Start by deciding what the gathering is for, how many people it will involve and who is responsible for each task. Then confirm the venue’s rules and any local requirements, plan safe food and drink service, and prepare for predictable hazards and bad weather. Rules for alcohol, food businesses and event permissions depend on your location and event; check with the venue and relevant local authority.
How do I plan a party or community gathering?
The UK Cabinet Office’s guide for voluntary and community event organisers puts purpose and scale first, followed by assigning responsibilities, checking bookings and permissions, considering safety, access and insurance, setting a realistic budget, publicising the event, planning the event days and following up afterward. It notes, “Good planning is vital to a successful event.” Use that sequence as a framework, then adapt it to your gathering and venue.
- Define what the event is for and the scale you can manage.
- Assign clear owners for bookings, food, communications and on-the-day tasks.
- Confirm venue arrangements and check whether permissions or insurance are relevant.
- Plan for accessibility, safety, costs and what needs to happen before, during and after the event.
What should I ask the venue or organizer?
Use the venue’s own FAQ or contact its staff for requirements that may not apply elsewhere. Official venue and event FAQs commonly cover alcohol, catering, health and safety, equipment, outdoor spaces, bookings, transport, finances, cleaning, documents, insurance and risk assessments. Deadlines and rules can be specific to that venue or local organizer.
- What equipment, furniture or outdoor facilities are provided, and what must organizers bring?
- What are the rules for catering, alcohol, access, cleaning and transport?
- Are insurance or risk-assessment documents required, and when must they be submitted?
- What is the plan for bad weather, cancellations or other disruptions?
How do I keep food safe at an outdoor party?
The UK Food Standards Agency (FSA) advises keeping chilled food below 8°C and not leaving chilled foods such as sandwich fillings out of the fridge for more than four hours. These are operational food-safety recommendations from FSA guidance, accessed 8 October 2026; check current local guidance for your location.

Keep chilled items cold until serving. For a picnic or outdoor celebration, the FSA recommends using a cool box or cool bag with ice or frozen gel packs, spread through the container. A cooler helps maintain cold conditions but does not by itself guarantee a safe temperature.
- Keep raw and ready-to-eat foods separate.
- Wash hands and food-preparation equipment.
- Cook food properly and keep chilled items cool until they are served.
- Put out only what guests are likely to eat soon, rather than leaving chilled food exposed for hours.
Do I need to provide allergen information?
It depends on where the gathering is held and whether the food activity is legally treated as a food business. In guidance for community events in England, Northern Ireland and Wales, the FSA’s update published 4 September 2026 says allergen information is not legally required for food supplied through an activity that does not need food-business registration. The FSA nevertheless encourages providing allergen information where possible so people can make safer, informed choices. This UK-specific guidance should not be applied automatically to registered businesses or events in other countries; check the relevant local rules.

Can I serve alcohol, or do I need a licence?
There is no universal answer: licensing depends on jurisdiction, local law, venue conditions and the event format. Under the UK Cabinet Office guide, alcohol may be provided at a private event without a licence if it is not sold. Public event activities or alcohol sales may require permissions or a Temporary Event Notice, depending on the circumstances. Coventry City Council’s guidance for small private street parties likewise says a licence is required only if alcohol is sold. These examples do not settle the rules for other places or venues. Check the local authority and venue before deciding how to serve alcohol.

Queensland Police guidance for parties recommends considering the layout, lighting, access control, hazards and areas guests should not enter. It specifically highlights pools, heaters and barbecues, as well as where guests can leave valuables. Keep food and water readily available; if alcohol is served, its guidance recommends having one monitored serving area. These are practical suggestions, not universal legal standards.

Also plan what happens if conditions change. Coventry City Council’s street-party FAQ suggests considering a bad-weather backup and whether reusable or recyclable plates and cups could reduce risks such as broken glass. Tailor your arrangements to the venue, guest list and local requirements.
