Start at the printer, then work outward: verify power, paper, ink or toner, covers and jams; print the printer’s own test page; confirm the computer is using the right printer and connection; cancel stuck jobs; restart the Windows Print Spooler or macOS print queue; and only then update, reinstall or re-add the printer software. This order separates a supply or hardware fault from an offline connection, blocked queue or driver problem without replacing working components unnecessarily.
1. Check the printer before changing computer settings
A computer can send a job successfully while the printer refuses to produce a page. Look at the printer’s display and indicator lights before troubleshooting Windows or macOS.

- Confirm the printer is switched on and has finished starting up. If it displays an error code, record it.
- Load the correct paper size and make sure the tray is seated. Low paper can stop a job.
- Check ink or toner levels. A cartridge that is empty, incorrectly installed or incompatible with the exact model can prevent printing or produce blank pages.
- Close every cover and access door. An open cover is a print-blocking condition on many models.
- Remove visible paper jams carefully, following the arrows or access instructions on the printer. Do not pull hard enough to tear paper inside the mechanism.
After correcting a physical warning, power-cycle the printer: turn it off, wait briefly, turn it on and allow it to return to its ready state. Microsoft Support notes that power-cycling can resolve some printer problems. If the printer immediately reports a mechanical or consumable error again, computer-side steps will not repair that condition; use the model’s manufacturer instructions for the error.

2. Print a test page and use the result as your decision point
A test page bypasses the application you were trying to print from. Use the printer’s control panel if it offers a report or test-page command. You can also use the operating system’s printer properties or options to print a test page.

A clean test page
If the printer produces a complete, correctly colored page, its basic hardware and supplies are working. Concentrate on the selected printer, the connection, the print queue, the operating-system service and the driver or application.
Streaks, missing colors or faded output
Uneven output points toward ink or toner, print-head alignment, a clogged head or another print-quality condition rather than a blocked Windows queue. Check the cartridge or toner number for the exact model, run the maintenance option provided by the manufacturer and print another test page. Do not buy a replacement solely from a generic cartridge description: compatibility is model-specific.
No test page at all
No output, despite a ready-looking printer, points toward communication, a jam or another printer-side fault. Recheck the physical warnings, then continue with the USB or Wi-Fi checks below. A failed test page is evidence that the problem is not limited to one application.

3. Verify the connection
USB printers
- Disconnect and reconnect the cable at both the printer and computer.
- Try a different USB port on the computer if one is available. Avoid routing the cable through an unpowered hub while diagnosing the problem.
- Watch for a connection sound or a newly detected printer. If the printer disappears whenever the cable moves, the cable or port may be unreliable.
A replacement cable is worth considering only after confirming the printer’s connector type and the computer’s port. Match the connector and the operating system before purchasing; a cable cannot correct a driver or queue failure.
Wi-Fi printers
- Read the network name shown on the printer or its network report.
- Confirm the computer is connected to that same network. A guest network, different access point or isolated wireless segment can prevent discovery even when both devices show Wi-Fi connectivity.
- Move the printer temporarily closer to the access point if the signal is questionable, then print a test page or network report.
“Offline” normally means the computer cannot communicate with the printer; it does not necessarily mean the printer has lost power. If another device can print to it, focus on the affected computer’s selected printer, queue or driver.
4. Select the intended printer and clear every blocked job
Multiple printers, duplicate installations and virtual PDF printers make it easy to send a document somewhere else. Select the physical printer you intend to use and make it the default when appropriate.

Windows 11 and Windows 10
- Open Settings > Bluetooth & devices > Printers & scanners (Windows 11), or Settings > Devices > Printers & scanners (Windows 10).
- Choose the printer, open its queue and cancel every pending document. A single damaged job can block all later jobs.
- In the queue window, open the Printer menu and make sure Pause Printing and Use Printer Offline are not selected.
- Return to the printer list and choose Set as default if you want applications to use it automatically.
If a document remains in the queue after cancellation, do not keep submitting new copies. Restart the print service in the next section first.
macOS
- Open System Settings > Printers & Scanners (or System Preferences on older macOS versions).
- Select the printer and open its queue or Print Center.
- Delete the job that is holding the queue, then remove any later duplicates.
Apple’s guidance treats a blocking queue job, supplies and jams as separate checks. Clearing the queue is therefore preferable to immediately deleting the printer.
5. Restart the print service or reset the queue
Restart Windows Print Spooler
- Press Windows + R, type
services.msc, and press Enter. - Find Print Spooler, right-click it and choose Restart. If it is stopped, choose Start.
- Open its properties and set Startup type to Automatic, then apply the change.
- Try one small test document rather than resending a large batch.
Reset corrupted Windows spool files
Use this deeper reset only when jobs remain stuck after a normal restart. It requires an administrator account and removes pending print jobs from every installed printer.

- Open Services with
services.msc, right-click Print Spooler and choose Stop. - In File Explorer, enter
%WINDIR%system32spoolPRINTERSin the address bar. Approve administrator permission if requested. - Delete the files inside that folder, not the folder itself.
- Return to Print Spooler, choose Start, and confirm Startup type remains Automatic.
- Reopen the printer queue and submit a new test document.
Microsoft documents this stop-delete-start procedure for corrupted spool files. Because it discards queued work, save the original documents before using it.
Reset a macOS queue
After deleting the blocking job, remove and re-add the printer if the queue repeatedly recreates itself. In System Settings > Printers & Scanners, select the printer, remove it, then add it again using the detected USB or network printer. Older macOS releases provide a Reset Printing System command from the printer list’s context menu; use it only when ordinary queue deletion and re-adding do not work, because it removes all configured printers and queues.

6. Update, reinstall or re-add the printer software
Drivers are specific to both the printer model and the operating system. Download the latest driver or printer software from the printer manufacturer’s support page, using the complete model name and the current Windows or macOS version. Do not substitute a similarly named model.

Windows
- Run the manufacturer’s current driver installer and allow it to detect the connected printer.
- If the existing installation is damaged, open Settings > Bluetooth & devices > Printers & scanners, select the printer, choose Remove, restart Windows, and add it again with Add device.
- For a USB printer, connect the cable when the installer requests it rather than before, unless the manufacturer’s instructions say otherwise. For Wi-Fi, keep the computer and printer on the same network during setup.
Microsoft recommends driver installation and printer removal/re-addition after connection and queue checks have failed. Reinstalling before clearing a blocked queue can leave the original spool problem untouched.
macOS
Check that the printer software supports the installed macOS release. Apple advises obtaining the latest compatible driver from the manufacturer when the built-in software does not work. Remove the old printer, install the compatible software if required, and add the printer again. A driver intended for another operating-system release may install incompletely or expose only generic features.
7. Fix blank pages after the printer appears to print
Blank pages are different from a job that never leaves the queue. First print the printer’s internal test page. If that page is blank, inspect ink or toner installation, confirm the cartridge number, remove any protective shipping seal that remains, and run the manufacturer’s cleaning or alignment routine. Several cleaning cycles can consume ink, so follow the model’s instructions rather than repeating the cycle indefinitely.
If the internal test page is correct but a document is blank, print from another application. A blank result in one application can come from a document, font or application setting. Check the selected paper size, color or grayscale setting and page range, then export the document to PDF and test the PDF. If PDFs from multiple applications are blank while the internal test page remains correct, reinstall the driver and re-add the printer.
8. Use the symptoms to identify the failing layer

9. A final controlled test
Once the printer reports ready, the queue is empty and the driver is current, print a one-page document from a simple application. Observe whether the job appears in the queue, leaves the queue and produces a page. If it succeeds, test the application that originally failed. If it fails again, note the exact printer display message, whether the test page works, the connection type and the operating-system version before contacting the manufacturer. Those details identify whether support should investigate hardware, network communication, the spooler or driver compatibility.
