How to Use FileZilla to Upload Files to Your Server

By VGSources Team 11 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

FileZilla uploads files by connecting your computer to an existing server account, opening the server’s web-root directory, and transferring items from the Local site pane to the Remote site pane. You need the server host, protocol, port, username, password or SSH key, and the correct destination folder. For a website, that folder is often /public_html or /www, but your hosting provider’s instructions are authoritative.

This guide covers the complete process: choosing FTP, FTPS or SFTP; creating a connection; finding the public web directory; uploading and verifying files; saving a reusable profile; and diagnosing the errors that most often stop an upload.

What you need before opening FileZilla

FileZilla Client is a transfer tool, not a hosting service. It cannot create a server account or make a website publicly accessible by itself. Obtain the connection details from your hosting provider or server administrator first.

  • Host: a hostname such as the server name supplied by the host, or an IP address.
  • Protocol: FTP, FTP over TLS (FTPS), or SSH File Transfer Protocol (SFTP).
  • Port: the port assigned to that protocol by the server.
  • Username and password: credentials for an FTP, FTPS or SFTP account.
  • SSH key, if required: SFTP accounts may authenticate with a private key instead of, or in addition to, a password.
  • Destination directory: the server folder that serves the site or application. Do not assume that your account’s home directory is the public web root.

Keep the provider’s setup message nearby. A correct username with the wrong protocol or port still produces a failed connection, and a successful connection to the wrong directory can leave the live site unchanged.

Choose the right protocol and port

The protocol determines how FileZilla negotiates the connection and whether credentials and file contents are encrypted. Default ports are useful clues, not guarantees. Always use the port in the server’s own instructions.

Protocol Common port Protection Authentication When to choose it
FTP 21 No encryption for credentials or file contents Usually username and password Only when the administrator explicitly provides FTP and the network risk is acceptable
Explicit FTPS 21 is common FTP protected by TLS after the connection starts Username and password, with a TLS certificate exchange When the server specifies FTP over TLS or explicit FTPS
Implicit FTPS 990 is common TLS is required from the start Username and password, with TLS When the server specifies implicit FTPS and its assigned port
SFTP 22 is common SSH encryption protects the session Username and password, an SSH private key, or both When the server provides SSH access

SFTP is not the same protocol as FTP with encryption. In FileZilla, select SFTP – SSH File Transfer Protocol when the administrator gives you SSH details. Selecting ordinary FTP and entering port 22 will not convert the connection into SFTP.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Connect once with Quickconnect

Quickconnect is convenient for a one-off transfer. It does not replace the need to know the server’s exact settings.

  1. Open FileZilla Client.
  2. In the Quickconnect bar, enter the Host, Username, Password and Port supplied by the administrator. If the host gave you a protocol-specific URL or a key-based setup, use Site Manager instead, because it exposes the protocol and key-file controls more clearly.
  3. Choose Quickconnect. FileZilla displays connection and authentication messages in the message log.
  4. If the server presents a certificate or SSH host-key prompt, check that the identity matches the administrator’s instructions before accepting it. Do not blindly approve an unexpected identity on a production server.
  5. Wait for the status to indicate that the directory listing has been retrieved. A visible remote folder tree or file list means the login reached the server; it does not yet prove that you are in the public web root.

Quickconnect is best when you are testing credentials or connecting to a server only once. For regular maintenance, save the configuration in Site Manager so you do not repeatedly type a password or accidentally select the wrong protocol.

Save a reusable connection in Site Manager

Site Manager stores a named server profile and lets you set the protocol, port, authentication method and default directories.

  1. Open File > Site Manager.
  2. Choose New site and give the entry a recognizable name, such as the site or server name rather than a generic label like “My server.”
  3. On the General tab, enter the host and select the protocol provided by the administrator.
  4. Enter the port if it is not filled automatically. A blank port can be appropriate only when the selected protocol’s default is explicitly intended by the server.
  5. Select the server’s logon type. Use normal username-and-password authentication only when the account permits it. For SFTP key authentication, choose the key-file option and select the private key file supplied or generated for that account.
  6. Enter the username and, where applicable, the password. Treat saved credentials as secrets; anyone who can use your computer account may be able to reuse them.
  7. Open the Advanced tab and set the default local directory to the folder containing your website files. Set the default remote directory to the documented web root if the administrator supplied one.
  8. Save the entry, then select Connect to test it. Confirm the protocol and port in the message log if the connection fails.

A saved profile reduces typing errors, but it can also preserve an old password, host or directory. Edit the entry whenever the provider changes credentials, migrates the account or gives you a new document root.

Understand FileZilla’s two-pane layout

After connecting, FileZilla divides the window into local and remote sides:

  • Local site: the files and folders on your computer. Its path bar shows the current local directory.
  • Remote site: the directories and files on the server. Its path bar shows the current remote directory.
  • Transfer queue: the lower panel, where queued, successful and failed transfers appear.

Navigate both sides before transferring. Double-click folders to open them. Use the parent-directory control to move upward. The remote pane may initially show an account home directory containing several folders; that does not establish which folder serves your website.

Find the correct public web root

The public web root is the directory whose contents are returned when visitors request your domain. Common names include /public_html and /www, but hosts also use account-specific names, domain folders, htdocs, or a directory nested below the initial login location.

Use the provider’s documentation or ask the administrator for the exact path. If you manage several domains, each may have a separate document root. Uploading index.html to the parent account directory while the domain points to a child folder will produce a successful transfer with no visible change on the site.

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before replacing anything, inspect the remote listing for an existing homepage, application folder or familiar assets. Do not delete unknown directories simply because their names are unfamiliar. On a shared server they may contain configuration, logs, mail data or another domain.

Upload files and folders

Prepare the local files

Organize the exact files you intend to publish in a local folder. Check names and paths carefully: web servers commonly treat uppercase and lowercase letters as different characters, so Logo.png and logo.png may be separate files. Make a local backup of the current version before replacing a working file.

If an application expects a particular directory structure, preserve that structure. Dragging only the contents of a folder into the wrong remote directory can change relative paths even though every individual transfer reports success.

Transfer by drag and drop

  1. In the Remote site pane, open the destination web root or application folder.
  2. In the Local site pane, open the folder containing the files.
  3. Select one file, multiple files, or a folder. Use your operating system’s normal selection keys for multiple items.
  4. Drag the selection into the remote file list. Alternatively, right-click the selection and choose Upload.
  5. Watch the transfer queue. Items may remain queued while earlier files are being processed; do not close FileZilla until the queue has finished or you intentionally stop it.

Uploading a folder transfers its contents recursively while preserving the folder hierarchy as FileZilla presents it. If a folder with the same name already exists remotely, inspect the destination carefully so you know whether you are merging into it or creating a new level of nesting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose what happens when a name already exists

When a remote file has the same name as a local file, FileZilla asks how to resolve the conflict. Replacing the remote file is appropriate for a deliberate update, while skipping preserves the server copy. Compare timestamps, sizes and your deployment plan before choosing an action for a large batch. Applying one decision to all remaining conflicts is convenient but can overwrite files you did not intend to change.

Monitor the queue and verify the result

A transfer is not complete merely because the drag operation ended. The queue separates successful, failed and still-pending items.

  1. Wait until the queue shows no pending items.
  2. Review the failed-transfer tab or status list. A single failure can affect a page even when hundreds of other files succeeded.
  3. Retry failed items after correcting the underlying problem. If the server supports resume, an interrupted transfer can continue rather than restarting from the beginning.
  4. Refresh the remote directory listing and check that the expected names, sizes and modified times are present.
  5. Open the site or the relevant URL in a browser. Test the exact path and filename, not only the homepage.

If the browser still shows an old version, rule out a wrong directory or filename before assuming a cache problem. Compare the URL’s path and capitalization with the remote listing, and confirm that the domain points to the server account you edited.

Upload updates without damaging a live site

For a small change, upload the changed file to its existing location and verify the page immediately. For a larger release, stage the complete folder locally, compare it with the remote structure, and transfer in a controlled batch.

  • Keep a dated local copy of the previous production files.
  • Do not overwrite configuration files unless the application’s deployment instructions require it.
  • Upload dependent assets, such as scripts, stylesheets and images, to the paths referenced by the updated page.
  • Check permissions after replacing executable scripts or server configuration files; a correct file can still fail if the account cannot read or execute it.
  • Avoid deleting remote files to “clean up” until you know that no other page or application uses them.

FileZilla transfers files; it does not run database migrations, install server packages or restart application processes. If the update requires those operations, follow the administrator’s separate deployment procedure.

Troubleshoot connection and upload failures

Connection timed out or connection refused

Check the host, protocol and port as a set. A server listening for SFTP on port 22 will normally reject an FTP connection on that port. Confirm that the account is enabled, the server is online and your network or firewall permits the connection. Corporate, school and public networks may block FTP-related traffic even when ordinary web browsing works. Ask the administrator whether your IP address must be allow-listed.

Authentication failed

Re-enter the username and password without adding spaces copied from an email. Verify that you are using the account’s FTP credentials rather than a control-panel login when the provider distinguishes them. For SFTP, select key-file authentication and choose the correct private key; the corresponding public key must already be installed for that server account. A key belonging to a different user will authenticate unsuccessfully even when the hostname is correct.

The connection works, but the remote directory is empty

You may be in the account home directory rather than the document root, or the account may have no files yet. Navigate to the path supplied by the host. If you cannot find it, do not guess by uploading to multiple directories; ask which folder is mapped to the domain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Permission denied while uploading

The account may be read-only, the destination may belong to another user, or the folder may deliberately block uploads. Confirm that the account has write permission for that directory and request the correct writable path from the administrator. Changing permissions blindly can expose private files or break an application.

Some files fail while others succeed

Read the individual queue messages. A full disk quota, a per-file restriction, an invalid filename, a lost connection or a permission difference between directories can affect only part of a batch. Retry after fixing the specific cause, then verify that all required files exist remotely.

Built-in cable management guides wires along the arms, keeping cords out of sight and out of the way. Enjoy a tidy, modern workstation that looks as good as it feels to use.

The upload succeeds but the website does not change

Check the destination first: the domain may point to a different document root, staging account or server. Confirm the complete URL path and letter case. Make sure you uploaded the edited file rather than a similarly named copy on your computer. If the remote size and modified time are correct, inspect application or browser caching according to the site’s normal administration process.

Scripts behave strangely or files appear corrupted

Confirm the transfer type required by the server. FileZilla’s transfer-type controls can use automatic, binary or ASCII handling; use the mode specified by the administrator or application documentation rather than changing it randomly. Compare the remote file size with the local file and, where available, compare checksums. A text conversion that is inappropriate for a binary asset can damage that asset even though the transfer itself reports success.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An interrupted transfer leaves a partial file

Do not assume a partial file is usable. Check its remote size, retry the transfer and use resume when the server supports it. For a critical production file, replace the incomplete copy only after the queue reports completion and the remote listing reflects the expected size.

Quickconnect or Site Manager?

Consideration Quickconnect Site Manager
Best use A temporary or one-time connection Regular work on a known server
Saved protocol and port Entered for the current connection Stored in a named profile
Authentication options Basic fields are fastest Better suited to SFTP key files and deliberate logon settings
Default directories Navigate manually after connecting Can open a chosen local and remote starting directory
Main risk Re-entering a wrong port, account or path Keeping outdated credentials or a stale directory in the profile

Use Quickconnect to test a new set of details. Once it works, save a carefully named Site Manager profile and periodically confirm that its host, port and remote path still match the provider’s current instructions.

Security practices for file transfers

  • Prefer SFTP or FTPS when the server supports them. Ordinary FTP exposes credentials and file contents in transit.
  • Use a dedicated account with only the directory access needed for the site or project.
  • Protect saved passwords and private keys with your operating-system account security. Never paste a private key into a chat or commit it to a website folder.
  • Verify unexpected TLS certificate or SSH host-key changes with the administrator before accepting them.
  • Disconnect when finished, especially on a shared computer.
  • Keep a local backup before replacing or deleting remote files.

Security and compatibility are server-side decisions. Do not switch from SFTP to unencrypted FTP merely because a firewall blocks the preferred connection; ask the administrator for the approved alternative port or network path.

A repeatable upload checklist

  1. Obtain the host, protocol, port, username, password or key, and documented web-root path.
  2. Open FileZilla and connect with Quickconnect or a verified Site Manager profile.
  3. Confirm that the remote pane is the directory serving the intended domain.
  4. Open the matching local project folder and check names, paths and backups.
  5. Upload the selected files or folders.
  6. Wait for the queue to finish and resolve every failed item.
  7. Refresh the remote listing and compare names, sizes and paths.
  8. Load the exact website URL and test the changed feature.
  9. Disconnect and retain the previous local version until the update is confirmed.

Following this sequence separates connection problems from path problems and transfer problems. That distinction makes a failed upload easier to correct without risking unrelated files on the server.
