket path, then inspect the web-server and PHP error logs. Recheck SCRIPT_FILENAME, PATH_INFO, SCRIPT_NAME and X_REWRITE in nginx. On Apache, check the active VirtualHost and PHP handler. Confirm that the installed PHP version and required extensions match the Vanilla release.
The installer cannot write configuration or cache
Confirm that the PHP-FPM account owns or can write cache, conf and uploads. Keep directory permissions restrictive and avoid a recursive chmod 777; it hides ownership mistakes while creating an unnecessary exposure.

Assets contain an unexpected index.php path
Inspect nginx FastCGI path handling and the PHP-FPM socket before editing URLs or themes. Incorrect path-info splitting or a mismatched document root can make valid asset requests look like PHP routes.

Database connection or schema errors appear
Test the database credentials from the VPS, confirm that the application user is allowed from the configured host, and check the database engine version against the release requirements. If the documented version requires strict mode to be disabled, apply that setting deliberately and restart the database service.
HTTPS or mail works inconsistently
Check that all hostname variants resolve to the VPS, that the certificate covers the exact forum name, and that the application URL is set to HTTPS. For mail, verify the SMTP credentials, encryption mode and provider’s sending policy; do not treat successful local delivery as proof that remote providers will accept messages.
Back up before every upgrade
A safe upgrade has a rollback point and a tested recovery path. Before changing files or the database, create and verify:
- A database dump stored off the VPS.
conf/config.php.- The active
.htaccesswhen using Apache. - Uploaded media and any locally maintained themes or add-ons.
Keep at least one backup outside the server and periodically rehearse restoring it to a disposable environment. A backup that has never been restored is only an assumption.
Upgrade Vanilla in a controlled sequence
- Read the target release’s upgrade notes, including its version-specific deletion list, PHP/database requirements and extension changes.
- Enable maintenance mode when the forum is large or the migration may take more than a brief interval. The official guidance specifically calls this out for databases with millions of users or comments.
- Back up the database,
.htaccess,conf/config.php, uploads and customized code. - Remove the distribution and cache files that the target release instructs you to remove. Do not guess at a deletion list; releases can differ.
- Upload the new pre-built package over the existing installation, preserving your configuration and user-uploaded media.
- Clear the required cache files, then visit
/utility/updatewhile authenticated as the owner to apply database migrations. - Test login, posting, permissions, attachments, search, notifications and representative pretty URLs. Review web-server and PHP logs before disabling maintenance mode.
If an upgrade fails, restore the database and application files as a matched set from the pre-upgrade backup rather than mixing an old database with new code. Record the failed version, error log and recovery steps before attempting again.
Operate the forum after launch
- Patch Ubuntu, PHP, the database and Vanilla on a defined schedule, testing major changes outside production first.
- Monitor free disk space, database size, PHP-FPM saturation, web-server errors and backup completion.
- Review administrator accounts and add-ons; remove components that are unused or no longer maintained.
- Protect the VPS with provider snapshots only as an additional layer, not as a replacement for independent database and media backups.
- Recheck access to
conf,cache,vendor,tests,buildand import directories after web-server changes.
This arrangement keeps the responsibilities clear: Ubuntu supplies the secured host, nginx or Apache handles HTTP and rewrites, PHP-FPM executes Vanilla, and MySQL-compatible software stores forum data. Correct routing, least-privilege credentials, writable runtime directories and recoverable backups are the controls that determine whether the installation remains dependable as the community grows.
