For most flexible posters, the safest international method is a loose protective-paper roll inside a rigid tube, preferably triangular or square. A thick card, mounted print or any artwork that could crease when curved should travel flat between rigid boards in a cushioned mailer or box. In both cases, stop movement inside the package, seal it securely, and verify the selected carrier’s current size, customs and coverage rules for your exact route before paying.
Choose rolled or flat before buying packaging
The poster’s construction determines the shipping format. A flexible paper poster that tolerates a gentle curve can be rolled. A thick card, mounted print or stiff stock that resists bending should remain flat; forcing it into a tube can create a permanent crease. The decision is about the print, not simply the destination or the package that happens to be available.

| Shipping format | Use it when | Main risks to control | Package approach |
|---|---|---|---|
| Rolled | The poster is flexible and can curve without cracking or creasing. | Hard creases from a tight roll, scuffing, crushing, sliding inside the tube and labels that cannot lie flat. | Protective paper around the print, a sturdy tube with secure ends, internal cushioning or filler to stop movement, and a flat label area. |
| Flat | The print is thick, mounted, rigid or otherwise likely to crease when rolled. | Bending, corner impact, compression, abrasion and movement between boards. | A rigid, appropriately sized mailer or box with firm boards on both sides and cushioning. |
Neither method eliminates every transit hazard. Sorting equipment, compression, moisture and handling can still damage a parcel, so the package should protect the print even when the outer carton is treated roughly. Do not rely on a “do not bend” marking as the only defense.

How to ship a flexible poster in a tube
1. Gather the right materials
- Protective paper larger than the poster, such as the craft-paper layer described in DHL eCommerce UK’s packing guidance.
- A sturdy tube with secure ends. Fiberboard construction and crimped or taped closures are recognized in USPS packaging standards for lightweight rolled items such as posters or charts.
- Masking tape for securing the protected roll without creating a hard crease.
- Additional cushioning or filler that prevents the roll from sliding back and forth.
- Strong packing tape for the outer closures.
- A shipping label and customs documents that can be attached flat and kept readable.
Choose the tube’s internal diameter so the paper roll fits without being forced into a narrow spiral. It must also be long enough for the poster without crushing either end. Oversized empty space is not harmless: movement lets the roll strike the tube ends, so plan to immobilize it.

2. Wrap the print in paper
- Lay the poster face up on a clean sheet of protective paper that extends beyond every edge.
- Fold one edge of the paper over the poster, then place or fold another section over it so the print is enclosed by paper rather than exposed to the tube wall. This follows the sequence described in DHL eCommerce UK’s tube instructions.
- Roll the paper-and-poster assembly gradually and evenly. Keep the roll loose enough to avoid a hard crease, but narrow enough to enter the tube without force.
- Secure the paper with small pieces of masking tape. Avoid a tight elastic band, which can press a line into the print.
Keep the print’s image surface from rubbing directly against itself or the tube interior. The paper layer is also a simple barrier against scuffs during insertion and removal. The reviewed carrier guidance does not establish a particular archival sleeve material or preservation standard, so use a sleeve only if it is compatible with the print and does not make the roll too tight.
3. Select a tube shape that handles sorting better
Round tubes are familiar, but they can roll off sorting equipment or be difficult for automated systems to control. Colissimo’s guidance recommends a square or triangular tube, or stabilizing a round tube when one is used. Its practical warning is that “Rolling can be a lot more practical than folding, but it’s a lot less practical for sorting machines.”
A triangular or square tube gives conveyor equipment a flatter side and usually provides a more reliable surface for the address label and barcode. Whatever the shape, make sure the label area is wide enough for the complete label to lie flat and remain readable. Do not wrap the label around a curved surface if that hides part of the barcode or address.

- Insert the protected roll without forcing it against the tube wall.
- Fill excess space at the ends with suitable cushioning so the roll cannot travel back and forth. The filler should hold the roll in place without crushing it.
- Close both ends using the tube’s intended closures, then reinforce them with strong tape. USPS packaging standards call for a strong, securely sealed outer container; crimped or taped ends are permitted for lightweight rolled items such as posters or charts under those standards.
- Shake the closed package gently. If you can feel or hear the roll moving, reopen it and add or reposition cushioning.
- Apply the shipping label to the flattest, most stable panel. Keep the address, barcode and any customs paperwork visible and legible.
Do not make the package so tight that the poster is compressed at the ends. The goal is restraint, not pressure. A tube that is strong enough to resist ordinary handling and closed so its ends cannot pop open is more important than decorative wrapping.

How to ship a poster flat
When flat shipping is the safer choice
Keep a poster flat when it is printed on thick card, mounted to a board, laminated in a way that resists curvature, or known to crack or crease when bent. DHL’s guidance specifically warns that thicker card should not be rolled because rolling can crease it. If you are uncertain, test the material with a very gentle curve before packaging; never force a valuable print to prove that it can roll.
Build a rigid, cushioned sandwich
- Place the clean, dry print in an optional protective sleeve or paper layer to limit surface scuffing.
- Put the print between two firm boards that extend to the edges. The boards should remain rigid under ordinary hand pressure and should not have exposed staples, splinters or tape touching the artwork.
- Add cushioning around the sandwich so it cannot shift inside the outer mailer or box. Cushioning should absorb movement and corner impact, not press directly into the image.
- Choose an outer container that fits the board sandwich closely while leaving enough room for cushioning. A strong, securely sealed mailer or box is preferable to a thin envelope.
- Seal every opening with strong packing tape. Check corners and seams; a board that slides out through a partially sealed edge can be lost even if the print itself is undamaged.
Markings such as “do not bend” can communicate handling preferences, but they do not replace rigid boards and a strong outer container. USPS packaging guidance likewise emphasizes suitable cushioning and a securely sealed outer package.
Compare the two formats before choosing a service
| Decision point | Rolled tube | Flat rigid mailer |
|---|---|---|
| Print compatibility | Flexible paper or other material that tolerates a gentle roll. | Thick card, mounted or stiff material that could crease when curved. |
| Crease and bend control | Controlled by a loose roll, protective paper and a tube that resists crushing. | Controlled by firm boards on both sides and cushioning that prevents flexing. |
| Sorting behavior | Triangular or square tubes are easier to stabilize; round tubes can roll on conveyors. | Flat packages need sufficient rigidity and corner protection to resist bending and compression. |
| Label placement | Use a broad flat panel; a round surface may not keep the label and barcode readable. | Apply the label to a flat outer face without covering seams or edges. |
| Internal movement | Stop the roll sliding lengthwise or rattling against the ends. | Stop the board sandwich shifting inside the mailer or box. |
| Service compatibility | Check the carrier’s tube, length and girth rules for the route. | Check the carrier’s flat-mail dimensions, thickness and weight rules. |
Handle customs accurately for an international shipment
Cross-border paperwork is part of protecting the poster: an incomplete or inaccurate declaration can delay, return or stop an otherwise well-packed parcel. Requirements depend on the origin country, destination country and service.

For applicable USPS international shipments, customs information requires a detailed contents description, quantity, weight and value. The current International Mail Manual also describes HS-code requirements. “Poster” may be too vague for a carrier’s customs system; identify what is actually being sent, such as a printed paper poster or a mounted art print, and provide the requested quantity and value.

Use the real transaction value or an honest declared value. Do not undervalue the item to reduce possible charges, and do not describe merchandise inaccurately as a gift. The sender remains responsible for checking the destination country’s import and export restrictions and for supplying any additional documents the destination or service requires.
Complete and place the paperwork
- Enter the contents description, quantity, weight and value exactly as requested by the selected service.
- Provide an HS code when the service or destination requires one.
- Check whether the destination restricts printed matter, paper goods, artwork, adhesives or other components of the package.
- Attach customs forms and the address label where the carrier directs, keeping text and barcodes unobstructed.
- Retain copies or electronic records of the declaration, receipt and tracking number.
Read every field before handing over the parcel. A clear declaration cannot guarantee release from customs, but a vague or contradictory one creates avoidable questions.
Check size, weight and service eligibility at purchase time
There is no universal international poster-parcel limit. A carrier’s rules can differ by country pair and by service within the same carrier. Verify the packed dimensions and weight, not just the poster’s measurements, before selecting postage.

Confirm what coverage actually applies
Coverage depends on the carrier, service, destination and the type and declared value of the contents. As one United States-origin example, USPS states that Priority Mail International merchandise is insured up to $200 against loss, damage or missing contents, while additional coverage limits vary by country. That is not a universal USPS rule for every service, and it is not a rule for other carriers or routes.
Before paying, read the chosen service’s current exclusions and claim requirements. Valuable artwork may have special exclusions, and some policies may require particular packaging or proof of value. Ask whether damage caused by inadequate packaging is excluded and what evidence is required if a claim is filed.
Keep evidence of the package’s condition
- Photograph the poster before wrapping, the protective layers, the rigid boards or tube, and the sealed exterior.
- Record the packed dimensions and weight used for the shipping purchase.
- Save the receipt, customs declaration and tracking information.
- If the destination receives a damaged parcel, photograph the outer damage and inner packaging before discarding anything, then follow the service’s claim instructions.
Tracking shows scans and delivery events; it does not by itself increase the package’s physical protection or prove that a claim is covered. Select a service with the tracking and coverage you actually need, rather than assuming every international option includes the same benefits.

A complete packing and handoff checklist
Before packing
- Identify whether the print can tolerate a gentle roll. If it is thick or stiff, plan a flat shipment.
- Measure the poster and estimate the final packed dimensions and weight.
- Check the intended carrier’s current route eligibility, size limits, customs requirements and coverage.
- Choose a sturdy tube or rigid flat mailer with secure closures; select a triangular or square tube when practical.
After packing
- Confirm that no hard elastic band, tape edge or board corner touches the print.
- Check that the contents cannot slide, rattle or flex excessively inside the outer container.
- Verify that all seams and tube ends are securely taped.
- Make sure the shipping label and barcode lie flat and are readable.
- Enter an accurate contents description, quantity, weight, value and HS code when required.
- Check destination restrictions and additional-document requirements.
- Photograph the finished parcel and retain the receipt and tracking details.
Troubleshooting common failure modes
The poster arrives with a crease
Review whether the print should have been shipped flat, whether the roll was too tight, or whether the tube was crushed. Thick card should not be rolled. For flexible paper, use a looser roll, protective paper and a stronger tube, and prevent end-to-end movement.
The tube arrives open
Inspect the closure method. A tube needs secure ends plus strong tape over the seams; a decorative cap that is not mechanically secure is insufficient. USPS standards emphasize a strong, securely sealed outer container.
The label is unreadable or detached
Use a flat panel wide enough for the entire label and barcode. This is especially important with round tubes, whose curved surface can make automated reading difficult. Keep the label away from a seam and cover it only in the manner permitted by the carrier.
The poster shifts inside the package
Add cushioning at the ends of a tube or around the board sandwich until movement stops. Do not compensate by compressing the print tightly; immobilize the package with gentle, evenly distributed support.
Customs asks for more information
Respond with the actual item description, quantity, weight, value and any requested classification or documents. A generic description, undervalued declaration or inaccurate gift label can create delays and may violate the destination’s import rules.
What to verify for your exact route
The final choice depends on facts that vary by shipment: origin, destination, poster size, paper or board type, declared value and selected service. Confirm these points on the carrier or postal operator’s current booking and policy pages:
- Whether the service accepts a tube or rigid flat parcel on that country pair.
- Maximum packed length, width, thickness, girth and weight.
- Required customs fields, HS-code rules and destination restrictions.
- Tracking events and delivery-confirmation options.
- Included merchandise coverage, optional additional coverage, exclusions and claim deadlines.
- Packaging rules that could affect eligibility or a damage claim.
Once those checks pass, use the format that matches the print: a protected, immobilized roll in a stable tube for flexible posters, or a rigid, cushioned flat package for prints that should not bend.
