The important distinction is that Downloadable controls file access, while Virtual removes shipping from the order. A product can be downloadable without being virtual when it includes a physical item, such as a printed game guide with a digital bonus.

What you need before creating the product
WooCommerce can deliver PDFs, ZIP archives, video files, audio, software installers, game assets, and other digital goods. Decide the commercial and technical details before opening the product editor:
- File format and size: Use a format your buyers can open on their devices. Large video, audio, or game-build files need more server capacity than a small PDF.
- Versioning: Choose how you will replace files and whether existing buyers receive updates. Keep a private record of file versions and release dates.
- Licence terms: State whether the buyer receives personal, commercial, educational, or team-use rights. Explain whether redistribution, resale, or account sharing is prohibited.
- Support policy: Tell customers which operating systems, applications, or game platforms are supported and how they should request help.
- Physical components: Decide whether the order also contains anything that must be shipped. That decision determines whether the product should be Virtual.
- Storage plan: Select local WooCommerce storage, a compatible cloud/object-storage URL, or a server-assisted delivery method before you publish.
WooCommerce’s definition is practical: a product marked virtual and/or downloadable is not physically shipped, can be downloaded digitally, or both. The two checkboxes are independent, so select only the behavior your product actually needs.

Create a downloadable product
1. Open the product editor
- In WordPress, go to WooCommerce > Products > Add Product.
- Enter the product name, description, price, tax status, and any images or categories you use for your catalogue.
- In the product data panel, enable Downloadable.
Once Downloadable is enabled, WooCommerce displays fields for one or more files. Add every file a buyer is entitled to receive, not a public page that merely describes the file.
2. Add each file correctly
- Choose Add File.
- Enter a customer-facing name, such as “PC installer – version 1.4” or “Soundtrack FLAC files.” This name appears in the customer’s download area and emails.
- Upload the file through the product editor, or enter a full URL when the remote host supports your selected WooCommerce delivery method.
- Repeat for manuals, bonus files, alternate formats, or update packages that are included in the purchase.
A browser opening a remote URL does not prove that protected WooCommerce delivery will work. The exact URL must be tested with the delivery method you select in WooCommerce > Settings > Products > Downloadable products.
3. Set download limits and expiry
Download limit controls how many times the purchaser can use the link. Download expiry controls how long the permission remains valid. Leave either field blank for unlimited downloads or no expiry, respectively. Use limits only when they match your support policy: a limit can prevent casual sharing, but it can also lock out a legitimate customer who has to reinstall a large file.
Set the values on the product itself, and explain them in the product description or purchase terms. If you sell updates, consider whether the limit applies to each version or to the customer’s entire entitlement; make that behavior clear before payment.
4. Decide whether to mark the product Virtual
Enable Virtual when there is no physical shipment. WooCommerce then removes shipping fields and shipping calculations for that item. A product that is Downloadable but not Virtual can still carry shipping information, which is useful when a boxed product includes a digital manual, soundtrack, patch, or other bonus file.

Configure checkout, taxes, and payment
Before publishing, open your WooCommerce settings and confirm the store address, selling locations, currency, tax behavior, and payment providers. Payment-gateway availability, fees, supported countries, and digital-goods rules differ by geography, so use providers that support your business location and the countries in which you sell.

Set the store’s base address accurately. Then choose whether you sell worldwide or only to selected countries and regions. Country restrictions affect checkout availability and can matter for tax obligations, sanctions screening, and payment approval.
Digital-goods tax treatment
Digital products can be taxed differently from physical goods. Confirm the applicable rates, customer-location evidence, registration thresholds, invoices, and reporting duties for every jurisdiction in which you are registered or sell. WooCommerce supplies tax settings; it does not determine your legal obligations.
Payment confirmation matters to delivery
A successful card or wallet screen is not the same as a WooCommerce order reaching the status that grants downloads. Your gateway must send a reliable payment confirmation to the store. If that notification is delayed or fails, the customer may pay without seeing a link immediately.
Choose the download-delivery settings
Go to WooCommerce > Settings > Products > Downloadable products. These settings determine how WooCommerce serves files and when it grants access.

Grant access after payment
Enable Grant access to downloadable products after payment when customers should receive files as soon as payment moves the order into Processing. If it is disabled, access can wait until the order reaches Complete. Products marked both Virtual and Downloadable are automatically completed by WooCommerce, so purely digital products commonly become available without manual order handling.
Choose the timing that fits your fraud and fulfilment process. Immediate access is convenient for an automated digital shop. Waiting for Complete gives you an opportunity to review orders or fulfil a physical component first.
Login and guest access
Decide whether downloads require a customer account. Requiring login gives buyers a persistent location under My Account > Downloads and makes recovery easier. Guest checkout can be faster, but the buyer may rely on the order email and order-received page, so email delivery becomes especially important.
Filename suffixes and approved locations
Use the available filename-suffix option if you want WooCommerce-generated names to be less predictable. When using remote files, follow WooCommerce’s approved-directory rules and verify that the host provides a direct-download URL rather than an HTML preview page.
Compare WooCommerce delivery methods
The right method depends on file size, server capacity, storage location, and how much protection you need against direct linking.

Do not select Force Downloads simply because it sounds safest. A reliable, server-assisted configuration is preferable to a PHP download that repeatedly times out. Conversely, do not use Redirect only for paid files when exposing the URL would defeat your access policy.
Protect paid files from casual URL sharing
Upload paid assets through the product editor
Files placed in the public WordPress Media Library can be reached by anyone who knows the direct URL. WooCommerce’s documentation explicitly warns that uploading a paid file there does not create purchase protection. Add protected assets through the downloadable-file field in the WooCommerce product editor instead.
Account for web-server behavior
Protection depends on server configuration as well as WooCommerce settings. On NGINX, an explicit rule is required for the protected-file behavior to work. Ask your host or administrator to verify the rule and test an unauthorised request; do not assume that an Apache-oriented configuration automatically applies to NGINX.

Reduce sharing without promising perfect prevention
Download limits, expiry, login requirements, non-obvious generated filenames, and protected delivery make casual sharing harder. They cannot stop a purchaser from copying a file after a legitimate download. Set controls to match the value of the product and your support capacity, and state your licence and account-sharing policy clearly.

Cloud or object storage can separate large assets from the web host and reduce pressure on the WordPress server. It is suitable only when the provider supplies a direct-download URL and supports the protection behavior required by your chosen WooCommerce method.

- Confirm that the URL returns the file itself, not a login page, viewer, expiring HTML page, or JavaScript redirect.
- Check whether the URL remains stable for the expected lifetime of a customer’s permission.
- Verify that WooCommerce accepts the host under its approved-directory rules.
- Test a paid download and an unauthorised visit. A URL that works in your browser while logged in may fail for WooCommerce or expose the asset publicly.
- Check range requests, bandwidth limits, and regional restrictions when distributing very large files.
Redirect-based delivery is the most tolerant of some remote hosts, but WooCommerce identifies Redirect only as insecure because it can reveal the file URL. If you need stronger access control, choose local protected storage or a correctly configured server-assisted method instead.
What the customer sees after payment
When an order qualifies for access, WooCommerce can place the download link in the completed-order email. With early access enabled, the link can also appear on the order-received page as soon as payment puts the order into Processing. Logged-in customers can find the same entitlement under My Account > Downloads.

If early access is disabled, the link may not appear until the order is marked Complete. Explain this timing in your confirmation page or support documentation so a customer does not mistake a pending order for a failed purchase.
The email and account page should show the customer-facing file name, the remaining download count when a limit exists, and the expiry information supplied by WooCommerce. Send a low-value test purchase to an address you control and inspect the message on both desktop and mobile.
Launch checklist: test the complete purchase path
Use a real low-value transaction in your own environment rather than relying only on the product-editor preview. Test the largest file you expect to sell.
- Place the order as a guest and, separately, while logged in.
- Confirm that the payment provider reports success and that WooCommerce receives the confirmation.
- Check the resulting order status: Processing should grant access when early access is enabled; otherwise verify the Complete transition.
- Open the order-received page and confirm whether the link appears at the expected time.
- Open the order email and verify that the link, product name, filename, expiry, and limit are correct.
- Sign in and check My Account > Downloads.
- Download the file on a normal customer connection and confirm that it opens, extracts, or installs correctly.
- Use the link until the configured limit is reached and confirm that WooCommerce blocks another attempt.
- Test the link after expiry and confirm that access is refused.
- Try a direct file URL in a private browser window. A protected file should not be freely retrievable without an authorised permission.
- Repeat the test against the largest expected file to identify PHP timeouts, web-server limits, bandwidth caps, or incomplete transfers.
- Check the failed-payment, cancelled-order, and refunded-order paths so access is not granted contrary to your policy.
This checklist verifies the documented controls in your own hosting, payment, email, and storage environment. Delivery speed and reliability are environment-specific; WooCommerce does not guarantee them for a particular server or file size.

WooCommerce itself does not impose a product-file maximum. In practice, upload limits, PHP settings, execution time, web-server configuration, storage bandwidth, and the customer’s connection determine what works reliably.
