To connect WordPress to Zapier, install and activate the Zapier for WordPress plugin, make sure the site is launched, publicly reachable over SSL, and then add the site in Zapier under Apps → Add connection → WordPress. Enter the site’s base address, a WordPress username, and a password or application password. You can then use WordPress events to trigger actions elsewhere, or create and update WordPress content from another app.

What the WordPress–Zapier integration does
The integration creates a bridge between your WordPress site and other connected services. A change in WordPress can start a Zap, and an event in another app can create, update, search, or upload data in WordPress. For a gaming site, that could mean sending a newly published review to a spreadsheet or email workflow, turning an approved content record into a draft post, or moving newly uploaded media into another process.
Zapier connects to the WordPress installation through its plugin and the WordPress account you authorize. The connection is account-scoped: Zapier states that it accesses only the data authorized for the account used in the app connection. Select that account deliberately, because its role determines which content and users a Zap can work with.

Requirements before you connect
Install the WordPress plugin
Install and activate the Zapier for WordPress plugin in the site’s WordPress dashboard. The plugin must be active when you test or run the connection. If it is deactivated, Zapier cannot complete the WordPress handshake.
Use the right WordPress.com plan
On WordPress.com, plugin installation requires a Business plan or higher. A self-hosted WordPress site does not have this WordPress.com plan requirement, but it still needs the plugin and the access conditions below.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsLaunch the site and enable SSL
The site must be launched, publicly accessible, and served over HTTPS. A site that is still private, protected by a maintenance screen, restricted to a local network, or behind a security lock cannot reliably receive Zapier’s requests. SSL is not optional for a dependable connection; use the HTTPS version of the site’s base address.
Create or choose an appropriate WordPress user
Use a WordPress user with the permissions needed for the operations in your Zap. An Editor or Administrator is recommended for the broadest content workflows. WordPress requires at least the Editor role when a Zap must post as another author. If your workflow never changes authors or users, choose an account whose role still covers the content and media operations you intend to run.
Have credentials ready
Zapier’s connection form asks for the site’s base URL, a WordPress username, and a password. If the normal login password is rejected, use a WordPress application password for that user. Keep the application password formatted exactly as WordPress provides it and reconnect after creating or resetting it.
Connect WordPress to Zapier
- Open the connection directory. In Zapier, open Apps and select + Add connection.
- Choose WordPress. Search for WordPress and select the WordPress app presented by Zapier.
- Enter only the base address. Use the root address of the site. Do not append
/wp-admin/,wp-login.php, or another dashboard or login path. - Enter the WordPress username and password. Use the account selected for the automation. If a regular password fails, replace it with that user’s application password.
- Authorize the account. Select Yes, Continue to WordPress. Zapier will attempt to validate the site, plugin, URL, and credentials.
- Confirm the connection. Once the account appears in Zapier, create a Zap and select WordPress as either the trigger app or the action app.
Do not turn the Zap on immediately after the account connects. First choose the event, map its fields, and run Zapier’s test for both the trigger and the action. Testing exposes an incorrect URL, missing field, or insufficient role while you can still correct it.
Build a Zap step by step
1. Select the trigger or starting event
Choose WordPress when a WordPress change should start the workflow, such as a new post or comment. Choose another app when WordPress should be the destination for information collected elsewhere.

2. Pick the event
Select the precise event, such as New Post, Updated Post, New Media, or Create Post. The event controls whether Zapier polls for changes, receives an instant notification, searches existing data, or performs a write operation.
3. Select the connected WordPress account
Choose the account you connected in the Apps directory. If several sites or users are available, verify the site name and the WordPress role before continuing.
4. Test the trigger
Run the trigger test and inspect the sample record. Check that titles, content, author information, media fields, and IDs are present before mapping anything. A missing sample usually indicates a visibility, permission, or connection problem rather than a field-mapping problem.

Pick the symptom - the matching free tool is one click away.
5. Map fields into the action
Insert the tested values into the destination fields. For a WordPress post, map at least the fields needed for the intended status, title, content, author, and media behavior. For a spreadsheet, email, or notification action, map the permalink, title, author, and any metadata the destination requires.
6. Test the action
Use Zapier’s action test to create, update, upload, or search a record. Verify the result in WordPress or the destination app, including formatting, author, visibility, and attachments.
7. Turn the Zap on
Only publish the Zap after the test output is correct. Record which WordPress account it uses and what event starts it; that information makes later troubleshooting much faster.
WordPress events, searches, and actions
The available operations fall into four groups: triggers that start a Zap, searches that look up existing records, actions that write to WordPress, and a flexible API action. Timing differs by event and Zapier plan.

Polling versus instant triggers
Polling triggers periodically check WordPress for new records. Zapier’s integration information states that polling checks run every 15 minutes on the Free plan. That is a plan-specific interval, not a universal delivery guarantee. Instant labels apply to Updated User and Updated Post in the listed integration; actual execution still depends on the trigger and the Zapier plan. Do not design a workflow that requires every WordPress event to arrive immediately unless the selected trigger and plan support that expectation.
Searches and chained steps
Searches are useful when the incoming record contains a slug, email address, or other value that identifies an existing WordPress object. A common sequence is: receive data, use Find Post or Find User, then pass the returned ID into Update Post or Update User. Find or Create User is useful for onboarding flows that must avoid creating a second account when a match already exists.
API Request (Beta)
Use the API action only when the built-in events cannot perform the needed operation. It requires you to understand HTTP requests and the WordPress API, including the method, endpoint, authentication, request body, and response fields. Test it with a non-critical record before enabling production automation.
Useful WordPress automation patterns
Distribute every new post
Start with the New Post trigger, then map the post title, URL, author, and publication data into a notification, spreadsheet, email, or social-publishing action. Keep the trigger’s polling behavior in mind: the destination step runs after Zapier detects the post, not necessarily at the instant you click Publish.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Turn an editorial intake record into a post
Use a form, spreadsheet, or database as the trigger. Add an editorial review step outside the automatic publish action, then map the approved title, body, category, author, and status into Create Post. A review gate is important when the source can contain incomplete copy or unverified information; automation should not silently turn every submitted row into a public article.
Move media and its metadata
Use New Media when WordPress is the source, or Upload Media when another app provides the file. Map the file itself and any title, caption, or descriptive metadata that the destination step exposes. Test with a representative image and inspect the resulting attachment in WordPress before processing a large batch.
Synchronize user administration
Use New User or Updated User for onboarding and account synchronization. Searches can locate the corresponding WordPress account before an update. Treat role and password fields as sensitive: map only what the destination requires, and verify that the connected WordPress account has permission to create or modify users.

Update an existing post from another system
Use a source-app trigger, locate the WordPress record with Find Post, and pass its returned identifier into Update Post. This pattern is safer than trying to update by title alone because titles can change or be duplicated.

Security and access decisions
The connection inherits the permissions of the WordPress account you authorize. An Administrator or Editor is recommended for broad editorial workflows, while an Editor is the minimum role when the Zap must attribute a post to another author. If a workflow touches users, media, or author fields, confirm those capabilities with a test account before enabling it for live data.
An application password is the practical fallback when a normal login password produces a 401 response. Keep the credential in Zapier’s connection rather than placing it in a field, note, or custom request body. If the application password is reset, the existing connection may need to be reconnected.
Zapier’s documented access model is authorization-based: it accesses only the data permitted to the account used for the connection. That does not remove the need to review each field you map, especially user records, role values, and passwords.

Recommended Free Tools
| Symptom | Likely cause | Fix |
|---|---|---|
| Zapier cannot parse or authenticate the site | Plain permalinks | In WordPress, open Settings → Permalinks and change Plain to a descriptive structure such as Post name. Save the setting, then reconnect and test. |
| The connection form rejects the address | Wrong URL format | Enter the site’s base URL over HTTPS. Remove /wp-admin/, wp-login.php, and any other dashboard or login path. |
| Zapier times out or receives no response | Site is private, local, locked, or in maintenance mode | Confirm that the launched site can be reached from the public internet without an access gate. A local-network address cannot be used for this connection. |
| Authentication returns 401 | Normal password is not accepted or application password is invalid | Create or reset a WordPress application password for the user, then reconnect the account in Zapier with that credential. |
| Requests are blocked or intermittently fail | Cache, firewall, or security plugin interference | Review caching, firewall, and security settings. Zapier specifically identifies Jetpack, Wordfence, iThemes Security, WP Rocket, JWT Authentication, WPS Hide Login, and similar tools as possible blockers. Check their logs while running a connection test. |
| An allowlist based on Zapier addresses stops working | Zapier IP addresses change | Do not rely on a fixed Zapier IP list. Zapier says its IP addresses are not static. Where your security layer supports it, allow requests carrying the User-Agent: Zapier header. A static-IP option is available to Professional, Team, and Enterprise users. |
| A post cannot be assigned to the requested author | Insufficient WordPress role | Authenticate with a user that has at least the Editor role, then test the author mapping again. |
| The Zap appears late rather than immediately | Polling trigger or plan-dependent execution | Check whether the selected event is polling. On the Free plan, listed polling checks run every 15 minutes; instant labels apply only to the events identified as instant in the integration. |
Check the URL before changing security settings
The most avoidable connection error is entering a dashboard or login address instead of the site root. Correct the URL first, then confirm HTTPS and public reachability. Only after those checks should you investigate firewall rules or security plugins.
Review logs without weakening the whole site
If a firewall or security plugin blocks the test, inspect its event log for the failed request and the User-Agent: Zapier header. Adjust the narrowest rule that permits the required request. A permanent fixed-IP exception is unsuitable because Zapier’s source addresses are not static.

Retest after every credential change
After creating or resetting an application password, return to the Zapier connection, enter the new credential, and run the connection test. Updating the WordPress user alone does not guarantee that an old Zapier connection has been refreshed.
Operate and maintain your Zaps
Document the account and event
Record the connected WordPress site, username, trigger event, action event, and expected timing. This small inventory prevents an editor from troubleshooting the wrong site or assuming that a polling trigger is instant.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Test representative data
Use a post with the same author, media type, status, and formatting that the live workflow will handle. For user automations, test both a matching account and a new account so you can see how Find User and Find or Create User behave.
Watch for permission changes
If an administrator changes the connected user’s role, password, or application password, retest the connection and any write steps. A Zap can remain switched on while silently losing the permission required for a particular action.
Match the workflow to its timing requirement
Use a polling workflow for notifications and synchronization that can tolerate a delay. For processes that require immediate reaction to a post or user update, select an event labeled instant and confirm that your Zapier plan supports the required execution behavior.
When this integration is the right fit
Zapier is a good fit when WordPress is one part of a multi-step workflow: publishing needs to notify another service, an external intake system needs to create WordPress content, or media and user records need to move between systems. The built-in triggers, searches, and actions cover common editorial, media, and account tasks without custom code.
Choose a custom API request only when a standard operation is missing and you can maintain the HTTP details. If the site cannot be made publicly reachable over SSL, or if its security configuration cannot permit the required requests, the connection prerequisites are not met and the Zap will not be dependable.
Quick Recap
Final checklist before switching on a Zap
- The Zapier for WordPress plugin is installed and active.
- A WordPress.com site has a Business plan or higher if it needs plugin installation.
- The site is launched, public, and reachable over HTTPS.
- The connection uses the base URL without
/wp-admin/orwp-login.php. - The selected WordPress user has the role needed for the intended operation.
- A normal password or valid application password has been tested.
- The trigger sample contains the fields you plan to map.
- The action test produced the expected post, user, media item, or update.
- Firewall and security rules permit the request without relying on a fixed Zapier IP list.
- The expected polling or instant behavior matches the trigger and Zapier plan.
